Chairperson Report Dear ORSCNA Members, Unfortunately, I wasn't available to facilitate the writing workshop for the Traditions Book Project at the Spring Retreat like I planned to. It has been a challenge to serve as the RSC Chairperson position and attend to my personal recovery. However, I have gained many skills through this experience that I believe will benefit me in my future endeavors. I am grateful for the support that I have received from other members during my term. Hello ORSCNA Family! Alot has happened since our last Regional Meeting--the Traditions Spring Retreat was a fun time by those in attendance--it was a great experience greeting and meeting most of the people in attendance fulfilling the duties as Registration Chair for that event. I would like to thank everyone for their support of me in this role--it has been a learning experience and a growing experience. Regional Delegate Report

Hello ORSCNA Family!

Last month Charles, Sherry & I attended a meeting of the Midwest Zonal Forum (MZF) which was hosted by the Metro Detroit Region. Five of ten member regions were present. On Saturday afternoon trusted servant & regional reports were presented and the Metro Detroit Region facilitated a workshop on the Service System Project. On Sunday morning we resumed MZF business, including a discussion of a proposed weekend-long Service Symposium that is being considered by NA communities in the Midwest, Plain States, and Southern Zonal Forums. The dates & locations of upcoming meetings of the Midwest Zonal Forum are as follows: November 15-17, 2013 MZFNA hosted by the Greater Illinois Region in Galesburg, IL in conjunction with the Greater Illinois Regional Convention January 24-26, 2014 MZFNA & Multi-Regional CAR/CAT Workshop hosted by the Michigan Region in Kalamazoo, MI April 30, 2014 Informal MZFNA Meeting to be held at WSC Recent updates from Narcotics Anonymous World Services (NAWS): Service System Project – “Field-testing” of the proposals set forth in the Service System Project is

continuing, but formally ends this month. An on-line webinar – open to conference participants (Regional Delegates, Alternate Regional Delegates & World Board Members) only – is being held this afternoon. I may attempt to participate. NA communities trying any aspect of this project are encouraged to share their experiences on-line at [email protected]. NA members & communities interested in discussing how the ideas might work are encouraged to write to [email protected] for more information. The goal is to frame a transition plan to be presented to the Fellowship in the 2014

Traditions Book Project – NAWS is still gathering ideas about what this book should. A session profile

for use at fellowship workshops can be found at www.na.org/traditions. Input may be sent to [email protected] or you may use the online form to submit workshop results. There is currently no deadline set for input on this project during this Conference cycle. No actual drafting will take place until the 2014-2016 Conference cycle.

Online Webinars – The World Board & NAWS would like to encourage participation in online webinars

as a tool for sharing our experience. Areas of service that have been targeted are Conventions, Hospitals & Institutions, and Public Relations. Those interested in joining in any of these discussions are asked to send their name, email address, trusted servant position and area/region to:

Third Tradition Issue Discussion Topic (IDT) – A session profile on the 3rd Tradition has been developed

for use at fellowship workshops. It can be found at www.na.org/idt. World Service Conference (WSC) – Delegate Funding and Alternate Delegate Attendance – The World

Board has recommended the elimination of automatic funding for Regional Delegates to attend the WSC and is discussing whether or not Alternate Delegate attendance at the WSC is an effective use of human & financial resources. Any such change would require the approval of the World Service Conference.

World Conventions of Narcotics Anonymous (WCNA) – Mark your calendars for WCNA 35 – “The

Journey Continues” – which will be held August 29th – September 1st in Philadelphia, PA. Pre-registration is available until July 31st at a cost of $89. On-site registration will be $99. Members planning to attend are encouraged to pre-register and reserve hotel package in the block of rooms that have been arranged. You can pre-register for the convention, make hotel reservations, and find out much more information & recent updates about the convention on-line at www.na.org/wcna.

