This is not your standard tradeshow environment! Part science fair, part county fair, and part something entirely new, Maker Faire, launched in 2006, is an all-ages gathering of tech enthusiasts, crafters, educators, tinkerers, hobbyists, engineers, science clubs, authors, artists, students, and commercial exhibitors. All of these “makers” come to Maker Faire to show what they have made and to share what they have learned.

Important Booth Planning Tips

o Resources and online ordering are available on the Resource Center: makerfaire.com/new-york-2015/sponsor-resources

o Email communications with important updates and reminders are sent regularly

o All booth services, including electrical, furniture, Internet, storage, and material handling,

must be ordered through Maker Media and vendor partners by the deadlines listed.

o Maker Faire is a primarily outdoor event. Booths are located under festival style tents.

o Booth locations are not shared until 2-3 weeks prior to the event. Booth numbers are not used publicly; the Maker Faire mobile app is the primary tool for finding specific exhibits.

o Freight pickups and load outs requiring a forklift are not allowed on Sunday evening teardown.

o You are responsible for providing any tools and supplies needed during the show. Please do not

leave any items behind, including furniture, product, or packing materials.

Air Travel Nearby Airports are LaGuardia Airport and John F. Kennedy International Airport.

Transportation There is no onsite parking at Maker Faire. For complete driving and public transportation directions, please visit the Resource Center link “Getting to Maker Faire.” Driving Directions Vehicle entrance at the New York Hall of Science for set-up, unloading, and shipments, is 47-01 111th Street, Queens, NY 11368-2950. Public Transportation We strongly suggest you share rides or take alternative transportation instead of driving. You can get to Maker Faire by bus, subway, train, bike, or rideshares.

Parking All sponsor and public parking is off-site in the Southfield Lot at Citi Field during set-up and over the weekend. Refer to the Resource Center “Getting to Maker Faire” for driving directions. Weekend Parking A one-day parking pass can be picked up at Sponsor Check-In, and additional day passes can be purchased at Citi Field. A free shuttle runs continuously between Citi Field and Maker Faire Friday through Sunday. There are no in/outs. Set-Up Parking Vehicles may enter the event site during set-up to unload only. After unloading, park in Citi Field, then return by the shuttle to set up.

Travel, Directions, & Parking Hotel Accommodations Maker Faire partners with select hotels near the event site to provide discounted pricing for sponsors. Please make your hotel reservations as soon as possible as rooms fill very quickly. To view the hotel options and make your reservation, visit the Resource Center link “Where to Stay.”

Set-Up and Load-In Hours Thursday, September 24th By appointment

Earlier setup times for larger booth activations can be made by prior appointment. Vehicle access to the grounds on Saturday & Sunday will close at 9:00am. All vehicles must be off the grounds by 9:30am.

Load-In & Check-In

Load-In Process Drive On Site: To personally unload your exhibit materials at your booth space:

o Pick up your site maps and staff credential at the Sponsor Check-In desk at the 111th St. entrance. o Obtain a Temporary Unloading Pass from security personnel at the Gate entrance. Write your cell

phone number on the permit and display on the dash. Drive on to the grounds slowly and safely. o Quickly unload your materials as close as possible to your booth. Before setting up, immediately

move your vehicle to the Citi Field parking lot. Shipm ents and Deliveries: Shipping and delivery drivers can enter at the 111th Street entrance and drive to Shipping & Receiving. SLI Freight must be notified of all shipments and deliveries to schedule a delivery window and material handling. Un loading Assistance: If a forklift is required to unload your exhibit materials, material handling will be charged and should be arranged in advance through SLI Freight. Personal vehicles may be unloaded by hand. A limited number of dollies are available first-come, first-serve at the main Check-In desk.

