1. Introduction

1.1 Document DescriptionThis document depicts the work flow of the Waste-DataLive PDA application. The PDA application is intended to be used in conjunction with the Waste-DataLive PC client program. Information entered into the Waste-DataLive PC client program will only be visible on PDAs which have:

a) had the Waste-DataLive PDA application prerequisites installedb) had the Waste-DataLive pre configuration checks carried out c) had the Waste-DataLive application installedd) a valid network connection (via a network dock, a wireless network connection or a 3G

connection using a SIM card)

We recommend steps a) to c) should only be carried out by a member of the FalconData team.

1.2 AudienceThis document’s intended audience is all users of the Waste-DataLive PDA application

1.3 AimsThis document aims to inform the audience about the functionality of the Waste-DataLive PDA application. The different work flows available are discussed and several scenarios examined.

2. System Start-up

Regardless of which PDA flow you choose to use, the initial stages of setting up the PDA ready to commence work are exactly the same. Figure 1 below shows the Waste-DataLive PDA application Start screen.

2.1 Docked ScreenWhen the Waste-DataLive PDA application is running, if you place the PDA into a dock (either a single desktop dock or a quad network dock), the Docked screen will appear, as shown in Figure 2.

The red background indicates the PDA does not have a connection to the Waste-DataLive server. As such, the PDA will not receive any new job, user or vehicle data in this state.

If a valid connection to the server is present, the screen will turn green after a few minutes. The exact duration is dependent on the sync interval set for your PDAs, which is how often the PDA attempts to retrieve new data from the server. Figure 3 shows the green background, indicating connectivity with the server.

Clicking the Exit button will take the user back to the Start screen.

2.2 User LogonClicking the Start button at the bottom of the screen will take you to the User Logon screen, as shown below in Figure 4.

Users are asked to scan their user Id badge or enter their User Name into the text box to logon.

If a user clicks the Logon button on the bottom right of the screen without entering their User Name into the text box, they will be prompted as shown in Figure 5 and the logon will not be authenticated.

Only users who have a User entry in the Waste-DataLive PC client have a valid UserID to logon to the PDA application. In the Settings -> Users1 section of the client you can setup users and print Id badges as required.

If a user attempts to logon using an incorrect barcode or enters their User Name incorrectly, they will be prompted as shown on the following page in Figure 6, and the user will not be allowed to progress to the next stage.

2.2 Vehicle SelectionOnce the user has successfully logged on, they will be presented with the Vehicle Check screen, as shown in Figure 7. Here the user is asked to scan the barcode associated to the vehicle they will be using to carry out their work.

Vehicles are setup in the Settings -> Core data -> Vehicles2 section of the Waste-DataLive PC client. You can also print vehicle barcode labels in this section.

If a user clicks the Next button on the bottom right of the screen without scanning a vehicle barcode, they will be prompted as shown below

in Figure 8 and the vehicle will not be authenticated.

If a user scans an invalid vehicle barcode, they will be prompted as shown in Figure 9 on the following page and they will not be allowed to progress to the next stage.

2.3 Vehicle ChecksOnce the user has successfully scanned a valid vehicle barcode, they will be asked to complete

a series of checks on the vehicle itself as shown in Figure 10. The purpose of these checks is to ensure the vehicle is fit for use. Users can also add notes to the vehicle check if they would like to raise any maintenance requests.

The vehicle checks available are configurable in the Vehicle Check -> Admin3 section of the Waste-DataLive PC client. In this section you can add new vehicle check items and edit existing checks.

You can also choose whether each check is compulsory or not. If a check is compulsory, a user will not be allowed to move on to the next stage unless they have checked the compulsory item, as shown in Figure 11.

Once the user has completed the compulsory checks, entered a fuel level and mileage if required, as shown in Figure 12 on the following page, they will be allowed to progress on to the next stage.

Users will then be asked to confirm they have carried out the checks, as shown below in Figure 13.

When the user has signed to confirm the checks and clicked the Save button on the bottom right of the screen, they will be taken to the Round Select screen, as shown in Figure 14.

The user will need to select which round they will be servicing by clicking on the round name in the list as shown in Figure 15 below.

When the user has selected the appropriate round and clicked the Select button on the bottom right of the screen, they will be taken to the departure screen, as shown in Figure 16 on the next page.

When the user clicks the Ready To Depart button in the centre of the screen, this indicates the user is ready to commence work. This is usually the last step the user performs before leaving the depot.

3 Detailed Work Flow

The standard work flow provides a detailed approach to each job and its associated tasks. Users must select the job they are completing when they arrive on site, select the individual task they are carrying out before completing the job and moving on to the next customer to be serviced. We will look at the standard work flow in more detail in this section.

3.1 Job ListAfter clicking the Ready To Depart button as shown in Figure 16, users are taken to the Job List for the selected round. An example Job List screen is shown in Figure 17.

