FRIDAY@MakerFaire We are excited to add a special day to the Maker Faire weekend this year. “FRIDAY@MakerFaire” will be a special ticketed event to give industry innovators, Maker movement partners, students and educators, and the members of the media to get focused time with the makers and sponsors at the event before the weekend. Plan to be showtime ready on Friday at 1:00pm!

We’re thrilled to have your company involved in this year’s Maker Faire Bay Area. The Sponsor Toolkit is the primary resource and guide to planning your company’s presence at Maker Faire. Please be familiar with the processes and regulations as outlined here to ensure a successful show. The Maker Faire Sponsorship team is here to support your planning efforts and on-site activation. We will be in communication with you via email with important information and reminders leading up to the show. Hotel Accommodations Maker Faire partners with select hotels near the event site to provide discounted pricing for sponsors. Please make your hotel reservations as soon as possible as rooms fill very quickly. To view the hotel options and make your reservation, visit the Maker Faire website “Where to Stay” section.

Air Travel San Francisco International Airport (SFO): Located 9 miles from the event center. Shuttle service to select hotels. Taxi ride approximately 15 minutes. Oakland Airport (OAK): Located 25 miles east of the event center, across the Bay Bridge. Taxi ride is approximately 30 minutes. San Jose Airport (SJC): Located 27 miles south of the event center. Taxi approximately 30 minutes.

Travel & Parking

Transport DRIVING DIRECTIONS Sponsors should enter the event center at 1346 Saratoga Drive for sponsor parking, check-in, and set-up/teardown. During show hours, please be aware that the surrounding area gets congested with traffic and we encourage alternative transportation when possible. PUBLIC TRANSPORTATION The CalTrain, running between San Francisco and San Jose, arrives at the Hillsdale station hourly and connects with BART trains at Millbrae station. The Millbrae BART station is approximately 8 miles from the event center. See www.caltrain.com and www.bart.gov for schedules and additional information.

Sponsor Parking PARKING: SET-UP Sponsor parking at the event center is free on set-up day (Thursday) only. Parking is limited. Enter the parking lot at 1346 Saratoga Drive. PARKING: EVENT WEEKEND All Maker Faire parking Friday through Sunday during show time is offsite with shuttles. Visit the online Resource Center for parking instructions and traffic information before the event. Free shuttles will be provided from offsite parking lots to the event site. Drop offs to the event site during show hours are not recommended, due to traffic. Plan schedules accordingly and check parking and traffic info online often.

We strongly suggest you setup on Thursday, May 14. Earlier setup or arrivals can be made by

prior appointment.

Staff Passes and Check In Prior to the show you will receive an email with instructions to register all staff setting up and working in the booth, for onsite credentials. Every staff member will need to bring this registration pass (printed or on their phone) in order to check in and receive a credential. Credentials are necessary for entry to the site prior to show hours. You will receive entrance information and a map locating Sponsor Check In prior to the show. Sponsor Check In will be open during listed set up hours.

Check In & Set Up

Load In Process Drive On Site: To unload your exhibit materials at your booth space, pick up your staff credential at Sponsor Check In first. Obtain a Temporary Unloading Pass from security personnel at the Gate entrance. Write your cell phone number on the permit and display on the dash. Drive on to the grounds slowly and safely. Quickly unload your materials as close as possible to your booth. Before setting up, immediately move your vehicle to a parking lot. You will receive an email with a gate entrance map and parking information prior to the show. Un loading Assistance: If a forklift is required to unload your exhibit materials, you must order in advance through the proper forms listed in the online Resource Center. Shipping carriers will be directed to Shipping & Receiving and delivered to your booth by prior arrangement.

Shipping & Handling SLI Freight is the shipping logistics provider for Maker Faire. SLI Freight’s scope of services encompasses all steps and procedures required to get international and domestic shipments to the show site on time and back to origin if necessary. If you still choose to use your preferred shipping carrier, you must still arrange for material handling through SLI. Please visit the online Resource Center for complete shipping documents, deadlines, prices, and forms. Complete the shipping questionnaire to inform us of your shipping plans, material handling needs, or to request a quote for services from SLI Freight.

