Dear colleagues,

Welcome to NeW Space, a new home for staff and students from the Faculty of Business and Law and School of Creative Industries.

The University and wider community have eagerly anticipated the opening of NeW Space since the announcement that the NSW and Federal Government, together with UON had made significant funding contributions to support the construction of this iconic facility. Over the past four years, we have watched this remarkable building take shape in the heart of the CBD, visibly transforming the Newcastle skyline and contributing to the renewal of our city and region.

At all stages of this project - from conception through to design and construction and the arrival of UON staff and students - our vision for NeW Space has been to create an outstanding environment for learning, teaching and research right in the centre of the city close to business, industry, innovation and community partners.

The learning environments in NeW Space feature leading-edge technologies that support deeper engagement with academic programs and the collaborative working and connected study spaces support interactions and partnerships to deliver education and research that will have impact across the world.

While a building may have ‘great bones’ and a strong physical presence, it is the people who work and study there that will deliver the full potential of its design and commanding spaces. All relocations present challenges and opportunities, whether they involve moving across the world to take up a new position or study in a new country, or moving from the familiarity of one campus to the novelty of another. A range of staff and leaders will be working hard to iron out some of the issues and ‘bumps’ that are bound to arise in the transition period – and after a hard session unpacking, exploring the environs to find the best double shot (or in my case triple shot) caffeine hit might be just the thing.

While the views looking out from NeW Space are striking, it is when busy passers-by look in to catch the views of students puzzling over an assignment or staff working together on a research project that will change the way the world thinks, that the purpose of NeW Space really becomes clear.

To everyone making the transition, I know that so much planning, thought and hard work has gone into this moment – my very best wishes to you and all success in your own ‘new space’.

GETTING TO NEW SPACEThere is a broad range of transport options available to access the revitalised Newcastle City campus. Due to the quality and number of these options, staff and students are encouraged to think twice before reaching for their car keys when travelling to NeW Space.

ACTIVE TRAVELRide, walk, skate – modern end-of-trip facilities are located on the ground floor of University House with showers, lockers and secure bike storage for over 215 bikes. Active Travel guides for a number of key routes to and from the city are available to assist you in planning your trip.

PUBLIC TRANSPORTBuses, trains and ferries service the CBD and using the Transport NSW website can help to plan your trip to the city. Public and private bus operators service most suburbs within Newcastle and Lake Macquarie. The Central Coast and Newcastle Line and the Hunter Line are the two passenger rail lines that service the Lower Hunter.

Public buses to Newcastle pick up passengers at both the Maths, and Design bus stops at Callaghan. The train stops at Warabrook station currently terminating at Hamilton, with a free connecting coach leaving Hamilton for Newcastle at 15-minute intervals. Opal Cards, accepted on both buses and trains, are the most convenient and cost effective way to travel by public transport.

PARK AND RIDEWhy drive past Callaghan on your way to the city. Park your car at Callaghan and catch the free UON shuttle bus to the city campus. The shuttle from Callaghan to NeW Space commences from 7:15am on weekdays, and concludes weeknights with a 10:15pm service from NeW Space to Callaghan. In teaching periods the shuttle runs at 30-minute intervals. There are two pick up points at Callaghan, one at the Design bus stop and one near car park 14. When parking your car at Callaghan you still need to display a valid parking permit or purchase a parking ticket from the ticket machines located within the car parks.

To board the bus you will need to use your staff ID to tap on. Timetables differ in peak and non-peak periods.

RIDESHARINGRidesharing is a great way to save money, share your drive and reduce your carbon footprint while travelling to work. At the Newcastle City campus there are 20 dedicated Rideshare bays conveniently located behind the Conservatorium of Music building in Laman Street. To access these car parks you need to use the free and UON exclusive Liftango Ridesharing app and display a staff or student parking permit, or buy a car park ticket.

DRIVE / PARKThere are no parking spaces in the NeW Space building. If you plan to drive to the City campus, Newcastle City has a number of short and long term parking facilities available. Additionally, UON has a commercial agreement to lease 150 spaces at the Civic West car parking station located on Gibson Street. To use the Gibson Street facility, staff and students will first need to register as a user and set up a billing account via the UON website or through the NeW Space app.