Check-In Process and Staff Passes Staff setting up and/or working in the booth must obtain and bring a Staff Pass in advance to receive their credentials on-site. A link to register for passes will be emailed prior to the event. Sponsor Check-In A map locating Sponsor Check-In will be emailed prior to the show. Sponsor Check In will be open during listed set up and show time hours. All staff should visit Sponsor Check-In to receive their map and credentials when they first arrive on-site. Staf f Passes & Credentials Please register all staff in advance of the event via the emailed EventBrite link. Staff must bring their individual registration pass (printed or on a mobile device) to Sponsor Check-In upon arrival on-site to receive credentials. Please wear identification credentials and the entrance wristband at all times. Sponsors receive a specific number of staff passes, depending on the sponsorship level. Staff passes are only for those setting up or actively working in the booth. Passes are not name specific and may be transferred, but can only be used by one individual. Please contact us if your staff exceeds the number of passes allocated, or if you have a large number of volunteer shifts throughout the weekend.

Maker Faire is not your standard trade show environment. It is an action-packed festival and an interactive maze of demonstrations, exhibits, and workshops, where attendees can explore, play, and learn. We try to keep the show environmentally friendly and simple in design. You will be assigned a booth space and have the freedom to creatively “Make” your exhibit. We recommend keeping your booth decoration costs low and focusing on interactive, hands-on, and engaging activities and displays.

Exhibit Planning

Booth Space Maker Faire New York is a primarily outdoor event. All booths are underneath large festival tents on asphalt or grass with other exhibitors. The Maker Faire Production Team carefully curates the overall layout of the show.

o You will be notified of your final placement two weeks before the event, at which time you will receive your official booth number and event map. Booth numbers are not shared publicly with attendees; the Maker Faire mobile app is the primary tool for locating booths.

o Sponsorship packages include floor space only. Maker Faire partners with preferred vendors to provide electrical, Internet, furniture rentals, and booth build outs.

o Only the company listed on the contract under “Company Name” may display branding,

signage, and marketing materials.

Booth Guidelines Size & Heig ht Restr ict ions: Booth materials cannot exceed 7 feet in height unless approved in advance due to tent heights. Booth footprint cannot exceed size agreed upon in contract and exhibit materials may not reside outside of booth space. Sig nage: Signage may not exceed the size, in either height or width, of allocated booth space and may not extend outside of booth space or impede any walkways. Signage may not be hung from the tents without prior approval. Chain link fencing provided between booths is a great place to hang signs. Layout Approval: Booths larger than 10x10 are required to provide a booth layout prior to the show, indicating height, signage, electrical drops, and furniture, by September 4th. Sustainabil i ty : Please consider the environment when planning your booth build out and activities. Use reusable and recyclable materials where possible. Have an exit strategy for load-out to ensure proper disposal of all materials. Food & Beverage Policies: Food and beverages may not be sold or given away without first obtaining a health permit. New York City requires the health permit be filed at their office in person prior to the show.

Booth Design and Activation Sponsorship booths are space only, outside and under a festival tent. All furniture and booth services must be arranged in advance. Production Glue Services Maker Faire partners with Production Glue, a production and design house based in New York, to provide services including booth design, builds, specialty or custom furniture, flooring, graphics, and A/V equipment. Online Order Form Orders or changes after the deadline are subject to up to a 50% late fee. Onsite requests are subject to availability and additional charges. The online order forms are available on the Resource Center. You will be prompted to create a login. You may save your progress or resubmit if changes are needed, but a completed form must be submitted by the deadline. A confirmation email will be sent upon submission and an invoice from Maker Media will be emailed to the address provided within 1 week of submission. Payment must be made prior to the event. Fu rniture Rentals: Ordering Deadline: September 3rd A variety of basic furniture and equipment rentals are available to order online. Furniture will be dropped in your booth prior to your arrival, but all linens must be picked up at the Sponsor Service Center. If you are missing items onsite, please let us know. Do not take other furniture in the area. Electrical Services: Ordering Deadline: September 3rd All power needs must be ordered ahead of time and on-site power requests cannot be guaranteed. Please bring your own surge protectors and order or bring extension cords. Electrical drops will be located at the back of a booth space and sometimes are on the other side of the fence. Electricity is turned on within 30 minutes of show opening and off within 30 minutes of show closing, and will be on and off on setup days. If you require electricity outside of these times, please contact us in advance. Security: Ordering Deadline: September 3rd

Maker Faire will have roaming perimeter security guards on-site 24 hours a day. If you have additional security needs for your booth, hourly security is available to order online.

