ONLINE GIVING OVERVIEW

The University of Illinois Foundation (UIF) offers an online giving process to allow donors to give gifts to the University of

Illinois (through the University of Illinois Foundation) using their credit card over the internet.

A University of Illinois college or unit can utilize UIF’s online giving process by creating an HTML form that pre-selects the

fund/designation(s) the donor will give to and defines other values that will tailor the online giving process with some of

the college or unit information.

The UIF online giving process will complete the transaction and send an email confirmation back to the donor, verifying

the transaction. The college or unit can be notified via email when a gift is received from the college or unit giving page.

All web credit card transactions are processed immediately through UIF’s online merchant account and the transaction

details are fed directly into UIF’s Gift Processing system.

The online giving process is mobile-friendly and has been tested extensively on many devices. It also allows the donor to

set up recurring payments which can be scheduled monthly, quarterly, or annually for the 1st or 15th of the month. It

can continue indefinitely or for a specific period of time.

If the goal is a web landing page to complement a mail or email solicitation, consider using UIF’s web code process

instead. The UIF web code process displays a personal giving page for each donor in every solicitation generated from

TED. This gives the donor an online giving form that is already pre-populated with all of their personal information and

fund/designation choices offered in that solicitation. Please contact UIF Mass Communications at

Please read through these instructions carefully before creating a new giving page/site or updating, changing, or

modifying an existing giving page/site. If you have any questions along the way, please contact UIF Credit Card Signup at

The instructions outlined in this document are for GIFT transactions only. If you are trying to set up a website that

includes both gift and non-gift/non tax-deductible transactions, please contact UIF Credit Card Signup at

[email protected]. Only charitable transactions, whether gift, a portion gift and non-gift or all non-gift

should come to UIF.

NEW ONLINE GIVING PAGES/SITES

Please read through these instructions carefully before creating a new giving page/site. If you have any questions along

the way, please contact UIF Credit Card Sign Up at [email protected].

All new online giving sites must be tested with the Foundation’s payment page. The URL for UIF’s test payment page is

https://bbisqa.uif.uillinois.edu/PaymentPageTransferQA.aspx.

When your site is pointed to the above test site, any live credit card transactions or real gifts made during this time

cannot be processed.

If there is not a test or development site available, and only a production site, a date/time for testing MUST be

scheduled with [email protected]. The testing normally takes no longer than 15 minutes, during which

any changes needed can be made, and the production URL will be provided. Any gifts made by donors on a site that is

using the test URL will look successful to the donor, but will be within the test environment and the credit card will not

be charged.

Once the new giving page/site is ready, UIF must review and approve the page/site before you 'go live' with it. This is to

ensure that the fund/designation numbers, descriptions, and tracking/source code are correct and functioning properly.

It is critical that the fund/designation numbers are accurate as this is how the new CRM system (TED) will interpret the

correct fund/designation that your donor selected.

HTML Form Fields

It is highly recommended that giving page URL’s use https. The ‘s’ after ‘http’ indicates a secure website. The unit

website needs to display a web-based form. The SUBMIT function of that form needs to be directed to the form fields

described below.

For security purposes, it is important that your site never ask for any credit card information. Any credit card

information passed to the UIF website will be ignored.

The table below includes the ONLY fields that can be accepted from your giving site. Any other information collected on

your site will not be retained.

You can pass a University skin that will display on the UIF donation form and online confirmation screen. The email

confirmation sent to the donor will display the default UIF skin.

UIF will collect the remainder of the information needed to process the gift, including but not limited to: donor name,

address, city, state, zip, email, phone, recurring information, tribute information, additional comments/instructions.

The minimum gift amount for a credit card gift is $5. If the donor enters an amount less than $5, the donor will be

prompted to correct the gift amount on the UIF payment page.

SETTING UP YOUR GIVING PAGE/SITE

1. Method and Post Action: On your unit’s giving page, you will need to setup a site with the following method and action to pass the values to UIF’s

payment page. Once UIF reviews your giving site to make sure it integrates with the payment page, the live URL would

be provided.

2. Correct Fund/Designation Numbers and Names: Using the correct eight digit fund/designation number from TED and the correct fund/designation Public Name from TED

for each giving option on the page/site is required.

You can pass multiple funds/designations and amounts if you wish. You can pass up to 30 fields from FUND1 through FUND30. A fund value greater than FUND30 will not be accepted and passed to the payment page . The FUNDX field name can only be named from FUND1 through FUND30, and anything with a number higher than 30 will be ignored.

FUNDx is ignored if the corresponding GIFT_AMOUNTx does not have a value. We handle it this way for web pages

that offer a list of funds/designations with amount fields next to each one. The donor is expected to select or fill in

an amount next to the fund(s)/designation(s) they wish to donate to.

The eight digit fund/designation numbers will normally begin with a 1. Below are the fund/designation structures for

each University:

For any fund/designation numbers that do not begin with 1 or that are only six digits in length you must contact UIF Gift

3. Donation Amounts and Corresponding Funds/Designations: Providing a donation amount on the unit page/site is not required. The donor will have an opportunity to indicate the

amount of their gift on the UIF payment page. However, if the page/site offers an option to select an amount or write-in

an amount, it must be offered for each fund/designation option on the giving page/site, including the write-in

fund/designation (if offered).

