Congratulations on becoming a Learning Connection Scholar! You are making an important contribution to your fellow students.

Training Course Requirements • All Learning Connection Scholars are required to enroll in TUTR 1A-D, Tutoring Theory and

Practice.

• Most LC Scholars are required to enroll in TUTR 2A-D, Content-Area Tutoring, in addition to TUTR 1A-D.

• In your first semester, enroll in the TUTR 2A section for your primary content area. After the first semester, you may enroll in a TUTR 2A-D that addresses another content area if approved. If you have questions about which section of TUTR 2 to enroll in, please speak to the program coordinator or LC staff.

• Regular attendance in and passing each section of TUTR 1A-D and 2A-D is required for continued employment.

• All Learning Connection Scholars must be enrolled in at least 3.0 academic units at Chabot in order to be eligible to work as a student assistant.

Before the Semester Begins • Tutors & Study Group Leaders - turn in your Learning Connection Scholar Availability form. You

must be available to work at least 5 hours per week. You may change your hours until the NGR deadline (usually the end of the second week of classes). After that time, you may change your scheduled hours only in cases of extreme hardship. (LA’s schedule with their LA instructor.)

• Learning Assistants - coordinate schedule prior to start of the semester with your LA instructor.

• If hiring paperwork is incomplete, including TB test results, or has not yet been approved by the District Office of Human Resource Services, you will not be scheduled to work.

Drop-in Hours • Drop-in Hours refer to hours that you are scheduled to work in one of the centers for a set time

each week for the semester, so that students can stop by without an appointment to get help. You may be scheduled for drop-in tutoring in Learning Connection (LC) in room 108, including the Language Center and the Writing Reading Across the Curriculum (WRAC) Center, or the STEM Center in room 3906.

• Arrive at the center in which you are assigned a few minutes before your scheduled time, beginning the third week of classes until the last day of instruction (no tutoring during finals week). If you are tardy or absent, please submit a Notice of Absence through the LC website. If you are consistently late or if you miss two drop-in shifts, you may be dropped from the program.

Policies and Procedures For Learning Connection Scholars (Tutors, Learning Assistants, & Pathway Coaches)

Learning Connection Page 2 of 5 Chabot College 2017-18

Handling Appointments • LC Scholars must be on time for every scheduled tutoring appointment and drop-in hour. If you are

running late, stuck in the parking lot, an instructor meeting has gone over, etc. we ask that you call to inform the LC Staff AS SOON AS POSSIBLE: LC 723-6920 or STEM Center 723-7679.

• When you arrive for your appointment in the Learning Connection, please greet the staff, put on your name tag, and wait in the lobby area of room 108 until your tutee checks in. This helps the staff and student distinguish you as a tutor. You are then welcome to move your session to one of the many study areas in the Learning Connection. If both you and the tutee prefer having your session outside of the LC such as in the STEM Center, you must sign the “Moving Tutor Appt.” log located at the front desk and notify the LC staff member at the desk before you leave room 108.

• LC Scholars need to be readily available for their appointment. If your tutee does not arrive within the first 5 minutes of your appointment, please notify LC Staff. If your tutee does not arrive after 15 minutes, the LC Staff will assign you to drop-in tutoring and you will be instructed to write your name on the Drop-in tutoring white board located in the main area of the LC, near the front desk. If you are a STEM tutor (ex: MTH, CHEM, BIOL), you may be assigned to go to the STEM Center for Drop-in.

• If a tutee is a no show, LC Scholars must stay for the duration of their appointment to do drop-in tutoring. In room 108, we encourage you to bring homework or other quiet study materials to work on while waiting for reassignment. You WILL be paid for the full hour even if your student is absent. Note: Due to the high demand of STEM tutors, tutors who hold drop-in the STEM Center will not be allowed to do homework. STEM drop-in tutors must be readily available at all times. For questions, please ask a STEM Center staff member.

LC Hours by Appointment • Your appointment hours are based on the hours you indicated you were available and the hours

students request to meet with a tutor. Your available hours are entered into TutorTrac, the software program we use to schedule appointments. Some tutors will also be scheduled for drop-in hours, and those hours will also be shown in TutorTrac along with your appointment slots. Your appointments are subject to change, so please be sure you check your schedule in TutorTrac each evening.

• If you will be missing any time you have listed as available, you must notify the front desk ASAP (510-723-6920) even if you do not currently have any appointments scheduled during that time.

• It is not acceptable to miss appointments because you are studying for an exam or catching up on homework. DO NOT SCHEDULE OR REARRANGE TUTORING APPOINTMENTS YOURSELF; all scheduling must be done through the front desk. Remember, your student is counting on you to be there.

