    Kaizen Net

    OBJECTIVES

    1. Encourage Units to adopt environment of problem solving and continuous improvements

    2. Provide a platform to Units to show case their efforts on continuous improvements journey

    3. Create a environment of share and learn by creating a sharable knowledge base of innovative ideas in continuous improvements for increasing potential for horizontal deployment or replication in other Units

    4. Acknowledge the best efforts in continuous improvements

    PROCEDURE

    Participation procedure is simple and is completed on www.opexworks.com

    1. Your account on Kaizen Net is already created and your User Id and Password is already mailed to you.

    2. Log on to www.opexworks.com and click the link for Kaizen Net

    3. Enter your user id and password

    4. You can submit any number of Kaizen

    5. Organization will scrutinise submitted Kaizen and then accept them for competition

    6. All accepted kaizen will be evaluated by Organization based on following criteria

    a. Tangible and intangible benefits

    b. Improvement achieved

    c. Originality of thinking

    d. Longevity of benefits

    e. Efforts put in

    KAIZEN SUBMISSION

    Help document on how on the entire kaizen submission procedure is made available on Kaizen Net.

    KAIZEN EVALUATION

    Team experts from organization will evaluate the Kaizen as explained above. Units can view the evaluation and points awarded to their Kaizen on Kaizen net.

    SHARABLE KNOWLDGE BASE

    Kaizen submitted by Units will be available for review and discussion to the users of all Units. Kaizen can be viewed, studied and adopted if feasible.

    Accessing Kaizen Net Accessing kaizen Net is simple. Just log on to www.opexworks.com. On web page displayed, you will see the Kaizen net logo on the right side. Click on the logo to access home page of the kaizen Net program.

    The Home page of Kaizen Net as displayed in the next picture will explain details about Kaizen Net platform.

    Participation on the Kaizen Net is through one of your customers. When a Kaizen Net is implemented any large organization for their Units, you will receive a mail from them, that mail will provide you your log in credentials of User ID and Password.

    If you are already on Kaizen Net which means one of your customers have given you an e mail with user id and password then again click on the Kaizen Net Logo.

    After a click on logo will display a log in page. Enter User Name and Password in edit boxes provided on window.

    USER NAME : Enter the login id provided to you

    PASSWORD : Enter the password provided to you

    Click on ' Login ' button to start software. If login name and password entered are correct then Main option window is displayed on screen as shown in the next picture.

    Click Here if you have been given log in information.

    Getting Started - General User

    If the user ID and password are accepted then main option screen will be displayed as below.

    The options available on the menu and there functions are described here. The menu options are..

    1. Home

    2. Kaizen

    Kaizen Bank

    Kaizen Registration

    Kaizen Evaluation

    A click on the Home main menu option will display the home page of the Kaizen Net as seen above.

    On the Left hand side bar are the option for quick access to Kaizen Bank or the knowledge base of Kaizen submitted by all participant. Kaizen can be searched on Unit Name, Kaizen Type and Loss Type. Select the required options from the lists displayed and then click on the List button to display the kaizen.

    On the Right hand side bar are the information uploaded by the organization in form of News, Alerts and any documents uploaded for downloading by Units. The use of these options is self explanatory. Click on appropriate options.

    The operation of the menu options of Kaizen Bank, Kaizen registration and kaizen evaluation are explained next this document.

    Kaizen Bank

    The purpose of the Kaizen net is to make available a platform for large manufacturing organization and their Unit to collaborate and scale higher. With this objective of Kaizen Net kaizen submitted by Units are available for view by other Units.

    Kaizen Idea Sheet

    In order to view the Kaizen in the bank, just select the required kaizen by a click on the small select icon provided in the right most column. The selected kaizen will be highlighted with a yellow background. Then click on the "Kaizen Idea Sheet" button on the top. This will display Kaizen idea sheet for the selected Kaizen.

    Select

    To filter the Kaizen from the big list, a SELECT button is provided, Click on select button to display Kaizen submitted by any one Unit or Kaizen of one kaizen type or Kaizen relating to one loss type or combination these three parameters of Unit, Kaizen Type and Loss type.

