How to configure Shifts and Schedules in COSEC V6
Dear Friends,
This mailer will help you to configure shifts and schedules in COSEC V6
Introduction:
Shift scheduling is very important part of any organization. COSEC provides multiple
shift configurations and scheduling of same.
COSEC includes shifts and schedules module which is part of time and attendance
licence.
User can configure maximum 255 shifts and 99 schedules.
In a schedule group user can add 32 shifts.
To configure shift follow mentioned steps:
1) Shift Configuration
2) Schedule Configuration
3) Schedule assignment
4) Process Monthly schedule
Configuration Steps:
1) Shift Configuration:
1. Go to Shifts and Schedules module for Shift configuration
2. Click on Shift Configuration option inside Shifts and Schedules module
3. Click on new (+) to add new Shift
4. Configure shift parameters:
Enter 2 char shift ID and assign desired Name to shift
Select shift type as Normal, Field Break or Rest Day
Normal: It is normal shift with break configurations
- For instance, Normal Shift- XX:XX to YY:YY with specific Break of
XX:XX duration
Field Break: This is a break shift used when people work for around x
days in continuity and after that they get y days break
- User doesn’t need to configure time and break details.
Rest Day: This shift type is used to give one week off after working of
10-12 days
- User doesn’t need to configure time and break details.
Enter Shift Start and End Time
Enter Minimum Requiring Working Hours for half day and full day
Min Hours Required Within Shift Duration: Check this flag to allow minimum
working hours for half/full day within the shift working time allotted to the
employee
Please note that an Employee needs to work within shift with the above option
enabled, if he/she works extra hours also but not within shift time, he/she will be
marked absent.
Activate Shift Allowance option to add allowance of shift in salary calculation
5. Configure Break Parameters
Enter Break Start and End Time
Check Break Deviation Allowed flag to allow break any time within shift
hours
For instance, user can take break any time within shift.
5. Break Deduction Configuration
For 2 punch attendance system: system will deduct configured break(as
per Break Details Basic)
For 2+ punch attendance system: system will deduct as per selected
option
- For instance, here 1 hour is configured (13:00 to 14:00)
Actual Break Duration: system will deduct actual break time as per
the punch timing
- If user takes 1.5 hours break then system will deduct actual break
time of 90 minutes
Time Exceeding Break Duration: system will deduct only exceeded
break time
- System will deduct exceeded 30 minutes break time
Configured Break If Less, Else Actual Break: System will deduct
configured break in case of less time taken else deduct actual break
time.
- If user takes 45 min then system will deduct actual configured break
time (1 hour)
Check the flag Add Break Late-In In Total Late-In to add Break Late-In period
in total Late-In time
Check the flag Add Break Early-Out in Total Early-Out to add Break Early-Out
period in total Early-Out time
6. Grace-Time Configuration:
Check the flag Consider Grace Time In Working Hours to add grace time in
total working hours
Enter Grace Time period for Shift Late-In and Early-Out
Check the flag to add grace period to Late-In and Early-Out period
Enter Grace Time period for break Late-In and break Early-Out
Check the flag to add grace period to break Late-In and break Early-Out
7. Click Save to save configuration
8. System will show message “Saved Successfully”
In this way user can create multiple shifts
Now, add this shift to schedule group.
2) Schedule Configuration:
1. Open Shift Schedule
2. Click on new (+) to add new Shift Schedule
3 Configure Schedule parameters
Enter Schedule ID and desired Name to schedule
Configure start date of schedule
4 Check Enable Shift flag to add shift in schedule
Shift will be added to the schedule group without enabling the flag, but
enabling the flag will put the configured shift in active mode
Select member to add shift
Click list icon to select shift
Select shift from the list
Enter days to replicate shift in Repeat days option
5 Click Update to save settings
6 Click Preview Schedule option to view schedule
7 Off Day Configuration
User can configure two off days
Select Off Day1 and Off Day 2 using dropdown button
For Off Day 2 user can select either week selection or Rotation option
User can rotate Off Day 2 by enabling Week Off Rotation option
Specify count for off day in Rotation Count option
8 Shift based Access Rules
User can set rule for access allow/deny in the shift under shift based access rule
Check the flag Allow Access In Multiple Shifts to allow access on multiple shifts
Check the respective flags to deny access on the Holiday, Week off, Field Break and Rest Day
9 Click Save to save configuration
10 System will show message “Saved Successfully”
In this way user can configure multiple shifts and schedules in COSEC
3) User Assignment:
Now assign this schedule to the user
1. Open Users Module
2. Select desired User from the list
3. Click Access Control option
4. Click Edit option
Here, default schedule is selected in Shift Schedule option
5. Select Shift Schedule from the list
6. Select Start Shift from the list
7. Click Save to save changes
8. System displays message “Saved Successfully”
4) Process: Now, user has to process Shift and schedule at starting of every month
1. Open Shifts and Schedules module
2. Click Monthly Schedule under Process option
3. Select Month and User using filter
4. Click Process option
System will show message “Process Completed”