• If you are consistently late or if you miss two tutoring appointments, you may be dropped from the program. Arrive at the center in which you are assigned a few minutes before your scheduled appointment time.

• If your student misses an appointment, notify the front desk. Students may be blocked from rescheduling if they have missed multiple appointments

Learning Connection Page 3 of 5 Chabot College 2017-18

• We may schedule you to work with more than one student at a time. Based on student need, we may schedule students who are working on similar materials to work together with a tutor. Let Learning Connection staff or the Learning Support Coordinator know if you need assistance with any small group tutoring sessions.

• Tutoring appointments are for 50 minutes. Do not end sessions early unless a LC staff member has said it is acceptable to do so. Also, do not let the session run over 50 minutes – you should use the last 10 minutes of the hour to complete the Tutor Report form, then use the restroom, grab a drink of water, etc.

Tutor Report Forms • For all scheduled tutoring appointments, both one-time and recurring, you are required to submit an

online Tutor Report Form at the end of the session. The Tutor Report Form can be found online, on the “Information & Forms for Current LC Scholars” webpage. Provide all information required in the tutor report, especially the instructor’s name and the class.

• Tutor Report Forms are used not only to notify instructors about the assistance you are providing to their students, they also are used by the Learning Connection to measure how active various tutoring programs are so that we can make scheduling and budget decisions.

• Tutor Report forms should be submitted within 24 hours of the tutoring appointment.

Time sheets, Time & Effort Logs, and other Communication • Communication from the LC will be done primarily through email. Be sure you check your

Zonemail email frequently for updates, reminders, and other important information.

• Learning Assistants ONLY – Time & Effort Logs: a. You are expected to turn in a Time & Effort (T&E) log each week, unless you did not

work during the week. Late T&E logs must be approved by the Coordinator, and continued submission of late T&E logs may be grounds for dismissal from program.

b. T&E logs are due at the end of each week; turn them in to the Administrative Assistant or leave them in the box outside the office (rm. 162). Incomplete T&E logs will be posted on the wall outside rm. 162 for correction and/or completion. We will make every effort to notify you and your LA instructor by email if you turn in incomplete T&E logs or your T&E log is missing, but it is your responsibility to turn in your completed T&E each week.

c. Hours claimed on gold time sheets must be supported by your weekly T&E log. Hours recorded on a time sheet that are not supported by a T&E log will result in those hours being removed from your time sheet.

d. You may not work more hours than you have been allocated per week.

Time Sheet Instructions/Information (for all LC Scholars):

• Your gold timesheet is due on the first Monday of each month (unless otherwise specified due to holidays or other calendar changes). If your time sheet is missing or incorrect/incomplete, you will be notified by email and will need to follow up with the Administrative Assistant to correct/complete your time sheets to meet payroll deadlines. Your time sheet will be considered

Learning Connection Page 4 of 5 Chabot College 2017-18

LATE and will be processed after all other time sheets have been processed, which may result in you not getting paid until the following month.

• The first time you do not submit your completed gold time sheet by the deadline, you will receive a warning. The second time you do not submit your gold time sheet by the deadline, your appointments, lab shifts, and/or LA hours may be dropped, and you may no longer be eligible to work in the program.

• LC Scholars will be paid by the Learning Connection for the scheduled hours they work/tutor. LC Scholars will be paid $11.50 an hour.

• Record the times you work on your time sheets in quarter hours. For example, if you work 1 hour and 15 minutes, record 1.25 hours on your time sheet. If you work 1 hour and thirty minutes, record 1.5 hours. If you work 1 hour and 45 minutes, record 1.75 hours. Please be sure you round to the nearest quarter hour.

• You are NOT ALLOWED to work more than 20 hours a week on campus (including ALL campus student assistant jobs). The hours you are scheduled per week are based on program need and you are not guaranteed a full 20 hour work week. If you are working for programs other than the Learning Connection, please inform the Learning Connection Administrative Assistant.

• LC Scholars who lead study groups should record 1.5 hours per study group on their time sheet: one hour to lead the study group and 30 minutes to prepare lessons/handouts.

• If you believe there is a mistake in your paycheck, bring your paycheck to Learning Connection staff. DO NOT CALL CHABOT PAYROLL.

• Employment is not automatically renewed each semester. Each semester, current scholars will compete against new candidates. Continued employment is contingent in part on timely submission of time sheets (all LCS) and T&E logs (LA’s only).

