AIS IndexDenver based Aviation Information Services, Inc. (AIS) has been a highly visible presence in the AvComp (Aviation Computing) industry since 1977, demonstrating significant success in the development and marketing of aviation management software for use by an International base of Corporate, Government and Military flight departments. Originally formed as a batch-processing company (where AIS staff processed flight log information and generated management reports for clients on a monthly basis), AIS grew dramatically as developments in computer technology and software evolved, expanding our product line to include a wide range of innovative management tools.

At the onset of the 1980s, AIS pioneered the development of aviation management software for use on personal computers. In 1990, AIS released the industry’s first Windows based Scheduling System, DISPATCH 2001. Then, in 1992 unveiled 2001 XG, Corporate Aviation’s first, and to this day, only integrated Flight Scheduling, Maintenance and Inventory desktop system.

And of note, 2001 XG Maintenance is unique in corporate aviation as the industry’s only maintenance tracking product able to post and retrieve compliance data directly from (and to) Camp Systems, CMP.net and CESCOM concurrently. As a result, mixed fleet operators using 2001 XG Maintenance enjoy a single entry point for compliance, work order and inventory control that covers their entire fleet, and again – if needed, can simultaneously post and retrieve compliance data from CAMP Systems, CMP.net or CESCOM.

Today, AIS’ flagship product, MILLENNIA, is the result of a five year development cycle that leveraged a feature list garnered from AIS’ wide ranging client base and fueled by AIS' commitment to enhance our programs as technological advances are revealed and the aviation industry continues to serve notice of their growing business requirements. Comparably, AIS now has the benefit of more than twenty-five years experience with Scheduling, Maintenance, Inventory, and Charter Quote software systems that have been deployed in a who's who list of flight departments worldwide. And with our eyes focused on the expanding technical reaches our market presents, we are steadfast in our commitment to champion innovation in our industry.

MILLENNIA... ' Thinking Outside the Box ‘ IndexAs with any design, systems age and the same is true with the various products AIS has released over the past 30 years. However, we have always recognized that the best way to avoid the hazards associated with maintaining products that eventually transition into obsolescence, is to make every effort in advance of that obsolescence to introduce a next generation product line to succeed it. In fact, doing so has always been cornerstone to AIS’ business model and why we have been able to maintain the visibility and market share over the years that we have.MILLENNIA is the direct result of that planning model. As our previous product 2001 XG Scheduling began to age, we were determined this time around to engineer a management tool that was not based solely on our interpretation of what constitutes a ‘next generation’ system, but rather - engineer a product based on the definitions gleaned from the real experts in AvComps, the flight departments themselves. In addition, we were intent on identifying an architecture that was truly scalable for end users, and one - for internal purposes that would provide a more efficient means to manage a large program code base. One that when the next (inevitable) paradigm shift in computing technology reveals itself, we are positioned to adopt those changes, if not actually capable of sailing right through them. To accomplish the first, we spent the better part of the late nineties and early millennia working hand in hand with our large user community to identify the business and interface requirements from which AIS’ next generation system should be derived. We formed Millennia User Committees to provide input on Millennia’s modular content from which we gleaned our functional design strategies.We achieved our second goal by ‘thinking outside of the box’ in respect to data model and user interface designs - defining an approach that would withstand evolving demands as technology and market advances become apparent.In addition, we also knew we no longer should rely on the ‘Window’ interface itself to maintain the system ‘smarts’, but rather utilize the Window presentation layer for just that – presenting the interface, while putting the ‘smarts’ of the system on the

back end with the data, independent – and insulated from any eventual interface tool changes.

But to do so, also meant that we had to find a back end with a technological core resistant to obsolescence, one that we could in effect, ‘Ride the Coat Tails’ of through any future technology shift. Hyperlinks

Hyperlink fields are used extensively throughout Millennia. Any data field in View Mode whose content is underlined, when performing a right mouse on the field can hyperlink the end user to one or more associative files related to that field. For instance, in Trip Manifest, the manifest’s Passenger ID’s are underlined, and when Right mouse is performed on it, will open the Passenger File window with that specific Passenger File data loaded . Another example would be the Airport ICAOs on the Trip Building window which are underlined. When a right mouse is performed on the Airport ICAO, the Airport File window is opened with that Airport displayed.

Date Selection Calendars

All Date Fields in Millennia, have a down arrow command interface that will drop or pop a date / date range selection calendar. The mini calendar can be configured on the fly by the End User to show one and up to six months of selectable dates. Each configuration is scrollable to change the range and can be clicked and dragged to select a range of dates

Blue Field Finds

In data entry mode, any data field that turns blue when the cursor enters it is capable of generating extensive queries, either to populate the field or research related data to that field. By performing a down arrow in a Blue Field, Millennia’s standardized Find Window controls (described in the following paragraph), are opened for the End Users Query needs.

