1 - Desktop Installation of SmartMap

1.1 Java Support Required If you do not have any Java support installed, Digital Map Products recommends installing the Java Software at http://www.java.com/en/download/windows_ief.jsp?name=F. To confirm your installation of java support:

• Open Internet Explorer, • click on Tools • Then select Internet Options, then select the Advanced tab. Scroll

down to check if you have either Java (Sun) or Microsoft VM. (If you have java support installed it will be located half way down the list between HTTP 1.1 and Multimedia.)

1.2 Internet Explorer Configuration

1. Open Internet Explorer, select the Tools menu, select Internet Options, and select the Security tab.

2. Select the Local Intranet icon and click the “Sites…” button.

3. In the window that pops up, make sure that all three check boxes are

selected, and then click the “Advanced…” button.

4. In the window that follows, type http://maps.digitalmapcentral.com

and click the “Add” button. Click “OK” to return to Internet Options.

1.3 Clearing Internet Explorer Cache and Cookies:

1. Select the Tools menu, select Internet Options.

2. Select the General page and click the “Delete Cookies…” button. Then click the “Delete Files…” button.

3. Check “Delete all offline content” before clicking “OK”.

This may take a few minutes to complete. Your hourglass cursor will go back to normal when done.

1.4 Windows Update Recommended Microsoft recommends keeping your machine up to date and there is a security update to the Microsoft VM included in Windows Update. Please note that system updates can result in system errors and the need should be communicated to your systems administrator. To run Windows Update from Internet Explorer, select the Tools menu, select Windows Update and follow Microsoft’s instructions. Close any copies of Internet Explorer you have running and you may be asked to restart your PC.

2 - System Requirements MRMLS SmartMap can be accessed using the following web browser:

• Microsoft Internet Explorer 6.0 or later for Windows PC only. To see which version you are using, open the web browser and select the “Help” menu, “About Internet Explorer.” To upgrade your web browser to a later version, choose the web browser’s “Tools” menu and “Windows Updates” This will walk you through installing the latest version of your web browser.

• Turn off all Pop-up Blockers when working with MRMLS SmartMap. You

can turn off your Pop-up Blocker on Internet Explorer 6.0 or greater by:

1. Click on tools, then pop-up blocker.

• MRMLS SmartMap will run best using a high speed connection such as DSL, Cable Modem, or T1 line. A dial up connection is not recommended.

• Make sure that your PC meets the minimum system requirements a

233MHz PC with 128 MB of RAM. We recommend that you run this software with at least 256MB of RAM.

Note: You can check your system settings by clicking on Start, All Programs, Accessories, System Tools and System Information.

3 - Logging Into SmartMap

There are two MRMLS Systems that you can use to log into MRMLS SmartMap.

3.1 WWW.MRMLSMATRIX.COM WWW.MRMLSMATRIX.COM

1. To access SmartMap from the MRMLS Matrix System, type the address: http://www.imrmls.com

2. From the MRMLS central website, click on the icon that says MRMLS

3. You will then enter the MRMLS Matrix home page. Enter your User ID and Password, and then click on Login.

Note: Your User ID and Password are the same as your Public ID and Private ID used on the www.imrmls.com system.

There are three ways to access SmartMap from the MRMLS Matrix:

1. The first way is to click on the SmartMap tab from the Main Menu.

2. The second way is to click on the SmartMap icon on the search

results screen.

5 - CityGIS v5 Main Menu

5.1 Definitions of Main Menu

1. Ledger Tabs Located on the Main Menu and includes the menu ledger, results

ledger, details ledger and options ledger. 2. Main Tool Bar Buttons that control the map and are located at the top of the map. 3. Navigation Links Navigation links that take you to another page: What’s New, Log out,

Contact Us, and Help. 4. Main Map The map area you see when you initially launch CityGIS5. 5. Nudge Bars Move the map one full page in any direction. 6. Map Selector Used to select different map views such as aerial and street view. 7. Map Overview Surface Shown on the lower right below the main map. 8. Scale Readout Shown below the Map Selector. 9. Map Size Sets the size to small, medium and large. 10. Undo and Redo Click on this button to undo or redo any actions within a map session.11. Coordinate Readout Displays the latitude and longitude of your cursor located on the map.12. Drawing Tools Tools that can mark-up the map or can be used to limit searches. 13. Context Menu Displays available options when you right mouse click inside the

MAIN MAP. 14. Ledger Open as you click inside ledger tabs such as the menu ledger. 15. Menu Menu Used to perform searches, view layers and history.

1 – Return Map to Original Extent Click here to return the MAIN MAP to the original start up view. If you have any active searches or markups they will remain on the map 2 – Zoom In

Click on this button and place your mouse anywhere in the map area. Hold the left mouse button down to zoom in for a closer look anywhere in the map. To stop the zoom-in process, release the mouse button. 3 – Zoom Out

Click on this button and place your mouse anywhere in the map area. Hold the left mouse button down to zoom out anywhere in the map. To stop the zoom-out process, release the mouse button.