Behavioral Guidelines You were recommended by your instructor for qualities that demonstrated your potential to be a great study group leader, tutor, or Learning Assistant. The Behavioral Guidelines below will guide you in

work and help us maintain a professional atmosphere in the Learning Connection.

• Learning Connection Scholars may be assigned to any area for which they are qualified to work, based on program need.

• When you begin work, put on your name badge to identify yourself as a Learning Connection Scholar.

• You are expected to contribute to a welcoming, positive, supportive, safe, and calm environment. Whenever you are in a Learning Connection lab or center, greet students and be aware of anyone who seems as if he/she is confused or needs assistance.

• In order to cultivate a welcoming learning environment, please refrain from eating, playing music or videos out loud, or playing games in any of the centers or labs. These same rules apply to students and it lessens distractions for those studying.

• Do not turn off lights or close doors while working in any lab or center. If you move tables or chairs to accommodate your needs while tutoring, please put them back where they were when you finish.

Learning Connection Page 5 of 5 Chabot College 2017-18

• Cell phone use is prohibited during scheduled shifts in all LC labs and centers as well as during scheduled tutoring appointments

• LC Scholars should not bring their children with them when they are working in any Learning Connection lab or center.

• NEVER respond rudely to anyone or say anything negative about any person or program. Students can get frustrated, discouraged, and desperate, so be patient with them and do not take anything personally. Instead, try to address any issue calmly and productively, and call on staff or a coordinator any time you feel you need assistance.

• If students are inappropriate in their behavior toward you, stay calm with the student, but report the behavior to a staff member or a coordinator as soon as possible.

• Keep all personal information (e.g., W#’s, grades, special program enrollments, and phone numbers) confidential.

• LC Scholars should be supportive of one another. However, they should not gather for more than a minute or two when they are working, whether it is to solve a problem or just to visit. Please do not congregate around the front desk.

• You must always work with students in supervised areas. If the LC/WRAC Center is crowded, you can take your scheduled appointment to another supervised location on campus. Suitable locations are: Library or STEM Center. Be sure to sign out on the clipboard at the front desk so we know where you and your tutee(s) are.

• Do not give out personal information, such as your phone number or personal email, to the students with whom you are working.

• The Learning Connection does not discriminate against any Chabot student who wishes to schedule an appointment, as long as an appointment slot is available. Tutors may not drop students. If you are having difficulty working with a student, please see the coordinator or any Learning Connection staff member.

Please note: The Learning Connection may dismiss Learning Connection Scholars from the program at any time for violating policies.

The Learning Connection Staff, Faculty, and Administrators are dedicated to supporting you in being a Learning Connection Scholar. We are also grateful to you for your commitment. Please

ask a staff member or a coordinator if you have questions or concerns.

The skills you will gain will help you in any career, as you further develop your content knowledge base and your ability to relate to diverse people. We anticipate you will gain practice in critical

thinking, problem solving, assessment, reflection, and organization.

We look forward to a wonderful year.

Chabot College

1. Where can I find Policy/Procedure information?

Policy/Procedure information is included in the Learning Connection Scholar Handbook. The LC Scholar Handbook can be found on the Learning Connection website under the “Information and Forms for current LC Scholars” link. You can directly access the Information and Forms for current LC Scholars page on our website by using the following web url: http://www.chabotcollege.edu/learningconnection/TutorInfo.asp

2. Where and when can I pick up my pay check?

Paychecks are available for pick up outside building 200, usually after 10:30 am, on the last business day of each month (there are two windows at the front of the building where you can get your checks). Be sure to bring your I.D. There is a handout available that lists the pay periods for the current semester. You can check at the LC or STEM Center front desks or look on the Learning Connection website under the “Information and Forms for current LC Scholars” link. (see link in Question 1 above)

3. What pay period does my pay check cover?

Your pay check covers the time worked from the 16th of the month through the 15th of the following month. For instance, if your check is dated October 31st, you are being paid for the time worked from September 16th through October 15th. See the Tutor Pay Periods form for exact dates.

4. Can I advertise the tutoring services that I provide?

Absolutely! You can speak with instructors in your tutoring subject area and ask them if you can make a class visit. You may be paid 0.5 hours for each class visit; speak with LC staff for more information and the Class Visit form.

5. What should I do if my tutee doesn’t arrive for his or her appointment?

You are required to wait 15 minutes for your student to arrive. If your student hasn’t arrived after 5 minutes, notify the front desk so they can call your student. If your student still hasn’t arrived in the next 10 minutes, let the front desk staff know so they can direct you to the appropriate location to work the rest of the hour as a drop-in tutor.