Secured Fields

During Insert or Modify mode, any field deemed ‘Not Viewable’ for the current User will turn Black. Any field deemed ‘Viewable’, but ‘Not Editable’ by the current User will have a Gray background and will not receive cursor input.

Required Fields

During Insert or Modify mode, any field that has been deemed through Security as ‘Required’ (must be populated) will have a Red Outline around the field. Once the window mode is returned to ‘View’, the field outline returns to normal.

All Tree List, Complex Grids, and Headed List objects on a window respond to Right Mouse Clicks and generate a context pop-up menu that contains commands specific to that object.

Hyperlink (Index and Search) Help. Click on Help Button on Tool Bar, Cursor turns to Question Mark – Click on any Window Object and Millennia will take to Hyperlink Help file specific to the object you clicked on.

Screen Cam Help. All Windows have an associated Screen Cam Movie that will play for whichever window is on top when the Screen Cam Help Button on the Tool Bar is Clicked

Tab Panes

Tab Panes are used extensively through out Millennia to organize data elements in the system. Whenever Tab Panes are used on similar windows, such as all Role Management Windows, (Company, Aircraft, Vendor, Airport, Passenger, Personnel & Customer), the Tabs are organized in the same order and us similar, if not the same Tab Names.

Supplemental Information

All Role Management Windows, (Company, Aircraft, Vendor, Airport, Passenger, Personnel & Customer), and the Trip Building Window utilize Millennia’s ‘Supplemental Information’ interface. Users may define Department Specific Data Input Fields with associated Custom Labels that allow tracking of data that may not be present in the Millennia default Interface. List Printing

All List Objects (Tree List, Headed List, Grid and Tables) on windows may printed by performing a right mouse on the list and selecting ‘Print’ from the pop-up context menu.

Anything that needs to be ‘Found’ in Millennia or searched for, is done so through a single ‘Find Window’ interface that like the Millennia Toolbar, reconfigures itself on the fly with ‘as needed’ Search Criteria, Filters and Sort

Options. Be that finding an Airport, Passenger, Trips, or even a Vendor that sells BLT’s for under $5.00 within thirty miles of a given address or location.

Reporting

All Millennia Reports are Managed and Printed via a single Interface : Report-a-gator. Like the Millennia Tool Bar and Find Window, Report-a-gator reconfigures itself on the fly to display all reports specific to the calling interface (top window). Additionally, all User Specified ‘Favorite’ Reports as well as access to All Millennia reports are provided through the single interface. When a specific report is selected, either user selection or default action, the result the calling top window, Report-a-gator configures it’s end user defined search, filter and sort input interface based on the specific report requirements.

Tool Tip Help

With Tool Tip Help preference set to ‘On’ in User preferences, whenever the cursor is placed over a Data or Control Interface Object a brief description of the object will be displayed in a pop-up tool tip message.

Hyperlink Help

Right Mouse on any Data or Control Interface Object and select Help from the resulting pop-up Context Menu and be taken to a detailed explanation for that object in Millennia’s robust HTML based help system. Once in the system, you may then navigate through other Help subjects via :

Example :

All Passengers for a specific corporate department tracked in Millennia all have the same work phone number (with different extensions) listed in each Passenger’s File, and that department’s phone number is changed. Since that phone number exists only once data wise in Millennia, and is shared between those Passenger records, after being changed - all references to the phone number in each Passenger file will change automatically as well. No need to go through and update every Passenger record independently.

Any Physical Address from the United States, Canada and Europe is automatically Geo-Coded (assigned a Lat / Long coordinate) when input into Millennia. As a result, any Geo Coded Address may be used as search centers in any of Millennia’s Proximity searches (Vendors, Services, Airports, other Addresses, etc…)

Temporary Status with Expiration Dates

AddComm can be set up for ‘Temporary’ use ( for instance if a department employee is TDY somewhere or on vacation ) and can have Expiration Dates assigned so that the AddComm record deletes when the Expiration date occurs.

Format Controls for Communication Number

End Users may define Format Controls over Communication Numbers, such as phone numbers, with default input formats eg. pre-placed parenthesis, dashes, dots, spaces, fixed text lengths etc…

Millennia provides highly-detailed management of each individual Passenger's travel Preferences and Exceptions for a wide variety of services, covering anything the end-user desires (or wishes to avoid), including (but not limited to) such items as aircraft, aircraft crewmembers, FBOs, flight catering, ground transportation, accommodation, meals, airlines and rental cars.