Visitors to NeW Space need to find individual transport solutions that meet their needs and these can include on street parking, parking in nearby parking stations, catching public transport or using a taxi service.

Our university will be distinguished by the quality of the teaching and the experience of our students. Our aim was to deliver learning space to empower students to reach their potential, to drive innovation, to challenge the status quo and to create beautiful functional and engaging spaces where people will want to stay for a while and revisit time and time again.

The first three levels of NeW Space are customised teaching and learning spaces. Levels 4 to 8 feature student and staff dedicated spaces, including the office of the Pro Vice Chancellor Business and Law. NeW Space also provides facilities for engagement with industry, business and the community, as well as a range of social spaces.

THE TEACHING SPACESChanges in teaching philosophies and studying styles are driving dramatic changes in the physical environments in which students learn and engage in all aspects of their university experience.

To ensure UON remain leaders in the innovation of higher education, NeW Space offers collaborative learning and research spaces where students and academics can meet and engage in a variety of formal and informal ways, as well as areas for quiet reflective learning.

Within NeW Space there are 20 dedicated learning spaces with a capacity of 36 to 112 students. Each of these spaces is customised for active teaching approaches and many offer flexibility in classroom set up.

All rooms are Technology Enabled Active Learning (TEAL) spaces that support a range of teaching styles including lectorials, tutorials, workshops, project-based activities and break out work.

IMMERSIVE THEATRE X-G18 | GROUND FLOOR

Breaking up blocks of instructor-led content with opportunities for group and inter-group discussions and activities can help improve student engagement and learning. Accordingly, this theatre accommodates larger classes working in a mix of presentation and collaborative learning activities with students grouped in booths.

LECTORIAL THEATRE X-101 | 1ST FLOOR

This theatre suits larger classes mixing instructor presentation with collaborative activities. Classes can be a mix of lecture and tutorial or large group learning activities (‘lectorial’). Students are grouped around tables, which facilitates smaller group discussion, collaboration, or project-based activities.

INTERACTIVE THEATRE X-202 | 2ND FLOOR

This theatre suits a mix of instructor-led presentations and large group discussion or debate style of activities due to an ‘in the round’ feel. Great for ‘Socratic teaching’ approaches with moderated question and answer activities, or more conversational styles of delivery.

FLEXI TEAL 2ND, 4TH AND 8TH FLOORS

With the flexibility of movable tables to adjust group sizes, these spaces are suitable for tutorials, workshops and project-based activities. The instructor can present content to the class as needed, though the space is designed with separate screens and computers around the room to support group activities.

LARGE STUDIO TEAL 2ND AND 6TH FLOORS

With movable tables to adjust between large and small group sizes, these large studios are suitable for tutorials, breakout discussions, workshops and project-based activities. The instructor can present content to the class, but there are also separate screens and computers around the room to support group activities.

COLLABORATIVE TEAL 2ND AND 3RD FLOOR

A flexible space for lectorials, tutorials, workshops and projects, these spaces have movable tables to adjust according to group sizes. Tables can also be folded and moved out of the way e.g. for seminar mode seating. Central screens are included for lectern-based presentations.

COLLABORATIVE TEAL 5TH FLOOR

A larger flexible space for lectorials, tutorials, workshops, seminars and projects, this space includes movable tables to adjust for group sizes. Tables can also be folded and moved out of the way e.g. for seminar mode seating. Screens are fixed around the walls for lectern-based presentations.

NESTING TEAL 1ST, 2ND, 6TH AND 7TH FLOORS

These areas suit smaller lectorials, tutorials, workshops, and projects. Although they can accommodate lectern-based delivery, these spaces are generally configured for breakout groups and other collaborative learning activities.

BOOTH TEAL 2ND AND 4TH FLOORS

These areas are suitable for lectern-based delivery and tutorials, interactive videoconferencing sessions, or smaller group or project work. Tables can be moved out of ‘booth’ mode when not videoconferencing.

MOOT COURT X-703 | 7TH FLOOR

This space suits mock law hearings and debate style activities.

MOCK BOARDROOM X-802 | 8TH FLOOR

This space allows students to present in a corporate setting, and is suitable for lectorials, tutorials and seminars.

THE MEETING SPACESAll meeting rooms in NeW Space are available to book using Outlook. Within the building there are 35 bookable meeting rooms.

