1. The Manual of Abbreviations – Department of

National Defence and the Canadian Forces, A-AD-121-

F01/JX-000, is issued on authority of the Chief of

Defence Staff. This publication is effective on receipt,

and supersedes The Canadian Forces Manual of

Abbreviations dated 2017-03-21, which shall be

destroyed in accordance with the local procedure for

destruction of documents.

2. The aim of the Manual of Abbreviations is to give a

list of all abbreviations used in DND/CAF.

3. Unless otherwise specified, the abbreviations listed in

this manual are used by the Department of National

Defence and the Canadian Forces, and are applicable in

peace and in war.

4. The abbreviations contained in this publication are in

the Defence Terminology Bank (DTB). In case of

discrepancies between the content of this publication and

of the DTB, the latter has precedence.

GENERAL

1. Abbreviations are used to save space and time

in communication. They have to be as clear and concise

as possible. However, because they may have different

meanings depending on the context, they must be used

carefully. Where an abbreviation could be

misunderstood, the full term should be used.

2. While the policy for the use of abbreviations is

the same for both official languages, conventions for

the use of abbreviations and the formations of new ones

will naturally differ because of inherent differences

between the two languages. Whenever possible,

however, abbreviations will be identical in both

languages.

letters from a longer form designating the same

concept.

b. Common Use Abbreviation An abbreviation found in the Concise Oxford

everyday abbreviations as: “e.g.”, “etc.”, “i.e.”.

Note: These abbreviations may be used in

military writing as required;

c. Compound Abbreviations A compound abbreviation formed from phrases

or terms of two or more words using a

combination of multiple letter abbreviation(s)

and single letter abbreviation(s).

Note: For example, “personnel services officer”

becomes “Pers Svcs O”.

a. Abréviation Désignation formée par suppression de mots ou

de lettres dans une forme plus longue désignant

le même concept.

b. Abréviation d’usage courant Abréviation qui se trouve dans « Le Petit

Robert » ou dans le Concise Oxford English

d. Initialism An abbreviation formed from the first letter of

each or some of the components of the full form

and pronounced letter by letter.

Note: The letters of an initialism are always

capitalized. Example: NDHQ (National

Defence Headquarters). In French, they do not

retain their accent. Example: CEE

(Communauté économique européenne); .

e. Acronym An abbreviation formed from the first letters of

the components of the full form of the

designation or from syllables of the full form

and pronounced syllabically.

Note:Acronyms are created using upper case

letters without periods, e.g. NATO (North

Atlantic Treaty Organization). In French, the

gender of an acronym is normally that of the

initial noun. For example, the acronym ENAP

(École nationale d’administration publique)

would be feminine because the word École is

feminine.

f. Single letter Abbreviation An abbreviation formed using a single letter to

shorten a word.

Note: Single letter abbreviations are used only

with one or more other multiple letter

abbreviations, e.g. “Base Security Officer”

becomes “B Secur O”. The abbreviations for

“Base” and “Officer” cannot stand alone. These

single letter abbreviations are always

capitalized.

g. Multiple Letter Abbreviation An uncapitalized abbreviation using more than

one letter to shorten a word, e.g. “message”

becomes “msg”.

Note: A combination of authorized multiple

letter abbreviations may be used to create new

abbreviations. For example, the abbreviation for

“forward” is “fwd”, for “delivery” it is “del”

and for “squadron” it is “sqn”: therefore, the

term “forward delivery squadron” may be

abbreviated as “fwd del sqn”.

h. Title Abbreviation An abbreviation of a military organization,

rank, position, appointment or military

occupation.

Note 1: Some position titles of a general nature

have been included in this version of the

4. Before using an abbreviation for the first time, it is

important to note that the author must first write the

term in full and then insert the abbreviation in

parentheses after. Abbreviations are used only when

their meaning will be unmistakable to a reader and are

intended:

a. to save space and time; and

b. to shorten a text in order to avoid repeating full terms.

5. Within the Canadian Forces, abbreviations may be

used in all types of military writing. During operations

and training, the fullest use should be made of

abbreviations.

abréviations durant les opérations et l’instruction.

6. Military abbreviations shall not be used in

correspondence to other government agencies, or civilian

individuals or agencies.