And then at the MSO Ferndale location (Det) on Sunday for the Business Mtg. Very Hot wknd.,very good Mtgs. Reg. reports Chicagoland reg. struggling to maintain cash flow in reg office Metro Det Greg Reg Conv was very successful returned $6,000 back to all areas involved Sun mtg at reg service office which has been very successful with Lit orders. 726 Livernois. Mich reg. Brian H. Lansing 3:00 mtg w/wso Bob G. Straw Polls, discussion to facilitate decisions by consensus. Nothing will change without 2/3 Majority vote Sunday Buckeye not present at this MZF Next MZF will be in Greater Ill reg Conv Nov 15-17,2013 Multi Zonal Workshop, St. Louis is most central and as a Zone we agreed to vote for that location. MZF, agrees To present to NAWS a motion, to not stop RDA's from attending the WSC, and To allow Zones to send a presentation to the WSC done by Bob. Dave L. Financial report, sent 51.50 to NAWS and left a Bal. 176.49 . Today @ 1pm til 2:30pm the 1st WSC Participant Webinar, with a PDF of the Presentation PowerPoint, after which there will be a question and answer period, we will attempt to correspond during the RD/RCM Meeting, I think this could be a great Jump-start on the CAR(slight punn), and give us something to Spark (ok last one) interest In our Home Groups. Secretary Report

Hello Family, It’s a great day to be clean and be of service. I made an effort to update the lines of communication unfortunately that was futile. I only received lines of communications from three areas and 2 of them were the new areas. I figured it was pretty pointless to out an updated LOC when they weren’t really updated. So, please fill out the LOC sheets I have on the table. Since we are going to have a new round of regional trusted servants this is an optimal time to get these out in a complete fashion. I am requesting reimbursement for 16.55 from the region for 6 copies of the April minutes. The agendas were printed here at the hotel so no reimbursement is necessary for those. There is an attendance sheet being passed around, please fill this out even if you think I have your information to ensure that the LOC gets updated properly. At the last region I left my file box at the meeting place since it was secure and somehow it was broken. It no longer stays shut and can’t be carried by the handle any longer. I am not sure if I have to make a motion or not but a new box would be greatly appreciated. If you have sent anything to the [email protected] I am working on going through all the emails. I am sending a confirmation emails to those who sent their reports to inform them they were received. I was having password issues with the site and Antoine was kind enough to reset it for me. Apparently with all the server changes I was attempting to log in to the wrong server hence why I couldn’t log in. I apologize; I am not savvy in that area. So look for a confirmation email so you know I received your report.

Present-Verbal Report

BLASCNA

Hello ORSCNA, The BLASCNA area which serves Lucas, Wood, Ottawa, and Fulton counties. I am also proud to report that no groups have folded since the last ORSCNA Meeting. I have meeting schedules available and they can also be found at www.natoledo.com BLASCNA is currently unable to make a donation. The literature for the BLASCNA area is distributed from 4-6pm every Thursday and at our area meeting every first Saturday of the month. The literature is purchased from NAWS and the Michigan Service Office (MSO). The vacancies in our area at this time are Chair, vice-chair, secretary, vice-secretary, outreach chair, and vice-treasurer. We were able to get an activities chair, Myrtle L. The BLASCNA Area H and I subcommittee currently serves 7 facilities. I have to report that our area is going through transformations but our faith is strong that all will be well. COASCNA

Dear Family, COASCNA voted on trusted servant nominations at last month’s ASC. During the nomination process our current Area Chair was nominated for a third term. It is in our policy that the Chairperson be held by one addict for only two consecutive terms, but based on lack of participation, a motion is on the table to lengthen this to three, in order to maintain the stability of our service meeting. Despite one home group being opposed to extending the term of our most previous Chairperson, no addicts from this group, or otherwise, showed willingness to step into this position. It is going back to home groups and will be voted on at this month’s meeting. While we had no nominations for Vice Chair, most of our positions are filled, and regardless of this motion the show will go on.

The weekend of June 29th we held an H&I Learning Day at the Just For Today Club. There were many experienced speakers from all over our region. It was very nice to see so many friendly faces from outside our area at this event. Thank you for your support! Our annual Unity Day Picnic will be held Saturday, September 7th at Battelle Darby State Park. There will be food provided, volleyball, children’s activities, a speaker, and lots of fellowship. Good morning everyone, hope everyone is having a good day so far. we currently serve Montgomery, Greene counties, our area presently has 47 groups and meetings and 5 H&I panels, we haven't had any reports of any new groups starting or any groups folding, We have a Donation today of 100.00 Dollars. Our area currently has 28 meetings covering Mansfield, Shelby, Mt. Vernon, Ashland, Marion, Norwalk, Bucyrus, Galion, and Plymouth. Our area is doing well other then lack of support, low clean time attendance, and low 7th tradition. All our groups but a few have been being represented at area. The Marion and Mt. Vernon group's. We did reach out to the Marion group in regards to a call to the phoneline. With the new trusted servants they had, they weren't aware they needed to pay rent or come to ASC. So the church had called in to the phoneline asking for rent to be paid. After reaching out rent did get paid and the Marion Weds group ( Marion – 8:00 PM

