This document “Internship Guide“, of the Program Information Technology at INHOLLAND 

University of Applied Sciences Amsterdam/Diemen, contains detailed information about the IT

internship. It is meant to make things easier for students, companies and supervising teachers.

If you still miss some information, do not hesitate to contact the internship coordinator.

1.  Purpose of the internship

The Bachelor of Engineering in Information Technology is a four-year degree program at

INHOLLAND University located in Diemen. The main objectives of the program are to provide

students with a solid foundation for the engineering profession and the information technology

 profession in particular, and to enable them to continue their professional development after graduation. It focuses on software development, networking, database management and internet

 programming.

The entire program is organized following the guidelines of a traditional engineering degree. It is

 built around a number of subject areas. The subject areas are: Software Development, Networking,

Database Management, Internet Programming, Information Science, Computer Hardware,

Mathematics, Mathematics and Computers, Economics and Management, and CommunicationSkills. These areas consist of a number of courses given in the various years of the program.

In the fourth period of the 3rd year students are required to do an internship. In the academic year 2012-2013 the fourth period starts on the 15th of April 2011. The purpose of this internship is to give

students real-life, IT related work experience and to let them see how things go in a company. The

internship should last for at least 400 hours (15 ECTS). A longer lasting work placement is possible,as long as the student can proceed his or her education per 1st of September. The 15 ECTS have to

 be completed before the summer holiday starts.

Each student has an academic supervisor during the internship (appointed by the internshipcoordinator), who monitors the progress of the student.

The company supervisor will assist the student on the job and he or she is expected to evaluate the

intern at the end of the internship. The company is free to use its own documents to do this or use theone provided by us. Both supervisors will discuss this evaluation, but it is the academic supervisor 

who will give the grade for the internship. This grade is either Pass or Fail.

If the student has not found an internship in time, he will have to do the internship after the 4th year 

courses, but before the thesis project.

2.  Preparation for the internship

When to start looking?

Some students tend to start looking for an internship too early and others too late. It is advisable to

start looking one period before starting the work placement. Before that time most companies willnot know if they have an internship vacancy for the 4th period. On the other hand, if students start

too late, the positions might be taken already.

Where to look?

Students can look for a company in different ways, the mostly used are:

  interneto  company websites

o  studentenbureau.nl

  friends / family

  newspaperso  see which companies search IT personnel

Approaching a company

When the student finds a company he or she would like to work for, the student asks the internship

coordinator whether there are already some contacts with that company. If not, he can send them a

letter and CV. The student should use his INHOLLAND-account, because that looks more professional and trustworthy.

Make absolutely sure the letter and CV do not contain any spelling or writing errors, because thatmight make the difference between being invited for an interview or not. Always make sure that both

the motivation letter and CV are really attached and that the attachments are free of viruses.

The student should keep the internship coordinator informed about the responses of the company.

The internship coordinator and/or “stagebureau” of the university will contact all the companies that

have been involved in an IT internship before and ask them if they have a vacancy. These vacancies

will be discussed with the prospective trainees. Students have to present themselves in person to the

internship coordinator when they are interested in one of these vacancies and they will be allowed toapply on a first come first serve basis.

3.  Requirements

Requirements for all internships

 The student has passed all first year courses.

  The student has passed the Work Placement Information course (WPIE09/3710IT334A).

  The student has 70 ECTS out of year 2 and 3.

  The work done for the company has to be related to Information Technology and should beapproved by the internship coordinator to make sure that the level of the work is high enough.

  The company has to assign a supervisor who can help the student with the work.

  The student and the company have to agree on the allowance paid for the internship.

  An internship agreement had to be signed between the company, the student and Inholland(see chapter 4).

  The work is done at the company on a fulltime base.

Additional requirements for internships abroad

  The intended country is not the student’s home country.

  The student has passed all courses up to and including period 2 of year 3.

  The company supervisor must be able to communicate in English.

  It must be possible to reach the company supervisor by phone and email.

  The communication within the company will be in English.

