Hello and welcome to STRS Ohio’s Coffee Break webinar. I’m Todd Wolford, and joining me today is Patty Gordon.
The coffee break webinars are normally offered on a quarterly basis. Due to COVID-19 we want to ensure we communicate updates, provide helpful resources and answer your questions along the way.
Before we get started on today’s topics, we’d like to provide some navigation tips on the GoToWebinar control panel you see on your screen.

• Your control panel will collapse automatically when not in use. To ensure your control panel stays visible, click “View” and uncheck the auto-hide control panel option as shown on the screenshot here.
• You can also use the orange arrow to open and close your control panel if you want to hide it at any time during the webinar.
• In the handout section, you will find a copy of today’s presentation for note taking, as well as any resources related to today’s topic.
• Finally, you may submit questions during the webinar by typing in the questions field of the control panel and clicking “Send.” This will play a key part in todays webinar and we encourage you to ask any questions you have during the webinar. Patty and I will respond to the group in a later slide to address these questions. You may send a question at any time during the webinar.
• Now that you are familiar with how to use GoToWebinar, let’s look at today’s agenda.

During today’s webinar we will:
• Give some updates about STRS Ohio during COVID-19,
• Review changes to the employer certification process for reemployed retiree withdrawals,
• Give a few tips for working remotely,
• Address questions during this time,
• Review upcoming dates, and
• Discuss a few changes that are around the corner.

Let me start by saying THANK YOU! Every employer Patty and I have spoken with over the last several weeks has remained positive, kept in touch with STRS Ohio and continued to process reports with limited issues. You have made the lives of our employer reporting team easier and we appreciate your effort to remain current with STRS Ohio. This is a testament to the preparation and response from all employers and STRS Ohio. So, thank you again for working together during these times.
As of now STRS Ohio associates will continue to telework through May and later if needed.
The good news is that we are still doing business as normal, retirement reports are being processed, payrolls are being completed and checks are being sent to members.

A common question during this time is about full-time staff, determining service credit and what to report to STRS Ohio. At this point most of your full-time teachers or staff are still working remotely. Contributions need to be submitted to STRS Ohio and service credit for days worked should be calculated.
Remember, after 120 days are worked, a full-time employee will receive one full year of service credit. Most full-time staff should have worked 120 days before the pandemic.

Withdrawal certifications for reemployed retirees are now offered in Employer Self Service (ESS) only.
Previously, reemployed retirees were still able to complete paper applications and ask employers to complete paper certifications. You may have a few that were previously printed by members but this should stop over the next few weeks.
Both member withdrawals and reemployed retiree withdrawals will all be completed in ESS — no more paper certifications. Retirement reporting contacts will receive an email once a report is available to be completed.
Common questions may include:• How can I submit corrections for employer certifications?• Can an employee do this every year?• What do I do if the employee returns to work?

As we continue to work remotely some employers have shared a few things they changed to make their lives easier:
• Completing cash remittance forms online instead of on paper.
• When retirement reports are ready to complete, fill out the request for additional information form and any other information you know right away. You can save the form, then circle back around to complete final details when they are known and then submit the report to STRS Ohio.
• The Annual Reporting Resource Center will be available on June 1. This is a tip from STRS Ohio — as we approach the annual reporting season you may want to take a look at the resources available on the employer website. Working remotely is challenging at times and the Annual Reporting Resource Center can be a useful tool for this time of the year.

Reminders• Pay date calendars due by June 5• Salary schedules are due — continue to update STRS Ohio each year with new salary
schedules. If you do not have a salary schedule send the average increase for teaching staff. If your salaries are frozen you still need to notify STRS Ohio.

We have a few changes coming right around the corner.
Currently STRS Ohio mails 30-day notices to employers about missing new hire reports and reemployed retiree reports. These reports will be electronic by the end of June and will be emailed to employers.
We are also moving the open transaction report to email instead of mail. This report notifies employers of any open transactions with STRS Ohio such as missing payments or open cash not applied. With the switch to electronic notification, this should clear up any timing discrepancies due to the mailing process.
