Online Car Booking System V.1.0
The Online Car Booking System will provide staffs to request Car for any official work outside
of the college. Administration department can monitor the status of Car, check the request,
approve it and assign driver and available car to particular request.
Department wise request also can be done by department representative. More than one
staff can be added and also facility to cancel the booking available in the system.
1. Staff can login into the system by their domain user ID and password.
2. Once successfully logged in, staff can see home page which will show His/Her booking
details and status. Staff can book car by clicking on “New Application” Button.

3. Staff can enter all require details like Start Date, End Date, Number of Passengers, Select
Passengers, Destination, Task and send for approval. Staff can see total requests in the
system, Cars available in the college and current free cars. Also status of Cancelled
request, pending request and process request. Also staff can upload file as an
attachment to support their requests by clicking on “Select File”.
4. Once staff successfully book His/Her request list of the request will be available for
review on home page under page “Your Booking Details”.

5. Staff can click on blue small arrow to see complete booking details as shown in the
picture.
6. Staff can see his pending request and status of all other request in Home Page.

7. User can switch between English and Arabic language interface for their comfort to book
the car.
8. Once Hoc/Hod will approve the request and also Admin will approve the request, staff
can see the Status of application in their booking details screen.

9. When staff request or department request for car, Hoc/Hod will see the request in their
screen and by clicking on approve or reject they can forward the request to Admin for
further action if it is approved.
10. They can choose the car available as per the requirement of passenger. Screen will show
Car brand, Car type, Model no. number of seats and status. Also if for any other reason
Admin can make car unavailable for travelling.

11. Admin can Add/Edit Car information. If Car brand, Model or Car Type is not available,
user can click on + sign and enter the options at a time.
12. HoD Admin. can see the complete status of all the car booking and status of approval.
User can click on Button and check the complete details of car booking.

13. Administration staff can process the request by clicking on “Process the request” button
and assign the car. Also they can see the status of car return back and also update the
status if car will return back from their assignment.
14. Administration department can check the request details like booked by, start date and
time, end date and time, destination and Number of passenger. Also can assign the car
and fill all the require details before journey in the system like. Petrol Card, Vehicle Jack,
Wheel Spanner, Spare Tire, Who checked the resources, Current meter reading and
assign car driver and save the booking.

15. Once car will return back from journey, Admin staff will enter all the details require to
close the application like Current meter reading, Driver’s note, and return date and time
and save.
16. Department can see Department wise list of request.

17. Report will generate by clicking on Report option in the main menu. Which shows
complete details of particular Car booking entry. User can print or export the report.
System is ready to implement. More report will be available upon request. Demo and training given
to concern staffs of Administration department. Manual will be circulated to all the department and
will be available in the ICT website for immediate access. Training will be provided to concern staffs
of the academic department upon request.