Maker Media, Inc. and the New York Hall of Science will not be held responsible for lost or damaged property at any time. You are urged to maintain full insurance coverage for loss of your property and take valuables off site overnight.

Ordering Booth Services Booth services must be ordered through our online forms by the deadline, including Internet connection, electrical drops, and basic booth furniture. Production Glue can assist with sourcing items not included in the order form. Please keep in mind that late orders and on-site requests cannot be guaranteed and are subject to additional fees.

Additional Orders To order Internet or A/V, please see the separate ordering process and deadlines below. Internet Access: Deadline August 25th If your booth activities require Internet connectivity, it is essential that you order dedicated Internet services. Maker Faire is a challenging environment to provide Internet, especially over WiFi, and our experienced technical team can best set up and troubleshoot your network needs to mitigate interference. A public Wi-Fi network is made available for attendees, but is unreliable for booth activities. Late requests may be unavailable, so please plan ahead. Internet is available during public show hours of the event, and we cannot guarantee access during set-up hours. If you require Internet outside of these times, please contact us in advance. To provide the best set-up, please provide a booth layout indicating height of any structures. If you have issues with the network during the show, you must put in a request at the Sponsor Services Desk for our technicians to assist. Find the Internet order form online at the Resource Center.

Inbound Shipping, Material Handling & Storage SLI Freight, Inc. Maker Faire has partnered with SLI Freight to provide complete logistics services for domestic and international shipments, as well as on-site material handling and storage. SLI’s services encompass all steps required for safe and timely delivery of shipments to the show site, and back to origin or the next show. We highly recommend having SLI handle your complete shipping needs, but if you choose to use your own carrier, you must still schedule a delivery window, material handling, and storage with SLI Freight. Inbound Shipments & Deliveries Shipments can be sent to the Advance Warehouse, or direct to Show Site by following dates and instructions below. Not following procedures can result in lost packages or late delivery, and unanticipated items received will incur higher material handling fees. For pricing, shipping labels, and forms, see the SLI Shipping Kit at the Resource Center. Shipping by Own Carrier: Shipments can be sent to the Advance Warehouse or Show Site to arrive only during the dates below and using the shipping labels provided in the SLI Shipping Kit. Delivery window and material handling must be scheduled in advance with SLI Freight. Tips for Shipments and Deliveries

o Ship to the Advance Warehouse to ensure your materials are at the show site when you arrive. o Have deliveries made prior to setup, on September 23rd and 24th, to avoid waiting. o Consolidate boxes on a single pallet and use provided labels with sponsor name on all pieces. o Bring shipping materials and labels for outbound shipping.

Material Handling and Storage All shipments and deliveries requiring unloading, delivery to booth, and/or storage of empties will incur material handling fees, and must be arranged with SLI in advance. Personal vehicles not requiring unloading assistance or storage will not incur fees. Accessible storage for product, swag, etc. is extremely limited and all spaces are located at a distance from the booths. Wherever possible we suggest storing items in your booth. Please contact us if you need additional storage.

Outbound Shipments All outgoing shipments must arrange a pick-up window with SLI Freight for Monday, September 28th. No trucks will be allowed to pickup on Sunday evening. Monday pick-up windows: 9am-11am, 11am-1pm, 1pm-3pm, 3pm-5pm Outbound by own Carrier:

o All packages must be properly sealed, labeled, and accompanied by a Bill of Lading, which can be picked up only on Sunday afternoon at the Sponsor Service Desk.

o You must print or bring your own labels and packing slips prior to arriving onsite. o You must make arrangements with your carrier (FedEx, UPS, etc.) to pickup on Monday

during the pick-up window assigned by SLI. o Leave your completely packaged and labeled shipments in your booth space for pick-up.