    ALL

    After a filtered list of Kaizen is viewed and if you wish to display again the kaizen submitted by all Units, then click on the All button.

    Click on this icon in required row to select a kaizen.

    Kaizen Registration

    Select kaizen registration option of main menu to submit a new Kaizen or make modifications to submitted Kaizen. Modification in the submitted kaizen can be made till they kaizen is not accepted by the organization. Once the kaizen is accepted, then modifications cannot be made.

    Click on the "Kaizen Registration" option of the main menu which will display all kaizen submitted by you.

    New Kaizen Submission

    Click on the Register button which will display a window to enter basic information on kaizen. All other information will be entered in the edit data option which can be done only after Kaizen is registered.

    Enter this basic information about kaizen and click on SAVE button.

    Kaizen Idea Edit

    After the kaizen is registered other information of the Kaizen is entered using EDIT Data option on the Kaizen registration page.

    Data for the kaizen is entered for various steps in kaizen implementation

    1. General - detailed information on Kaizen

    2. Present Status

    3. Why why analysis

    4. Kaizen Idea

    5. Countermeasure and improvement

    6. Results - Before and after status

    7. Benefits in PQCDSM area

    8. Horizontal deployment or replication

    9. Sustenance Actions

    On the GENERAL tab basic information relating to kaizen is entered. All information items are self explainatory. Enter the required information in the text boxes provided or select from the list boxes where ever provided and click on SAVE button.

    PRESENT STATUS

    On the present status information on the status of problem before the improvement is entered. Text information upto 150 characters can be entered. Image depicting

    the problem can also be attached as per the specifications provided.

    The image will be visible only after the SAVE button is clicked.

    Why Why analysis

    Root cause analysis of the problem situation is done here. Enter the data for the number why's asked in order to arrive at the final action and click on the save

    button.

    Kaizen Idea

    Enter here the kaizen idea decided for implementation and elimination of problem situation. Click on SAVE to store data.

    AFTER STATUS

    On the after status tab information on the status of problem before the

    improvement is entered. Text information upto 150 characters can be entered. Image depicting the status after implementation of kaizen can also be attached as

    per the specifications provided.

    The image will be visible only after the SAVE button is clicked.

    RESULT

    On the RESULT tab, results acheived by implementing the kaizen are entered in text form. Text information upto 150 characters can be entered. Image depicting

    the status before and after implementation of kaizen can also be attached as per the specifications provided.

    The image will be visible only after the SAVE button is clicked.

    BENEFITS

    Enter here the benifits obtained in Productivity, Quality, Cost, Delivery, Safety and Morale. Click on Add New Benefit and enter required information in each column.

    The columns include ..

    1. Result Area Select from the drop down menu. 2. Description Enter the description 3. Unit Select from Rs or Nos as unit of measurement. 4. Expected Benefits Benefits expected fron Kaizen implementation 5. Actual Benefits Actual Benefits acheived from Kaizen implementation 6. Period in months Number of months in which the actual benefits were acheived

    After entering the data click on the SAVE button to store the data. For editing the existing data, select the icon in the rightmost column on the required row, modify the required information and then click on SAVE. For deleting a row, select the red cross mark on the rightmost column and confirm delete.

    HORIZONTAL DEPLYMENT OR REPLICATION

    The potential for deployment of this improvement in other areas is entered here.

    The columns include ..

    1. Department 2. Cell 3. Equipment 4. Target Date 5. Status 6. Responsibility

    After entering the data click on the SAVE button to store the data. For editing the existing data, select the icon in the rightmost column on the required row, modify the required information and then click on SAVE. For deleting a row, select the red cross mark on the rightmost column and confirm delete.

    SUSTENANCE ACTION

    The actions to sustain the kaizen are entered here, The information is given as What to do Action details When to do When to carry out the sustenance action Frequency Period between to repeatation of sustenance action.