Preferences & Exceptions for each Passenger are automatically analyzed when passengers are manifested and Vendors & Aircraft Crew Members are assigned. Millennia will flag the End User when Exceptions are encountered and default specific Trip Logistic information automatically based on Passenger’s pre-defined preferences.

Preferences & Exceptions can be tracked Vendor Location independent.

Example : Passenger A may like to use the Signature FBO chain, Carey limousine services, and stay at Holiday Inns no matter where he/she flies. Passenger B may stay generally at Hilton hotels,

There are no practical limits to defining preferences per passenger, either globally or per facility location. Thus it is possible theoretically for each passenger to request separate in-flight meals from different caterers, and to request rooms at different hotels.

Travel Preferences and Exceptions are set using one of five preference types.

‘Simple’ Preferences and Exceptions

Involve a passenger or crewmember, and address items such as meals, airline seating, and rental car size, but not to aircraft, FBOs or hotels.

For example, Passenger A may have a breakfast preference of bacon, eggs and coffee; an aisle seat when traveling on an airline; and a mid-size rental car.

He/she may also have an exception, such as 'never serve tomato juice'. Since no other role (aircraft, airport, vendor, etc) is required, the 'Specific To' field is inactive, as is the list headed 'Associative Airports'.

‘Specific’ Preferences and Exceptions

Involve other entities - people and aircraft. They may relate a passenger to another passenger, an aircraft, or a crewmember.

For example, Passenger B may prefer a particular aircraft (defined by its tail number), or a particular pilot, but avoid traveling with Passenger C. In this instance, the 'Specific To' field of the grid will be active, to define the other entity, but the 'Associative Airports' field will not.

‘Service Location’ Preferences and Exceptions

Are generally vendor-related.

For example, Passenger A may prefer the catering offered by Signature at Centennial, but avoid the same vendor's ground transportation services at that airport. Passenger B may want to use Carey Limousine at many, but not all, of that vendor's locations that deal with certain airports to which he flies. Each passenger's preferences and exceptions may be defined individually, using check boxes in the 'Associative Airports' list.

‘Blanket Service’ Preferences and Exceptions

Enable the user to specify a Passenger's needs from a vendor of multiple services, irrespective of which locations are involved.

For example, Passenger D may want catering from Signature, while remaining indifferent to that vendor's other services at all locations.

‘Blanket Vendor’ Preferences and Exceptions

As the name suggests, is for choosing all services provided by a vendor at any airport served by one or more of that vendor's locations.

For example, use TacAir everywhere you can, for catering, parking, hangar and whatever else TacAir offers.

Duration Constraints : Specific business visa may be valid for three months, and permit up to three separate visits with a combined duration of fourteen days. There are no practical limits to defining preferences per Employee, either globally or per facility location. Thus it is possible theoretically for each Crew Member to request separate in-flight meals from different caterers, and to request rooms at different hotels.

Travel Preferences and Exceptions are set using one of five preference types.

‘Simple’ Preferences and Exceptions

Involve a passenger or crewmember, and address items such as meals, airline seating, and rental car size, but not to aircraft, FBOs or hotels.

‘Specific’ Preferences and Exceptions

Involve other entities - people and aircraft. They may relate a passenger to another passenger, an aircraft, or a crewmember.

‘Service Location’ Preferences and Exceptions

Are generally vendor-related.

Automatic selection of which passport the Crew Member wants to use on a particular travel event, trip, or trip leg, and determine whether a visa is required.

Tracking Parameters

Access Group Logical Grouping of Aircraft whose Grouping can be assigned access Permissions / Controls per Password or Profiles.

Home Base Millennia will use Home Base ICAO as a point of departure default for the first travel event of a series to which the Aircraft is assigned.

Location An Aircraft are associated with a Departmental Location of the Millennia Client Company. Locations become very handy for Searches, Queries and Filters.

Airframe and Component Time Tracking

Three Time Tracking Input Options :

Bulk

The simplest type of time entry, bulk entry enables a Maintenance-only client to record that, during a preceding period of time (which might be days, weeks or even months), his aircraft accomplished a total number of flight hours and cycles/landings, while the aircraft’s APU recorded a different number of hours and cycles. This client is not interested in recording activity that took place on a specific day during the period, much less during a particular flight on a specific day, but merely the total activity for the period. The benefit to this client is that the amount of data entry is minimized.

The next level of complexity is for the Maintenance client who wishes to record utilization in greater detail, such as individual hours/cycles activity totals for a specific calendar day, or even for a particular flight event. The client may even wish to record the type of flight, which airports it went to, and who flew it. This involves extra data entry steps, but enables the client to see activity patterns – fluctuating levels of activity – within the entered data, and to see if certain crewmembers generate a greater share of unscheduled maintenance entries than do their peers.