New Hope – Rotating Format, HA ;St. Paul's Episcopal Church – 197 East Center Street, Marion) had asked for support as they feel like a stranded island on their own. If you are in the area, please lend support. No new groups were started but we did have a meeting that was struggling and hadn't been open in over a month due to a relapse. It now has trusted servants that have committed for a 3 month term, they got rent up to date and all keys have been secured as well as communications with the church has been re-established. An addict in our area was also contacted by the Holiday Inn where we hosted OCNA at in 2006. They were expressing how they looked forward to hosting our event again! Our H&I fundraiser wasn't very successful due to lack of support. However, No Gram like a Program was a huge success. Thank you to all who came, shared and offered support! Because of the support and love our area made around $600 that enabled us to pay for our Pig Out. Even with all that we are still under prudent reserve and have no donation at this time. I do have flyers for that event with me here today. The date is August 16, 17 & 18. We would love to see you all there & look forward to you being at the event. It's rustic but spiritual. Also have flyers for ORSCNA in Oct. Other upcoming events: Dopeless Hope Fiends Annual Summer Picnic Saturday July 20th, the Dopeless Hope Fiends group of Narcotics Anonymous invites you to their annual summer picnic. The fun begins at 11 AM at Haiwatha Park, 100 Sychar Road, in Mt. Vernon. There will be an open discussion meeting at noon, and a speaker at 6 PM-ish. A potluck dinner will be held at 3 PM. A recovery related auction will be held at 5 PM. The group will provide meat, condiments, plates, and coffee. Pop will be sold. If you can, bring a covered dish and / or an item for the auction! Families welcomed, and encouraged! NO ADDICT TURNED AWAY! Did we mention volleyball, baseball, softball, basketball (bring your own balls,) swimming at the public pool (costs extra,) and a playground? Bucyrus LTD and FEAR Groups Present the Third Triannual Stick and Stay 2013 Saturday July 27th, the Bucyrus LTD and FEAR Groups of Narcotics Anonymous Present Sictk and Stay 2013. The fun begins at noon at Aumiller Park, in Bucyrus, Ohio. Kids can enjoy the huge custom playscape. Young (and old) "kids" can swim in the Olympic-sized swimming pool at a discounted rate. The nature trails (and the river) will be open. The group will provide meat, condiments, plates, and coffee for the 5 PM meal. Pop will be sold by donation. If you can, bring a covered dish! Speaker at 6 PM! Families welcomed, and encouraged! NO ADDICT TURNED AWAY! PSSST! Don't forget your squirt gun for the apocalyptic water fight at 2 PM! FRASCNA

Hello ORSCNA Family, It is a pleasure to serve the Groups of my Area in this way. Things are going well in our area. With the exception of a few open positions, things seem to be running smoothly. At this time our Activities Subcommittee is gearing up for the upcoming Unity Picnic, which will be held on September 14th starting at 11:00am, for which I brought some flyers to take back to your Areas. It should be a good time for all those in attendance. We are also working on hosting a fundraiser for OCNA 32 the specifics of which are not in place. The Five Rivers Area is at this time working on a policy review as well as an Area Inventory. There are some concerns from myself and others in my area regarding the attempt to acquire a debit card. It seemed like a drastic measure and went completely against policy to try to do this in the manor in which it was attempted. I am shocked and quite saddened that I stood alone in rebutting the attempt, especially after being told that 11 of 15 RCM’s had agreed to it.. Several years ago a substantial amount of money was misappropriated by a Treasurer that had the complete trust of the Region which brought about the two of four signature policy we have in place today. A debit card requires no such protective measure. I won’t dwell on this and we can discuss it further during the RCM meeting if needed. I also should mention that the Policy Chair brought it to my attention after the April Regional meeting that for me to be the 2014 Spring Retreat Chair and also be the RCM for my area is considered “two hatting” which apparently goes against policy. I was under the impression that this only applied to administrative positions because in policy it is worded differently on two different pages. I will follow whatever suggestions this body has regarding my current RCM position because it would be the easier of the two positions to fill.

