Newsletter Volume 8 March 2016 1 News from your POA Board of Directors President’s Message – Elections are upon us. This year there are three vacancies to be filled and for the first time in recent memory there are seven applicants from which to choose. This will also be the second year for electronic balloting through e-Voting. In past years, not enough votes were cast to create a quorum. Last year e-Voting was so successful the quorum was surpassed by approximately 25%. Owners who were not able to come to the island were able to cast their ballots from home or wherever they were. By the time you read this you may have already cast your ballot for the three owners you feel will most likely represent the best interests of the resort. Although some candidates may have personal agendas for running, it is important to remember that a board member’s major responsibility is the betterment of the resort as a whole. There are 401 lots and some 800 owners who have fallen in love with this resort. They have invested their own money to become owners in order to enjoy the lifestyle and companionship that the resort offers. As board members, we must remember that it is the collective interest of all owners that is our major responsibility. As members of the board team, we must also remember that there is no “I” in team. Incorporated in 1978, the resort is now in its 38th year of operation. After 38 years many resorts and parks have come and gone, yet HHIMR continues to grow and flourish with new ideas, new programs, improved facilities and new owners year after year. The resort has risen to prominence on the national stage. It is the responsibility of all Board members to work toward continuing the successes that have been achieved. Congratulations to those who are chosen. Use your time and talent wisely. 800 or so owners are counting on you. - Charlie Kendrick, President

A Year of Change During the past year, this Board of Directors has made a number of operational changes. Meetings were designed to be business meetings where projects could be discussed and decisions made. Committee updates were provided to the Board prior to each Board meeting for review and discussion. If the decision was to move the recommendation to a board vote, it was tabled for the next public Board meeting to be voted on. The General Manager and Finance Director submitted their reports electronically to prevent time lost from the business matters of the day. In following this new procedure, the Board was able to remove itself from micromanaging the daily affairs of the office, thus leaving office business matters to the office and policy and direction matters to the Board. Some of the changes made during this Board’s tenure include: new agreements for the General Manager and for the Broker in Charge, replacing an employee bonus program with a profit sharing program, a new Human Resources Policy, new rent rates for 2016, approvals of the tennis court reconstruction, a new transformer, new pavers at the clubhouse, a proposal for a change to the entrance of the resort, a return to the original 90 Day coach Covenant, revised and simplified Rules and Regulations, the creation of new committees involving more owners than ever before in the business matters of the resort, publishing several Directors’ Newsletters, and developing and approving a Charter for the new Social Club. Throughout this past year of changes, all board members and volunteers devoted many hours of their personal time to the improvement of this resort. While change is not well received by many, change is the only true constant throughout the universe. If we are to continue as one of the premium resorts in the country, we must continue to embrace change.

Committees 2015-2016 The Five Year Strategic Plan was developed in 2014 by Michel Leclerc, Treasurer and Steve Aasheim, President. It was presented at the 2015 Annual Owners’ Meeting. The intent was to create long range, solid programs for the continuous betterment of the resort. One of the several recommendations made was to involve more owners in committees to support the growth, the overall improvement and continuity of the resort from board to board. This Board has undertaken that mission. As a result many policies have been approved and put into place by the combined efforts of these 24 committee members. Twenty four volunteers on thirteen committees is unprecedented in the history of this resort. As owners, we have the greatest interest in the success and financial health of our resort. These 24 owners have graciously shared their talent, their expertise and most importantly the unselfish contribution of their time. On behalf of the Board of Directors, the management staff and all owners, we would like to say a most sincere thank you for all your hard work and the progress that has been made.