7. Canada, as a member of the North Atlantic Treaty

Organization (NATO), has agreed to the use of a number

of abbreviations between military forces of member

nations. In addition, the armies of the United States,

Britain, Canada and Australia (ABCA nations) have

agreed to a number of military abbreviations. These

abbreviations may be used in correspondence as

appropriate. Otherwise, military abbreviations will not

be used in correspondence with foreign military

organizations.

7. Le Canada, en tant que membre de l’Organisation du

8. There is no need to abbreviate all words or phrases

that can be abbreviated. However, once a word or

phrase has been abbreviated, that abbreviation shall be

used throughout the document. If insufficient space

remains at the end of a line to include a complete

abbreviation, the entire abbreviation shall be placed on

the next line. Segments of abbreviations are never

separated.

8. Il n’est pas nécessaire d’abréger tous les mots et

syntagmes qui peuvent l’être. Par contre, si l’on

emploie la forme abrégée d’un mot ou d’une locution, on

doit s’en servir tout au long du document. S’il n’y a pas

assez d’espace au bout d’une ligne pour y inclure une

abréviation au complet, l’abréviation doit être inscrite

sur la ligne suivante. On ne sépare jamais les éléments

d’une abréviation.

9. Periods shall not be used in, or immediately following,

a DND/CAF abbreviation, e.g. “Capt”, “NATO”,

“OMM” (note that the abbreviations for military medals

no longer contain periods). However, periods are used

for external abbreviations adopted for use within

DND/CAF, as required by basic rules of grammar, e.g.

“i.e.” and “N.L.”.

ex. « capt », « OTAN », « OMM » (veuillez noter que

les points ne sont plus utilisés dans les abréviations des

CAPITALIZATION

EMPLOI DES MAJUSCULES

10. Abbreviations that are not capitalized are subject to

basic English grammar rules, e.g. the first letter of a

sentence is capitalized. In French, accents are not used

on upper case letters of an abbreviation, except for

abbreviations of provinces and cities. For example, the

abbreviation of “École de combat” is “EC”.There are

exceptions for some medals and for the provinces, etc.

Examples: Î.P.É. and É.C.

11. Military ranks and position titles

In English, military ranks and position titles are

capitalized when used to address a person directly or to

refer to a particular person.

EXAMPLES

Please accept our apologies, Lieutenant-General Smith.

Good morning, Colonel.

We saw Lieutenant-General Smith yesterday.

In English, when not referring to a particular person, the

rank or title should be written in lower case.

EXAMPLE

We saw a lieutenant-general yesterday.

In French, military ranks and position titles are

capitalized when used to address a person in writing,

whether or not the rank or position is accompanied by

the name of the person. If the rank or title is composed of

two nouns separated by a hyphen, or a qualifier such as

“vice”, “sous” or “contre” followed by a noun, both

elements must be capitalized. If the rank or title is

composed of several words that are not separated by a

hyphen, only the first noun must be capitalized as well as

any adjective that precedes it. The adjective that follows

retains the lowercase.

Félicitations, Premier Maître de 2e classe Garneau

Veuillez agréer, Sous-Lieutenant, l'expression de mes

grade ou le titre s’écrit sans majuscules.

We saw a lieutenant-general yesterday.

En français, les grades militaires et les titres de poste

s’écrivent avec des majuscules lorsqu’ils sont employés

pour s’adresser directement à la personne, qu’ils soient

ou non accompagnés du nom de la personne. Si le grade

ou titre est composé de deux substantifs séparés par un trait d’union, ou d’une particule comme « vice »,

« sous » ou « contre » suivie d’un substantif, les deux

éléments prennent la majuscule. Si le grade ou titre est

composé de plusieurs mots qui ne sont pas séparés par

des traits d’union, on met la majuscule seulement au

premier substantif, ainsi qu’à l'adjectif qui le précède.

L’adjectif qui suit conserve la minuscule initiale.

When not addressing a military member directly in

French, whether the name of the person is mentioned or

not, the rank or position title must be in lowercase.

EXAMPLES

Le sous-lieutenant est absent et l’élève-officier Ledoux

l’a remplacé.

Le chef d’état-major de la défense était présent.

In a signature block, each element of a rank or title is

capitalized in English. Only the first letter of a

compound rank or title in French should be capitalized

because of its position at the beginning of the line.

