One of the nice new features in Adobe’s InDesign CS3 is the ability to place multiple graphics at a time. InDesign gives you a small preview of each graphic next to the place cursor. You can scroll through the selected graphics by pressing the right or left arrow keys until you reach the one you wish to place. You can even remove a graphic from the list by hitting the Esc key.
A little known option is that if you hold down the Option key (Alt key on a PC) and click on a graphic frame — it will replace the existing graphic with the new one you currently have loaded! This Multiplace-and-Replace combination is a terrific time saver for designers who produce catalogs, or other projects with a large number of placed graphics.

The Cat is out of the bag...Apple releases OSX 10.5 Leopard
We have been testing Apple’s latest OS release and we like what we see
With the release of OSX 10.5 Apple has put out a very nice, evolutionary release. Overall the whole system has a fresher look and we have found the biggest bang-for-the-buck to be the changes that Apple has made to make your everyday work go smoother and faster. Apple lists over 300 new features to their operating system but there are a few that really stand out.
The Finder: For those of you that are iTunes users, you will feel right at home in the new Finder. The wow factor here is with the Cover-Flow view along with Quick View. We find ourselves using this more and more. You
can now browse through your files just like you do Album Covers in iTunes. No more trying to guess which is the right image, just browse in Cover-Flow. Once you are at the file you want, click the space bar to open it up in Quick View. You can even scroll through the pages of a PDF file without opening Acrobat or Preview.
Spaces: This would be number 2 on our most used features. Spaces gives you up to 16 virtual desktops. You can assign applications to open in a specific space or let it open in all spaces. Moving from space to space is just a click away. It is a great way to keep the clutter down to a minimum. You can view all spaces at once and drag applications and windows to reassign them. A great example of this is I keep Space number 1 for my email, instant messaging and calendar, space 2 for
my FileMaker work, space 3 for my FTP client and space 4 for my graphic apps.

5 Common Mistakes
Here are the top 5 most common mistakes we see at CRP when preparing files to print
1. Missing/Incorrect FontsMissing/Incorrect fonts has been at the top of this list for years. So many versions of the same typeface exist that we can’t always make substitutions to fix type without risking a different look or causing the text to reflow. Always include the exact fonts used in your file. The use of a good font management tool is recommended.
2. Incorrect Page Size SettingIncorrectly specified page settings cannot always be fixed by simply scaling up or down, so make sure your document size is your trim size. Leave decisions such as grind off to CRP.
3. Missing and Unlinked GraphicsYour page layout document shows the image, but the actual file is missing. It could have become unlinked when saved in a folder that differs from the original location. With missing links, graphics on the page layout document will output in low-res or cannot be output at all. Make sure links are up to date.
4. Inadequate Bleeds/Page MarginsBleed photos and other graphics that extend to the edge of a page must be set up to overlap the trim margins by at least an 1/8th inch to avoid white along the edges. Also be sure you understand what the margin requirements are for the piece you are printing in order to avoid images or text getting cut off or being too close to the trim.
5. Failure to Use Preflight SoftwareIf your software program has a preflight or “collect for output” feature, be sure to use it. The newer version will help you collect all the fonts and images, search for missing items and avoid careless mistakes. Be sure to double check that all files are there after you collect for output because some fonts may not be collected properly.
Personalized Help DocumentsWe want to help you prepare better documents. With the various operating system versions
between Mac and PC, the various versions of software available and the different versions of PDF there is an infinite number of ways to successfully prepare your files for print at CRP.

We will send you a document outlining the proper procedures and settings for creating files for print at CRP.

Picking Colors Just Got EasierWe know how difficult it can be picking just the right color for your
project. Whether it is a spot color or a CMYK mix, how can you be sure what you are seeing on your screen or your internal proofs is going to print the way you intended.
With this in mind, we have created several color charts. The first shows a wide selection of CMYK process builds and the numbers used to achieve them; the second shows all of our stocked PMS Spot colors in 100%, 50% and 10%; and the third shows our house colors and their best CMYK conversion in 100%, 75%, 50%, 20% and 10%.
Let us know which chart(s) you would like and if you would like to see it on offset or newsprint stock. We will create a proof that is profiled to the press and specified stock.
This will provide you with an excellent tool for picking a spot or process mix color for printing.

Desktop Publishing Basics
“A listing of basic things you need to know when preparing
your files for printing at Charles River Publishing”

