A) Organization ABC Mutual fund company has a compliance department. In this department, they track
complaints against their sales agents. Their salesforce consist of insurance agents that also have FINRA
license to sale mutual funds.
The current workflow of the compliance department is outlined below.
1) A customer will call or write the compliance department complaining about the actions of a sales agent.
2) The compliance department will take down the compliant. If the complaint was made by telephone, a
written letter detailing the complaint is sent to the customer to sign and return. The signed letter is
placed in the sales agents file.
3) A letter is sent to the sales agent inquiring about the customer complaint. The salesperson will return a
written letter explaining the situation.
4) The compliance officer will make a determination in regards to the complaint. The officer will close the
complaint, further investigate the complaint, suspense the sales agent from selling mutual funds, or
reported it to the FINRA.
5) A letter will be generated by the compliance team to the sales agent and the customer to explain the
compliance officers decision.
6) To make sure the letter is sent to the correct address, the compliance staff checks the salespersons
current information on the parent company computer system.
The compliance department currently completes five complaints per day. The Compliance Officer is
interested in improve their efficiency and replying to the customer within 24 hours of their complaint. As aresult, they have proposed the Information Technology department create a system to process the
compliance issues.
B) IT Solutions considered to improve the Compliance process.
Solution 1: Create an Access application to generate the reports, store information, and extract information
from the parent company's daily report.
The advantages of using an Access database are listed as follows:
Easy access to the Access database tables
Easy creation of Access Reports and letters. The ability to send Emails through Microsoft Outlook.
Ability to use Visual Basic to set a timer and extract data to update the MS Access database tables
at a particular time. Triggers for deleting, updating and inserting records are built-in to the Access
database program. You can create a network or web-based application in Access.
Solution 2: Create a MySQL database and write the application in the Java, programming language. The
programming language will process data, reports, letters, and extract data from a parent company electronic
report.

The advantages of using a MySQL database and Java application is the ability to do the following features.
The Java programming language runs on all operating systems.
The Java programming language can be Network or Internet based.
The database can incorporate triggers and stored procedures.
Emailing, extracting data from a report are standard application requirements. Therefore, some
classes may already exist that can be the building blocks for this application.
The disadvantages of using and MySQL database and the Java programming language to create the
application is the following.
The MySQL database is a separate from the Java programming language and must be maintained
by a Database administrator.
The Java programming language must be updated by an Java software developer.
After careful consideration, the information technology tool used to track and manage compliance
issues will be the Microsoft Access database.
C) The future workflow of the compliance department will store the complaints in a database system. The system
will generate reports and letters for customers, sales agent, the compliance officer, and the FINRA, if
necessary. The compliance staff will be able to lookup sales agents complaint record and history at any time.
The system will automate the updating of the sales agents information to it system from the parent companys
electronic daily report.

E) The development of the project transpire in two phases. The first phase will include the following.
Gather system requirements about the system.
Analyze the high level design of the system
Create the design of the system.
Creation of the database tables used by the system.
Creation of the graphical user interface for the system.
The Reports and timer method to extract data from the parent companys electronic file will be perform in
phase II of the project.