EXAMPLES

John Smith

Chief Warrant Officer

Adjudant-chef Smith

In English and in French, the abbreviation of a military

rank, when accompanying the name of the person, is

always capitalized. The rank can be compared in this

case with a functional title such as Dr (doctor), an

abbreviation that is always capitalized preceding a name.

EXAMPLES

OCdt Hughes is sick.

J’ai vu le Cpl Tremblay ce matin.

When a rank is used without a name, it is preferable to

write it out in full.

EXAMPLES

The Officer-Cadet is sick.

J’ai vu le caporal ce matin.

Note: When a document intended for use by the

Canadian Forces contains many mentions of ranks

without names, rank abbreviations may be used.

Note: Although the Canadian Press and other media

institutions use a different list of rank abbreviations, the

only abbreviations to be used in DND/CAF documents,

13. In English, the plural is formed by adding an “s” to

the end of the abbreviation, regardless of where it

appears in the full term, e.g., “estimated times of arrival”

is abbreviated as “ETAs”, not “EtsA” and “Chiefs of

Staff” is abbreviated “COSs”, not “CsOS”. An

apostrophe is used for the possessive case, e.g. “The

Comd’s map was stolen” or “the annual COSs’ meeting

was held at NDHQ”. In French, abbreviations are never

pluralized, except for the word operations which

becomes “ops”.

20. Compound abbreviations should never be split

because of a line break. If there is not enough space for

the entire abbreviation at the end of a line, the next line

authorized abbreviation for “backload” is “bkld”, “bk” is

not the authorized abbreviation for “back”.

USE OF THE AMPERSAND

23. The ampersand symbol should only be used in

abbreviations, not in full terms or general language. It is

used to replace “and” in some abbreviated terms or short

titles. For example, “rations and quarters” is abbreviated

“R&Q” and ”furniture and effects” is abbreviated

“F&E”. The word “and”, not the ampersand, is used as a

junction between two distinct abbreviations when they

do not form a normally used combination of

abbreviations, e.g. in a text you would write “the recce

and prep of the posn…” and not “the recce & prep”.

When used between two abbreviations to form a

normally used combination of abbreviations, there

should be a space before and after the symbol, e.g. atts &

dets. In French, there is always a space before and after

the ampersand.

24. A new abbreviation shall not be introduced in the

title, heading or sub-heading of a document; rather, the

multiple word term or phrase is to be written in full on

its first appearance in the text, followed by the

abbreviation in parentheses. Subsequent appearances of

the term in the text are to be in the abbreviated form.

Usage of such abbreviations shall be very restricted. In a

long text, a list of these abbreviations should be annexed.

24. Une abréviation créée dans un texte ne doit pas être

utilisée pour la première fois dans le titre, la rubrique ou

l’en-tête du document; on doit plutôt utiliser le mot ou le

terme en toutes lettres la première fois qu’il apparaît

25. The new abbreviation may be used only in the

document in which it is introduced. Should it be

necessary to use it in other documents, it must be

reintroduced in the manner described above. Similarly,

in documents where chapters or parts may be used

separate from the document, for example, a chapter of a

doctrine manual that could be used for a study session,

consideration should be given to reintroduce the

innovated abbreviation in each chapter or part.

26. Spacing and Capital Letters.

In abbreviated appointment titles formed by combining

abbreviations, a space shall be left between the combined

abbreviations and the first letter of each element shall be

capitalized. For example, “B Secur O” is correct, “B

secur O” and “Bsecur O” are incorrect. Similarly, “SSO

Rgn Ops” is correct, “SSO rgn ops” and “SSOrgnops”

are incorrect. Spaces are not used when a numeral

follows an abbreviated appointment title except when the

numeral follows a lower case letter. For example, “J4” is

correct, “J 4” is incorrect. Similarly, “Admin Coord 2” is

correct, “Admin Coord2” is incorrect.

When creating titles, approved terminology and

abbreviations should be used. Prior to creating official

titles, the DTB should be consulted to determine whether

or not the title already exists in order to avoid

duplication and confusion. Abbreviations for specific

headquarters and appointment titles are formed as

follows:

(c) branch heads, i.e. “G1”, “G2”, “G3”, “G4” and “G5”;

except “Corps Surg”, “Div Surg”, and

“PM”, that indicate function only.; and

(e) Section staff officer appointments that combine only function and position.

To illustrate, if there are many officers

doing the same type of staff work and