Hello Family I’m Sam and I’m an addict Things are going very well in the Cincinnati area. We currently have 58 home groups in our area with good participation at our monthly service committee meeting. A number of these meetings are new and they are receiving good support. The Abnormal Weenie Jam is our area’s annual camp out. It will be held at Kincaid Lake Park on August 2nd, 3rd and 4th of this year. If anyone is interested in attending there are still camp sites available. Please see Dave L. for registration information. In addition, plans are underway for our area’s Unity Weekend which will take place in November of 2013. The Cincinnati Area is also looking forward to hosting the O.R.S.C.N.A. regional meeting in January of 2014. If the meeting here at the Wyndham is successful this may very well be the meeting place for the January O.R.S.C.N.A. meeting. Area nominations and elections are complete. I’m happy to report that I have been elected to the RCM position and you people are stuck with me for a minimum of one more year. At this moment the alternate position is still open. Hi family, addict named Jenny. Welcome to “a little outside of our area” for the July regional meeting. We are very happy to have all of you here. We hope you enjoy yourself while your in the area. We have some donuts, snacks and coffee set up and a list of area restaurants that were placed at each seat to give you some ideas for lunch. If you have any questions, please ask. Hamascna has been doing very well. We currently serve 4 counties, those being Butler, Warren, Franklin and Preble. We have 23 home groups, 26 meetings, and 5 H&I commitments in total. 16 home groups were represented at our last area meeting June 30th. Our current area checking account balance is $1384.28. Our are picnic was held in June and was very well attended. We elected our area trusted servants and I'm happy to report that we currently have only 1 open position which is RCMA. We did add 2 positions to the roster this year, those being Webmaster and Vice Webmaster. Please check our website out at www.hamascna.org. Our Serenity in the Woods (SITW) subcommittee has been very busy planning their last fundraiser, Fun in the Sun, Dance in the Dark. It's being held today and tonight from 12 noon to midnight. Literature Distribution We purchase our literature directly from NAWS, we sell our literature at a 15% mark-up. This Mark-up allows us to put literature into institutions, and build an inventory. Once our inventory reached the levels decided by the conscious of the Area we will sell all literature at cost. Other Area Services (to be reported each quarter) There is a number of vice positions open, and a lot of two-hatting going on. We have our ebb and flow of great support and scrambling to get the work done. We had an H&I, PR, and Trusted Servant Workshop on the 22nd of June that I will try to keep my anger about the regional sub-committee chairs not only standing us up, but the method of a single text hours before the event. Fortunately the ES&H we had invited and showed up and the rent and refreshments did not go to waste. One reason this was such a disappointment was the fact that this event had the largest attendance any of our events have ever had. We are a young Area hungry for NA, and begging for support to help us grow. Area Service Structure (to be reported at the January RSC) Our ASC meetings are held the first Sunday of the month, 5:00 PM at the Maple Street United Methodist Church 438 E Wheeling Street, Lancaster. Our standing Committees are H&I, PR, Literature, Activities, and Fundraising/Merchandise. We would like to thank everyone here in the region for their support in finding speakers and support for our camp-out/speaker jam, but I have the sad task of reporting that it has been cancelled due to some recent events with the landlord. And hopefully by the end of this week-end we will have a website to help those seeking us, find us.

The geographic area served by MEASCNA is Coshocton, Fairfield, Licking, Muskingum and Perry counties. Our area presently has 20 groups, 46 meetings and 2 H and I panels. At our last area meeting, 11 groups were present. In the past three months, 2 groups have been started in our area. In the past three months, 1 group has folded. Monthly expenses for MEASCNA at our last meetings were 4173.00. Total donations from groups to the area were 155.00. We are making a donation 100.00 to the Ohio Region this quarter. We are pleased with out literature distribution. We get our literature from NAWS and Doug is going on the road monthly to events all over the state selling literature. It has been a very long time since we’ve had to say no to any requests for literature for H and I panels, PR, and workshops. We still have a lot of two hatting in the area. H and I needs filled on our sub-committee level and none of the officers have Vice-Chairs filled except treasurer. In Loving Service, Brian F and Justin B.