• 24 small meeting rooms (capacity 2-6)

• 9 large meeting rooms (capacity 8-16)

• 2 Training Rooms (capacity 14- 15)

The Boardroom located on level 8 is managed by the office of the Pro Vice Chancellor, Faculty of Business and Law.

A meeting room officer is responsible for any double bookings, emergency room allocations, processing block booking requests and enquiries from the public to book a meeting room.

THE COLLABORATIVE SPACESCollaborative work environments are designed to foster teamwork, collaboration and innovation, plus support changing work practices, whilst still providing privacy for individual work. Within the neighbourhoods of staff workspaces there are a range of collaborative areas. Many of these feature full wall height glass with seating areas that extend out from the building’s main façade. Additionally, there are staff-only outdoor areas located on level 5 and 6.

SHARED DESKSThe office space in NeW Space is fully occupied by the Faculty of Business and Law, School of Creative Industries and non-faculty professional staff, such as Student Central and IT. Shared desk spaces have been provided for Faculty and School use on levels 4 - 8. Contact your Faculty or School if you require access to these.

Other UON staff members, who need to work in the city for short periods of time, are able to use the vast number of informal learning spaces and student social spaces located throughout the building conveniently serviced by Wi-Fi.

THE QUIET SPACESThere are 37 quiet rooms (capacity 1) for staff / HDR student use located in the staff areas on levels 4 - 8. These rooms are available for private phone conversations and quiet work and have a mix of phone and computer resources. Each floor has a disability access quiet room with a phone and a PC.

THE STUDENT SPACESStudent learning and social spaces are provided on every floor throughout the building, allowing for informal student learning and research activities. Over 250 computers are provided in these spaces as well as Wi-Fi connectivity for BYO devices. Many of these areas also have access to power and data points for charging.

THE LIBRARY SPACEThe library is located on the first floor and provides areas for collaborative or quiet study. A collection of high demand music, business and law materials supplements the Library’s online resources. Opening hours of the library are the same as NeW Space’s core opening hours.

THE RECEPTION SPACESThe main reception point for students is located on the ground floor.

Additionally, there are three reception areas:

• Level 4 – School of Creative Industries

• Level 5 – School of Law and the University of Newcastle Legal Centre

• Level 6 – School of Business

Staff are available at the reception points from 8:30am - 6pm weekdays to receive guests, answer enquiries and assist students.

END OF TRIP FACILITIESLocated in the former loading dock of University House are modern end-of-trip facilities with showers, lockers and secure bike storage for over 215 bikes. There are 20 showers with private change spaces and over 215 personal use lockers for use by students and staff. Lockers are available on a first-come basis, and operated with a personally chosen pin that will reset automatically at midnight. There will be a bike repair stand and bike pump to assist with urgent repairs. These secure facilities are available 24/7 using staff or student ID cards.

PARENTING SPACEStaff, students and visitors can access the Parenting room located on the ground floor. The room offers a change table, nappy disposal unit, microwave, fridge, sink and comfortable chair.

FOOD OPTIONSA café is located on the ground floor of NeW Space. Operating from Monday to Saturday, the cafe specialises in coffee, with a diverse range of grab-and-go style food options and pre-made meals. Within a short walk from NeW Space there are also convenience stores, cafés, bars and even high-end restaurants.

BOOKING SPACES IN NEW SPACENeW Space has been designed to promote collaboration between academics, and engagement with students, industry and the community and is a facility to be shared by staff and students.

MEETING ROOMSThe following principles have been developed as a resource for staff and students with regards to meeting rooms.

• Unless it is already reserved, staff and students can book any NeW Space meeting room in public areas, online or through the interactive touch screen.

• A NeW Space meeting room officer is responsible for any double bookings, emergency room allocations, processing block booking requests and enquiries from the public to book a meeting room.

• In some instances, staff will need to block book a room for recurring meetings. If a meeting room is needed for half a day or more at the same time every week, staff can work with the meeting room officer to lodge a block booking request. The block booking process considers the demonstrated need in the context of the overall demand on the NeW Space meeting rooms.

• Areas and staff that have been provided exclusive access to meeting rooms through a block booking will make full use of the rooms for the times they have indicated.

• A booked meeting room will be occupied within 15 minutes of the start of the booked meeting time, otherwise the room will be deemed available.