Setup your giving site with the following inputs to post donation amounts and their corresponding funds/designations to

UIF’s payment page.

4. Write-In Funds/Designations Providing a write-in field for a donor to designate a gift to a fund/designation other than to those offered on the

page/site is not required. An example is:

In the example code, the # is the sequence of the donation entry on the form. For example, if you have 2 previous

GIFT_AMOUNT inputs (GIFT_AMOUNT1 and GIFT_AMOUNT2), then the write in fund/designation inputs would have

GIFT_AMOUNT3 and FUNDENTRY3.

The write in fund number will not have an 8 digit fund/designation number. The Foundation’s payment page will know

if a gift amount does not have an associated fund with an 8 digit fund/designation number and a placeholder

fund/designation will be applied to the gift amount until the gift is reviewed and processed by UIF Gift Processing.

If a donor is offered the opportunity to select a gift amount or enter a gift amount on the unit giving page/site, there

must be a check or warning on the page/site if the donor does not make the selection or complete the gift amount,

before the donor can proceed to the UIF payment page. Examples of some of the language used on other unit

The UIF’s payment page will only accept one (1) write in fund/designation from the unit giving page/site. Please make sure

your giving site allows the donor only one write in fund/designation and amount option.

5. Tracking Code/Source Code: Every online giving page/site is required to have a unique tracking/source code, assigned by UIF. Obtain a new tracking/source code by contacting [email protected], and use the new value on your giving page/site. Tracking/source codes are 5 digit numeric codes that are unique to a specific giving page or site. The tracking/source

code allows the email confirmations to be sent to the correct unit recipients and identifies the giving page or site that

the gift originated from for reporting and troubleshooting.

The html code would look like this, with the unique tracking/source code assigned to the page/site substituted for the

10001:

An email with details of each gift received through a specific giving page/site can be sent to a contact or multiple

contacts within the unit. All recipients of these email confirmations should have completed an Advancement

Information Confidentiality Agreement, available here. For more information on the email confirmation for a unit refer

to the instructions here.

6. Skin ID: Although not required, a skin for the University may be passed to the UIF payment page from the unit giving page/site. Custom skins, beyond those for each University, are not supported. Following is an example of the code that needs to be updated on your site to pass the respective University skin to the Foundation’s payment page based on each University.

CHANGING, UPDATING OR MODIFYING ONLINE GIVING

PAGES/SITES

Please read through these instructions carefully before changing, updating or modifying an existing giving page/site. If you have any questions along the way, please contact UIF Credit Card Sign Up at [email protected].

All changes, updates or modifications, including page/site format changes, changing the URL of the giving site, etc., must be coordinated with, reviewed and tested by the Foundation through [email protected]. This ensures all the information flows smoothly through the process so the donor has a pleasant giving experience.

Signup Checklist and Contact Information The following list is provided as a summary of the steps you must complete and the information you must provide UIF

before you can ‘go live’ with your website:

Determine/update the fund/designation(s) you want to include on the website. You can use any current use or

endowed fund/designation. The fund/designation account numbers are 8-digit numbers and must be the UIF

fund/designation numbers.

Create a sample web page on your website using the information in this document.

Request a new tracking code by contacting UIF Credit Card Sign Up at [email protected]. Make

sure to send them the name of your unit, the address of your website, and the list of fund/designation numbers.

If you would like to receive email notifications detailing the transactions that originate on your online giving

page, please provide the giving website’s URL, source/tracking code and recipient’s name and email address to

[email protected]. For more information on the email confirmation for a unit refer to the instructions here.

Once the website is ready to go live, please contact [email protected] again so we can review it

one more time to make sure everything is set up correctly. You will also receive the UIF live donation page URL,

which must be updated before your site is live.

Processing Fees

UIF pays a processing fee of 2.5% for each transaction and will charge this amount back to each fund/designation

receiving credit card transactions on a weekly basis. Donors will receive 100% credit for their gift in TED and on their tax

receipt.

If a $100 credit card current use gift is received, the donor will receive a tax receipt for $100, TED will reflect the $100 gift, and the gift will post to the fund/designation in the Foundation accounting system as $100. At the end of the week, an expense will post for $2.50 to the Foundation gift fund/designation; the net $97.50 will sweep to BANNER the following Monday.

Confirmation E-mail and Receipts

UIF sends an email confirmation to the donor when a credit card donation is submitted and charged. This is not a

receipt. After it is processed successfully to the donor’s record in TED, an official receipt will then be mailed within two

business days (normally). For recurring gifts, an email confirmation is sent when the transaction is established and tax

receipts are mailed annually in January.

The actual record of the gift flows back to the college or unit on the Weekly Gift Report available through TED. You

should wait to formally acknowledge or thank the person for their gift until you see it on the weekly gift report. If you