MOASCNA

The geographic are served by the MOASCNA is the counties of Marion, Delaware, Wyandot, Seneca, Crawford, and Sandusky. Our area presently has 13 groups, 18 meetings, and 6 H and I panels. At our last area service meeting, 5 groups were present. In the past three months, no groups have started and no groups have folded but the Ashley Give it Away group has reduced itself to from 3 meetings to one. Monthly expenses for the MOASCNA area at our last ASC meeting were 201.01. Total donation from groups to the Area was 55.00. We are making a donation in the amount of 101.01 to the Ohio region this quarter. Every group has the ability to submit their literature needs at each monthly ASC meeting to filled by this new committee. Also per policy, 75.00 a quarter is stipulated for the H and I Committee for its needs to supply our 6 Hand I commitments. Hello Family, It’s a great day to be clean and be of service. The Belmont Correctional institute is now being helped out by the Columbus Area. They have a few people going in now. Will call Mr. Hitchfield later this month, just to check in with him. South Eastern CI is in need of help. We’ll give this to Brian today at the RSC. I have been calling Kelly out of Maysville, KY but we work different shifts. But I will go down there the first Sunday of the month that is the day of H and I for them. I talked to Christina about Marysville, Ohio needing literature and a meeting. An addict out of Grafton, Ohio is asking a man to write to him, men only. Cleveland House Ohio is asking for a meeting and literature. I put a call in to Jackie and Kevin. I am waiting on a call from them now. The greater Cinicninnati Area H and I has not set a date for their H and I learning day yet. I have a letter from an addict out of Circleville, ohio that is asking for literature and a meeting. Spring Retreat

Good morning family, I am very pleased that the 6th annual Spring Traditions Retreat was a success. I would like to thank all of the committee for their commitment and dedication that made this year’s event successful. We had approximately 200 paid registrations and 30 indigent packages. We ordered $1507 in merchandise, of which 50 shirts were left over and given to the incoming chair (Chuck W.), for fundraising purposes for the following year. Chuck was also given approximately 1.5 boxes of leftover candy, to be donated to the Serenity in the Woods campout in the H.A.M.A.S.C.N.A. area, coming up in mid-September. We ordered $3200 in food from GFS, of which we returned approximately $300 in non-perishables. The gators were $600 and the grills were $100. We spent $200 in miscellaneous necessities IE; 10 directional signs, padlocks, poster frame and printing costs. Thanks to Craig S. who donated his DJ services we had no expense for the DJ. The facility, plus propane charges were $984. However, we have been informed by the park that, there was an error in the gas readings and we should be receiving a refund check, amount unknown at this time, which we will forwarded on to the Region. In total we spent approximately $6300. We have a $1500 balance in the checking account, and I have a check today in the amount of $415.11 to return to the Region. The early planning stages have begun and the committee is being formed. A few key positions are filled and I feel quite blessed to have last year’s Merchandise Chair, last year’s Treasurer and I believe last year’s Kitchen Chair be willing to stay on for 2014 which truly simplifies things in those areas. I am equally blessed to have Retreat Chairs from prior years step up with a willingness to be Hugger Chair and Fire Chair. I also believe we have a Vice Chair in place. The first thing I did after the Spring Retreat was inventory the plastic bin and other items passed on to me after the event. This should make it easier to account for in the spring and also give the next Chair a good starting point.

Something we are excited about is we are trying to use one of the website domains to develop a Spring Retreat Website with full capability to register online and even order T shirts prior to the event. We believe that the ability to register online through PayPal will increase pre-registration and help greatly with merchandise quantity and sizes. I have the leftover T shirt we are selling as pre-event merchandise for $10.00 each if anyone is interested I have sizes XL, 2XL and 3XL. If anyone has an interest in serving on the committee or on one of the subcommittees, please get with me during the break today. Chuck W. Spring Retreat Chair 2014 Q and A: Discussion about gator rental vs. purchase of our own gators. Concerns were storage, maintenance, and can we even have them at the park. It was concluded that the park would not allow us to have our own.

