THE ROLES

Jordan – Project manager

Natalie – project manager

Cristiana – Finance, charity

Dan – Venue

Teddy – Finance, finding artists

Jasper – Promotion

All of these are just guidelines for which person is in charge of which role, but everyone will be contributing to each role if needed.

THE TASK As a group we are planning and staging a large-scale live

music event for the charity ‘Youth music – Children's charity’. Each of us have been assigned roles within the production process so we all have our own area of responsibility for this event.

THE THEMEOur theme for the evening will be ‘A Unique Evening’ because we want to encourage each artist playing to play with their individual style and genre. Also by promoting it at as a unique evening we’re hoping it will attract a wide variety of audience to come and watch.

THE VENUE

We are going to perform the at the hot frog café which is located in Henley.

The advantages are:

We chose to perform at the hot frog café because it’s close to where we all live. Also we have performed there before so we are familiar with venue

It’s a spacious venue and can hold a large number of people

It has a stage for the performers and its big enough for a full band

Its near the train station and bus stop so people can travel from a further distance

Its near the college so its easier for us to transport the instruments and equipment to the hot frog café

It has two exit doors in case of an emergency

Disadvantages:

There's not a lot of sits or tables for the audience

BUDGET Printing?

Does the venue charge?

Will they want a cut of the money?

Transport?

Refreshments?

Insurance?

FINDING ARTISTS:

Teddy role is to find and sign up artists for the night.

This maybe carried out through the process of an audition although the headline acts will not be auditioned at all.

Other acts may be decided based on how good I know they are as musicians.

Emailed Jazz guitarist Hugh Turner to see if he is available to headline the gig.

We want 4-6 artists not including us as a class.

HIRING STAFF

We will only start hiring staff for important jobs such as sound tech and light tech

We are also hiring people for front of house

Nat and Jordan are meeting up with the lady to talk about refreshments at the gig

THE CHARITYThe charity we have chosen to support at our gig is Youth Music because it’s a charity aimed to help people start a career in the music industry.“Every year, we provide more than 90,000 young people with the opportunity to make music, helping them to overcome the challenges they face in their lives. Our music projects support young people to develop their creative and social skills, make positive contributions to their community and improve their wellbeing.” – Taken directly from the Youth Music website.

Cris sent the youth charity an email with the following questions:

-how does the charity help young people?-Does the charity only help people who are musicians? -what is the charity mission?-Is it a local charity? and this is what we got back

Tickets are £2.50 and a donations bucket will be passed around during the gig for anyone who would like to contribute to the cause.

SET LIST

Natalie and Cris are going to be in charge of organizing the set list once we have arranged all the acts that are going to be playing.

PROMOTION Youth music charity will create a Facebook page and twitter pager to promote

our gig and jasper will also promote from a social media so we can have our own group gig. Jasper is also designing posters for our gig. Cris sent the charity an email asking if they could give away posters and bands for our gig

EQUIPMENT/INSTRUMENTS We have chosen to try and take down all of our own

equipment/instruments however there are a couple of things we want to take down such as an electric piano.

We've decided were going to use Dan’s PA system for the gig because he’s already familiar with how it works.

Any equipment we take from the college were going to need to get PAT tested and check for health and safety

HEALTH AND SAFETY

Make sure there is a first aid kit at the gig

Make sure all your cables are taped down after everything is plugged in and working.

Make sure there's a fire extinguisher at the gig

Make sure all the fire exits are clear

Do not put drinks on top of amps

Avoid wearing sandals

Make sure there is a material storage location

Inspect the emergency equipment and exit routes, backstage lighting, tripping hazards, platform and stairs, flown items and electrics to identify hazards

SURVEY Were going to create a survey with questions about how people feel the gig went

After the gig we’re to go around with the survey asking the audience what they thought of it and how they feel it went

Were also going to ask the artists who played1

OUR AIMS As a group we hope to achieve team work and good communication between each other and raise

a lot of money for the charity.

As a public achievement we hope to open people’s eyes to the charity we’ve chosen in the form of our theme which is unique artists.

As artists we’re going to be playing our own unique styles which will hopefully attract a wider audience

ISSUES AND CHALLENGES One of the possible challenges we could overcome is if the venue decides at the last minute they cannot provide

refreshments, then the way we would deal with that is by using some of the money from the float to go and buy some small refreshments to place around the venue.

One of the problems could be that when we’re sound checking all the artists, certain people will want different levels and during the performances we cant change the levels so we’re going to ask someone to help us change the levels during the performances.
