Leave of Absence from the SchoolDue to Compulsory Military Service

If you cannot attend classes, including tests, for a period of 2 months or longer due to thecompulsory military service, you may be allowed to take a Leave of Absence by obtaining theapproval of the Dean, according to the given procedure for application.

(1) Absence periodAs a rule, you may take a Leave of Absence for 2 years. However, you may extend the perioduntil the military service is completed (you must return to SILS from the following semester, as soonas you complete the military service).* You cannot take absence for more than 4 years in total.* The period for which you have been absent is not included in the number of years for which you

have studied at the School. However, your enrolled year is counted as usual.

(2) Application deadlinePlease submit the required documents as soon as you know the date of military service. Thefinal deadline is mentioned below. Late application is not acceptable for any reasons.

*If the deadline is on office holiday, the deadline will be the last business day before thedeadline.

(3) Application documents Application for Leave of Absence (prescribed application form) A certificate of acknowledgement for military enrolment in English

ExaminationYour application will be examined by SILS to determine whether to allow your Leave ofAbsence. Documents submitted with your application will be examined (You may beinterviewed if necessary). Dean will send your guarantor documents to notify him of theresult of the examination. If you have not yet been notified of the result of your applicationfor Leave of Absence two month after application, contact the SILS office.

(4) School expenses during absenceYou are not charged any school expenses during the absent period. However, the payment amountvaries according to the date you apply for a Leave of Absence as follows;

*1 When school expenses for the semester have already been paidThe extra amount will be refunded to your bank account about 2-3 months after the approval

notification by SILS.*2 When school expenses for the semester have not been paid

If you do not apply at least a month before each semester’s automatic transfer date, the full amountwill be transferred and then the extra amount will be refund to your bank account about 2-3 monthsafter the approval notification by SILS. In order to stop this automatic transfer from happening, werecommend you to stop the transfer by yourself at your bank beforehand.

The first school expense payment, which you have already paid before entrance, is not refundableirrespective of the above mentioned application timing.

Students who entered year 2010 or later:If you take absence from 3rd semester, the basic education enhancement fees will be charged whenyou come back to SILS.(Example)A Korean student entered SILS in April 2010. He decides to go to military service from September2011, and comes back to SILS in September 2013. The basic education enhancement fees (whichhe supposes to pay in his 3rd semester) will be charged when he comes back in September 2011.

(5) Regarding your Status of Residence “Student” during leave of absenceRegarding your leave of absence from this university, if you are staying in Japan under a status ofresidence “student”, this will be revoked regardless of its original validity period. (Refer to: ChapterIV, Section 2, Article 22, Paragraph 4-6 of the Immigration Control and Refugee Recognition Act)

Therefore, you will not be able to continue staying in Japan or working at your part time job. It iscrucial that you immediately make arrangements to change your status of residence “student” orleave the country, and we ask that you take extra care in this matter.

To ensure that you do not end up as an illegal immigrant or illegal worker, we strongly advise thatyou avoid making solo decisions on any matters that you are unsure of. Please consult the Center forInternational Education or the Immigration Bureau of the Ministry of Justice for advice.

(6) Scholarships during your absenceYou cannot receive scholarships during your absence. If you are receiving a scholarship, please goto the Scholarships and Financial Assistance Section to inform them of the change of your status anddo the necessary procedures. Please bring your student ID and seal (or sign) with you.

●Japan Student Services Organization (Study Encouragement Grant): You should stop the grant while you take your Leave of Absence. Please contact the SILS office.

●Scholarships offered by Waseda University: You need to return the grant for the period of absence.

●Scholarships from private organizations: Please ask the Scholarships and Financial Assistance Section in advance whether any procedure is necessary.

●Tuition Waiver: If you take Leave of Absence from the fall semester after you were granted the tuition waiver, it will be cancelled.

(7) Procedure for Returning to the SchoolWhen you return after a Leave of Absence, please contact the SILS office at<sils-ac@list.waseda.jp> and send us necessary documents regarding both “returning toschool” and VISA related application by the following deadline. Those documents will bedelivered to you by return e-mail.

Fall semester (September 21) May 31

* If the deadline is on office holiday, the deadline will be the last business day before the deadline.* If it appears that you have not met the conditions agreed upon through the Leave of Absence

application procedures, the Leave of Absence may be cancelled retroactively.* When you return, your academic year is increased as usual. Register for courses that you would have

taken in the previous semester.