12 Step Retreat Report

Dear Family, I want to first apologize for missing April’s meeting, and admit that over the past month or so, life on life’s terms has been showing up, and has resulted in great distraction for me. This means that I am still playing catch-up with regards to some issues on our committee. The greatest of these is identifying a Merchandise Chair. As I think I reported previously, the current 12-Step Retreat committee feels strongly that we honor two concepts: the spirit of rotation and unity through diversity. As a result, we have made the commitment to continue searching for a new person to fulfill this position – even if we have to do the work ourselves until a person can be elected and trained (with the help of previous Merchandise chairs). That being said, I have gotten the contact information for the t-shirt company we’ve used in the past, along with another company I intend to contact this afternoon. I hope to have more information for you tomorrow. The Merchandise chair from last year still has in his possession, unsold merchandise that his is still selling at various events. I probably was neglectful in not retrieving this unsold merchandise sooner, to be turned into the region. At this point I let Doug know that I would ask this body what it wants to do with the unsold merchandise. Meantime, he has collected a total of $250 in sales and I have a list of what was left over originally and I also have an updated list of what he has left as of yesterday. (see attached). We are also still in need of a Secretary and a Children’s Activity chair. All other positions have been filled. Our bank balance (as of June 15) is $1,600. I will be talking with our Treasurer this afternoon in order to get a more current balance if possible. We need people to pre-register so please get the word out! We missed getting copies of the registration flyer here today, but I will be getting copies for you to take back at tomorrow’s meeting. Also at tomorrow’s meeting, I hope to have more information regarding DJ bids for the weekend, Areas interested in selling merchandise on Saturday of the retreat, and the Logo contest. Our committee has 2 recommendations for additions to the draft Retreat Guidelines:

Hello ORSCNA family, This will be my last report as my term has come to an end. The Basic Text reminds us, "We cannot afford to let our members contribute more than their fair share. We have found that the price paid by our groups is disunity and controversy. We will not put our freedom on the line." Tradition Seven, Basic Text. Although I will not be serving as your Webmaster I am the RCM Alt. for my area and soon to be RCM, so I will still be spending plenty of time with you guys. I have agreed to stay in the shadows to help the Vice Webmaster if the occasion arises. That being said the website is doing well, all emails, fliers, and schedules are up to date as of 7/12/2013. Thanks to everyone who has sent schedule updates. You will notice on the home page of our website the SiteLock Security Certificate. This is to let others know that are site is secure and safe to visit. I plan on meeting with the Vice Webmaster this afternoon to finalize the passing of the torch. OCNA AC OCNA AC Report to ORSCNA July 13, 2013 The Ohio Convention was held in Hudson, Ohio at the end of May. I attended all three days and it seemed to go very smoothly. The Treasurer reported revenue generated by the event was $7831.14. Those funds were dispersed according to the standard breakdown. $3132.46 was sent to each Region and the OCNA 32 Convention Committee received $1566.22. When the final checks cleared and their balance was zero the bank account was closed. I have also received the complete Treasurer’s Log of all transactions from beginning to end. Upon review I found no surprises or anything unusual. After repeated attempts I have not found anyone who is currently serving on the OCNA AC in the Buckeye Region. I do not know if an independent audit of the Convention will be conducted there. At this point in time we are the ones taking the lead with policy revisions that require audits in addition to what has been known as “self-reporting”. All in all, as far as OCNA 31 goes, I’d say we’re good. Over in Dayton the OCNA 32 Convention Committee is up and running. I have attended most of their meetings so far which are streamlined and productive. The committee has made significant progress since forming five months ago. Alan has a good handle on things and I have no concerns to report at this time. So, we’re fine there too. How time flies. I did not realize at our last Regional meeting that my three year term serving on the OCNA AC has ended. Over the last year or so, no qualified person has come forward to participate and I have been unable to recruit anyone either. I am willing to continue this work for at least another year or two, if I am nominated and elected according to policy. Whether to do that and how is up to you. There is something else to add only because it may relevant to continuing service. As some of you know, my health has deteriorated over the last seven months due to prolonged and unpleasant treatments for a serious illness. Thanks to the support and encouragement of people here and at home, it was possible to see it through while continuing to work and keep my other commitments. Now that it is over (only five days to go) I have as they say “taken the cure”. Soon my strength will return and I am expected to make a full and complete recovery. So, if I don’t fall down and bust my head open I should live to be a grouchy old man. I want to thank everyone for helping me during this very difficult time. You know I love to say it…“this not getting loaded thing is really working out for me”. Let me know if you want me to stay on or not. Accountability Retreat Guidelines: Ad-Hoc (Motion 2012-02)