    After entering the data click on the SAVE button to store the data.

    KAIZEN IDEA SHEET.

    Finally all data entered is displayed on one sheet - kaizen Idea Sheet.

    On any screen, where ever a kaizen Idea sheet button is provided, Select a kaizen and Click

    on the Kaizen Idea Sheet to view the kaizen.

    Kaizen Evaluation

    All Kaizen submitted by you and accepted for competition will be scrutinized by administrator from Organization for achievements in many categories and based on the achievements the points will be allotted.

    Units can only view the evaluation of the kaizen submitted by them to understand the points awarded.. Select the required kaizen and then click on the evaluation button.

    Kaizen Acceptance

    All Kaizen submitted by Units need to accepted by you for competition. All Kaizen have three stages

    1. Registered When the kaizen is entered by the Unit

    2. Accepted When the Kaizen is accepted by you for competition

    3. Evaluated When kaizen is evaluated for awarding kaizen points and ranking

    The data in the table will display all registered Kaizen. To select a Kaizen for acceptance click on the image of the left most column as explained in kaizen bank and then click on "Acceptance" button. A tab control form will be displayed. Tabs for Registration will display information provided at registration for reference. Click on the Acceptance tab for providing information relating to Acceptance. Kaizen acceptance option is available to all Internal users with any role. At the acceptance stage you can modify Kaizen type and Loss type with most appropriate one as suitable to Kaizen in case the Unit was not able to properly indicate the same.

    If the kaizen is accepted for competition, then set the accepted flag to Yes and enter a review note if any. Click on Save. If the kaizen is not accepted for competition then set the accepted flag to No. You may select the appropriate reason for non acceptance and enter a review note and then click on save button.

    Kaizen Evaluation

    All Kaizen submitted by Units and accepted by you for competition are available to evaluation.

    The data in the table will display all Accepted Kaizen. To select a Kaizen for Evaluation click on the image of the left most column as explained in kaizen bank and then click on "Evaluation" button. A tab control form will be displayed. Tabs for Registration and acceptance will display information provided at registration and acceptance for reference. Click on the Evaluation tab for providing information relating to evaluation. Kaizen acceptance option is available to all Internal users with "Evaluator" role. For other internal users with General and Administrator role this data is available for view in read only mode.

    When the Kaizen is accepted, the evaluation parameters as defined in master option are added for the Kaizen. At the evaluation phase, the evaluator need to select the most appropriate achievement in each of these categories, Kaizen points for the selected achievement will be retrieved from Master data.

    To evaluate a kaizen in a required category, select the category row by a click on the image in the right most column. The will make the selected row available in the read only mode. A Disk and Cross icons will be displayed in the right most column and evaluation parameter can be selected using the list displayed.

    Based on the selected Kaizen point for the selected achievement for the selected category will be retrieved from master.

    Click on the disk icon in the right most column to save the selection and kaizen points. In case you wish to cancel your selection, then click on the cross pencil icon.

    Sum of Kaizen points earned in all categories is displayed in the top row as total kaizen points.

    After the achievements in each category are evaluated, click evaluated check box on the top sear SAVE button for setting the Kaizen flag as Evaluated. Then click on the SAVE button to set the flag.

    Reports There are five reports provided in the Kaizen Net as explained as below.

    1. Unit wise

    This report displays the list of Kaizen submitted by Units arranged in the order of Kaizen points

    earned in descending order.

    This report can be obtained for a single Unit or for all Units.

    2. Kaizen Type Wise

    This report displays the list of Kaizen submitted by Units arranged in the order of Kaizen points earned in descending order. This report can be obtained for a single Unit or for all Kaizen Types.

    3. Loss Type Wise

    This report displays the list of Kaizen submitted by Units arranged in the order of Kaizen points earned in descending order. This report can be obtained for a single Unit or for all Loss Types.

    4. Pending for Acceptance

    Displays all registered Kaizen which are not yet accepted.

    5. Pending for Evaluation

    Displays all accepted Kaizen which are not yet Evaluated.