The most-detailed time entries come via the Scheduling module. But paradoxically, in a well-organized department, maintenance personnel would have to make few, if any, time entries, yet they would still benefit from the information! That’s because someone outside the Maintenance department usually records the flight times.

The end-user will now have the tools to select the Maintenance Tracking Type and ‘Frequency Pairs’ for an airframe, component or appliance individually from drop-down validation lists.

Examples of Maintenance Tracking Types include Airframe, Engine, APU, Hoist          Examples of Frequency Pairs include :

Add Unlimited User Defined Tracking Types and Frequency Pairs, of your own choosing

For example :

Suppose that an end-user wants to record Engine Hours to match the recorded Airframe Hours. They would create a tracking rule for which the Maintenance Tracking Type is Engine, and the associated Frequency Pair is Airframe Hours. Similarly, they could create another tracking rule for which the Maintenance Tracking Type is again Engine, while the Frequency Pair is Airframe Cycles. This gives the end-user unlimited capability to interrelate many different maintenance tracking requirements.

But Millennia can go further than that. Consider a corporate aircraft that is fitted with an APU. The APU hours and cycles are not matched one-for-one with the Airframe Hours and/or Cycles. However, a review of past utilization shows that, for a given time period, the aircraft flew 300 hours, and made 200 landings. In the same period, the APU amassed 120 hours and 150 cycles. From this, we can deduce that, on average, the APU was used 120/300 hours, or 0.4 hours, per aircraft flight hour, and 150/200, or 0.75 cycles per aircraft

cycle. So we can use this information to forecast APU utilization based on future planned flight activity. We can also use the data to compute the ratio of Airframe Hours to Airframe Cycles, APU Hours to APU Cycles, or even, should we wish, such ratios as APU Cycles to Airframe Hours.

Other examples would be utilization of a hoist on a rescue helicopter, or a cannon on a fighter aircraft.

For example, Passenger B may prefer a particular aircraft (defined by its tail number), or a particular pilot, but avoid traveling with Passenger C. In this instance, the 'Specific To' field of the grid will be active, to define the other entity, but the 'Associative Airports' field will not.

Trip Authorizer Alerts

Authorizer Alerts are items of particular concern to the Trip Authorizer/User. They will appear for any trip leg/travel event to which the Passenger is assigned as User.

For example : Does this User require Oxygen on board?  Do you need to notify someone else (eg, their secretary) that they are traveling?

Passenger Preference / Exception Alerts

Millennia provides highly-detailed management of each individual Passenger's travel Preferences and Exceptions for a wide variety of services, covering anything the end-user desires (or wishes to avoid), including (but not limited to) such items as aircraft, aircraft crewmembers, FBOs, flight catering, ground transportation, accommodation, meals, airlines and rental cars.

Preferences & Exceptions for each Passenger are automatically analyzed when passengers are manifested and Vendors & Aircraft Crew Members are assigned. Millennia will flag the End User when Exceptions are encountered and default specific Trip Logistic information automatically based on Passenger’s pre-defined preferences.

Preferences & Exceptions can be tracked Vendor Location independent.

Example : Passenger A may like to use the Signature FBO chain, Carey limousine services, and stay at Holiday Inns no matter where he/she flies. Passenger B may stay generally at Hilton hotels, but doesn’t like the Hilton in Washington DC, and prefers to stay at the Mayflower Hotel. Passenger B may also like Signature at most airports, but prefer Denver Jet Center to Signature when visiting Centennial airport.

There are no practical limits to defining preferences per passenger, either globally or per facility location. Thus it is possible theoretically for each passenger to request separate in-flight meals from different caterers, and to request rooms at different hotels.

Millennia’s automated Email & Calendar Alert management tools provide flight departments a powerful, yet extremely easy to implement group of communication resources which allow users to identify specific types of trip and personnel scheduling events, that when triggered will generate automated Email Alert notifications and departmental (shared) or personal calendar updates via MS Outlook or Lotus Notes. Automated email and calendar alert recipients (those who receive alert emails or have their Outlook or Lotus Notes calendars updated with alert information) may be defined through Millennia’s Company, Personnel, Passenger or Vendor profile management interfaces. In addition, alert recipient status may also be assigned to any number of ‘contacts’ associated to Personnel, Passengers and Vendors tracked in Millennia via Millennia’s Contact Management interface. Examples of the types of triggering events that will generate email & calendar alerts are (but not limited to) :When… Trips are scheduled or their itineraries change (dates, times, new legs etc…).