4.  Internship agreement

Till recently every company that wanted to employ someone from outside the European Union,

needed to apply for a working permit (“tewerkstellingsvergunning” in Dutch). The company was not

allowed to let the student start the internship until the request had been approved. The laws have

changed and it is only needed that the company, student and Inholland sign a standard internshipform which should be kept, together with a copy of the passport of the student, at the location where

the student is doing his or her internship.

The format of this agreement can be found in appendix C or downloaded by the students from the E-

drive. After it has been filled out, the company will send three signed copies to the internship

coordinator, who will make sure that it is signed by the student and by herself and that one completed

copy is returned to the company. The agreement can be sent via post or fax. Contact details can befound in chapter 8.

The internship coordinator will only sign the contract if all requirements (see chapter 3) are fulfilled.

5.  From searching to working, an overview

An overview of the steps that need to be taken from the moment the student starts searching for a

 position until the moment he or she starts working for a company.

1.  When the internship coordinator receives a vacancy from a company, she will publish it onthe E-drive.

2.  The students themselves are responsible for finding internship positions. The vacancies on the

E-drive may be used as a starting point for their search.3.  The first student to respond to a published vacancy will be permitted by the internship

coordinator to contact the company. The student will show his interests in person to the

internship coordinator. In case the company would like to see multiple (n) students the above

rule will apply for the first n responders.4.  When a student is in contact with a company, this is reported to the internship coordinator 

through email. The contact information form (see appendix B) needs to be attached to the

email.5.  As soon as there is an agreement between the company and the student, the student will

report this to the internship coordinator together with an updated contact information form.

6.  The company will send 3 signed copies of the internship agreement and the internshipdescription to the internship coordinator.

7.  The internship coordinator will ask the student to sign the agreement.

8.  If the internship description is approved the internship coordinator will sign the internship

agreement and return one copy to the company and one copy to the student.

Within the first week at work the student will make sure that the final version of the contact

information form is completed and will send it to the internship coordinator by email. At that point

the internship coordinator will assign one of the teachers as academic supervisor. From that momentthe academic supervisor is the contact person for both the student and the company.

The academic supervisor will get in contact with the company supervisor to introduce himself at the beginning of the internship. In some cases the academic supervisor will visit the company to get a

 better understanding of the work the student does.

The student will regularly send a logbook to the academic supervisor to inform him or her about his

 progress.

6.  At the end of the internship

Evaluation Form

It is expected from the company supervisor to evaluate the intern by the end of the internship. The

company is free to use either its own evaluation form or the one provided by us. This document can be found in appendix D. The company and the academic supervisor will discuss this evaluation, but it

is the academic supervisor who will give the grade for the internship.

Report

The student has to write a report about his or her internship. Guidelines for the report can be found inappendix E. The deadline for the report is two weeks after the end of the internship. The academic

supervisor will read the report. If the report is not good enough the supervisor will give feedback to

the student, who then gets the opportunity to improve it. Students should be aware that the academicsupervisor has more to do than reading reports (like teaching) and therefore they should keep in mind

that it might take a while to get the feedback.

When the report is approved the academic supervisor will send a digital copy to the internship

coordinator. The coordinator will collect all reports and put them on a DVD for later reference.

Grading

The grade will be determined by the academic supervisor. He can only give a passing grade if:

  The student has handed in the contact information form (appendix B)

  The student has sent his logbook regularly to the academic supervisor 

  The company supervisor has sent the evaluation form to the academic supervisor 

  The student has handed in his final report on time and this report is approved. The deadlinefor the report is two weeks after finishing the internship.

The academic supervisor will send the grade to the administration and inform the internship

coordinator and mentor about it.

7.  Confidential counselors

Inholland University wants to offer all its students a safe learning environment and believes that it is

vital to prevent and combat undesirable behavior in the broadest sense of the word. Undesirable

 behavior is defined as any form of sexual harassment, discrimination, aggression and violence. The

safe learning environment envisaged also extends to placement institutions and to institutionssupervising graduation projects. So, students on placement and those working on their graduation

 projects within institutions are also subject to and protected by the policy pursued by Inholland and

the measures that it has put in place to prevent and combat undesirable behavior.