Items to Supply
Hard Copy: Hard Copy can be supplied as lasers
(preferred) or a screen ready PDF file.
Fonts: Supply all fonts used in your document, including
fonts used in placed eps graphics.
Graphics: Supply all graphics used in the document.
Images should be linked and not embedded. If you are
supplying a “flattened” file that was originally created using
multiple layers in Adobe Photoshop or Illustrator, send the
layered file also.
How to Build Your Files
Page Size: Build your document to the final trim size of
your publication. We generally do NOT use the standard
8.5” x 11” or similar sizes because of our press cutoff.
Please check with customer service or sales if you are
uncertain of the correct final size.
Safety Margins: Any live copy should be a minimum of
.375” (.5” preferred) away from the edge of any product
that has finishing done in line. This is necessary to avoid
marking as the press cuts and folds the just printed paper.
Bleeds: Should be set to .25” for jobs that stitch and trim.
Photos and Tints: Should be adjusted for dot gain.
Newspaper presses have dot gain in the 30% range.
• Maximum shadow dot should not exceed 85%
• Highlight dot should be 3%-5%
• Open up midtones and three quarter tones.
Choose colors and tints carefully - remember the dot gain
and how it can affect legibility.
Graphics Resolutions:
Photos should be 220 ppi at 100%.
Scanned linework should be 1270 dpi at 100%.
Type Rules:
Reverse type must be 10pt or larger. If using a serif type
use a bold version when reversed.
Avoid having fine type that is made up by more than 2
process colors.
Avoid black text over darker screen tints.
Be sure to use actual fonts for stylizing vs. application
stylizing features (bold, italic, etc.)
Defining Colors:
The final document you send to us should contain only the
colors needed, defined in their correct colorspace. Colors
should be defined as either a CMYK build for jobs printing
in 4/C process or as a PANTONE Spot color.
When using PANTONE spot colors be sure to use one
version of the color throughout your document and
graphics, PANTONE colors are named with C, CV, CU at
the end, these will all be seen as different colors.
When creating black plus spot color jobs do not create
any colors that are made up of 4/C process.
Sending Your Files to Charles River Publishing
We highly recommend that you preflight your files prior to
sending them the CRP for production. Popular preflight
programs are Flightcheck and PitStop. Some applications
also come with their own preflighting tools. These tools
should also be used to “collect” the job files. You can send
us your files with the following methods:
Disk - CD, DVD, Zip and Floppy
Email - As an attachment (less than 5mb)
FTP - ftp://charlesriverpublishing.net
Please contact your customer service rep or salesperson
for access information.
Common Fonts
Type 1Preferred font - be sure to include both
screen and printer font.
True TypeOK to use
Open Type OK to use
Multiple Master OK to use, but have seen some issues.
Double-Byte AKA Identity-H, try to avoid using these.
We have had problems processing these
fonts.

Converting RGB images to CMYK in Photoshop for printing at Charles River Publishing
The following instructions outline a quick procedure for applying simple, consistent color
correction and conversion of images for printing at Charles River Publishing. These in-
structions assume the use of RGB as the starting color space. The screen shots are
from Photoshop CS. The ISONewsprint icc profile is included with these instructions,
along with the instructions on how to install it.
1 - From the Image menu go to Adjustments/Levels
2 - Click on the Options Button

Items to SupplyHard Copy:Include laser proofs that match the most recent version ofyour files. 100% to size is preferred (you may print tiledout lasers and tape proofs together for oversized pieces).If reduced laser are supplied, please indicate the reduc-tion size.
Items to Color Match:If you have any specific colors you want to match duringprinting provide examples. These can be:
• Ink Drawdowns• Color Swatches• Previous Printed Samples
Artwork:Label any transparencies or reflective copy with the pagenumber they appear on and the file name of any low-resFPO files. It is a good idea to keep a photocopy of any art-work you release.
Color Mark-up: (see example on back of sheet)The color mark-up should be at 100% scale. If this is notpossible, indicate the percentage of its intended size.Instructions:Check your mark-up against the print estimate to makesure that CRP has everything needed to process your job,including paper stock, inks, quantity and delivery instruc-tions
Disk Directory:Include a printout of all files on the disk being given toCRP, with all folders open to show contents. Again be sureto include all fonts and linked images.
Label your Disk:Include company name, job name, date and brief listing ofwhat’s on the disk. If sending multiple disks, indicate “oneof three,” etc.
A note on sending files electronically:If sending your files via FTP or email it is still good prac-tice to send the other items mentioned. Many of the itemslisted are needed more at the proofing and printingstages. Sending you files electronically allows us to get ajump start on preflight and production.
ChecklistFile Information! Disk directory or window printout (with all folders open)! Final set of 100% laser printouts. Tile and tape togetherif necessary.! Color printouts clearly marked for color breaks, knock-outs, FPOs, bleeds, etc.
Fonts! All fonts (printer and screen) included! All fonts used in placed graphics! Fonts placed in a separate folder marked FONTSText & Rules! All unwanted items deleted! All rules set to a numerical value (not hairline)Colors! All colors properly defined (CMYK, spot colors)! All colors used in placed files follow the same namingconvention as page layout files! All unused colors deleted
Support Files! Most current version of all placed files included. Makesure each file has a unique name. Verify proper placementof all modified files and check links.! Write in the MarginsWrite your instructions in the margins of the laser printout. When
marking up the color in the elctronic file, be sure that instructions are
on a separate layer that clearly states “not to be printed”.

Drop ShadowIf shadows are to be created by the printer, specify their placement, width, direction and color. Provide a sketch or sample if possible. Also indicate if the shadow should be varnished