SLI Freight Outbound Shipments:

o You do not need a Bill of Lading as the SLI staff onsite will handle all of your arrangements! o Leave your completely packaged and labeled shipments in your booth space.

Teardown & Load Out Hours Sunday, September 27th 6:30pm – 9:00pm No freight pickups or forklifts

Monday, September 28th 9:30am – 3:00pm By prior arrangement

Outbound Shipping, Teardown & Load Out

Recycling & Disposal You must clear your exhibit area of materials completely by your departure. Please do not leave behind exhibit materials, promotional materials, furniture, etc. Plan ahead for your exit strategy to ensure you can properly dispose of your materials, and consider reducing unnecessary waste when designing your booth. Please break down all cardboard and stack in your booth. General trash and recycling receptacles will be available. Failure to completely dispose of your exhibit items will result in a fine. If you have any special items you need assistance disposing or donating, please see the online Resource Center for resources about sustainable disposal in the area. You must plan for proper disposal ahead of time and let the Maker Faire team know if you will require assistance.

Load Out Process Booth Teardown: Teardown and load-out will begin Sunday evening when all attendees are off the grounds. The site closes at 9:00pm. Teardowns requiring more time or load-outs requiring a forklift should be arranged for Monday. Early teardowns or exits are not allowed. Return of Empties: There will be a lapse of time between the end of the show and the return of your empties of at least 45 minutes. Priority is given to those with advance arrangements made with SLI. Vehicle Access: Personal vehicles will not be allowed to line up outside the gates until after 6:00 pm on Sunday and will not be able to enter the show site until the public has vacated the grounds. Freight trucks will not be allowed to enter due to congestion; all shipments must be picked up on Monday. All vehicles must be off the grounds by 9:00pm. Monday Load O ut: If your teardown will require more time or loading requires heavy equipment, please plan in advance to load out on Monday after 9:00am. Teardown and pack up your booth as much as possible on Sunday evening. Roaming security will be onsite and dedicated security is available.

Attending Maker Faire Complimentary Attendee Tickets Complimentary one-day attendee tickets will be mailed prior to the event, to share with customers, clients, employees, and friends*. Attendees must have these tickets in-hand upon arrival to enter the event and they must enter through the main gate public ticket entrances. Attendee tickets cannot be accepted at Sponsor Check-In. *Tickets will be mailed to the address listed on the sponsorship contract. International companies will receive an online link via email and tickets must be printed out before arrival.

Weather The average high temperature in New York this time of year is 76° F, but prone to sudden rainstorm. In the case of rain, the show will go on, so please prepare yourself and your booth in case of wind and rain. (See Packing Tips.) We recommend taking valuables out of the booth at night and securely covering items in case of overnight storms.

Food and Refreshments On-Site A Maker Lounge will be available for all sponsors and staff to avoid regular concessionaire food lines, to relax, and to purchase food and beverages more quickly. A menu with prices will be available at Sponsor Check-In. Exhibitors are not permitted to sell or give away food or beverage items without permission and obtaining a health permit ahead of time.

Packing Tips You are responsible for providing any supplies needed during the show. We recommend bringing any of the following to Maker Faire: Tarps and containers to protect product/equipment in case of rain, packing materials/tape, shipping labels, comfortable shoes, light rain gear, a hat and sunscreen, device chargers, extra marketing materials, pens, duct tape, zip ties, scissors, extra boxes, cleaning supplies and paper towels, extension cords and surge protectors, a camera, a water bottle, snacks, hand sanitizer, chap stick, a copy of this manual, and anything else you may require for yourself or your booth over a busy weekend. Please note: there are no printing or computer services available on-site. Make sure to print any shipping information ahead of time.

Certif icate of Insurance Please provide proof of coverage through event dates. Complete Certificate of Insurance requirements are available on the Resource Center.

