Requirements: Expressway Transport, a generalcommodities carrier, wanted to implement a documentmanagement system to decrease the time and cost toprocess shipments from dispatch to invoice. They investedin DocuWare to create a central electronic documentrepository that included automatic indexing with OCR(Optical Character Recognition) and barcodes, electronicbaskets for efficient movement of documents betweendepartments, and integration with Varipro Systems forquick and easy access of documents.

Solution: With DocuWare and a Savin MFP, the dispatchrequest begins and ends in electronic form. Faxes are nowcaptured electronically, email is moved into DocuWareseamlessly, and any other paper documents are scannedand appended to the file with just a few clicks. The order isstill generated from Varipro Systems in paper form but itincludes a special barcode that references the ordernumber in the database. The barcode enables informationto be extracted from the documents and automaticallyentered into DocuWare. Authorized users can now searchthe files using customized indexing data points. The invoiceis then generated and emailed to the customer, while a

copy is electronically stored in DocuWare. UsingDocuWare, Expressway has eliminated 40+ hours permonth of manual filing and reduced the time to processshipments.