In the example above, the job for the NH Test customer is a job to be serviced as part of the regular round. The job for the NH Trading customer has been added as an additional service, or ad-hoc job, for this particular user to complete. The job is highlighted in green to alert the user additional work has been allocated to them.

The user will need to select which job they are

intending to complete by selecting the job from the list.

When selected, the job entry expands to show additional information about the job such as the number of bins and type of service required, as shown in Figure 18 below.

Users can click on the red <More> button on the right of the screen should they require any further detail, as shown in Figure 19 below.

Users can navigate back to the Job List screen by clicking the Back button on the bottom of the screen.

3.2 Task ListOnce a user has selected a job as shown in Figure 18, they can proceed to the next stage by clicking the Next button on the bottom right of the screen.

When they have done so, they will be taken to the Task List for that specific job, as shown below in Figure 20.

The user will now need to select which task they will complete first by selecting it from the task list. The task will be highlighted when it has been selected, as shown in Figure 21.

When the task has been selected, the user can click the Next button on the bottom right of the screen to begin scanning the barcode labels of the required bins.

3.3 Completing TasksClicking the Next button on the Task List screen takes users to the Scan container screen as shown below in Figure 22.

As you can see, the number and type of containers to be serviced is shown along with the waste type contained in them (in this

instance HW denotes the ‘House Hold Waste’ waste type as entered in the Settings -> Core data -> Waste types4 section of the Waste-DataLive PC client.).

If a user scans an invalid barcode (incorrect bin type or barcode not generated by the Waste-DataLive PC client), the user will be prompted as shown in Figure 23 and the scan will not count towards the completed task quantity.

After scanning a valid barcode, users will be asked if there were any issues with the task, as shown in Figure 24.

By clicking ‘Yes’ at this prompt, the user is confirming there were no issues with this task. As such, the user is taken back to the Scan Container screen (Figure 22) to continue scanning barcodes.

If the user clicks No, they are indicating there has been an issue with this task. We will discuss recording issues later in the document.

If there is more than one bin on the current task, the quantity of bins remaining decreases with each valid barcode label scanned. Can you see how Figure 25 shows the quantity remaining has changed to show 1 bin remaining?

When the user has scanned the final valid barcode, they will be prompted as Figure 24, but following this they will also be prompted to complete the job, as shown in Figure 26 below.

Clicking No will take the user back to the Task List as shown in Figure 21. We will discuss why this is significant later in the document.

Clicking Yes completes all tasks, closes the job for the current customer and takes the user back to the Job List screen (Figure 20).

This time however, the job the user has just completed will no longer be shown on the Job List, as shown below in Figure 27.

4 Shortened Work Flow

We understand users can be under time constraints when carrying out their duties. As such we have developed a quicker, shortened work flow, which allows users to simply scan barcode labels without having to select jobs and individual tasks.

The shortened work flow works only for bins which have been assigned to customers using the Bins module5 of the Waste-DataLive PC client.

The PDA application uses the first barcode scanned as a shortcut, selecting the customer and appropriate task when applicable. Users will then be expected to complete all tasks for that customer and complete the job before moving on to the next customer.

4.1 Job List

Users can scan assigned bin barcode labels directly from the Job List screen, eliminating the need to select the customer and relevant task before commencing scanning.

Scanning a barcode assigned to a user not on the current round results in the user being prompted, as shown in Figure 28.

Scanning an assigned barcode label for a bin type not on the current round or scanning an unassigned barcode label results in the same message prompt as shown in Figure 28.

When the user scans an assigned barcode label with a valid task on the current round, they are taken straight to the Scan success screen, as shown in Figure 29 below.

From here the user can choose to record an Issue if necessary, rather than being prompted as shown in Figure 24.

The Scan success screen notifies the user the barcode they have scanned has been accepted by the PDA application, and the task associated with that particular bin has now been completed.

Information on this screen includes the customer name (NH Test), the bin type (240L Bin) and the id number of the label scanned (00000035 in this case).

At this point, users can either exit the Scan success screen by using the Close button at the bottom of the screen, or continue scanning the remaining bins. Clicking the Close button will take the user to the Task List for the current customer.

If a user continues scanning from the Scan success screen, the screen will automatically update with the most recent information for bin type and bin id, as shown in Figure 30.

If a user attempts to scan a barcode assigned to another user at this stage, they will be prompted including the relevant customer name as shown in Figure 31 below.

When the final barcode label has been scanned for the current customer, users will be prompted to complete the job, as seen in Figure 32 below.

This prompt acts in a similar same way as discussed for Figure 26.

Clicking Yes will take the user back to the Job List screen; clicking No will take the user back to the Scan success screen. Here the user can either record an Issue for the scanned bin, or return to the Task List by clicking the Close button.

The Task List at this point would show no tasks remaining, as in Figure 33 below.

5 Recording Issues & Raising Exceptions

Both Issues and Exceptions are ways of recording when something went wrong during the completion of a task or job.

