What is Microsoft Content Management Server (MCMS or CMS)?

• A powerful tool that separates page design and layout from content

• Enables localization of content

• A replacement for the existing IIE external Web site publishing

TerminologyMCMS – Microsoft Content Management Server

Live Site mode – allows you to view the site as it will look once it is moved into production as per the release cycle.

Edit Site mode – allows you to manage the site and edit pages.

Web Author console – the main menu in Edit Site mode

Channel – a section of the Web site – equal to a folder or the location of the page within the file structure.

Template – a preformatted page for inserting content.

Placeholder - an area in a template that is reserved to contain unique content for each page.

Resources – templates and images available for use.

Galleries – groupings of resources.

CSS Style – used to apply formatting to content - similar to a Word style

Page Status - a quick way to tell where a page is in the approval process.

Lock Status – a page is locked if someone is editing it.

Logging into the MCMS

New Projects

1. New Projects will not have any pages set-up the first time you log-in to MCMS. See screen shot below on left.

2. Immediately switch to Edit Site Mode, and select Create New Page. See screen shot to the right.

3. Browse to the template gallery, “Edweb” and select TOC. This will create your table of content page for the project.

4. To create your top first level tab pages, Click the name of the page, select Create New Page and browse to the template gallery, “Edweb” and select Content Page.

Create a New Page

Copy and Paste from a Word document

1. Highlight the content in the Word document and Select Edit > Copy or use Ctrl-C.

2. Open Notepad and paste the content into Notepad. You will need to delete bullets and numbers in Notepad before pasting into MCMS. Also, Notepad takes out all formatting, such as italics and bold.

3. Highlight the content again.

4. Place your cursor in the Main Content area of your new page, where you would want the content and paste in the content (Ctrl-V).

5. Notice that the content is stripped of formatting, including paragraph breaks. You will need to add these back in as well as all formatting.

6. In the next couple of slides, we will begin reformatting this content using the predefined CSS styles provided.

1. Navigate to your new Content Page.

2. Select Edit in the Web Author console.

3. Format your new content using the CSS Style drop down. You should only need to format headings.

4. Click Preview in the Web Author console to see your changes.

5. Remember to Save your changes.

Removing a Highlight From a Page

To remove a Highlight Box or Link List Box from a page:

1. Select the HTML mode box under the Highlight Box you want to remove.

2. Highlight all code and delete it.

3. Unselect the HTML mode box.

4. Click Preview in the Web Author console to see your changes.

Populate the Highlight Box (5 mins)

1. Find the Text Highlight Box and replace the “Highlight Box Title” with a new title.

2. Type your content in the highlight box.

3. Remember: Learn more, Read more, or See more should be followed with a non linking carrot (<). If Learn more, Read more, or See more is bold then the carrot needs to be bold as well. Use the CSS class Bold Link for the hyperlink and the carrot. For normal hyperlinks, use the CSS class highlight Box Link.

4. Select OK.

Set up a Link List box (5 mins)

1. Find the Link List Box and replace the Link Box Title with your title.

2. Add the words for your list. Link List Boxes do use bullets.

3. Highlight each link and go through the linking process with the Hyperlink Manager as you did above. Be sure to choose Highlight Box Link in the CSS class in the Hyperlink Manager.

4. Click Preview in the Web Author console to see your changes.

Submitting a Page for Approval

Once a page has a Page Status of Saved, it must be submitted for Editor approval.

You must select Submit so the page will be available for Editor approval.

Let’s go ahead and take a closer look at the utilities provided to assist in the publishing and approval process within MCMS.

The Production Manager Utility

The Production Manager lists all pages that are currently waiting for approval or saved. It is available from the Web Author console.

In the Production Manager window, check on status of any pages assigned to you. Use Production Manager at the end of an authoring session to check for saved pages that need to be submitted. From here, you can select and submit saved pages for approval.

To view the Production Manager

1. On the edit site Web Author console, click Production Manager.

2. In the Production Manager window, check to see if there are any pages that need to be submitted for approval.

Post-Approval Page Status

When the page is submitted, it will have one of the following statuses:

• Waiting for Editor Approval