Inbound Shipments SLI Freight Pickup from Origin Deadlines: Domestic deadline: May 4 International deadline: April 27th

Other shipping carriers: Shipments can be sent to the Advance Warehouse or Show Site to arrive only during the dates listed below. Material handling must be arranged in advance with SLI Freight. We recommend using advanced shipping to ensure timely delivery of your exhibit materials. Make sure to use our preferred shipping labels, available at the online Resource Center, on all packages. Advanced Warehouse Arrival Dates: April 7 – May 7 Show Site Arrival Dates: May 11 – May 15

Outbound Shipments It is your responsibility to properly package and label all of your shipments and make shipping arrangements. Shipments should be prepared by Sunday evening for a Monday pickup. If SLI Freight is handling your outbound shipments:

o You do not need a Bill of Lading as the SLI staff onsite will handle all of your arrangements! If you are using your own carrier for outbound shipments:

o All packages must be properly sealed, labeled, and accompanied by a Bill of Lading, which can be picked up only on Sunday afternoon at the Sponsor Service Desk.

o You must print or bring your own labels and packing slips prior to arriving onsite. o You must make arrangements with your carrier (FedEx, UPS, etc.) to pickup on

Monday after 9:00am

Maker Faire is not responsible for items left without proper labeling or pre-arranged carrier pickup. Items not properly handled or left behind will incur fees.

Material Handling All shipments will incur material handling fees to cover storage of empties, unloading and loading, and delivery of materials to your booth. Non-crated items and small boxes will not be delivered to your booth until a company representative checks in on-site. If SLI Freight is handling your shipments:

o All shipments being handled by SLI from origin will include material handling costs and will not receive additional invoices onsite.

If you are using your own carrier for shipments: o Shipments through your own carrier to the Advance Warehouse or Show site will be charged

for material handling per shipment by SLI Freight in advance.

Teardown & Load Out Hours Sunday, May 17 6:30pm – 9:00pm

Monday, May 18 9:30am – 2:00pm By prior arrangement

Teardown & Load Out Teardown will begin Sunday evening after 6:00 pm. Exhibits must be removed and all staff and vehicles off the grounds by 9:00 pm. Please be patient during this process and know that our team is doing our best to help you teardown and load out as quickly as possible on Sunday evening. Most exhibits can completely teardown and load out on Sunday evening. Larger teardowns or exhibits requiring heavy equipment for loading will need to make arrangements for a Monday load out, but will still pack up as completely as possible on Sunday.

Recycling & Disposal You must clear your exhibit area completely by your departure. Please do not leave exhibit materials, promotional materials, furniture, etc. Plan ahead for your exit strategy to ensure you can properly dispose of your materials, and consider reducing unnecessary waste when designing your booth. General trash and recycling receptacles will be available. Please use recycling stations for aluminum cans, plastic bottles and cups, glass bottles and jars, all types of clean paper, plastic containers # 1 thru # 7, steel and scrap metal, and packing materials. At this time we cannot recycle plastic bags, Styrofoam, or plastic utensils. There will also be an area for corrugated cardboard. Please break down all cardboard for easy stacking and transporting. Additionally, compost bins will be available for all food items. Recycling stations will be located throughout the grounds, and we ask that you do not separate the bins from each other. If you have any special items you need assistance disposing or donating, please see the online Resource Center for resources about sustainable disposal in the area. You must plan for proper disposal ahead of time and let the Maker Faire team know if you will require assistance. Failure to completely dispose of your exhibits items will result in a fine.

Load Out Process Vehicle Access: Vehicles will not be allowed to line up outside the gates until after 6:00 pm on Sunday and will not be able to enter the show site until the public has vacated the grounds, and the San Mateo Event Center determines it is safe to do so. Dr ive On Site Loadin g: Personal vehicles and pickups not requiring heavy equipment may drive up to the booth space and load exhibit materials prior to 9:00pm. Return of Empties: There will be a lapse of time between the end of the show and the return of your empties, and between the completion of packing and actual pickup of materials. Please plan accordingly. Monday Load O ut: If your teardown will require more time or loading requires heavy equipment, please plan in advance to load out on Monday after 9:00am. Teardown and pack up your booth on Sunday evening. The San Mateo Event Center and Maker Faire will not be held responsible for any items left at the site without shipping or pickup arrangements or after Tuesday, May 19th, and do not take responsibility for shipping items or storing them after the show ends, unless previously arranged.

Exhibit Planning Maker Faire is not your standard trade show environment. It is an action-packed festival and an interactive maze of demonstrations, exhibits, and workshops, where attendees can explore, play, and learn. We try to keep the show environmentally friendly and simple in design. We recommend keeping your booth decoration costs low and focusing on interactive, hands-on, and engaging activities and displays.

