Old repositories: nice for people, but not for paper

- Beautiful , protected buildings- Prestigeous- State property- Many windows- Insufficient insolation- Impractical and dusty- No good space utilisation- Aircondition almost impossible- High cost for maintenance- Inconvenient handling

Temporary repositories

- Acquired gradually when old repositories were full- Old factories or warehouses – not charming- Spaceous- Limited insulation- Not airtight and low effect of aircondition- Dusty and no air filtration- Instances of leaking downspouts, water pipes and

roof windows- Expensive to furnish and vacate (removing shelving)

- Relatively low cost for maintenance- Practical compared to old repositories- Relatively good space utilisation- Good climate, usually, but depending on season- Rented from private owners- Several adresses- Placed in suburbs with less polution- All in all OK repositories, but not perfect

New repositories

New repository in Viborg. 75 shelf kilometers. Under construction. Inaugutation november 2015. Country side

The new repository in Copenhagen. 375 shelf kilometers. Inaugurated 2009. Close to city center.- Absolutely perfect climate- Clean air- No dust- Extremely practical- Low cost for maintenance- Perfect space utilisation- Very easy handling of boxes and books

- Paper, parchment and electronic files are separated- Workplaces and storage are separated- Not charming at all- Rented buildings (30 years) – Public-private-partnership- Operation and maintenance is done by owner- Simply perfect repositories

Increased focus on streamlining 1The obvious benefits of the new repositories has created a new focus on:- Improving the passive preservation of the documents by moving them to new

repositories- Streamlining the cost for maintenace and use, by reducing the number of buildings and

adresses and creating more effective workflow- Improving the conditions for the staff

Logically DNA should try to close the old repositories, but that is not what happens. DNA primarily closes the temporary and better repositories.

The old repositories are integrated in the old historic buildings, that are protected by the national conservation authority. The buildings are originally dedicated for archive purposes, and they are difficult to use for anything else without changing them drastically. The national conservation authority try to avoid changing the buildings by urging DNA to stay in these protected buildings.

The national conservation authority has succeeded to a certain extend, but not completely – DNA has left one historic building in 2010 and a second by the end of this year.

Increased focus on streamlining 2The authorities of finances want to streamline the organisation of DNA financially by providing new repositories and offices.

With the new repository i Viborg DNA will be able to move out of most of the temporary repositories.

At that time the DNA will have 3 new up-to-date repositories with a capacity of about 400 shelf kilometers. These repositories are in 3 different cities.

DNA will also have a number of not-contemporary repositories in old historic buildings in 4 different cities.

Protecting the historic buildings has so far to a certain extend been prioritized above protecting the documents.

The majority of the staff are happy to work in the charming old buildings and thus feel happy about the conservation authority.

Damages by acidic paper and ink acid is slowed down by cold-storage