We encourage you to bring homework, reading, or other quiet study materials to work on while waiting.

6. What Should I do if my tutee doesn’t have anything to work on or go over?

Remind them of the following: • If they don’t have a current assignment to work on, they should bring past tests, homework, or papers

as well as their book • If they come unprepared again, their recurring appointment may be dropped • If they don’t need a recurring appointment, they can drop their appointment and schedule one-time

appointments instead. Recurring appointments are for students who have something to work on each week.

Make sure to notify the front desk if they come unprepared again.

TUTR 2A/B/C/D – Content Area Tutor Training

Most LC Scholars are also required to enroll in a section of TUTR 2 based on the area for which they were recommended. TUTR 2A is for first semester LC Scholars;

TUTR 2B is for second semester LC Scholars; TUTR 2C is for third semester LC Scholars;

TUTR 2D is for fourth semester LC Scholars.

FAQ’S: Frequently Asked ENROLLMENT Questions • Does it matter what section of TUTR 2 I take? YES! Sections are specific to a particular subject area. Someone

who is a Math tutor wouldn’t receive the training she or he needs in the English or Chemistry section of TUTR 2. Be sure you enroll in the section of TUTR 2 for the area in which you will be tutoring.

• Does it matter which level (A, B, C, or D) I take? Yes – each level is a pre-requisite for the subsequent level. You won’t be able to enroll in TUTR 2B unless you have successfully passed TUTR 2A in a prior semester. You cannot repeat a level either – if you have already passed TUTR 2A (in any subject area), you won’t be able to register for TUTR 2A again. Instead, enroll in TUTR 2B.

• My section of TUTR conflicts with another class I am taking. What should I do? Come speak with LC staff as soon as possible. For short overlaps (15 minutes or less), we can often provide you with an Overlap Card you will take to A&R so you can register for the class.

• I tried to enroll, but ClassWeb says the section is full. Does that mean I don’t need to take the class? No – add yourself to the waitlist on ClassWeb, and on the first day of class your TUTR instructor will provide you with an Add #. If the waitlist is full, go to class on the first day and get an Add # from the instructor.

• I haven’t been able to enroll in my TUTR class yet; should I still go to the class? Yes! You must attend all sessions of both TUTR 1 and TUTR 2, even if you are not yet enrolled.

• I haven’t finished my hiring paperwork yet or I haven’t been approved by HR to start working yet; do I still need to go to TUTR 1 and/or TUTR 2? Yes! You must attend all sessions or both TUTR 1 and TUTR 2.

If you have any other problems or questions about enrolling in either TUTR 1 or TUTR 2, please come speak with the LC staff. We are happy to help with Overlap Cards, Add #’s, or anything else

LCS Pay Periods Spring 2018

TIME SHEET EXAMPLES This TIME SHEET is an example for the pay period covering OCTOBER 16th through NOVEMBER 15th.

Staff have pre-filled all the information that DOES NOT CHANGE: the DATES the time sheet covers, the DIVISION/AREA, and the DAYS OF THE WEEK for this particular pay period.

Here’s what you need to fill in: your NAME, your W#, the # OF UNITS you are taking at Chabot, your SIGNATURE and DATE and last but not least, the # OF HOURS YOU WORKED TOTAL FOR EACH DAY.

Write your NAME here…

Write the # of units you are taking here

Be sure you SIGN and DATE before

turning in!

Write in the total # of hours you

worked for each date.

…and your W# here.

And here’s an example of a COMPLETED time sheet for the same pay period, for comparison:

If you ever have any questions about how to fill out your time sheet, please come ask any LC staff member – we are more than happy to answer your questions and help you!

Remember the pay period covers the 16th of the first month through the 15th of the following month. Even though this time sheet gets turned in on 11/02 (before the pay period ends), staff will fill in your

hours through the 15th so that your paycheck covers all your hours.

If you see a date with “-----“ in the box

where your hours go, it’s a date that campus is closed and there is

no work.

Don’t change the DIVISION/AREA!

If you don’t work on a date, just leave the box

BLANK.

This line needs to be signed by the

Learning Connection’s

administrator; please don’t have anyone sign here – we’ll take care

of that!

TUTR 1 class for the Subject and “Tutor Work login” for the Reason, then mark the “I accept” box and click “Continue”

• If this is your first drop-in shift, be sure to introduce yourself to the STEM Center staff. • Put on your shirt or grab a vest from the center desk and put your name tag on in a visible

location. Name tags will be located in the drawer labeled “Tutor Name Tags” in the center desk area.

