1 Scope
This document defines the formal and programmatic organization of the LINC-NIRVANA
Instrument Preliminary Acceptance Europe (LN Instrument PAE), comprising its course of
events and logistics. The goal of the review is to demonstrate readiness for shipment of the items
under review.

4 Introduction
The aim of the Preliminary Acceptance Europe (PAE) is to review and demonstrate compliance
with LBT interfaces, safety and basic functionality, for details see the next section. The goal is to
conduct this review in May 2015, to ship the instrument in fall 2015 followed by a phase of re-
integration and re-alignment in the mountain lab, subsequent installation of the instrument at the
telescope platform and finally on-sky commissioning by the end of 2016.
Notes:
At LBT, the already installed LN Pathfinder will be dismounted from the telescope and
included into the rest of the instrument before reinstallation at the rear bent Gregorian
focal stations, see Figure 1.
The general collaborative aspects of the LN project between LBTO and the LN team are
summarized in the corresponding Memorandum of Understanding, see AD 2.

5 Objectives of the Review
The objective of the LN Instrument PAE is to demonstrate readiness for shipment to the LBT.
According to the LBTO, such a pre-ship review for a standard PI / strategic instrument shall
verify the following areas:
All relevant interfaces (mechanical, electrical/electronic, thermal, optical, software and
services) between LN Instrument and the LBT.
Safety aspects (handling, electrical, mechanical).
Completeness of the instrument in its current “Lean MCAO” implementation version
including the verification of the instrument’s basic functionality.
Installation/alignment and commissioning plan (including a detailed integration and
verification procedure for the mountain lab activities, the craning/installation procedure
for the instrument platform activities, the on-sky commissioning and the overall
schedule/time allocation for the involved teams, other resources, required LBTO support,
etc.).
All these aspects should be addressed in a dedicated documentation package, which will be
distributed prior to the review meeting. In addition, the hardware will be demonstrated (in
operation) during the PAE meeting at MPIA.
Furthermore, the review committee will verify the interfaces described in the ICD. In particular,
the review committee will verify:
For the Instrument (on-telescope)
1. Instrument envelope (this will be very time consuming if performed during the meeting)
2. Mechanical interfaces (bolt pattern, visual inspection for potential interference issues)
3. Mass and CG (as deduced from the model)
4. Coolant interfaces (flow requirements and coolant temperature rise, delta pressure)
5. Coolant leak and burst pressure tests (100psi pressure, ≈ 7bar)
6. Surface temperature tests under nominal load
7. Power interface (mechanical/connectors and electrical)
8. Data interface (see Doug Summers questionnaire on this)
9. Procedures (particularly handling, re-integration and daytime testing procedures that
impact daily telescope operations)
10. Handling equipment
For the Stirling Cooler (level-4)
11. Envelope
12. Mechanical interfaces
13. Cooling interfaces
14. Power interfaces
Computer Room (level-2)
15. Mechanical / envelope (rack space needs)
16. Power / data interfaces
17. Thermal (front-back cooling flow)
The above falls under the categories of "do no harm to the telescope" and "we don't want any
surprises".

To make the meeting effective, MPIA will address the most time consuming of those interface
verifications (envelope, power consumption, surface temperature, pressure test) in dedicated
tests prior to the review meeting. The results will be compiled in an extra technical note and
distributed in the week before the meeting.

6 Review Panel
The review will be chaired by Al Conrad, who is LBTO’s point of contact for LN. Together with
him, six review team members (tentatively: Christian Veillet, Dave Ashby + 2 engineers, Doug
Summers (software), and a science operations representative) will join the review process and
attend the PAE meeting at MPIA to cover all relevant fields of expertise. Additional technical
experts from LBTO might participate in the documentation review prior to the meeting and
might be present by video/telecon during the meeting.
6.1 Roles and Responsibilities for the PAE
The LN consortium will:
Complete the LN Instrument hardware and software prior to PAE as far as required by
the “Lean MCAO” mode.
Deliver the complete documentation package as defined in chapter 8 by the agreed date,
see Figure 2.
Provide initial answers to review comments by the agreed date, see Figure 2.
Organize the PAE meeting and provide the required logistics at MPIA.
Respond to the agreed actions within the agreed due dates, see Figure 2.
Provide a regular status report to the review chair for any late actions.
Track and maintain this organization note throughout the whole review process in
conjunction with the chair (actionee: PCM).
The review chair will:
Ensure that the overall review process is executed according to this organization note.
Provide initial comments on the delivered documentation package prior to the review
meeting.
Compile PAE minutes including the comments/actions from the documentation review as
well as additional findings from the PAE meeting.
Track that actions are closed in accordance with the LN Instrument schedule.
Have the final say in deciding, if an action can be considered closed.
Decides after consultation with the review team, that the LN Instrument is ready for
shipment to the LBT.
The review team will:
Review the documentation package and the related design aspects.
Raise comments as appropriate and provide them to the review chair.
Review responses to comments.
Support the review chair in the disposition of the responses, negotiating actions and due
dates.
Support the review chair in preparing the PAE minutes.

7 Review Format
The documentation package (for details see chapter 8) will be prepared by the LN consortium
and distributed to the review chair via the LN TRAC system. The completed documentation
package for the review should be available to the chair a minimum of 4 weeks before the review
meeting.
The review meeting will last two days (+ two additional days for training on and familiarization
with the instrument) and require that the review team has read the relevant documentation and
provided comments prior to the review. The review will be conducted as a series of detailed
technical discussions between the review chair + team and the LN consortium on the given
comments against the documentation package. The meeting will include an introductory
summary presentation given by the LN team. In addition the LN Instrument will be operated
during the review meeting to demonstrate basic functionality.
Review minutes including all provided comments, additional findings from the review meeting
and the derived action items will be generated by the chair and made available within one week
after the meeting.
Documentation standards and the link to the related templates can be found in AD 1. Where no
standard or template is defined, the respective author should prepare individual documents.
7.1 Schedule for the Review
The overall review process is scheduled as given in Figure 2 (assuming T0 = 04 May 2015). We
anticipate shipment for fall 2015 with a current arrival estimate on 16 November 2015.

7.2 Review Meeting Logistics
The date for the review meeting is 04-05 May 2015 (two complete days), plus two additional
days comprising training on and familiarization with the instrument.
The location is the LN PI institute, i.e. MPIA, Heidelberg, Germany.
The review panel will be represented by Al Conrad (chair), TBD.
The LN consortium will be represented by the LN core team (Tom Herbst, Martin Kürster, Peter
Bizenberger, Thomas Bertram, Florian Briegel, Ralph Hofferbert). If required, further technical
experts from the MPIA LN team (Ralf-Rainer Rohloff, Harald Baumeister, Lars Mohr, Werner
Laun, etc.) will be invited to the meeting.
The proposed review meeting agenda comprises:
LN instrument presentations ~ 1 hour.
Technical discussion on comments against documentation package ~ 4+4 hours
(afternoon of first day, morning of second day).
Demonstration of the LN Instrument in operation, check of basic functionality and
interfaces ~ 2 hours.
Discussion: Shipment, re-installation and commissioning ~ 1.5 hours.
Review team’s preliminary summary ~ 1 hour.

8 Review Datapack Contents Summary
A data package (documents + online web-pages) will be prepared by the LN consortium and