Passengers are manifested or changes to the manifest are made. Crewmembers are assigned to trips or changes to the crew are made. Vendors are assigned (FBO, caterers, etc..) or changes to Vendor logistics are

Examples of to whom Alerts can be sent (but not limited to) :

Department managers, chief pilots and crewmembers may be identified to receive alert notifications and calendar updates when personnel are assigned to flights. Executives, and/or their contacts (an administrative assistant for example) may be assigned alert recipient status so that when the Executive is manifested on a trip, or a planned trip’s itinerary changes, they are automatically emailed the Executives current itinerary, and if desired, their personal Outlook or Lotus Notes calendars updated with that information – again, all automatically.Maintenance Managers, Technicians or Dispatchers may be set-up to receive real time progressive flight following alert notifications (takeoffs, landings & outbound / inbound delays) as aircraft transact their flights. Vendors and any related contacts may be automatically alerted when they are assigned as a logistic vendor (FBO, Caterer, Limo etc…) to a flight, yet more importantly - after they are assigned, again re-alerted if the flight itinerary changes which may have the potential to impact the delivery or fulfillment of that Vendor’s product or service. Managers and Personnel may be defined as email and calendar alert recipients when non-flight activity assignments (Admin, Training, Stand-by, Time-off etc…) are scheduled for department personnel through Millennia’s Personnel Activity Management interface.As referenced earlier, any contact(s) that are assigned through Millennia’s Contact Management interface for the purpose of being associated as contacts for department managers, personnel, passengers, and vendors may also be defined as Alert recipients, who - in addition to those managers, personnel, passengers, and vendors will also receive copies of the email or calendar alerts.

In addition, alert preferences may be set so that shared department Outlook or Lotus Notes calendars may be automatically updated as aircraft and trips are scheduled, modified and flown.

Managing Alerts :

Email alerts and Outlook or Lotus Notes calendar updates may be issued (automatically) anytime a triggering event (as described above) takes place. Or, the information garnered from each triggering event can be accumulated over a series of events and then appended in one (all) encompassing alert message imbedded in the text of an alert email or the notes section of a calendar event update, which are each issued at the end users discretion. Alerts may also be formatted based on user preferences to allow additional (on the fly) comments, notes or changes which may be appended to or contained in the pre-formatted email or calendar alert information.

Email Alerts may be formatted in two types – either as a standard ‘Notification’ or as a schedule ‘Request’. Pending the alert requirement (as further discussed below), the email type applied and used for each alert recipient is user defined.

Standard email ‘notifications’ are traditional emails issued either automatically upon a triggering event, or at the Dispatcher’s discretion. Standard notifications contain complete (auto) formatted information relative to the trip or activity assignment the recipient is being notified of. In addition, if set to do so (via Alert Preferences), the activity will be updated on a shared department Outlook or Lotus Notes calendar. This whether the event is trip scheduling based, crew based, personnel activity based or vendor based.

Assignment or schedule ‘Requests’ are also emails, but formatted with ‘Accept’ or ‘Decline’ buttons on the email form. When used, the recipient either ‘accepts’ or ‘declines’ the request, after which Millennia, will perform one of the following : If the request is accepted, Millennia will put the event / activity on the recipients personal Outlook / Lotus Notes Calendar and/or a shared departmental Outlook / Lotus Notes Calendar. Report-a-gator

Like the Millennia Tool Bar and Find Window, Report-a-gator reconfigures itself on the fly to display all reports specific to the calling interface (top window). Additionally, all User Specified ‘Favorite’ Reports as well as access to All Millennia reports are provided through the single interface.

When a specific report is selected, either by the end user or a default action of the calling top window, Report-a-gator configures itself on the fly with all search, filter and sort input options from which the end user can select to print a specific report.

Specialized ‘Flight Log’ and ‘Trip Itinerary’ Designer

Flight Log Designer enables end users to customize Flight Logs through an intuitive, extremely user friendly interface that provides tools to define presentation content and graphical design.

No special skills or programming is required – all presentation content (report fields) are chosen from a list and each field is tied to preset routines which populate the content on the report. All users need do is decide how many legs per page they want on the report, what data content they want on the report for each leg, where the content should be positioned and

what graphical design objects (lines, rectangles etc..) they wish to customize the report look with.

Report content is user defined per Log or Itinerary. All Trip Itinerary, Crew, Manifest, Logistic, Support Profiles and corresponding primary Role Data from the Passenger, Personnel, Airport & Vendor files are available as report content.

Custom reports may be designed from the ground up, or based on over 100 Log and Itinerary templates.