Booth Guidelines Size & Heig ht Restr ict ions: Design, height, and signage cannot exceed 8 feet in height unless approved in advance. Booth footprint cannot exceed size agreed upon in contract and exhibit materials may not reside outside of booth space. Pop-up tents or similar are not allowed inside the exhibit hall. Sig nage: Signage may not exceed the size, in either height or width, of allocated booth space and may not extend outside of booth space or impede any walkways. Signage may not be hung from the ceiling without prior approval. Chain link fencing between booths is a great place to hang signs. Layout Approval: You are required to provide a booth layout prior to the show, indicating height, signage, electrical drops, and furniture, by May 1. Sustainabil i ty : Please consider the environment when planning your booth build out and activities. Use reusable and recyclable materials where possible. Have an exit strategy for load-out to ensure proper disposal of all materials. Food & Beverage Policies: Food and beverage may not be sold or given away without first obtaining a health permit. The health permit application must be submitted by the sponsor company by April 3. Check the online Resource Center for forms.

Booth Space Sponsorship packages include floor space only. Maker Faire partners with preferred vendors to provide electrical, internet, furniture rentals, and booth build outs. You will be notified of your final placement two weeks before the event, at which time you will receive your official booth number and event map. Booth numbers are not needed in ordering forms; use the sponsor company name in place. Only the company listed on the contract under “Company Name” may exhibit in the booth space and display signage and marketing materials.

Sustainabil ity It is a priority for Maker Faire to reduce the environmental impact of all aspects of production, particularly in regards to recycling and reusing materials at the event. We ask that sponsors design and build their booths with a sustainability plan in mind, including sourcing and disposal. Limit your disposable and paper giveaways, use recyclable materials in your booth displays, and create options for reusing your materials. If there are items you need to recycle or donate after the event, reference our list of local resources for disposing of different materials. Should you require assistance in securing an agency for donating reusable items including but not limited to furniture, foam core, building materials, fabric, batteries, electronics, please contact [email protected]. Failure to have a sustainable exit that leaves materials behind will result in a fine.

Booth Services All booth services need to be ordered by the appropriate deadlines, including Internet connection, electrical drops, and booth items, such as furniture. Please keep in mind that late orders and on-site requests cannot be guaranteed and are subject to additional fees.

Booth Security Maker Faire will have roaming perimeter security guards on-site 24 hours a day. If you have additional security needs for your booth, hourly security is available to order through the form on the online Resource Center. Maker Media, Inc. and the San Mateo Event Center will not be held responsible for lost or damaged property at any time. You are urged to maintain full insurance coverage for loss of your property. Deadline for ordering: May 1

Internet Connectivity If your booth activities rely on Internet connectivity, it is essential that you order the necessary services ahead of time. The Internet order form can be found on the online Resource Center. Maker Faire is a very “busy” environment but our experienced technical team will be able to best set up and troubleshoot your network needs. Late and on-site requests may be unavailable and are subject to additional fees. A public Wi-Fi network is made available for attendees, but is unreliable for sustained booth activities due to high traffic and interference. Deadline for ordering: April 24

Electrical Services Edlen Electrical is the provider of all electrical services. All exhibit power needs must be ordered through the Edlen order form found on the online Resource Center. All power needs must be ordered ahead of time and on-site power requests cannot be guaranteed. Please bring or rent surge protectors and extension cords. Electrical drops will be located at the back of a booth space, unless specified with Edlen and are often shared with a neighboring booth. Deadline for ordering: May 2

A/V Rentals A/V equipment can be rented directly through our vendor Event Technology Services through the order form on the online Resource Center. Deadline for ordering: April 24

Rental & Booth Activation Services We partner with Rossi Exposition for all furniture and equipment rental needs. Rossi can also work with your company to help design and build a custom booth. Each sponsor main contact will receive a welcome email with a login to view the Rossi online ordering website. Deadline for ordering: May 12

Storage There is very limited private storage space onsite for product or supplies and all spaces are located at a distance from the booth spaces. Wherever possible we suggest storing items in your booth. Rossi Expositions has booth storage solutions available for order. Contact us to inquire about special needs.

Booth Cleaning & Janitorial Services The cleaning crew will complete a clean sweep of the aisles after 9:00 pm on Friday and Saturday night. Do not leave items in the aisles, or they may be mistaken for trash. Please consolidate garbage into larger bags when possible. We recycle. Please note that the janitorial crew will not enter your exhibit area to clean. If you would like your booth cleaned, you can order cleaning services through Rossi Expositions.

Attending Maker Faire Complimentary Attendee Tickets Complimentary one-day attendee tickets will be mailed to you prior to the event, to share with customers, clients, employees, and friends*. Attendees must have these tickets in-hand upon arrival to enter the event and they must enter through the main gate public ticket entrance. There are two types of attendee tickets: Friday@Maker Faire one-day tickets and Saturday or Sunday one-day tickets. Please make sure to mail your guests their tickets ahead of time. *Tickets will be mailed to the address listed on the sponsorship contract. International companies will receive an online link via email and tickets must be printed out before arrival.

