Introduction:-

Restaurant & Bar solutions module provides core solutions of

practical working of Restaurant and Bar atmosphere. It provides following

features while using with Tally.ERP9

How to go with Solutions:-

Loading the Restaurant & Bar.TCP

1. Copy “Restaurant & Bar.tcp” to Tally Folder

2. Start Tally- Press F12 – Press TDL configuration –

3. Press F4 - paste above TDL here and save the screen

TDL has been loaded

Create a Company:-

1. Create a company or alter a company

2. Use Security Control to Yes

3. Save screen and enable Restaurant & Bar solution to Yes through F11 –addon

features

4. Enable Restaurant & Bar Solution to YES

5. A setup will run and it will create all mandatory fields in Tally.ERP9 required

for a Restaurant & Bar.

Creating Security Control

1. Press ALT + F3 at Gateway of Tally

2. Go to Security Control and press ENTER

3. Go to type of security and press ENTER

4. create security level – allow Front Desk for Restaurant & bar solutions

5. Set user and password for Level and come back

Creating Ledger Group:-

Note :- However, auto setup will get ready these automatically, but user must should

check it

1. Create a Group name- “Beryl Tables” under Sundry debtors. Put all bar table

number under it.

2. Create a Group name – “Banquet Party” under Sundry debtors. Put Banquets

client under it

3. Create a Group name – “Restaurant Party” under Sundry debtors. Put all table

number in Restaurant under this group

Creating Stock Group:-

1. Create a stock Group name – “Beryl Items” for bar items

2. Create A stock Group name : - “Menu Items” for all other food items

Creating Voucher Type:-

1. Create voucher type name – Beryl Order under Sales order

2. Create voucher type name – Beryl Bill under Sales

3. Create voucher type name – Bar Snacks order under Sales order

4. Create voucher type name – Bar Snacks Bill under Sales

5. Create voucher type name – Restaurant order under Sales order

6. Create voucher type name – Restaurant Bill under Sales

7. Create voucher type name – Banquet order under Sales order

8. Create voucher type name – Banquet order under Sales

9. All the numbers of orders and bills and kot will be automatically numbers and

will be prefixed by “ Nick name of department” for example – for beryl – prefix

“BYL” respectively on kot and bill numbering

Creating Price Levels:-

1. Create different price level for Restaurant, Bar snacks, items except rates for

Bar – wine and beer. All these are hard coded. Plz use the same name as

below:-

To set the price of Bar wine and beer – go to every stock items of Bar Menu and set the

rates of 60 ml peg and 30 ml peg and Bottle for beer as shown below:-

Creating Locations or Department:-

Create the following Locations: -

1. Indian

2. Pantry

3. Chinese

4. Tandoor

5. Bar Counter[ for peg stock ]

6. Main Store for general item

7. Main Bar Room [for main stock]

8. Kitchen set Alias 0 to select automatically godown at the time of voucher

entry.

9. Many more as you require

Note :- You may set Locations as a default by selecting “Location” on related Voucher

type as shown below:-

Discount structure:-

You may define Permanent discount for restaurant or bar or any other stock

group to allow under scheme here or you may opt for special discount to

specific client at the time of Billing by selecting Discount option and further

mentioning rate of discount. Discount will be for all items in the bill.

Complimentary Bill:-

If you want to sell your dishes or rooms, select “Complimentary” option at the

time of issuing KOT or booking Room at Ledger creation. Price Picked from Price List

will be converted into 1% of the actual billed Price and it will be settled as

“complimentary cash” under a group “ Cash in Hand”.

Create units of measure:-

1. Nos.

2. Plate

3. Peg

4. Ml

5. Peg of 60ml

6. Bottle

7. Glass

Creating Voucher Class:-

1. Beryl under bar order

2. Bar Snacks under Bar Snacks order

3. Restaurent under Restaurent order

4. Banquet under Banquet Order

Creating Bill wise Ledger:-

Note: - When creating tables, parties, room parties under Sundry

debtors- you must enable “Maintain Billwise details” options and allow invoicing to Yes

and say yes to service tax for service tax calculations if you want to use default Service

Tax, other wise, Say No to service tax. These are mandatory.

Creating complimentary items:-

1. Press F11 – press F2 – Say yes to Maintain Stock categories

2. create name “ Complimentary “ categories

3. Put it under those Menu items which are not chargeable under any scheme

4. Create name “Disallow discount” Categories. No discount will be allowed on these

items under which “Disallow discount” Category will be selected.

Note: - This will stop calculation of rate and amount at the time of invoice for the items

under “Complimentary” categories and does not allow discount for a special items. For

example, If you don’t want to allow discount on Beverage Items, but allow on food items. This

will skip discount column for items under Disallow discount.

Creating cash ledgers:-

You must prepare the following cash ledger under cash in hand group:-

1. Cash with bar counter

2. Cash with Restaurant

3. cash with banquet manager

4. Gift voucher

5. Debit/Credit Cards for bank payment

6. Complimentary cash

The above will help you to collect the cash from different counter

How to operate BAR:-

1. Go to bar Menu

2. Press BAR- the following bar menu will come

3. Bar order is for Bar KOT and Bar Bill is Bill for liquor

6. Bar snacks order for Food kot and Bar Snacks Bill is Bill for food items

7. Bar Register provide the order and bills issued report

8. Empty Tables report will provide availability of tables in Bar Place whether tables

are busy or free

10. Bill settlement is to settle the bill whether it is cash or on credit card

13. Flash Report – this report will provide you whole day transactions bill settlement

wise

Prepare Bar Order:-

1. Press Bar order

2. select table

3. select sales ledger

4. select the item to be sold

5. select the location from where the goods are being sold

6. select 60ml - 2peg in one kot

7. Select 30 ml 2 peg in second kot.

8. Price for the PEG will be picked from the concerned stock item. You have to define the

price of every items at the time of creation. Every Bar item has two unit 60 ml or 30 ml,

so price level has been made at item creations

9. Go to bar bill and press

10. select the table for which bill is to be made

11. select above two kot to be billed

12. accept the screen and print the bill

13. Same in snacks order and snacks bill

How to operate Restaurant:-

1. Press restaurant order for KOT

2. select the table

3. fill the orders and accept the screen

4. go to restaurant bill

5. select required table

6. Save and print the bill

7. Go for bill settlement

8. Press bill settlement

9. Accept the screen , entries has been posted

Point of Sale:-

Complimentary report:-

This report will show you the amount given as complimentary to staff or others or

special guest

Cash Report:-

This report will show you – cash lying at every counter

Card Swap Report:-

Table timing Details:-

This table shows you how much time lapsed during one table order execution and gives a

remark on your service in the hotel

Sales Register:-

This report will provide you full day user wise Sales

Kot details and pending KOT

This report will tell you whether every KOT has been billed or not. And it will show the KOT

pending reports.

Store:-

This menu will help you reports concerned with the store in the following way:-

For item ledger:-

For location wise:-

For Items consumed during the day or purchase during the day

For expiry or duration of items lying with the store – use aging analysis.
