1. BUSINESS PROCESS OVERVIEW

Material master Mass maintenance:-

Mass maintenance is called changing of large volume of data of material master records.

The aim of this documentation is to make it easy for the user to mass maintaince or change in material master record. All mandatory fields along with their values have been identified. The following table serves as a key as to which fields are required or not.

3. Mass Maintenance

Mass maintenance is otherwise called changing of large volume of data in the process of end to end business. The advantage of mass maintenance over unit or individual maintenance is mainly because of lesser time consuming and mass change. It can be also termed as mass data change.

Following are the list of advantages in terms of mass maintenance,

Changing large volume of business data Fast and reliable compared with individual maintenance Consistent in data change Several fields for the particular business data can be changed at a time Possible to change or add data to the existing records Possible to automate the mass change by the way of background job.

Mass maintenance can be carried out almost all of the primary modules master data such as MM, SD, FI & PP. In this document explains about the mass maintenance of data objects related to material master.

3.1. Mass Maintenance of Material Master

In this mass change, the data shall be replaced by another data required for the business. For example, material group change, delivering plant change, Acct assignment group change, Critical part indicator change in material master record. Simply, it will replace the data with new values. Technically speaking we need to maintain a variant for the mass data change. Variant creation is mention in below documentation.

Please note that, we cannot simply change the master data by using this system. Changing data is governed by certain organization setup. For example we can easily change the purchase group or material group in the material master. Since these elements are maintained at client level. If we found it is suitable for our business, obviously we can change it.

But, certain parameters for example delivering plant in the material master cannot be changed as like purchase organisation in material master. We need to consider the organization link also for this case.

However, it is advisable to carry out this mass changes by an experienced user or business person in order to avoid certain mistake.

3.2. New data addition in mass maintenance of Material Master

In this mass addition of new data, a new data shall be added to the existing master data or documents depend on the requirement for the business. Like mass change, here we shall define new field value such as Plant-Specific Material Status, tolerance key value, cash management group, expedite date and other necessary data for the business.

It can be the addition of certain field value in the material master record.

Please note, no configuration needed for carrying out the mass maintenance in terms of mass change or adding new value to the existing master data.

Only the required variants are to be created for carrying out a smooth and faster maintenance, while maintaining the data.

3.3. Variant

SAP has given one provision for frequently data change / additions with the help of certain parameter. This is called Variant. We have to club the particular data field as a group and save as a variant. This will save the time.

The following data can be saved as a variant Fields available for selection Selection criteria entered in these fields Fields to be changed New values for the fields to be changed

When you save your variant, a dialog box appears asking you to specify a name and description for the variant. This dialog box also offers you the option of excluding information from the variant. You do this by choosing further options and by deselecting or selecting the information accordingly.

Here too, only the criteria are saved according to which the new records are created. If, for example, the reference record is changed, the new record will also differ.

Press Enter from keyboard to appear mass maintenance material screen.

Press Twice on MM17 – Mass Maintenance

Here, the following material, we are changing the data (Material number: SKDWRJXBE120XXX to SKDWRJXBE206XXX), the following screenshot showing the field values which are to be changed by another field values, material group, division, X-pant material status, purchasing group and procurement type.

Please note that, certain fields like valuation class, batch management can be changed only if stock done not exist for the material.

By using transaction code MM17 or by using SAP Easy access menu, we can go to the mass change of material master.

Following steps will explain how to create Variant for Material master object in MM17 transaction code.

Click any one of the table value and, click on Fields tab as shown in below image.

Please note that, we can change the data with or without the help / using variant. But if we want to change a large volume data then it must be executed in background mode where variant is mandatory.

Click on Fields tab to get following screen.

Here, it is showing table and technical field value of all the data related to material master. From all

these data we need to create variant for our mass change requirement. By clicking on icon we will first find and select the required field names (material group [MARA-MATKL]), (division [MARA-SPART]), (X-pant material status [MARA-MSTAE]), (purchasing group [MARC-EKGRP]) and procurement type [MARC-BESKZ).

Select the required fields and press execute (F8) button to get following screen.

Following steps show how to create variant for the following.

Choose the selection field press icon button; we will end up with the selection field screen where we can compile for variant creation.

Following screen will appear after clicking on selection field icon.

In selection criteria move required values from Pool list. Once all the field value moved from the Pool data, it is ready for creating the variant.

Check following screen where we have selected required fields for variant creation.

Check following screen to continue.

On click of multiple selection button we will get Material number popup screen.

Under Material select S* and press button to get following popup screen, where need to select multiple materials.

After selecting required materials press to copy these data in below mention screen.

Click on Go-to Variants Save As Variant (Ctrl+S)

Check the following screen to process to save variant.

Under Save Variant dialog box give Variant name and Variant description to create and save variant.

Now, the variant for material master object has been created. We need to follow the same method for the creation of variant for other object type also.

After saving required variant proceed with following steps.

Now press Execute button or press F8 from keyboard to get following screen.

Here, you will see two tabs pertaining to difference data level. (Like general data and plant level data).

Enter the new value to be changed for all the fields which are mention in following table.

To copy mass changes to each material line item click on Mass change icon.

Under Plant Data for Material tab mention following values

Purchasing Group001

To copy mass changes to each material line item click on Mass change icon.

Before actually processing to save final changes need to execute same in test mode. This option is available in terms of Test changes.

Click on icon (Ctrl+Shift+F7) to execute details in test mode.

Execute the test changes and will get the following result.

Once the test changes are found o.k. Green signal means you can execute in real time mode by applying the changes as per below.

Go back to the previous screen to execute the real time changes, which updated the values in the selected material master.

Apply the same for all the two tabs.

Then finally click on save (Ctrl+S) to apply the changes.

Then check the material masters for the changes done.

3.4. Display Changes

All changes made to fields in the material master record can be viewed using this transaction. It displays the old field entry, the new field entry. It also shows who made the change and the date the change was made.

Check the following screen which will give details of material master changes.

Click on choose details (F2) we will get following detail screen.