4 – Zoom to an Area

Click on this button and place your mouse anywhere in the map area. Hold the left mouse button and drag your mouse to the lower right to draw a rectangle. Release the mouse button when you have drawn the rectangular size you require. The map will zoom to the area around the rectangle that you have drawn.

5 – Pan Click on this button and place your mouse anywhere in the map area. Hold the left mouse button and drag your mouse in any direction. The map will move in the direction you move the mouse. TIP: You can move the map in full page increments by clicking on the nudge bars located on the border of the map. You can move north, east, south, west, northeast, northwest, southeast and southwest.

6 – i tool Click on the i tool to “get information” about a property. Zoom in to any area, click on the i-tool and then click on a property. The information about the property will be displayed on the left side of the screen in the DETAILS LEDGER. This process may be repeated as many times as you wish. TIP: You can easily retrieve information about a property that you previously looked at with the i-tool by clicking on “Recently Viewed.”

7 – Measuring Tool

Click on this button and place your mouse in the map area where you want to begin measuring. Hold the left mouse button down and drag the mouse in the direction to be measured. The distance will be shown as you drag the mouse. TIP: If you are measuring a parcel, or combination of parcels, double click at the last vertex to close the drawing and obtain an accurate measurement.

8 – Email

Click on the E-mail button and your pop 3 e-mail program such Microsoft Outlook will automatically open and you can send an e-mail with a link of the map. TIP: If you do not use pop 3 e-mail such as Microsoft Outlook, we recommend you that click on the printer button and then click on preview. When the map appears, right click on the map and then click on Save Picture as. This will allow you to save the map as JPEG on your computer and then you can attach it to your e-mail.

9 – Print a map Click on this button to print a hard copy of a map. A popup print preview window will open, select your print options and click on preview to view the image as it will print. Click on file and print to print your image. TIP: You can also select to print in pdf format, just check the box on the preview window.

10 – Save a map Click on this button and a save window will open. Name the file and click save. This process will save the map to the CityGIS5 server. TIP: You can also save a copy of your map by opening the print preview, right click in the map area and select “save as.” With this option you can save the map as a jpeg or a bitmap and save it to your hard drive or a floppy or any other save option that you require. 11 – Open a saved map Click on this button to open a window that will display all maps previously saved on the CityGIS5 server.

7 - Draw Tool Bar

1 – Draw a Polygon

Click on this tool to draw an irregular shaped polygon. At the last vertex prior to closing your polygon, double click your left mouse and the polygon will automatically close. You can right click on any white box at this time and select from several options; delete will erase the entire drawing, delete vertex will erase the vertex you select, square the polygon will align your drawing as a square, properties will give you the option to change the line weight and color as well as make notes regarding the polygon. Clear all markups will also delete your polygon.

2 – Draw a line Click on this tool to draw a line from point to point on your map. Double click to end your line

3 – Draw a circle Click on this tool and a popup will open and prompt you for the radius of the circle. Enter your required radius and click next. Your circle will be placed in the map area. You can move the circle by placing your mouse on the line, hold your left mouse button in and drag the circle where you want it positioned. You can adjust the circle size by placing your mouse button on the vertex at the top of the circle, hold your left mouse button down and drag the circle until it is the size you require. TIP: You can create a bookmark of the drawing you have created by right clicking in the image and select “create bookmark.” The bookmark will remain available throughout the current session. To return to the bookmarked area, right click and select the desired bookmark.

4 – Place a symbol Click on this tool to place a symbol anywhere on your map. To move the symbol click on the symbol, hold your left mouse button down and drag the symbol where you want it to be placed. TIP: To change the symbol, right click on the symbol and select properties. On the left side of the map the OPTIONS LEDGER will open with areas for a description, notes, style change and the option to delete, save, or cancel your markup.

5 – Place a label

Click this tool to place a label anywhere on the map surface. A popup will open and prompt you for the text to insert in the label. Type in the desired text and click next. The label will be placed in your map image. TIP: You can change the font color and size, border color and size by right clicking on the label and selecting properties.

8 - Search Functions There are many types of searches available in the MRMLS SmartMap. You can search for MRMLS Listings or Assessors Tax Data. Here’s how:

8.1 Search by Listings

Click on Search by Listings in the Menu Ledger.

Enter your search criteria. You can search by ML#, Status, # of Bedrooms, List Price and Square Foot Range

Tip: Limiting your search “to Map Extent” means you are limiting your search to the view shown on the MAIN MAP at the time you perform the search. If you are at the original view, your search will be performed on the entire map area. If you have zoomed into an area, your search will be limited to that area. Limiting your search “to Drawn Graphics” means if you have drawn a circle, a polygon, or a line your search will be limited to the area within your circle, polygon or line.

Note: Search by status is limited to the following statuses:

Active Active properties on the market. Backup Offer A property that is in Escrow but you are taking Back-Up Offers. Contingent Show Indicates that a property is entering Escrow but is still Available to Show. First Right of Refusal

Indicates that the initial selected buyer has the first right to match additional offers and/or to remove any contingencies on their offer.

