Sponsorship

In order to confirm your sponsorship, we will require the signed Application to Sponsor/Exhibit Form to be forwarded to the Conference Manager. Sponsorship will be offered subject to NCSI approval and confirmation of receipt of deposit monies by the Conference Manager. The balance payment will be required by 31 August 2015. Payment must be received by this date to ensure full receipt of sponsorship benefits.

Exhibition

Early booking is necessary as exhibition space is limited. In order to confirm your exhibition booking, we will require the signed Application to Sponsor/Exhibit Form to be forwarded to the Conference Manager. Exhibition booths will be offered strictly in order of sponsorship level, date of receipt, subject to NCSI approval and confirmation of receipt of deposit monies by the Conference Manager. The balance payment will be required by 31 August 2015.

Items which can be used on walls When attaching anything to the walls, exhibitors are asked to use velcro, blu-tack, thumbtacks or pushpins.

Catering Morning/afternoon teas and lunches for two representatives on both days.

Welcome Reception An invitation is extended by NCSI for two people per booth to attend the Welcome Reception as their guests.

Booth Position Selection of booth position will be controlled by the Conference Manager, subject to sponsorship level, date of receipt, NCSI approval and confirmation of receipt of monies by the Conference Manager.

Additional Staff Should you require additional staff to attend your booth a fee of $100 inc GST per person per day will apply to cover the cost of morning/ afternoon tea and lunch. The fee does not include the Welcome Reception, Gala Dinner or attendance at the conference sessions. Welcome Reception and Gala Dinner tickets are available at an additional cost. Should exhibition staff wish to attend any conference sessions, they must register as a conference delegate and pay the relevant registration fee.

Briefing Notes will be provided to exhibitors 6–8 weeks prior to the conference including the Exhibition Contractor Catalogue, a mailing label, storage details, rules and regulations of the venue etc.

Sponsors By taking up the option of an exhibition booth, sponsors will be required to have their booth staffed during morning/afternoon tea and lunch on both days.

Accommodation

A block booking has been made at the conference venue. Special rates have been negotiated for those attending the NCSI 2015 Conference. To take advantage of these special rates, you will need to book your accommodation through the Conference Manager. As a sponsor/exhibitor you will be provided with the Conference Registration Brochure which will include accommodation information.

Cancellation Policy

In the event of cancellation of sponsorship or exhibition booking, the Conference Manager will reserve the right to retain full deposit monies received. Every endeavour will be made by the Conference Manager to resell the particular sponsorship and, if successful, a pro-rata refund will be made subject to NCSI approval, after allowing for all benefits received to date.

If the balance payment of sponsorship is not received by the due date, the Conference Manager reserves the right to cancel the sponsorship, or limit benefits of sponsorship until payment is received.

Car Parking

In-house guests may utilise the valet parking services of the venue.

Liability Waiver

The NCSI 2015 Conference, Access Events, the venue and the Exhibition Build Contractor will not be liable for injuries to any person or damages to property owned or controlled by exhibitors.

Regarding claims for damages and/or injuries that may arise from or be in any way connected with exhibitor occupation or display space, the exhibitor agrees to defend indemnity and hold NCSI and the Conference Manager harmless against all such claims.

The exhibitor agrees to insure itself at its own expense against property damage and/or loss and against liability or personal injury.

Participation in the exhibition does not imply any endorsement or approval by NCSI. NCSI takes no responsibility in relation to displays, products, representations or promotional material or the participants. NCSI has not assessed, endorsed or approved any display, product, representation or promotional material.

Exhibition Insurance

Exhibitors are strongly advised to insure goods during transit and while on display, against damage and/or loss however caused, as well as public liability. In addition, the exhibitor acknowledges that the NCSI 2015 Conference, Access Events, the venue and the Exhibition Build Contractor do not maintain insurance covering exhibitors property and that it is the sole responsibility of the exhibitor to obtain liability, business interruption, property damage or other insurance covering loss by an exhibitor.

Personal Insurance

Participants shall be regarded in every aspect as carrying their own risk for injury to person or property during the conference.

If you are travelling from rural areas or interstate, we strongly recommend that at the time of booking any travel you take out a travel insurance policy. The policy taken should include the loss of deposit through cancellation, medical insurance, loss or damage to personal property, including baggage, other financial loss incurred through disruption due to strikes or other industrial action. The organisers are in no way responsible for any claims concerning insurance.

Loading Dock

All exhibitor goods being forwarded to the venue should be marked with the delivery label provided by the Conference Manager in your Exhibitor Kit. Exhibitors should ensure airway bill / consignment numbers are carried with them at all times. This enables goods and equipment to be readily traced.