Mobile App Deadline for Entry Submission: August 15th

Attendees download and use our Maker Faire mobile app (iOS & Android) to explore and find exhibitors and review schedules. Please provide booth information and company logo for the mobile app entry by completing the Mobile App entry form available on the Resource Center. This information will also be included on makerfaire.com leading up to the show. Download the app from the Maker Faire website closer to the event.

Safety Regulations

First Aid, Emergency, & Evacuation First Aid Facilities: An EMT will be on-site Thursday through Sunday during Maker Faire setup and show hours. First Aid Services will be available at the First Aid Tent located on the event map on the printed program guide and mobile app. There will be signage to direct you to First Aid. This is also where our Emergency Medical Technician (EMT) will be stationed. Emergency: In the event of a medical emergency, notify the production crew, security personnel, or anyone with a radio or walkie-talkie. They will contact the on-site EMT personnel, who have a direct line to the San Mateo Response Dispatch. If someone dials 911 from their cell phone, the above procedure still needs to be followed for the best possible care, as this will expedite the response of medical assistance. Evacuation: Should the need to evacuate arise, staff and visitors will be notified by Security Personnel. Stay calm. Immediately stop any demonstrations or presentations. Do not try to dismantle your exhibit. Even if you cannot see any obvious reason for the alarm calmly make your way to the nearest exit, encouraging others to follow you outside. Once outside, move away from buildings and keep emergency access routes clear. When the necessary authorities deem it safe to reenter the buildings and facility, sponsors will be granted access prior to members of the public.

F ire & Safety Note: The following are industry standard rules that require full compliance. Please make yourself aware of the regulations before attending the event. Fire Hazard Notification & Special Permits: As a sponsor, if you intend to display, operate, or use any of these items shown below, you must obtain prior approval from the Maker Faire Production Team:

• Heat-producing or open-flame devices, candles, lamps, etc. • Electrical, mechanical, or chemical device deemed hazardous by the Fire Department • Internal-combustion engines • Flammable liquids, any sort of compressed gas, or dangerous chemicals

If any of these conditions will be present in your booth space, a Safety Plan form must be submitted prior to exhibit approval. The New York Fire Marshall reserves the right to make any final decision regarding the layouts and floor plans and has the authority to close down and/or fine any exhibit not in compliance. Exit and Aisles: Aisles must be kept clear of all displays and equipment. Entrance and exit doors shall remain unobstructed at all times. Fire extinguishers and fire-hose cabinets shall remain visible and accessible at all times. Electrical Devices: All electrical devices with three-wire supply cords shall utilize “UL” ground receptacles. All electrical extension cords must be of heavy-duty three-wire construction. All power cords must be kept behind the display with nothing placed on top of any cords.

Activ ity Wristbands All Maker Faire attendees who would like to participate in any interactive activity at Maker Faire will be asked to read and sign a waiver to receive an Activity Wristband. If your exhibit has such an activity, please make certain that each attendee is wearing a safety band prior to joining. Please direct attendees to the nearest activity wristband stations or information booths to obtain a wristband. If you have a large interactive activity that will require a activity wristband, you can request a kit to keep at your booth.

Fire & Safety (continued) Electrical/Fireproofing: The fire department has strict regulations governing trade shows. All electrical wiring must conform to National Electrical Code Safety Rules. In addition, all draperies, decorations, and materials must be Flameproof in accordance with local fire codes. Materials may be inspected and/or tested by the Fire Marshall at any time. Hazardous Materials: Hazardous materials must be disclosed. All hazardous materials must be properly disposed of. Materials such as grout, mortar, tape compound, etc. cannot be poured down the facility drains. All building materials, supplies, etc. must be taken away after teardown. The facility will not accept dumped building materials or electronic waste; you are responsible for the removal of these items. Propane and Helium: Both will not be permitted without prior review and approval. Combustibles Kept Outside: Additional supplies and inventory must be kept in closed containers and stored in a neat and compact manner. Exhibit storage, cartons and crates, combustible waste materials, empty cardboard boxes, etc. must be removed from the building and cannot be stored behind the back drapes or display wall. The Maker Faire Production Team will ensure that adequate janitorial and rubbish pickup service (outside of your booth) is performed daily. Indoor Display Vehicles and Motorized Display Items: Fuel level must not exceed � tank and must be less than 3 gallons. Vehicles/items must be inspected and approved before entering the exhibit building. Once located inside the exhibit space, the negative battery terminal must be disconnected, and the fuel tank cap must be taped or locked. Child Safety: Maker Faire is a family event. We appreciate your assistance in keeping Maker Faire a safe environment for the children attending. For safety purposes, all children under the age of 15 must be supervised at all times during set-up or teardown hours. During Maker Faire, if your exhibit has hazardous materials or has elements of concern, please take the time to inform parents and children of safe practices for your exhibit. Pets: For the safety and well being of our four-legged friends, please leave your pets at home. There are loud noises, many moveable parts, fire elements, and large crowds, all of which do not create a safe environment for pets. Precautions: The potential of theft and disappearance of items can be greatly reduced if a few simple precautions are taken:

o Do not leave purses, laptops, cell phones, or any easily portable items unattended at any time in your exhibit area.

o Avoid leaving any small items of significant value in your booth overnight. o If possible, cover your display with a flameproof drop cloth overnight. o Run wire or cable through as many items as possible and lock at night. o A solidly constructed, lockable trunk provides security and storage for small items. o Report any suspicious person or theft in the building or on the grounds immediately to the

Maker Faire Show Office or Staff, and Security Officers will be notified and an incident report filed, if applicable.

o Lock valuables in the trunk of the car, where they are not visible. o Travel in pairs at night. o Ask your hotel for a safe deposit box to store your valuables. o If you are demonstrating a valuable piece of equipment, please remove it from your booth

each evening.

Rules & Regulations The Agreement As guests at the New York Hall of Science and the local area, we must abide by all regulations of a public facility. These are designated primarily to ensure public safety, and we thank you for your cooperation in complying with these rules and regulations. Building Regulations - In accordance with restrictions imposed by the Hall, the following regulations must be adhered to:

• No drilling of holes, attaching to, or painting of the floor, or any other defacement to floors or walls. When such damage occurs, the maker is solely responsible and is liable to the owner of the property so damaged.

• Signage and/or decorations may not be taped, nailed, tacked, stapled, or otherwise fastened to any wall, ceiling, column, stone, window, drape, or painted surface in any area inside the building or on the premise without advance permission.

• Please do not insert stakes in the ground without specific permission, as it could be costly and dangerous. There may be wire underground that will be damaged.

• Management reserves the right to restrict exhibits, displays, demonstrations, presentations, or workshops that become objectionable because of noise, method of operations, materials, safety, or any other reason.

• Food Makers need to comply with all Health

Code Regulations and cannot serve samples unless arrangements have been made for permission to do so. In addition, it will be required to list all ingredients of your samples to advise attendees with food sensitivities.

• No exits, fire-fighting equipment, or

emergency equipment may be blocked or obstructed under any circumstances.

• Compliance with Americans with Disabilities Act (ADA) is a legal requirement for public facilities. This law became effective in January 1992. It requires access for disabled persons. A Guide to the Disability Rights Laws can be found at http://www.usdoj.gov/crt/ada/cguide.pdf

• Sufficient space must be provided within the booth for the comfort and safety of persons watching exhibits, demonstrations, displays, or workshops.

• Every participant, employee, agent, or contractor connected with the use of the premises shall abide by, conform to, and comply with all the laws of the United States, the State of New York, as well as the ordinances of the City of New York. Make no violation or breach of peace. Do not endanger or harm any person, property, or the environment, to include all of the Hall, including the parking lot, entrance ways, ticket booth areas, and other areas used by Maker Faire or its employees, contractors, agents, members, or guests. All should ensure that no illegal or immoral activity or any other activity that may reflect adversely on the Hall or that may result in the termination of the Hall’s insurance, the compromise of any right of recovery by the Hall, or an increase in insurance premiums of the Hall takes place.
