1. BI Launch Pad Basics

Logging In

1. Double-click on the Icon Located on your Desktop. The BI Launch Pad login window will appear.

2. In the User name and Password fields, enter your logon credentials.

3. Click Log On.

4. Once you have logged on successfully the BI Launch Pad home page appears a screen similar to the one below:

You can choose any home tab as your default view. Please see the Setting Preferences section for more information

BI Launch Pad Home Screen

1. The header panel displays the name of the user account that is logged on to BI launch pad and provides access to the following menus:

a) Home: Use to access the applications that plug in to BI launch pad, such as BI workspace. The applications that you can access depend on your access rights and license.

b) Documents: Use to navigate to all the reports that you have access to.

c) Applications: provides quick access to the applications in BI launch pad

d) Preferences: Use to set how information appears in BI launch pad.

e) Help Menu:

Help: Use to access the BI Launch Pad Help

About - contains product information such as the version number.

f) Log Off to log off from BI launch pad.

g) Search field: Use to search for and open Reports by their name

2. The Home tab screen contains the following sections, which you use to manage documents and BI launch pad features:

a) My Recently Viewed Documents: lists the last 10 documents that you viewed, sorted by view date, with the most recently viewed document at the top

b) Unread Messages in My Inbox: lists the 10 most recent unread messages in your BI Inbox

To view all messages, click See More in the lower-right corner of the module.

c) My Recently Run Documents: lists the last 10 documents that ran. To view successful instances or details of failed instances, click an instance link.

d) Unread Alerts: shows the last 10 unread alert notifications. To view all alert notifications, click ‘See More’ in the lower-right corner of the module.

e) My Applications: provides quick access to the applications in BI launch pad

Setting Preferences

Preferences is an area where you can change your password, change which views appear when you login, and which settings apply to viewed objects.

1. On the header panel, click Preferences. The Preferences dialog box will then appear.

2. Click General.

3. Clear the Use Default Settings (Administrator defined) check box.

The options in the dialog box become editable but contain the default values until you change them.

4. Choose the default view for BI launch pad:

a) If you want the Home tab to appear when you first log on, select Home tab, and select Default Home tab

b) If you want the Documents tab to appear when you first log on, select Documents tab, and select the drawer and node to open by default.

For example, if you want to have the Reports that you have available displayed when you Login you would select Documents tab, Folders, Public Folders.

5. Under Choose columns displayed on Documents tab, select the column headings to display in the summary information, for each object in the list panel:

6. Under Set document viewing location, choose whether to open documents on a new tab or in a new browser window.

7. In the Set the maximum number of items per page box, type the maximum number of objects to display per page when viewing lists of objects.

8. Click Save & Close.

To Change your Password

1. On the header panel, click Preferences.

2. Click Change Enterprise Password.

3. In the Old Password box, type your old password.

4. In the New Password box, type your new password.

5. In the Confirm New Password box, retype your new password.

6. Click Save & Close.

2. BI Launch Pad Documents screen This screen is used to navigate to all the reports that you have access to. From here you can open and view the data within your reports.

You can choose any home tab as your default view. Please see the Setting Preferences section for more information.

To open a Standard Report:

1. Carry out the following steps:

Hovering over individual Report name will open a pop up window displaying a description of that Report

2. The report will then open on its own tab

Select the Documents tab

Select the Folders tab Click on the ‘+’ symbol to expand the folder

Select the folder that contain the reports that you would like to open

The reports would then be listed. Double click on a report to open it.

Clicking on the Refresh button on the Toolbar updates the data in the Report with the most up to date data. Depending upon which report you pick you may then be presented with a Prompt window where you may have to set criteria which will filter your data. For example the prompt may ask you to set a start and end date. Please refer to the Prompts section for more information.

You may save time by pinning your frequently used Reports to your BI launch pad view. Once pinned, the Report tab will be displayed automatically every time you log into BI launch pad.