Packing Tips You are responsible for bringing any supplies needed during the show. We recommend bringing any of the following (if applicable to your exhibit) to Maker Faire: Comfortable shoes, a jacket for cool early mornings and evenings, a hat and sunscreen, light rain gear, tarps and containers to protect product/equipment in case of rain, device chargers, extra marketing materials, shipping information (account number and shipping labels), pens, packing materials/tape, duct tape, zip ties, scissors, extra boxes, cleaning supplies and paper towels, extension cords and surge protectors, a camera, a water bottle, snacks, hand sanitizer, chap stick, a copy of this manual, and anything else you may require for yourself or your booth over a busy weekend. Please note: there are no printing or computer services available on-site. Make sure to print any shipping information ahead of time.

Weather The average high temperature in the Bay Area this time of year is 74° F, but it can get chilly in the morning and at night. The weather in previous Maker Faire years was clear, warm, and sunny. In the case of rain, the show will go on!

Food and Refreshments On-Site No outside food or beverages are permitted based on the rules of the Event Center. Concession stands will be open during the show and the cafeteria will be open for setup on Thursday. A Maker Lounge will be available for all sponsors and staff to avoid regular concessionaire food lines, to relax, and to purchase food and beverages more quickly. A menu with prices will be available online at the online Resource Center closer to the show and on-site. Exhibitors are not permitted to sell or give away food or beverage items without permission and obtaining a health permit ahead of time.

F irst Aid, Emergency, & Evacuation First Aid Facilities: An EMT will be on-site Thursday through Sunday during Maker Faire setup and show hours. First Aid Services will be available at the First Aid Tent located on the event map on the printed program guide and mobile app. There will be signage to direct you to First Aid. This is also where our Emergency Medical Technician (EMT) will be stationed. Emergency: In the event of a medical emergency, notify the production crew, security personnel, or anyone with a radio or walkie-talkie. They will contact the on-site EMT personnel, who have a direct line to the San Mateo Response Dispatch. If someone dials 911 from their cell phone, the above procedure still needs to be followed for the best possible care, as this will expedite the response of medical assistance. Evacuation: Should the need to evacuate arise, staff and visitors will be notified by Security Personnel. Stay calm. Immediately stop any demonstrations or presentations. Do not try to dismantle your exhibit. Even if you cannot see any obvious reason for the alarm calmly make your way to the nearest exit, encouraging others to follow you outside. Once outside, move away from buildings and keep emergency access routes clear. When the necessary authorities deem it safe to reenter the buildings and facility, sponsors will be granted access prior to members of the public.

Safety Regulations

Activ ity Wristbands All Maker Faire attendees who would like to participate in any interactive activity at Maker Faire will be asked to read and sign a waiver to receive an Activity Wristband. If your exhibit has such an activity, please make certain that each attendee is wearing a safety band prior to joining. Please direct attendees to the nearest activity wristband stations or information booths to obtain a wristband. If you have a large interactive activity that will require a activity wristband, please let us know ahead of time and we can provide a activity wristband kit for your booth. F ire & Safety Note: The following are industry standard rules that require full compliance. Please make yourself aware of the regulations before attending the event. Fire Hazard Notification & Special Permits: As a sponsor, if you intend to display, operate, or use any of these items shown below, you must obtain prior approval from the Maker Faire Production Team:

If any of these conditions will be present in your booth space, a Safety Plan form must be submitted prior to exhibit approval. The San Mateo Fire Marshall reserves the right to make any final decision regarding the layouts and floor plans and has the authority to close down and/or fine any exhibit not in compliance. Exit and Aisles: Aisles must be kept clear of all displays and equipment. Entrance and exit doors shall remain unobstructed at all times. Fire extinguishers and fire-hose cabinets shall remain visible and accessible at all times. Electrical Devices: All electrical devices with three-wire supply cords shall utilize “UL” ground receptacles. All electrical extension cords must be of heavy-duty three-wire construction. All power cords must be kept behind the display with nothing placed on top of any cords.