Election Committee

Please Vote in the HHIMR Board of Directors’ Election! The voting for this year’s Board of Directors’ election started on Tuesday, March 15, 2016. We are voting online again and using the SimplyVoting website for the election. You should have received an e-mail with instructions on Tuesday, March 15th. If you did not see an e-mail from the Hilton Head Island Motorcoach Resort Elections Committee, then please check your e-mail junk mail folder. It is possible it was sent there by mistake. All voting instructions were sent to owners using the e-mail address that is on file with the office. If you cannot find this e-mail, please notify Marianne Riddile at [email protected]. On March 10th, you should have received an e-mail newsletter from the Resort with detailed instructions for voting and assigning your proxy. These instructions also appear in the owners’ section of the website, so please check there for that information. This year there are 3 positions open on the Board with 7 candidates running. We are very happy that so many owners want to help the Resort by volunteering to assume an elected position on the Board. You will find the applications of all 7 candidates posted on the owners’ section of the website so you can read their bio’s and what they feel are the priorities for the coming years. The bottom line is that we need all owners to do their part by voting in the election. The online polls close at noon on Friday, April 8, 2016. If you miss the online voting, you will be able to vote in person at the Resort on Saturday, April 9, 2016 from 9 to 11 AM, downstairs in the clubhouse. Don’t forget to attend the Annual Meeting on April 9th at 1:30 in the clubhouse. See you then!

- Marianne Riddile, Board Secretary

Human Resources

Hilton Head Island Motorcoach Resort Employee Compensation Policy

The Hilton Head Island Motorcoach Resort’s (HHIMR) compensation policy is to attract, motivate and retain qualified employees since the performance of these employees on a long-term basis is vital to the success of HHIMR.

The key elements of HHIMR’s compensation policy are a base salary and annual incentives in the form of a cash profit sharing payment.

BASE SALARIES– are targeted to average pay levels of employees in comparable motor home resorts. These will vary by individual employee as the Human Resource committee considers level of performance, responsibility, prior experience, breath of knowledge and abilities. In making salary recommendations to the entire Board the Human Resource Committee exercises its discretion and judgment based on these factors.

ANNUAL CASH INCENTIVE– consistent with the overall objectives to attract, motivate and retain qualified employees, an annual cash incentive is paid based on HHIMR’s Profit Sharing Plan. The Profit Sharing Plan promotes the Resort’s “pay for performance” philosophy by providing employees with a financial reward based upon the achievement of specific predetermined goals and the Resort’s annual level of profit. Based on each employee’s annual evaluation and their position of responsibility a portion of the Resort’s profit for the year is shared with its employees. The Human Resource Committee believes that this practice motivates employees to reduce costs and increase revenues from lot rentals and commissions from lot sales thus increasing the Resort’s profits without requiring an increase in Property Owners’ annual fees.

- Bill Lynn, Treasurer

Primary Goal – To improve office procedures and policies related to HR; to monitor and

respond to personnel/contractual issues.

Director Profiles

This is the final installment featuring profiles of your currect Board members. This month we feature Ed Knott, Bill Lynn and Tom Crews.

Ed Knott – Vice-President, Board of Directors

Ed Kady

Ed was married to Karen for 48 years. Together, they raised three children and a toy poodle, named Kady. Unfortunately, Karen died two years ago. When Ed and his wife weren’t exploring the country in his Monaco motorhome, he and his family resided in Ohio. Ed has been involved in RVing since the early seventies. He has also spent ten years in boating.

Ed has been in the home building business throughout his adult life. After high school, Ed took numerous courses related to the home building industry. Before retiring in 2004, he spent fifteen years as owner of his own building business. As a builder, he was involved in the Dayton (Ohio) Area Home Builders Association and served on the board of directors of the National Home Builders Two Ten Home Owners Warranty program.

Ed and his wife bought HHIMR lot 97 in 2008, which he still owns. An active member of

to be back for longer.”

the PEC Committee, Ed was involved in the rewriting of the PEC Guide Lines before being elected to the Board. Ed was also on the Marketing Committee that recommended breaking our ties with Outdoor Resorts. That decision and the decision to hire BowStern as our marketing agent, served as tipping points in HHIMR’s turnaround as one of North America’s premier RV resorts.

