New User Creation

As a System Administrator, use the Simplified New User Creation procedure to partially register new End Users or System Administrators first, thereafter allowing them to complete the rest of the registration and activate their HSBCnet access.

To register a new User with this Simplified New User Creation, complete the following steps:

1. Log on to HSBCnet and access the User Management service under the User and Account Management tab.

2. Select the New User Creation link to proceed.

3. Authenticate yourself using your Security Device.

4. The User Profile – Initiate page appears displaying step 1. Create User Profile. Complete all mandatory fields marked with an asterisk (*) and any optional fields on behalf of the new User. Refer to the table below for information relating to each section of the form.

5. Choose Next step to proceed to Step 2: Access Control.

Step 1. Create user Profile

User Profile Tab - Fields

Temporary Username

The temporary username is auto-generated by the system and pre-populated on the Create user profile screen, the logon user is still allowed to change the temporary username if they desire to do so during the initial log on.

User Type

System Administrators have administration rights.

These users are able to set up and maintain the access rights of other users. Considerable care should therefore be employed in assigning System Administrator status to a user.

End users do not have administration rights.

These users are not permitted to set up or maintain the access rights of other users. Most users will normally be in this category.

Auto-entitle user

Auto entitlements will grant the user access to all accounts and services for HSBCnet. When a user is granted auto entitlements, you will lose the ability to grant or remove individual account or service access. You will be able to turn on or off auto entitlements anytime by going to Modify user profile under User Management service.

Preferred languageThe chosen language in which all HSBCnet pages will appear. At present, you can choose one of 21 available languages from the drop-down list.

Email address at work. When confirming the e-mail in the next field you are not allowed to copy and paste the e-mail. You must type it in. Activation code and the Temporary Username are sent to this address.

6. Step 2. Set entitlements. If you selected ‘no’ for ‘Auto-entitle User’, you can entitle the User to various services individually or Copy from another user depending on their role in your organisation.

Step 2. Set entitlements

7. Choose Next Step at the bottom of the page to continue to the entitlement summary page. Select Next Stepagain to continue or select Modify to go back to step 2. Set entitlements.

8. In step 3. Security page, select the Security Device radio button under Authentication Information section. Next, you have three options:

a. Link a security device now: Use this option if you have unallocated Security Devices available. Select a free device from your stock and enter the serial number from the back of the device.

b. Order new device(s): If you do not have stock of unallocated security devices, use this option to order additional security devices. Enter the number of security devices to begin. The Shipping Address Details section appears requiring you to enter the address where the device should be shipped/delivered to.

c. User to provide at first login: Use this option if the new user already has a device in his/her possession and you don’t know the serial number. They will be prompted to bind the device to their Username during the initial logon.

9. Select Submit to proceed to step 4. Review & Confirm page. This page displays the details summarizing the User setup thus far. Select Confirm to submit the new User creation or Modify to make changes.

10. Step 5. Acknowledgement provides setup confirmation and status.

a. If your company follows a dual administrative setup, the status of the instruction is Pending Approvalrequiring approval by another System Administrator with authorisation rights.

b. If your company follows sole administrative setup, the status of the instruction is Approved and no further authorisation is required.

Approving a New User Creation

If your organisation follows dual administrative control, the New User Creation you submitted has the Pending Approval status and must be approved by another System Administrator.

As the approving System Administrator, complete the following steps:

1. Access the User Authorisation Summary service in the User and Account Management tab.

2. Select the User Creation – Pending Approval link in the Pending Action column respective to the name of the new User.

3. Authenticate yourself using your Security Device or Smart Card.

4. The new User approval process will begin. Review the details of each step and at the bottom of each page and choose Next Step to proceed. If you would like to reject the New User Setup, select Reject.

5. An acknowledgement confirms that the approval process is complete.

First time Logon by New User

A: When Security Device is assigned to the UserWhen your System Administrator completes the initial setup for your HSBCnet access, a welcome e-mail is sent to your e-mail address (the e-mail address entered in the User Profile tab). The Welcome e-mail includes the temporary username.