• As the primary residents of NeW Space, the Faculty of Business and Law and the School of Creative Industries have priority access to meeting rooms. Bookings from other UON faculties and divisions and the public will be accepted from 2018.

• Meeting room utilisation and demand will be part of the NeW Space post-occupancy review and their use will continue to be monitored beyond the initial review.

All meeting rooms need to be booked through Outlook. The digital meeting room displays also allow bookings to be made directly from the screen if the room is unoccupied.

TEACHING SPACESTeaching spaces are allocated as per timetabling needs. Outside of these teaching times rooms can be booked using the online room booking system ‘Scientia’.

VENUE HIREUON staff can book any teaching space in NeW Space, outside of prescheduled timetabling, via the online room booking system ‘Scientia’. For all information regarding availability and booking of teaching spaces in NeW Space please email [email protected]

When not in use by students, four rooms within NeW Space are suitable for staff functions and events. These spaces include the Immersive Theatre (Ground floor), Lectorial Theatre (1st floor), Collaborative TEAL (5th floor) and Flexi TEAL (8th floor). The Venues Management Team within Infrastructure and Facility Services are responsible for the venue management of these spaces outside of their timetabled use. The team can provide guidance and assist in booking these spaces but not the organisation or management of the event or function. GETTING AROUND NEW SPACEThe internal and external landscape of NeW Space has been designed to encourage interconnection and provide places for students and staff to self-organise, creating their own sense of campus community.

Accessible to the public, the campus green serves as a key pedestrian link between NeW Space and Christie Place, and beyond to Civic Park and the Art Gallery. Shared space between NeW Space and University House doubles as the main entry point to the loading dock, but is also a key access route for those accessing the Bike Hubs.

ACCESSThere are separate processes in place for staff, students and visitors within NeW Space to ensure accessibility whilst maintaining safety and integrity.

All staff will need to be inducted to work within NeW Space. Contractors required to work at NeW Space need to be inducted and must complete their induction online. More on this is outlined in the Health and Safety section of this handbook.

Students and visitors will first go to one of the reception areas on levels 4, 5 or 6 when visiting a UON Staff member.

ACCESS OUTSIDE OF BUILDING CORE OPENING HOURS Access is restricted for staff from levels 2 and above after 10:00pm. Any staff member needing to access their workspace after this time must advise security prior to arrival.

MOBILITY ACCESSNeW Space has been designed as a place for everyone to access and enjoy. All nine levels of NeW Space are accessible via the bank of five lifts servicing the building. NeW Space also provides accessible toilets on each floor.

VISITORS ACCESSVisitors need to be escorted into staff only areas by a UON staff member.

A controlled number of visitor cards have been provided to each reception area. These cards can be made available for short-term visitors, with management of the cards via a sign-out register in the reception areas.

STUDENT ACCESSOutside of the staff workspaces on levels 4 to 8, students are able to freely walk between the floors to utilise learning, collaborative, meeting and printing spaces during core building hours. Outside of core building hours, students don’t have access above level 1 and will need to use their ID cards to access the front door on Hunter Street and the library space.

BUILDING ACCESSNew Space is open 24/7 with access managed by electronic access control points outside of core building opening hours. Staff and students will need to use their ID card to access the building outside of the core opening hours.

ACCESS BETWEEN FLOORSThere is free access between all floors via the internal stairs and lifts or the escalators between ground, first and second floors during the building core opening hours. Staff workspaces are located on levels 4 to 8 and can only be accessed by staff using their ID card with electronic access control points at major entrances.

Staff identified as working in the NeW Space building have access to each floor as part of their ID card.

HDR students located at a HDR desk or hot-desk in NeW Space or University House will have full staff access in NeW Space.

The staff break-out space and kitchen is located on level 5. Staff are required to use their staff ID at all times to access these facilities.

LIBRARY ACCESSAccess to the Library reflects the weekday 7am – 10pm and weekend 1pm – 5pm core building opening hours. Outside of these times students and staff need to use their ID card. Whilst there are two entrances to the library with electronic access control, student access is only via the main entrance. Library staff have electronic access via the secondary entrance.

BIKE HUB AND END OF TRIP FACILITIES ACCESSThe bike hub and end of trip facilities are located in the ground floor of the adjacent University House. Students and staff need to use their ID cards to access these facilities 24/7.