F ire & Safety (continued) Electrical/Fireproofing: The fire department has strict regulations governing trade shows. All electrical wiring must conform to National Electrical Code Safety Rules. In addition, all draperies, decorations, and materials must be Flameproof in accordance with local fire codes. Materials may be inspected and/or tested by the Fire Marshall at any time. Hazardous Materials: Hazardous materials must be disclosed. All hazardous materials must be properly disposed of. Materials such as grout, mortar, tape compound, etc. cannot be poured down the facility drains. All building materials, supplies, etc. must be taken away after teardown. The facility will not accept dumped building materials or electronic waste; you are responsible for the removal of these items. Propane and Helium: Both will not be permitted without prior review and approval. Combustibles Kept Outside: Additional supplies and inventory must be kept in closed containers and stored in a neat and compact manner. Exhibit storage, cartons and crates, combustible waste materials, empty cardboard boxes, etc. must be removed from the building and cannot be stored behind the back drapes or display wall. The Maker Faire Production Team will ensure that adequate janitorial and rubbish pickup service (outside of your booth) is performed daily. Indoor Display Vehicles and Motorized Display Items: Fuel level must not exceed � tank and must be less than 3 gallons. Vehicles/items must be inspected and approved before entering the exhibit building. Once located inside the exhibit space, the negative battery terminal must be disconnected, and the fuel tank cap must be taped or locked. Child Safety: Maker Faire is a family event. We appreciate your assistance in keeping Maker Faire a safe environment for the children attending. For safety purposes, all children under the age of 15 must be supervised at all times during set-up or teardown hours. During Maker Faire, if your exhibit has hazardous materials or has elements of concern, please take the time to inform parents and children of safe practices for your exhibit. Pets: For the safety and well being of our four-legged friends, please leave your pets at home. There are loud noises, many moveable parts, fire elements, and large crowds, all of which do not create a safe environment for pets. Precautions: The potential of theft and disappearance of items can be greatly reduced if a few simple precautions are taken:

o Do not leave purses, laptops, cell phones, or any easily portable items unattended at any time in your exhibit area.

o Avoid leaving any small items of significant value in your booth overnight. o If possible, cover your display with a flameproof drop cloth overnight. o Run wire or cable through as many items as possible and lock at night. o A solidly constructed, lockable trunk provides security and storage for small items. o Report any suspicious person or theft in the building or on the grounds immediately to the

Maker Faire Show Office or Staff, and Security Officers will be notified and an incident report filed, if applicable.

o Lock valuables in the trunk of the car, where they are not visible. o Travel in pairs at night. o Ask your hotel for a safe deposit box to store your valuables. o If you are demonstrating a valuable piece of equipment, please remove it from your booth

each evening.

We want to thank you for your cooperation in complying with the rules of the San Mateo Event Center. If you have any questions regarding the following rules, please feel free to contact us. Building Regulations: In accordance with restrictions imposed by the Event Center, the following rules must be adhered to:

No drilling of holes, attaching to or painting of the floor, or any other defacement to floors or walls. When such damage occurs, the Sponsor is solely responsible and is liable to the owner of the property so damaged. Signage and/or decorations may not be taped, nailed, tacked, stapled, or otherwise fastened to any wall, ceiling, column, stone, window, drape, or painted surface in any area inside the building or on the premise without advance permission. Please do not insert stakes in the ground, as it could be costly and dangerous. There is wire underground that will be damaged if stakes are used. Alterations shall not be made to the buildings, grounds, or parking lots. Temporary changes such as the installation or removal of fences, removal or trimming of trees, painting, or equipment relocation are prohibited. Event Production reserves the right to restrict exhibits, displays, demonstrations, presentations, or workshops that become objectionable because of noise, method of operations, materials, safety, or any other reason. Sufficient space must be provided within the booth for the comfort and safety of persons watching exhibits, demonstrations, displays, or workshops.

No food or beverage may be offered or displayed as part of exhibit, demonstration, presentation, or workshop. No exits, fire fighting equipment, or emergency equipment may be blocked or obstructed under any circumstances. Compliance with Americans with Disabilities Act (ADA) is a legal requirement for public facilities. This law became effective in January 1992. It requires access for disabled persons at convention centers, and as necessity follows, floor exhibits. Every participant, employee, agent, or contractor connected with the Permitted use of the premises shall abide by, conform to, and comply with all the laws of the United States, the State of California, as well as the ordinances of the City of San Mateo and all rules and regulations of the Police and Fire Departments of the City of San Mateo, and the County of San Mateo. Permitted agrees that he/she will not permit violation or breach of peace to occur either on his/her part, or by anyone employed by him/her or anyone admitted to the premises by him/her Permitted shall conduct activities upon the premises so as not to endanger or harm any person, property, or the environment. For purposes of this paragraph, the term “premises” shall include all the San Mateo Event Center property, including the parking lot, entrance ways, ticket booth areas, and other areas used by Permitted or its employees, contractors, agents, members, or guests.