Bill Lynn – Chair of Finance Committee

Bill and Joanna

Bill and Joanna first came to Hilton Head Island for one week in 1976. They liked it so much they purchased their first property on Hilton Head that week and have been coming annually ever since. They reside in Sea Pines during the winter months and in upstate New York during the summer.

Bill was born in Scranton, Pennsylvania and Joanna was born in Brooklyn, New York. They met during their senior year of college and have been married 47 years.

Joanna was an elementary school band teacher until their first of three children, Susan was born and Joanna became a stay at home mom. They also have two sons Brian and Shawn. They have been blessed with 5 grandchildren.

After college Bill spent 8 years working as an auditor for the international accounting firm of PriceWaterhouse (formerly Coopers and Lybrand) and as a lot of Certified Public Accountants do, went to work for a client, The Raymond Corporation. Bill then spent 26

years at Raymond, a publicly traded company that manufactures electric powered fork-lift trucks under its own brand name and also made all of Toyota, Caterpillar and Mitusbishi’s electric fork-lift trucks under their brand names. Bill started his career at Raymond as Corporate controller and during his tenure moved up the ranks to Executive Vice President where his responsibilities included: procurement, accounting, taxation, treasury, human resources, legal, aftermarket parts, transportation and leasing. Bill’s career at Raymond came to an abrupt end in 1997 when The Raymond Corporation was purchased by Toyota.

After his tenure at The Raymond Corporation Bill and Joanna began RVing and purchased their lot in Paradise in 2002. This is Bill’s first year on the HHIMR Board and he serves as Treasurer and as a member of the Human Resource Committee. Joanna and Bill enjoy traveling, golf and reading.

Tom Crews – Chair of Welcome Center Committee

Tom and Patty

Tom was born and raised in Oak Ridge, TN, an interesting town that was planned and built during WWII’s Manhattan Project as a part of the war effort. He thought that every 8 year old boy in America had nuclear physicists and engineers for neighbors that made sure you had a basic knowledge of fission, fusion and fast breeder reactors. Normal knowledge, right?

Tom graduated from the University of Tennessee with a Bachelor of Architecture degree and mixed a couple of years working for a large architectural firm in Miami, Fl during the path to a 5 year degree (the minimum in architecture).

Being a natural born vagabond, he traveled the country in his MGB GT with a roof top cargo carrier, pup tent, Coleman stove and sleeping bag (and managed to avoid a charging Grizzly bear at 2 AM in Glacier National Park). After graduation he moved to Aspen, CO in his first true RV, a modified VW bus, to work as an Architect and lived there for 11 years. The VW bus traveled many parts of the western US and Canada, and required 3 engine replacements due to the extensive traveling.

Arriving in HHI in early 1986 as a single fun-loving guy, Tom soon blossomed after meeting and marrying Patty in 1991. Since Patty’s earlier years involved some pop-up tent camping, the match was a good mix for both. After realizing that Patty was not a sailor, the sailboat was sold (or else) and our first motorhome purchased in 1998. Before taking delivery we realized that we needed some place to park the beast, so Patty found our Lot 80 on MLS and without hesitation we became Resort owners.

During the years in Hilton Head Island, Tom has been involved in many Town government efforts as well as professional and social organizations. Professionally Tom has served as the President of American Institute of Architect/HHI Chapter (twice) and as a State Section Director on the AIA/SC Chapter. He has also served the local community as an architectural consultant to many of the Island’s private ARBs. He has been recognized with several design awards and worked for over twenty five years in the restoration and targeted completion of Frank Lloyd Wright’s Auldbrass Plantation in Yemassee, SC.

``When not hanging out at the motorhome (The Pattywagon) and entertaining around the waterfall and firepit at Lot 80, we live in Windmill Harbor and enjoy time with our families, including three grandchildren (and another on the way), who all live in Bluffton. The Hilton Head Island Motorcoach Resort has become a great anchorage for our vagabond base and a great community.``