Hello ORSCNA Family! Hello ORSCNA Family! If you recall, it was agreed at our last quarterly meeting (April, 2013 in Lancaster, OH) that we continue the review & comment process on draft Committee Guidelines for the Region’s 12 Step (Fall) Retreat & 12 Traditions (Spring) Retreat. These guidelines were developed by gathering various guidelines & trusted servant position descriptions from previous Retreat Committees and incorporating that information into a comprehensive set of guidelines similar to those recently developed for the Ohio Convention. An original draft version of this document was then sent out to the current Chairs of each Retreat Committee (John W. & Lynette C.D.) as well as other current & former regional trusted servants for review & input. Following that initial review & input, the draft guidelines were made available last quarter to RCM’s and Regional trusted servants; and, at the direction of this body, were posted on the Region’s website for further review & input. Since we last met, the following changes have been made:

- the “Term of Service” for all trusted servant positions has been changed to 15 months to be consistent with ORSCNA Policy;

- a description of the process & responsibilities to secure a contract with Tar Hollow State Park for the next year’s retreat has been added to the responsibilities of the Chairperson & Vice Chairperson;

- the responsibility to “Remain at Tar Hollow State Park following the Retreat until final approval of clean-up” has been added to both the Secretary & Treasurer position descriptions;

- the responsibilities to “Work closely with both the Merchandise & Registration Chairs to assure that adequate cash & change is available at “start-up” of the Retreat and throughout the weekend” and to “Maintain a general sense of the Retreat Committee’s financial standing and communicate this information to the Chairperson periodically throughout the weekend and at the close of the Retreat” have been added to the Treasurer position description;

- the responsibility to “Solicit a minimum of two bids from vendors for the provision of gators to be available throughout the Retreat to assist those checking in & out of cabins and to transport addicts with special needs” has been added to the Hugger Chairperson position description;

- the responsibility to “Develop a list of all Retreat Committee apparel items to be produced” and details about what that list should include has been added to the Merchandise Chairperson position description;

- a description of the items that should be included in a registration packet has been added to the responsibilities of the Registration Chairperson;

- the responsibility to “Coordinate the provision of resources to meet additional needs” has been added to the Registration Chairperson position description; and

- the following items have been added to the “Additional Needs Responsibilities” section: o “Communicate with the Hugger (Welcoming) Chairperson any information regarding those with special

needs to assure these members are greeted as they arrive and assisted through the registration process as needed.”

o “Communicate with the Kitchen Chairperson any information regarding those with special needs so they may make appropriate accommodations (e.g. special diets, etc.) as needed.”

o “Communicate with the Programming Chair any information regarding those with special needs so they may make appropriate accommodations (e.g. front row seats, access through aisles, etc.) as needed.”

o “Communicate with the on-site Nurse(s) any information regarding those with special needs so they may provide adequate medical attention and accommodations as needed.”

The guidelines being distributed today represent the collective experience, strength & hope of several NA members, including past & present retreat committee members, throughout the Ohio Region. As we agreed at our last meeting, they are presented to you today for final review and a motion to approve them will be made in new business tomorrow. 5.3 (E) The Ohio Convention of NA is hosted by the Ohio Region every two years.

Responsibility for the Convention is determined by the rotation process that follows. BLASCNA, HAMASCNA, FFASCNA, GCASCNA, LCASCNA, URASCNA, NWOASCNA, MEASCNA, MVASCNA, COASCNA, DASCNA, SASCNA, KORASCNA, AREA 13, MOASCNA, FRASCNA. Each area can pass their hosting opportunity. An area needs to submit their decision to accept or pass 2 years before the event in January. If an area would need to piggyback with another area that is hosting, they would not lose their place in the rotation schedule.

5.4 (E) Special Events, All Regional sponsored events shall be the responsibility of the Regional Service Committee.

5.5 (E) All ORSCNA sponsored events must follow auditing procedures as described below.

5.5.1 (E) An auditing team consisting of seven members as listed below will perform an annual audit within 60 days

after close of the event or if any irregularities are found between annual audits or if a new treasurer is elected midterm.

sponsored event. 5.5.2.1 (E) Validate the check register balance since the last audit by making sure all debits

and credits add up accordingly and are logged correctly.

5.5.2.2 (E) Reconcile all bank statements (along with all cancelled checks and deposit records) against the check

I’m happy to share that we’ve had addict volunteer to work with us this year as Merchandise chair. We’ve also gotten contact information for another t-shirt company that might save us money. As I reported yesterday, our committee is meeting next weekend, and will be addressing not only this issue but the process for DJ bids, areas interested in selling merchandise on Saturday of the retreat, and the logo contest. I am so grateful that this is a ‘we’ program and that I have the opportunity to learn and grow in this process.