In general, staff and students respect each other’s limits. However, where this is not the case and

someone is being harassed, it is important to immediately make clear that undesirable behavior is

unacceptable. This is sometimes difficult, and where this is the case it is wise to ask for help from afellow student, colleague, lecturer or manager. Alternatively, you could also choose to approach one

of Inholland’s confidential counselors.

Confidential counselors help to gain an overview of a situation, give advice and provide support

should any further steps be taken (the submission of a complaint, for example). Confidential

counselors are independent and are required to observe confidentiality. They will not undertake anyaction without the consent of the individuals that have approached them. Individuals are able to

report instances of ‘undesirable behavior’ anonymously. However, it is not possible to submit a

complaint anonymously.

Definitions of Terms:

Sexual harassment:

When you are doing a placement (or are in a work or study situation) and are confronted with behavior or incidents of a sexual nature, which you consider to be undesirable or threatening, sexual

harassment is the case. Remarks on an individual’s appearance, suggestive comments and advances

may be experienced as sexually threatening. If pornographic material is sent (via Internet, for example) or is noticeably being looked at, this may also fall under sexual harassment.

In these situations it is always important to consider how this behavior is experienced by the

individual being subjected to it (the victim), and not how it was intended by the person responsiblefor the behavior in question. What for one person is harmless fun, may be experienced as offensive

and extreme for someone else.

Aggression and violence: These two terms cover any form of bullying, torment, psychological or physical harassment, threats

and attacks. Bullying involves the following systematic instances: ridicule, gossip, unnecessary

criticism, the inappropriate assessment of work, and expecting someone to do the worst jobs.

Discrimination: Discrimination is defined as any derogatory verbal, visual or written expression by an individual or group of individuals directed at individuals in relation to their race, ethnic origin, religion, gender,

 beliefs and/or sexual orientation, or distinctions made on the basis of these factors.

Article 11

Apart from the activities during the internship, the host organisation will inform the trainee as much as possible about the daily

 procedures within the department and within the company as a whole. 

Article 12

At the conclusion of the internship period a meeting will be called by the company mentor of the host organisation to assess the

internship. The results and conclusions will be registered in the internship evaluation form that is to be filled in by the company

mentor. The academic supervisor is responsible for determining the final grade.

Article 13

In case of problems the trainee will refer initially to the company mentor. If the problem is not solved, it may be submitted to the

academic supervisor either by the trainee or by the company mentor.

Article 14

This agreement ends:

a)  at the end of the agreed period;

 b)  if the trainee leaves school;

c)  in case where all parties so desire, or 

d)  in case one of the parties so desires, provided the procedure as mentioned in article 13 has been followed

and consultation between the host organisation and the institute has not resulted in creating conditions for

Overview of the chapters

1. Description of the Company / Branch / Department you worked for and the kind of  problems or projects are they working on.

2. The problems or assignments you worked on.

For each problem or assignment:

  What did you do in order to solve the problem or carry out the assignment?

  Describe things like your Planning, Problem analysis, Problem definition,

Designs, Realization, Testing, Implementation Results.

  What were the results of your work?

  Was the thing that you made (or did) successful?

  Conclusions and Recommendations:o  Is the problem solved?o  Was the assignment accomplished?o  Should the work be continued?o  Is there room for improvement?

If you worked on several major problems or assignments: treat one problem per chapter.

3. Reflection on your internship:

  What were your personal goals and expectations? How was it in reality?

  Were you well prepared?

  What new things did you (have to) learn?

  Were you able to function satisfactorily?

  Were you able to communicate well?

  What do you think you need to improve?

Physical specifications of the report

Use Arial or Times New Roman size 12. The report should be around 15 pages (everything included).

Use page numbers. Check your spelling and grammar. Ask someone else to read it and give feedback  before sending it to your academic supervisor. Remember and use the things you learned in the

courses English and Business Communication.
