The Oklahoma Sheriffs’ Association 2019 Annual Training Conference and Exposition will take place August 5th through the 9th, with the exhibitor show on August 6th. Location for this year’s exposition is the Sheraton Hotel & Reed Conference Center in Midwest City, Oklahoma. This is a perfect time to showcase your products and services in the best possible setting.

Your company is one of a select group invited to exhibit at the OSA’s annual conference because your products and services are of interest to Oklahoma Sheriffs and their staff. With over 100 exhibitors request-ing space at this year’s conference, and with a limited amount of booths available, booth locations will be accommodated on a first-come, first-serve basis; we encourage you to reserve your booth as soon as possible.

The exhibitor show is set for an 8:00am opening and will close at 5:00pm We have scheduled no training during the day of the exhibitor show so as to give you more time to visit with the Sheriffs and their staff.

As in the past, the exhibitor door prizes will be given away in the exhibit hall during the exhibitor show. To make the exhibitor prize drawing go more smoothly we have included a “Door Prizes” form with this packet. Please fill out the form and return it with your registration or bring it with you for submission during the ex-hibitor setup.

We also invite you to become a sponsor of one of the many other events taking place at this year’s Conference. Attendance at these events are open only to those recognized sponsors. We have sponsorships available for the Presidents Dinner, Sheriffs Appreciation Night, Ladies Day Out, Ladies Brunch, Legislative Awards Lunch, Prayer Breakfast and the Awards Banquet

Terms and Conditions: 1. The Oklahoma Sheriffs Association (OSA) reserves the right to reject any advertisement. 2. OSA does not guarantee any level of circulation or readership for any advertise-ment. 3. The OSA has sole authority for the placement of any ad and shall not be bound by advertiser request with the exception of magazine cover ads. 4. The advertiser bears sole liability for all content, including text and illustrations of the published advertisement and also assumes sole responsibility for any claims arising there from against the OSA, including any cost in defending against such claim. 5. OSA shall have no liability for not inserting an advertisement for any cause. 6. OSA and its designated printers shall be under no liability for any failure to publish or publishing delays in which occurrence is outside of the OSA or publishers control (i.e., acts of God). 8. Advertisers will be charged for space unless written cancellation is received 30 days prior to closing date, with the exception of covers, which are non-cancelable. 9. Changes or corrections to advertisement must be made in writing 30 days prior to closing date and are subject to additional charges based upon composition rates. 10. OSA assumes no liability for the return of printing materials unless requested in writing. 11. Agreements, conditions, rates, rules, or regulations not appearing or described on this contract will not be binding. Upon acceptance of both parties, the contract, along with the current rate policy in effect at the date of the agreement, represents the entire agreement between both parties.

CONFERENCE EXHIBITOR INFORMATION

Registration Terms & Policy: The deadline for registrations and listing in the OSA conference program is July 15, 2019 . Booth space is assigned on a first-come, first-serve basis. The OSA will do its best to honor your request. The name and company/agency will appear on the conference badge, booth sign and conference pro-gram as you indicate on the registration form.

Payment must be received no later than July 25, 2019. If payment or other

arrangements are not made, your booth may be released to those on the waiting list.

Due to restriction on vehicle displays we will not have them in the Reed Conference facility. You may park your vehicle in the breezeway of the conference center and have a display booth on the second floor. Vehicle parking is on a first come first serve basis.

NOTE: When we receive your conference registration, we will e-mail you a confirmation. OSA Conference Sponsorship Opportunities

Each year we make sponsoring an OSA event affordable to all of our exhibitors by establishing four levels of sponsorship. Those levels are Sole, Gold, Silver and Bronze. Hotel lodging for the 2019 OSA Annual Training Conference is at the Sheraton Hotel and Reed Conference Center located in Midwest City, Oklahoma. The Sheraton Midwest City Hotel at the Reed Conference Center is less than four miles from downtown and the Bricktown entertainment district.

Registration Terms & Conditions Registration deadline is July 25th if you desire to have your company information printed in the conference handout deadline is July 15th. Booth assignments are first come first serve by receipt of registration and location availability. The OSA will make every ef-fort to not place you next to a competing exhibitor.

Cancellation Payment in full must be received by no later than July 25, 2019. Unless prior arrangements are made with the OSA the reserved space will be released to those on the waiting list. Any cancellation after July 28th, 2019 will result is no refund.

Decorator All booths are provided by Events by Lelani. If you require additional items such as tables, chairs, electric etc. you must contact the event decorator. All payment arrangements are between the exhibitor and the event decorator. The OSA is not responsible for providing electric to your booth.

Security Hotel does not provide security in the event and function space and all personal property left in the event or function space is at the sole risk of the owner. The OSA will provide security at certain events during the conference. The OSA is not responsible for any loses incurred during the conference.

Signage Signs and banners are not allowed in the Conference Center without permission of the Reed Conference Center. Nothing shall be attached to the walls, floors or other parts of the building or furniture. Exhibitor will be charged for any damage caused to the con-ference facility.

Insurance Each party will maintain insurance sufficient to cover any claims or liabilities which may reasonably arise out of or relate to its obli-gations under this Agreement and will provide evidence of such insurance upon request. In the event damages occurs to the furniture of the conference center, fixtures, building or equipment caused by installation, presence and/or removal of exhibits and exhibit ma-terials, the Exhibitor shall be liable and reimburse the Conference for the cost of such repair or replacement as may be necessary.

Indemnification Each party will indemnify, defend and hold the other harmless from any loss, liability, costs or damages arising from actual or threatened claims resulting from its breach of this Agreement or the negligence, gross negligence or intentional misconduct of such party or its officers, directors, employees, agents, contractors, members, or participants. Neither party will be liable for punitive damages.

Dispute Resolution The parties will resolve any claim or dispute arising out of or relating to this Agreement through binding arbitration before one arbi-trator conducted under the rules of the American Arbitration Association or JAMS in the state and city in which Hotel is located. The law of the state in which Hotel is located will be the governing law. The arbitration award will be enforceable in any state or federal court. In any arbitration or litigation arising out of or relating to this Agreement or the enforcement of any arbitration award, the prevailing party will recover attorneys’ fees and costs including expert witness and arbitration fees and pre- and post-judgment interest. Each party will be responsible for attorneys’ fees and interest associated with the other party’s efforts to collect monies owed under this Agreement.