How to read wayfinding signage

WAYFINDINGWayfinding is the process that people use to orientate themselves in the built environment to facilitate effective movement from point A to B.

Within NeW Space there is wayfinding signage both in solid and digital format. Building directional signage with room locations is situated beside the lifts on each floor.

Located on the ground floor adjacent to the escalators, is a digital information kiosk to assist visitors and students to navigate their way around the building and seek further information.

In addition, the MazeMap Wayfinding app is available on the NeW Space app for easy navigation to any room or point of interest. The MazeMap Wayfinding app will cover other buildings including University House, The Conservatorium and Northumberland House.

HEALTH AND SAFETYWe are committed to ensure the University environment is without risk to the health and safety of any person on our campuses. The University has a duty of care to keep people safe and healthy by creating a risk free environment for work and study and ensuring everyone understands their responsibilities.

INDUCTIONSTAFFAs part of starting work for UON an induction is provided by your Manager / Supervisor specific to all campuses and includes the NeW Space building. UON staff members relocating to the NeW Space building from another area are required to undertake an induction specific to the NeW Space building. Your induction includes important information about UON policies, emergencies in the workplace, first aid, security and after hours work arrangements, and facilities available at the workplace. Your induction also provides important Health and Safety information including the UON Hazard and Incident Reporting System, and information about your Health and Safety Committee and its members. This induction will also provide an opportunity to identify any additional specific training or additional inductions that you may need to perform your job at your place of work.

CONTRACTORSThe University has a compulsory induction process for all contractors and consultants visiting our facilities across our campuses. To undertake any work on our campuses or within our buildings, including NeW Space, contractors and consultants must complete the online University Contractor Induction. Once completed the induction is valid for 12 months.

Visitors don’t need an induction if they are fully escorted by an appropriate staff member and the activity is a once-only event of short duration.

SECURITYSecurity are located within the building and are also responsible for the broader City campus areas.

The Safety and Security team can be contacted on 4921 7962 or ext. 17962.

EMERGENCY PROCEDURESIn the event of an emergency where the building needs to be evacuated, the evacuation alarm will sound. Staff must follow the emergency exit procedure and evacuation plan relevant to your area as outlined in your induction, and remember do not use the lifts. Emergency stairs are clearly signposted and identifiable.

The emergency evacuation meeting point is Wheeler Place and access to this is via the ground floor doors.

MEDICAL EMERGENCYFor all medical emergencies dial 000 for an ambulance. If you are using an internal phone you will be required to dial 0 first to get an external line before you dial 000. Also contact the Safety and Security team so they can assist in directing the ambulance to the injured person.

FIRST AIDA first aid room is located on the ground floor. Safety and Security team members and the building’s First Aid Officers can provide access to this room.

First aid kits are located on all floors of the building as well as in the staff kitchenettes, and the staff and student kitchens. First aid officers have been trained in the administration of first aid and a list of these staff members is located with the first aid kits.

MAIL Whilst working in NeW Space you have access to the same mail and courier services as our other campuses.

Mail pick up / drop off points are the reception areas on level 4, 5 and 6 as well as the library and the office of the Pro Vice Chancellor Business and Law.

SMOKE FREEUON is dedicated to providing a safe and healthy workplace for staff, students and visitors to our campuses and is proud to adopt the UON Smoke-free Initiative. This means that all our campuses and buildings are smoke-free areas.

Additionally NeW Space is adjacent to a number of public spaces and these areas, such as Christie Place, are also non-smoking areas. Please note the following areas where smoking is prohibited:

• The campus green adjacent to NeW Space

• The pedestrian access between University House and NeW Space

• Within 4 meters of the retail outlet’s Hunter Street serving window

• Within 4 meters of the entry to any of the University’s buildings in the city

• Christie Place is a public place and is covered by the Newcastle City Council smoking rules.

If you need assistance to quit smoking, contact your GP for advice and support or access a range of assistance programs such as iCanQuit or the Quitline.

YOUR WORK SPACEERGONOMICSYour workspace within NeW Space has a desk adjustable for sitting and standing, as well as an ergonomically designed adjustable chair. The correct ergonomic setup of your workspace is essential in preventing musculoskeletal conditions and injuries associated with manual handling and ergonomic hazards.

