Overview CRE can now be configured to comply with the JUUL’s Retailer Access Control Standards or RACS. This user guide explains how to configure CRE settings to take advantage of this functionality.

Prerequisites You must be running CRE version 13.1017 or higher to use this feature.

You must be using one of the below recommended ID scanners:

Honeywell Xenon 1900 with Easy DL

Metrologic MS1690 Focus Scanner

Metrologic MS7580 Genesis Scanner

Code CR950 Scanner

HP 4430 2D Imaging Barcode Scanner

To enable CRE to recognize the specific ID Scanners, select the respective ‘ID Scanner’ in the Setup Screen | Hardware | Page 2 Screen and select Update.

To enable the birthday/ID Scan prompt when selling an item, check the boxes corresponding to ‘Check ID - Birthday Prompt’ and ‘Check ID - Check Expiration’ in the Setup Screen | Inventory Screen.

To invoice similar items collectively (to collapse multiple similar items into a single invoice line item), check the ‘Combine Lines’ box in the Setup Screen | Invoice Settings | Page 1 Screen and click Update.

With this setting enabled, if you sell three podpacks, each with a unique SKU, the invoice will show it as a single line item with quantity of three rather than showing three individual lines.

Note: The ‘Combine Lines’ option, whether enabled or disabled, will not interfere with the CRE’s capability to fulfill JUUL RACs requirements.

Configure Employee Permissions

You can set specific CRE permissions for ID Scan capability on an employee level. For example, you can define rules within CRE so that a cashier cannot bypass or manually enter the date of birth of a JUUL purchaser, thereby forcing the cashier to proceed through the ID Scan. At the same time, you can define rules so that a manager conducting the same sale can perform manual entry of date of birth as well as the ID Scan.

To configure employee permissions, follow the instructions below. Please note that, in the interest of simplicity, we use ‘Cashier’ as a limited-permissions employee name, and ‘Manager’ as one with override permissions.

3 Select the desired employee, go to Permissions | Page 3, and do the following:

For the ‘Override ID Scan’ dropdown, choose ‘Prompt’ when configuring permissions for Cashier, and choose ‘Override’ when configuring permissions for a Manager. This means, if the Cashier tries to override ID Scan, he/she will be prompted to ask the Manager to do the needful. The Manager will then be able to override the ID Scan.

For the ‘Manual Age Entry’’ dropdown, choose ‘Prompt’ when configuring permissions for a Cashier, and choose ‘Override’ when configuring permissions for a Manager. This means the Cashier cannot manually enter the date of birth (and hence, age) for a JUUL purchaser. If Cashier tries to enter the age manually, he/she will be prompted to ask the Manager to do the needful, thereby ensuring that the Cashier scans the ID using a scanner and does not simply enter the date of birth. Only the Manager has the permission to perform age verification by providing date of birth and expiration for the purchaser.

CRE allows employees to override quantity limit restrictions, meaning employees can override the maximum limit set on the quantity of the items purchased. In order to prevent this, in Employee Maintenance | Permissions | Page 3 Screen, set ‘Limit Qty on Invoice’ as ‘No’.

Note: You can flag transactions where date of birth is manually entered to be logged as exceptions. To do this, when ‘Manual Age Entry’ dropdown is chosen as ‘Yes’, simply check the ‘Log as Exception’ box. Exception Logging with Employee Permissions allows you to track which permissions are used or attempted, and view them in the Operational Exceptions Report.

Inventory Quantity Limit & ID Check

ID Verification can be used primarily to check for the age of the purchaser. If the minimum age to purchase JUUL is 21 years, you can configure this setting within CRE so that, while a purchaser is buying a JUUL product, his/her age will be checked by scanning an ID. There is also an option to manually enter the date of birth and expiration as a part of this process.

Inventory items can be configured so that CRE automatically prompts the cashier to check ID when adding such items to the invoice. To enable this, go to Inventory Maintenance | Optional Info | Options Screen. While adding items, tick the ‘Check ID before selling’ and ‘Check ID #2 before selling’ boxes.

Merchants can set item-specific maximum sale quantities for all standard items. CRE enforces this limit on a per-invoice basis. These limits can be defined by entering the desired maximum quantity in the ‘Limit Qty on Invoice’ box in Inventory Maintenance. These limits can be further configured based on the type of the items i.e. if it is a device or a refill (PodPack) as below:

To restrict the quantity of a JUUL Device to one (1) unit per invoice, while in the Inventory Maintenance | Optional Info | Additional Info Screen, set Limit Qty on Invoice to 1. If a cashier rings up more than the allowed quantity, CRE will display a message to that effect, with the option to Cancel.

If each JUUL Device has a different SKU, then, while adding the ‘JUUL Device’ item in Inventory Maintenance | Optional Info | Options Screen, mention all the different Alternate SKUs. If a cashier rings up a total of 1 JUUL Device using any of the Alternate SKUs, CRE will display a message to that effect, with the option to Cancel.

To restrict the quantity of PodPacks to four (4) units per invoice, while in the Inventory Maintenance | Optional Info | Additional Info Screen, set Limit Qty on Invoice to 4. If a cashier rings up more than the allowed quantity, CRE will display a message to that effect, with the option to Cancel.

Now, if each PodPack has a different SKU then while adding the ‘PodPack’ item in Inventory Maintenance | Optional Info | Options Screen, mention all the 4 different Alternate SKUs. If a cashier rings up a total of 4 PodPacks using any of the combinations of Alternate SKUs, CRE will display a message to that effect, with the option to Cancel.

Invoicing Screen

After all the above steps are done, when an item requiring ID is rung up, it will display a prompt to scan the ID in order to validate the age of the purchaser or to enter his/her age manually in the form of his Date of Birth.

Within this prompt, employees can either manually enter the birth date or can scan the license with the ID Scanner.

If the customer’s birth date is ACCEPTED, a box will be displayed:

If the maximum quantity for an item is reached - let’s say in our case more than the allowed four (4) JUUL PodPacks are rung up – a message will be displayed mentioning the same. Choosing either Cancel or Continue will prevent the purchase of items beyond their permissible sale quantities.

While invoicing, if a Cashier tries to override ID Scan or enter the age manually, he/she will see a prompt for the Manager to enter the details.

As mentioned, only the manager can override the ID Scan and enter the age manually.

ID Check Verification Reports

As previously mentioned, the Operational Exceptions Report will track transactions which were completed by using the ‘Manual Age Entry’ feature.

Additionally a special report for ID check is available named ‘Invoice Check ID Verification’ so that merchants can easily view age verification activity for sales of restricted items.

This report captures and reflects both the method of verification (scanned ID, manual entry, or other), as well as the age verification result (accepted or bypassed) along with other details like date and time when the verification was carried out, Cashier #, Invoice #, Item # and Name.