• You may leave your backpack in cabinet 6 on the wall. Ask someone at the front desk to unlock the cabinet for you. Do not leave your backpack on the center desk.

• Check the clipboards with your designated subject at the front desk to see if any students have signed up to see a tutor. Go down the list in the order in which students have signed up. The list should have the name of the student, the time they signed up, and where they are sitting. Limit your time with each student to 15 minutes max. If they need more time, let them know they may sign up again, but they may have to wait for the next tutor to become available.

• If no one has signed up on the clipboard, then walk around the room and ask students if they need help.

• If any questions arise that you cannot answer, refer the student to the staff or instructor present. • If a student reports that their hours were not properly recorded or they report a computer

problem, refer them to the STEM Center staff. • Don’t forget to return your vest to the front desk at the end of your shift, and be sure to sign out

at the end of your shift.

Drop-in Tutoring STEM Center

As a Learning Connection Scholar for the STEM Center, you are required to wear a vest during the hours you are scheduled for drop-in tutoring in Room 3906. This is so students can easily identify you when you are working.

By my signature below, I agree to have read, understood, and accept the following statements.

I will check-out a vest from the center cubicle in the STEM Center at the start of every shift.

I will wear the vest at all times while I am scheduled for drop-in tutoring. I will not take the vest with me to class or anywhere outside of Room 3906—it is my

responsibility to promptly return the vest at the end of my shift. I bear the responsibility of returning the vest in the same condition as originally checked-

out. I assume all responsibility for any damage, loss, or theft of the vest while it is in my

possession All costs associated with the loss, cleaning, theft, or damage of the vest while on loan to

me will be my sole obligation. Any unpaid balances may cause a hold to be placed on my student account until all

balances are paid. By not complying with the above statements I understand that my employment with the

Learning Connection may be terminated.

Thank you for your interest in scheduling a tutoring appointment! The Learning Connection (LC) offers two different types of tutoring appointments, one-time and weekly/recurring. Both types of appointments can be scheduled online in our TutorTrac system, but you are always welcome to come into the center for assistance with scheduling your appointment.

• General information about tutoring appointments Scheduled tutoring appointments will begin the third week of the semester.

Appointments can be scheduled two to fourteen days in advance

You can also cancel your appointment online in TutorTrac; appointments must be canceled at least 24 hours before.

Appointments are 50 minutes long, and you can schedule one appointment per class per week

Your appointment may be re-scheduled into a small group appointment based on tutor availability. The LC cannot guarantee individual tutoring appointments due to the limited number of tutors available. Group appointments are only scheduled for students in the same class with the same instructor, with a max. of 3 students in the group appointment.

Hours of Operation: Monday through Thursday: 9:00 AM – 8:00 PM Friday: 9:00 AM – 2:00 PM

Welcome to the Learning Connection!

Before the session, do as much of the reading and the homework as possible. Come prepared with questions.

If you have not had time to read and try the homework, bring your text and the assignment to the tutoring session. Bring class notes as well.

With the tutor, set a goal for the tutoring session. Sample goals might be:

• Review the assignment • Make sure you know how to break down problems • Start the homework (on your own) so you can ask the tutor specific questions and complete the

homework on your own • Review for a quiz or test • Look over a quiz or test you have had returned to you • Figure out a difficult reading passage • Discuss ideas for an essay

Work for 40 minutes accomplishing the goal you and the tutor have set for the session.

Review the session.

Make plans for the next session and what you might do to prepare.

REMEMBER!

• Tutors are not allowed to do your work for you. But they CAN help you understand and apply the material so you can learn how to do the work yourself. For example, English tutors are not allowed to proofread your papers for you, but they CAN show you how to proofread.

• See your instructor when you need help that the tutor isn’t able to provide.

• If you scheduled a recurring tutoring appointment, your tutor expects to meet with you ever week. Please take note of the following:

o Recurring appointments are for students who have something to work on each week. If you don’t have a current assignment to work on, you should bring past tests, homework, or papers as well as your book OR cancel the appointment AT LEAST 24 hours before.

o If you come unprepared, your recurring appointment may be dropped.

o If you don’t need a recurring appointment, you can drop your recurring appointment and schedule one-time appointments instead.

o The Learning Connection cannot guarantee individual tutoring appointments due to the limited number of tutors available. Therefore, your individual tutoring appointment may become a group appointment based on tutor availability. Only students who are enrolled in the same course with the same instructor may be scheduled in group appointments.

All tutors are peer tutors; they are students, just like you.