The Workplace Ergonomics for New Starters link on the website assists staff and students in assessing their workstation, providing exercises for rest breaks, workstation tips and design information. If you have any questions or concerns about your workspace set-up please notify your Manager/Supervisor and contact the Health and Safety Team on 4921 8847 or ext. 18847.

SIT / STAND DESK FUNCTIONALITYThese desks enable you to adjust your desk height from a sitting position to a standing position over the course of your day by using the up and down arrows. Ensure that when you are standing at your desk that you maintain a correct posture. As with sitting, try to avoid standing for too long and to assist with fatigue vary your position throughout the day alternating between sitting, standing and walking.

COMPUTERWhen you are sitting at the correct height you may need to adjust your monitor so that your eyes naturally fall in the top third of the screen. You should also ensure that your monitor is at arm’s length from your eyes.

FOLLOW ME PRINTFollow Me print technology enables you to print a document and then go to any staff printer to swipe and release your document from anywhere in the building. The technology ensures printing is confidential to the user and reduces printed waste from documents left uncollected at the printer. Information on how to access and use this technology is available in the Resources section of this handbook.

Students also have access to the same technology using student print devices located throughout the building and in the library.

SOFTPHONEA softphone is software that allows a phone call to be made or received from a computer that has network connectivity and a headset. You are able to look up and dial people, and retrieve voicemail with the click of a mouse. Creating a truly mobile office from any location you have network connectivity, it also frees up desk space, as a physical phone is no longer needed.

UON has selected the Cisco Jabber softphone - the Jabber App is available for download for both Android and Apple smartphones via Google Play and the App Store, providing greater connectivity options.

Staff have the option to have a desk phone if they would prefer to take their existing phone.

STORAGEWithin your workspace there are lockable storage solutions where confidential materials should be stored. Keys to these cabinets are your responsibility.

WASTEWe can all make a big difference by making small individual changes. The NeW Space building has moved to a new waste management process that utilises desk caddies rather than desk bins. The caddies are designed not only to assist staff to be aware of how much waste we put to landfill, but to enhance the recycling of our waste by encouraging better sorting of rubbish. It is your responsibility to empty the desk caddies at the rubbish sorting stations located adjacent to the printers and in the kitchenettes.

AMENITIESMale, female and accessible toilets are located on each floor near the lifts. Please lodge a Maximo if you notice that these facilities need servicing.

CLEANINGTo keep spaces clean, staff and students using the kitchens and kitchenettes are responsible for cleaning up after themselves. This includes cleaning and putting away crockery and cutlery.

Staff are also encouraged to ensure your desk surface is tidy and any confidential material is locked away before you leave.

DIGITAL SIGNAGE SCREENS Whilst predominately screening student directed communication, these screens can also display event or emergency information for the building as required. Access to publish content is limited to authorised staff members within various Faculties and Business Units. Contact the Student Central Communications team for more information.

INFORMATION POINTThe primary NeW Space information point is located on the ground floor. Students and visitors will be welcomed by a meet and greet service, using concierge technology. In addition there is a ticketing and check-in kiosk and a self-service kiosk for wayfinding and service information. Students can make appointments ahead of time, on the way to campus or from home reducing the wait time in a physical queue.

ROOM BOOKING DISPLAYSRoom booking displays are located at the entrance to teaching spaces and meeting rooms - providing room booking details of what’s on now and what’s on next. The meeting room displays also allow bookings to be made directly from the screen if the room is unoccupied. How-to-guides detailing the process of booking teaching spaces or meeting rooms, and using this technology, are available in ServiceUON.

TEACHING AND MEETING ROOMSAll teaching spaces have a fixed lectern with a lapel and hand help microphone supplied.

VIDEO CONFERENCINGVideo conferencing technologies are available in selected teaching spaces and meeting rooms. Training sessions will be held for staff in how to use this technology. See ServiceUON for up-to-date information on how to use this technology.

WAYFINDINGDigital wayfinding using MazeMap can be accessed via the NeW Space app.

WI-FIYou can connect to the University wireless network using your laptop, tablet or smartphone. UON provides the following wireless access:

• newcastle.edu.au for staff and students

• eduroam for visitors from other Universities on the eduroam network

• UON Guest Wi-Fi for UON visitors

• Conference wireless access for scheduled conference purposes (by request)