The Report Viewer Toolbar

Option Description

Web Intelligence

Use this menu to show or hide the following parts of the BI launch pad user interface: • Filter Bar • Outline • Left pane • Report tabs • Status bar

New Creates a New Report

Open Opens another Web Intelligence document for viewing

Save Saves changes to a document to various file formats, with a new name, and locally on your computer

Print Creates a PDF version of a document for printing

Find Searches for text in the document

History Shows the dates of document instances

Export Exports data to Excel, PDF or CSV Send Sends a document to a destination. The available destinations vary,

depending on how BI launch pad is configured.

Undo Reverses the previous action

Redo Performs the previous action again

Refresh Refreshes the current tab or the entire document

Track Sets options for tracking changes

Drill Drills up or down the document data

Filter Bar Shows or hides the Filter Bar

Outline Shows or hides the document outline

Reading Enables viewing of a document in HTML or PDF mode

Design Enables modification of the document you are viewing

The Report Viewer Options

Option Description Document Summary

Shows a summary of the document in the left pane such as when it was last refreshed, when it was created etc

Navigation Map

Shows an outline of your Report. That is, it shows all the headings in your Report. You can select a ‘heading’ to navigate down to that area of the report. In the example shown in the screen shot the user has selected Menswear which has then taken them to the Menswear section in the Report.

Input Controls

Input Controls enable you to save time by customizing the displayed Report to meet your needs without re-running the report. Each Report may have different input control options. Input Controls allow you to quickly display only desired criteria on the Report based on the selection criteria boxes that are selected. In the example shown in the screen shot the user has selected Menswear. This will show just the Menswear data in the Report. It works a bit like a filter in Excel.

User Prompt Input

Prompts gather information from users. This information can determine which data appears in the report. For example, a prompt may ask users to choose a start and end date. When a user chooses the dates, the report includes results for those specific dates. For more information on Prompts please refer to the Using Prompts section.

To drill on report data You can drill up and down on report data to see more detailed information beneath summarised groups.

1. Open the Report that you want to view then carry out the following steps:

3. To end Drill Mode click on the Drill menu and select Stop Drill.

Select the Start Drill option from the Drill menu. NB: If ‘Stop Drill’ is shown it means that you are already in ‘Drill’ mode

Hover over the heading that you want to drill down on. A pop up will appear explaining what it will drill down to. Click on the heading to drill down.

Hover over the Drill Up icon that you want to drill up on. A pop up will appear explaining what it will drill up to. Click on the Drill Up to drill back up.

Using Prompts

Prompts gather information from users. This information can determine which data appears in the report. Not all reports have prompts. You can also rerun the Prompt to select different criteria by

clicking on the Refresh button. Reports may have different prompt criteria. The steps below show an example of a Prompt and the general steps to set their values.

1. Open the report or click the Refresh button. The Prompt window will appear.

2. Carry out the following steps:

3. Once a value is selected a green check mark will be displayed alongside the appropriate Prompt.

4. Repeat the process for all the Prompts in the Report.

All Prompts must have green check marks before the OK button is enabled and the report can be run.

5. Click on the OK button.

Select a Prompt

Select the appropriate criteria. NB: You may have to click on the Refresh Values option to see all the values.

Click on the > button

The value will be displayed to show that it has been selected

Some Prompts have an *All and *Optional value. Select *All is the equivalent of selecting all the values in the list. Some Prompts allow you to type the values rather than selecting them. Once the value is entered you can use the

button to move it into the selected field.

Exporting to Excel or as a PDF document

You can export and save reports in multiple formats including Excel, CSV and PDF. To export a report:

Depending on your browser you will then be prompted to open or save the document to your computer.

Choose Export Document As to export the entire Document including all reports (tabs) and formatting.

Choose Export Current Report As to export just the current report with all formatting.

Choose Export Data to CSV to export all the report data with no formatting.

Select the Export icon

Select the desired option (see the note below).

Saving Reports

Once you have set the prompts and drilled down to information you may want to save the Report with these parameters and be able to open it again with everything still set as it was. To save a report:

To delete a copy of the Report from the My Favorites folder you can select the Report that you want to delete and select Organise, Delete

Select the drop down alongside the Save icon

Select Save As

Select the Favorites Folder

Enter a File Name

Click on Save

The Save Report can be found under My Document, My Favorites