As a new User, complete the following steps to log on to HSBCnet for the first time and activate your username and Security Device:

1. Access the HSBCnet home page at www.hsbcnet.com

2. Select Logon/Register and enter your temporary Username. Choose Log on to proceed.

3. The Activation Code page appears. Enter the activation code from your welcome e-mail. Select Continue to proceed.

Note: If you encounter any problems with your current activation code you can generate a new one by selecting the 'get a replacement code' link on the page. This will take you through a Security Information Reset request, where you’ll be required to complete your user profile and security credentials. Once submitted, your System Administrator(s) will need to authorise the request before the new activation code is generated and emailed to you. In case you do not receive the new activation code in your email inbox, please check if the email was filed in your Junk e-mail box. Please also verify if your e-mail address in your profile is up to date.

4. The New User – First Time Logon page appears with a message explaining the first time logon process. Choose Continue to proceed.

5. The Security Device Activation page appears. Choose Select under the image that displays New Pin message in the device window (for a new security device). The Security Device Activation page appears.

6. Complete the following instructions to select and set a new PIN for your Device.

a. To power on your device, press and hold the Green circle button on your device for two seconds.

b. The New PIN message appears in the device window. Select and enter a new 4 to 8 digit PIN using the device key pad.

c. To submit your PIN, press the Yellow square button on your device key pad.

d. If your PIN is accepted, the PIN CONF message appears in the device window.

e. To confirm you PIN, key in the same 4 to 8 digit PIN again using the device key pad.

f. The NEW PIN CONF message appears briefly in the device window before displaying two dashes. You have successfully set your PIN

Note: The device will require you to select a strong PIN. A weak PIN (example 11111 or 12345) will be rejected by the device and will display a not SAFE message briefly before reverting to the NEW PIN message. Resume selecting a strong PIN until accepted.

7. Next, choose Continue on the Security Device Activation page to proceed.

8. On the PIN confirmation page, select Continue. The Security Device authentication page appears.

9. On the Security Device Authentication page, the Security Device serial number field is already populated with the number of the device assigned to you by your System Administrator.

Note: If you received the Security Device directly at your address, the serial number will not appear in the field. Enter the serial number from the back of the device into the field. Ensure that this on-screen serial number matches with the serial number on the back of your device.

10. Next, power on your device by pressing and holding the Green circle button on your Security Device for two seconds. Enter the PIN you selected earlier using the device key pad. To submit the PIN, press the Green circle button again. Enter the six- digit security code that appears in the Security Device window into the Security Device code field on your computer screen. Select Continue to proceed. You have successfully activated your new Security Device

11. A reminder message will show up advising to update your personal information, select Continue. The HSBCnet home page appears. Begin using the services you have been entitled to.

Note: To log on to HSBCnet, in the future you will only be asked to authenticate yourself by entering your Security Device code.

Updating your User Information

After successfully logging on to HSBCnet and activating your access and Security Device, navigate to your Profile to update your personal and security information including your Username. To do so complete the following steps:

1. Access the HSBCnet home page at www.hsbcnet.com

2. Select Logon and enter your temporary Username. Choose Continue to proceed.

3. Follow the on-screen instructions to authenticate yourself using your Security Device. Select Continue to proceed to the HSBCnet personal page.

4. Select your name in the top of your personal page.

5. The Update User Information page appears. Review the information and make any changes you wish to in the available fields. Mandatory fields are marked with an asterisk (*).

6. Select Continue to proceed.

7. The Capture Logon Credentials page appears. Select a different Username if you wish (this is the only opportunity you have to change the Username. After this step, it will be set permanently.

8. Next, choose a memorable question and answer. This is required to authenticate yourself during logon and password/security information reset. Choose Continue when finished.

9. In the Capture Security Information page, choose two security questions and answers. If you forget either your password or memorable answer, you will need to answer these two questions to access your HSBCnetPersonal page. Again, select Continue when finished.

10. Read the HSBCnet E-channels terms and conditions that appear. Select the Accept checkbox and then Continue to proceed.

11. A message confirms that you have completed the New User Setup – First time log on process. Choose Continue again.

12. The HSBCnet welcome page appears and you can begin using the system.
