CREATING A PARTS ORDER

Click on DC202 Order Entry

The screen will default to the order type. Default is S, Stock Order. If you require a VOR, change to V, click on Create Order.

The top of the screen shows the dealer details and order type. The cursor will default to the order number box, type in the order number (eight characters only) and click

If the part number and quantity are acceptable, you will see that line appear in the box at the bottom of the screen. If not you should see one of the following.

If the part is only sold in a pack size, the quantity field will change to the pack size and you will be asked to "confirm pack size change," click the line will appear in the bottom box. If the item number is not on our system you will get a box up with the message "Item master record not found for this item." In this case, click the OK in that box. Check you have typed the correct number and re key if in error. If the part number is what you require and not accepted, ring the Lotus After Sales office. If the part is not on general sale you will get a message "Item is not for sale or currently in stocktake. Please recheck later." Click the OK in that box, carry on with the rest of the order. Check that the part is not on the special order list's, if not, ring the Lotus After Sales office quoting the part number. If the part is out of stock, you will get a message "Please confirm backorder …B/L/E" If you want the part to remain on backorder, just click If you don't want the part left on backorder, the box on the right of the screen with L T above it will have a B in it and the cursor will be flashing. Over type the B with a C, click and the cursor will default back to the item number box.

If you need to use multiple order numbers, eg: Customers name, registration/chassis number etc, it is possible to do without creating a new order. Every time you need to enter a new order number, after inputting the item number and quantity, tab to the "Customer order number for line" box and type in new order number (eight characters only). Each line keyed from there onwards will carry that order number until it is changed again. When the order is completed, make a note of the Despatch note number D ******* shown in the top section of the screen. This is the Lotus system order reference which needs to be quoted when ringing the parts centre. It is also the number shown in the first column of your delivery note under the heading of Sales ord no. Then click on EXIT in the top left hand corner of the screen.

This will take you to the order confirmation screen. Depending on the order type affects the options listed. IF IT IS A STOCK ORDER, YOU SHOULD CLICK ON OPTION 5. IF IT IS A VOR, YOU SHOULD CLICK ON OPTION 1.

OPTION 1, VOR

Before selecting option 1, ask yourself if this is the correct part(s) you require. Please remember, VOR orders are at reduced discount. If you don't require these parts, click option 2, cancel (see next page) otherwise, click on OPTION 1. This sends the order direct to the Lotus Parts Centre Warehouse. This order cannot be amended or cancelled. The reason for this is we need to allocate necessary staff to ensure orders are picked and despatched the same day. As the system is live we can control the workforce if we see an abnormal quantity of VOR orders.

OPTION 5, STOCK ORDERS Option 5 will allocate and reserve stock for you until the computer system releases it to the warehouse for picking. This will be at 7.00PM on your submission day. Up to this time, the order can be added to, amended or even cancelled, either by line or entire order. By selecting option DC202, this time click on Select Order and all open orders will be listed by system order number. Click on the D number required which will take you to the order number screen. Then just click and this will take you to the item number order screen. If you want to add, just carry on as before, (remembering to change the order number if required) If you need to amend a quantity, in the box before the item number, shown with a heading of SEQ. Key in the line number you need to amend (if you cannot see the line number in the lower box, use the up / down arrows to scroll to the line you want is shown) Once the line number is entered, this will bring the detail of that line to the order line level. Then click in the quantity box and amend to required quantity. Click You will notice that this cancels the line selected and inputs a fresh line at the end. Continue to do this for every line that needs a quantity amending.

If you now no longer want an individual part(s) that is on the order, follow the same procedure as to amend, but once the item number line detail is shown, in the box on the right shown with an L T above it, change that letter (either N or B) to a C, click Continue to do this till all individual lines have been cancelled. Once any or all of the above amendments have been finished, click EXIT and click OPTION 5 On the order confirmation screen there are up to two further options, dependant on order type.

OPTION 2 CANCEL THIS ORDER (Stock and VOR) OPTION 8 REPRICE ORDER FOR SALES TYPE (Stock only) OPTION 2, CANCEL For STOCK orders, if at any time before the end of your order submission day you decide the ENTIRE order needs to be cancelled, follow the sequence for amend orders but carry straight onto the order confirmation screen and click on OPTION 2. THIS WILL CANCEL THE ENTIRE ORDER. For VOR orders, this is the ONLY time the order can be CANCELLED. Once option 1 has been taken it is too late to cancel. OPTION 8, Reprice If you have raised a stock order which should have been a VOR or you now decide you need the part(s) urgently. In the box next to the question mark, type a V and CLICK OPTION 8, this will reprice the order to VOR discount, CLICK OPTION 1 and the order will be sent to the Lotus Parts Centre Warehouse for processing.

DC205 UNLOCK ORDERS If you are in the middle of an order and you get called away and then there is no activity on the system for 15 minutes the system will log you off as will a line failure. This will LOCK your order. When you log back onto the system, click DC202 and then Select Order. You will see your order(s) listed and if at the right hand side of the order, if it is highlighted as IN USE BY ******* Make a note of the system order number (D*******) Click RETURN (top left) then click EXIT (top left), this will take you back to the menu option screen. Click on DC205, type D in the first box, tab to the second box and type in the number. Click this will unlock your order, then follow amend order instructions.

If you type an invalid part number, a message appears, check for typing errors, if still invalid ring the Lotus Aftersales office. For all stock parts, this will bring the item information detail to the screen. In the top box it will list full description, replacement and old supersession numbers In the middle box, the relevant fields are: List = Retail Price exc VAT @RIV = Retail inc VAT Disc = Discount Code In the bottom box will be stock details:- Warehouse 01 Lotus Parts Centre Availability Current stock level NFS Not for sale (ring Lotus Aftersales Office) Landed Quantity in warehouse awaiting binning Dealer RF Not used Dst B/O Quantity on Back Order with Lotus (Total) Order No Lotus Supplier Order Number Qty Quantity On Order ETA Ring Lotus Aftersales Office In the left hand box you have a choice of options. DC213 GROSS MARGINS ENQUIRY By using this enquiry and entering the required month / year combination you can see what your stock and VOR orders purchases were. By leaving the date as the current month, you can check on your purchases so far this month.

The option list allows you to check year to date purchases and toggle to and from previous months.

PASSWORD PROTECTION

It is the dealer's responsibility to ensure your password is secure, if you have any changes in staff that has had access to the Lotus Connect 2 System and they leave a dealers employment, the password must be changed immediately. Lotus Cars Ltd cannot be held responsible for any use of Lotus Connect 2 by unauthorised personnel. Changing your password Menu option DCA00 follow the screen instructions, passwords must be a minimum of 6 with a numeric number included.