An Issue relates to a specific task for a customer, and is recorded at the time a bin is scanned during task completion.

An Exception can occur at any time and may need to be logged against a customer rather than a specific bin. For example, if a customer’s gates were locked and the user could not gain access to service the bins, this incident does not relate to a specific bin but rather to the customer themselves and as such would be raised as an Exception.

5.1 Recording IssuesIssues are recorded either by clicking ‘No’ in response to the prompts shown in Figure 24, or clicking the Record Issue button on the Scan success screen (Figure 30).

After clicking either of these buttons, the user will be taken to the Issue List screen, as shown below in Figure 34.

Here the user will select what type of Issue they have encountered while carrying out the task. The list shown here is taken from the Settings -> Letters -> Types / Options6 section of the Waste-DataLive PC client.

The user can also add notes if necessary by clicking the Notes button in the middle of the screen, as shown in Figure 35 on the following page.

After selecting the appropriate issue from the list and clicking the Next button on the bottom right of the screen, users will be taken to a screen which will capture an image of the Issue; making use of the PDA’s built in camera.

A picture is taken by clicking the Capture button on the bottom right of the screen.

Once a picture has been taken, users can either try taking the photo again or they can save the photo and proceed to the next step.

After completing the Issue recording, the user will be taken back to the Task List screen.

5.2 Raising ExceptionsAs an Exception may or may not relate to one specific bin id, users have the ability to raise exceptions from both the Job List and Task List screens. Clicking the ellipses in the middle of the action bar at the bottom of the screen opens the Options menu, as shown in Figure 38 below.

From this screen, users can either scan the barcode of the particular container they’re having a problem with, or they can manually enter the customer’s address by clicking the Or Enter Address button towards the bottom of the screen.

If a user scans a barcode from this screen, they will be taken straight to the Issue List screen (as seen in Figure 34).

The Or Enter Address button takes the user to the Enter Address screen, as shown in Figure 40.

The user can enter as much information as they know about the customer on this screen, including selecting the road name from the drop down list. This drop down list is populated using the address information of all the customers on the selected round.

When the user has entered all the relevant information, they click the Next button on the bottom right of the screen. This takes them to the Issue List (as seen in Figure 34).

From here the process is exactly the same as recording an Issue. The user has to select the relevant entry from the Issue List screen, capture an image of the Exception and save the photo.

Once the user has saved the photo, they will be taken back to the Scan Container Issue screen (as shown in Figure 39), where they can either record another Exception, or click the Back button to end exception recording, as shown in Figure 41.

Clicking Yes takes the user back to the Options screen (as seen in Figure 38), clicking No takes the user back to the Scan Container Issue screen (as seen in Figure 39).

6. Completing a Round

6.1 All Jobs CompletedAfter completing the final scheduled round job or allocated ad-hoc job, the user will be shown an empty Job List screen, as shown below in Figure 42.

When a user has completed all their work for the selected round, they can click the Exit button on the bottom left of the screen.

Clicking the Exit button results in the user being asked to confirm they wish to finish the round, as shown in Figure 43.

Clicking No returns the user to the empty Job List screen, clicking Yes exits the Job List screen and takes the user to the depot arrival screen, as shown in Figure 44 below.

If the user clicks the Back button, they will be prompted to say all jobs have been completed, as shown in Figure 45 on the following page.

Clicking OK here will take the user back to the Job list screen.

Alternatively, the user can click the Arrive At Depot button in the middle of the screen when they have returned to the depot after completing their round.

Clicking the Arrive at Depot button takes the user to the Weight ticket screen, as shown in Figure 46.

The user can enter information obtained from a weighbridge ticket here, which will then be available against the round record in the Waste-DataLive PC client.

After entering the relevant information into the Weight Ticket Number and NET Weight fields, the user can click the Save Weight button to proceed to the next step.

If a user does not enter any weight information on this screen, they will be prompted as shown in Figure 47 below.

After clicking the Save weight button, the user is taken to the Vehicle Check screen to complete the post work checks. This screen is exactly the same as the pre work vehicle check screen.

After completing the vehicle checks, the user can click the Next button to be shown a summary of the work they have completed, as shown in Figure 49.

Clicking the Finish Service button at the bottom of the screen takes the user back to the initial Waste-DataLive Start screen.

6.2 Jobs RemainingIf a user clicks the Back button at the bottom of the screen as in Figure 44 but they have not yet completed all their jobs, they will be shown the Incomplete Jobs screen as in Figure 51 below.

Clicking Back here would take the user back to the Job List screen so they could continue servicing customers.

Otherwise the user can select the jobs individually and click the Fail button on the bottom right of the screen.

This would indicate the job has not been completed for a specific reason, and so the user will be taken to the Issue List screen, as shown in Figure 34.

After each job has been completed or failed, they can then follow the process as all jobs completed, described in section 6.1