Cancelled The contract between the agent/broker and seller has been terminated. Leased A lease agreement has been signed for a property that is available for lease. Pending Sale An agreement has been reached with a buyer and the property moves into

escrow. Closed Sale A listing transaction that has closed escrow.

8.2 Search by address Click on Property Search in the Menu Ledger. Enter the Address and City, or State or Zip Code and click search to go directly to a specific property.

The text information will be returned on the DETAILS LEDGER of the LEDGER. The aerial view of the property will be returned on the MAIN MAP.

8.3 Search by APN

Enter the APN and click search to go directly to a specific property. The text information will be returned on the Details Ledger of the MAIN MENU. The aerial view of the property will be returned on the MAIN MAP. TIP: You can also search a partial APN, e.g. just the book and page number (123-45), to obtain information about all properties contained on that specific book and page. You can also limit your search area by checking the box labeled “to Map Extent” or the box labeled “to Drawn Graphics.”

Limiting your search “to Map Extent” means you are limiting your search to the view shown on the MAIN MAP at the time you perform the search. If you are at the original view, your search will be performed on the entire map area. If you have zoomed into an area, your search will be limited to that area. Limiting your search “to Drawn Graphics” means if you have drawn a circle, a polygon, or a line that your search will be limited to the area within your circle, polygon or line.

8.4 Search by Owner Name Enter the owner’s name and click search to obtain property information for a specific owner. You can limit your search area by checking the box labeled “to Map Extent” or the box labeled “to Drawn Graphics.” See Search by APN for details regarding limiting a search to Map Extent or to Drawn Graphics.

8.5 Search by Property Information Search by Property Information allows you to search for properties within specific parameters. You can limit your search area by checking the box labeled “to Map Extent” or the box labeled “to Drawn Graphics.” See Search by APN for details regarding limiting a search to Map Extent or to Drawn Graphics.

8.6 Search by Property Sales

Search by property sales lets you search for properties within specific parameters. You can limit your search area by checking the box labeled “to Map Extent” or the box labeled “to Drawn Graphics.” See Search by APN for details regarding limiting a search to Map Extent or to Drawn Graphics.

8.7 Search by Parcels on Street This function allows you to search for a specific street name. If you do not have a specific address the system will return all parcels on a specific street. See Search by APN for details regarding limiting a search to Map Extent or to Drawn Graphics.

8.8 Search by Site

This function allows you to search for properties by lot size range, land use code or zip code. You can limit your search area by checking the box labeled “to Map Extent” or the box labeled “to Drawn Graphics.” See Search by APN for details regarding limiting a search to Map Extent or to Drawn Graphics.

TIP: To clear any search result simply right click anywhere in the map image and select “clear search results.” Any properties that have been highlighted on the map will have the highlighting deleted and any information displayed on the RESULTS TAB will be deleted.

9 - Locate Functions

9.1 Locate by Street Intersection Enter an intersection and click search to go directly to that intersection.

9.2 Locate by Latitude and Longitude Enter the Latitude and Longitude to go directly to that location. You can place a symbol at the desired location by checking the box “Place symbol.”

10 - Search Results & Mailing Labels If you want additional information regarding a property in the RESULTS LEDGER, click on that property; the information will be displayed in the DETAILS LEDGER. Next to the result ID are two symbols. The first symbol is a plus sign, +, which allows you to add properties to your Results List. The second symbol is a magnifying glass, which will zoom the map to the selected property.

In the search results you will see two options. The first is to save the text information to a text file. The file will save in .csv format that is compatible with Excel. The second option is to create mailing labels. The labels are Avery format, you will have several label sizes to choose from, click submit and the labels will be created in Word.

11 - Layer Functions

Layers reveal different data on the map. Click on the Layers function to reveal the layers available for use. For example you can show Parcels, Aerial Photos and Listings.

The Layers will be shown on the LEDGER on the OPTIONS LEDGER. Layers can be activated by checking the box next to the desired layer. The layer will be displayed on the MAIN MAP. TIP: You can also display layers by right clicking your mouse button inside the MAIN MAP. A menu will pop up then left click on layers.

12 - Map Tools

12.1 Map Resize Tool By default MRMLS SmartMap will open to the standard map size. However, there may be occasions when a smaller or larger map size in desired. In those instances, simply click on the desired map size button. The small map size button will make the map area smaller and the MAIN MENU larger. The large map size button will make the map area large and the MAIN MENU smaller.

12.2 Undo and Redo Tools

Located just below the MAIN MAP are the “Undo” and “Redo” buttons. This tool allows you to undo or redo map functions. For instance, if you inadvertently delete a markup simply click the undo button and the map will go back to the view with the markup.

13 - Recently Viewed Recently viewed displays data for each search that you have selected for information. Note: The recently viewed function is limited to each login session; if you logout of the program and then login later during the day the recently viewed information from your previous session will not be listed. From the Menu ledger, click on Recently viewed to look any previous properties or mark ups. Then double click on the Property APN to view the tax information.
