Online Renewal Instructions Important General Information Online renewal will be available sixty (60) days prior to the renewal date. Authorized user(s) will receive an email notification as well as a reminder notification thirty (30) days prior to the renewal date. Guarantors with outdated financial information will be listed in the email notification. Authorized user(s) will be able to submit the renewal without updated guarantor financial information; however, the more complete the application submitted, the faster the renewal will be reviewed. If a registration is expired, users will have the ability to submit a renewal up to one year from the expiry date. A late renewal surcharge of $500 will apply if the late renewal is accepted. Online renewal allows you to make changes to contact information (i.e. address, phone numbers, email address and website information) pertaining to the Registrant, L&U Primary Contact, as well as Principals, Directors, Officers and Guarantors (PDOG’s). Additional changes such as Change to the Registration or Operating name, ending a PDOG relationship and change in percentage ownership can also be requested with the renewal application. These changes and backup documentation will be reviewed by Licensing and Underwriting. Users will be able to update financial information for both the Registrant and Guarantors. Financial information for the registrant will be updated as part of the renewal. Guarantors must be assigned a temporary User ID and Password by the Registration and Renewals Administrator in order to submit their financial information. The temporary User ID and Password will be valid for thirty (30) days. As mentioned above, it is best to have the Guarantors update their financial information prior to the submission of the renewal to avoid delays in processing. Freehold and Condominium Construction Plans for the renewal period may be entered as part of the renewal. The renewal period begins on the date of registration. As an example, if your renewal date is July 1, 2014, your construction plans are for any new homes you intend to market, build and/or sell between July 1, 2014 and June 30, 2015. Prior to submission, a summary will show all requested changes and any proposed construction plans. Additional edits are also permissible on this summary page. The renewal fee will also be calculated at this time, which may be paid via Electronic Funds Transfer (if EFT Agreement exists), credit card or cheque. Uploading Supporting Documentation

1. To upload the supporting documentation for any change, select the appropriate document from the drop

down list provided (in this example – Transfer of Shares):

3. Click Upload to upload selected file, steps 1 and 2 may be repeated to upload multiple documents

4. Files to be included will be displayed showing the file(s) uploaded

5. Click Submit Request for the selected change (in this example - Request to Edit % Ownership)

Vendor/Builder Information

1. Select Renewal/Status from the Registration/Renewal menu

2. Select the Vendor/Builder from the drop-down list and click Go!

3. Confirm/Update V/B Information (BuilderLink will display the information that Tarion has on file for registration.

Changes can be made as required. A mailing address and phone number are mandatory for every registrant. This

includes: Address, City, Province, Postal Code, Country and Phone Number. If there is a change to your VB

Registration or Operating name, select ‘Click here to change V/B Name’ link)

VB Registration or Operating Name Change

Requests to change the registration name are allowed if the legal structure of the Vendor/Builder has been

amended or if the corporation has been amalgamated with another. If changing from one company type to

another, this change request is not allowed (i.e. Joe Blow sole proprietor cannot request a name change to

ABC Construction Inc., this will require a new application for registration).

If operating under a name other than the legal name, that would be a Marketing or Operating name (ie.

123456 Ontario Inc., operates as Joe's Perfect Homes). The operating name will not include any of the

following at the end: Incorporated, Inc, Company, Co., Corporation, Corp., Limited, Ltd. If changing the

operating name to any of the above, this change request is not allowed. (i.e. 123456 Ontario Inc. cannot

request a name change to Solid Homes Corp., this will require a new application for registration). Type the

new registration name and/or operating name in the fields below:

Upload Articles of Amendment/Amalgamation if requesting a change in Registration name, a Master

Business License if requesting a change in Operating name, or both (see page 2 for document upload

instructions)

4. Confirm/Update Primary Contact Information (BuilderLink will display the information that Tarion has on file for

the Licensing and Underwriting Primary Contact. Changes can be made as required. An email address and phone

number are mandatory for every primary contact. If there is a change to the Primary Contact, select ‘Click here to

change primary contact person’ link)

PDOG Information

1. Confirm/Update Principal, Director, Officer or Guarantor (PDOG) Information (BuilderLink will display all

Principals, Directors, Officers and Guarantors Tarion has on file for the V/B selected)

2. Click a name to expand the listing (BuilderLink will display the information that Tarion has on file for that contact.

Changes can be made to the contact information as required. If there is a change to the percentage ownership of a

Principal, select the ‘click here to change % ownership’ link. If there is a legal change to the roles within the

registration select ‘click here to end relationship’ link)

A. Change Percentage Ownership

Enter the new percentage ownership (Percentage ownership may be entered up to two (2) decimal

places, i.e. 25.50)

Upload the Transfer of Shares or Shareholder's Register documentation (see page 2 for

document upload instructions)

Click Submit Request to Edit % Ownership

B. End Relationship

A relationship to the registration can be in the form of a Principal, Director, Officer (PDO) and/or

Guarantor. Ending a PDO relationship means that the individual legally no longer serves the position

for the company. Since anyone can act as a Guarantor, this page is a request which will reviewed by

Licensing and Underwriting. (Note: If you are ending relationships for more than one individual, you

will be required to upload supporting documentation for each change you require. In most cases, this

will be duplicate information; however, Tarion requires one supporting document per change

requested)

Select reason for requesting to end the relationship from the drop-down list

Upload the supporting documentation for the change. To end a Principal relationship, upload

a Shareholder’s Register/Transfer of Shares. To end Director and/or Officer relationships, a

Corporate Resolution document and/or Notice of Change. (Note: Supporting documentation is not

required to end Guarantor (see page 2 for document upload instructions)

Finances

1. Financial Statement Information - Company

If registered with Tarion as a company, you will be taken to the Financial Statement Data page. If logged in

as a corporate guarantor, you will also be taken directly to this page. While financial statement data is not

mandatory to submit a renewal, providing it will allow Tarion to process your renewal in a timelier manner

a. Select the appropriate radio button (If there are no financial statements, proceed to Next Step)

b. Choose the Type of Financial Statement you will be using from the drop-down (The type of financial

statement can be found on the second page of the statement. If unsure of the type of financial statement you have,

please contact your Accountant)

c. Enter Financial Statement Year End Date or Tax Year End Date using the calendar widget provided

(Note: Tarion does not accept interim or draft financial statements, please ensure the date chosen is the finalized

financial statement year end date)

d. Enter Income Statement Information (numeric values only)

e. Enter Balance Sheet Information (numeric values only) Note: Loans due to/from Shareholder may not be

present in all financial statements. If present, “Loans due TO Shareholder” is found in the Liabilities section and

should be entered into the field as a positive number. “Loans due FROM Shareholder” is found in the Assets

section and should be entered into the field as a negative number

f. Upload Financial Statement/corporate Tax Return (see page 2 for document upload instructions)

2. Personal Net Worth - Sole Proprietors/Individual Guarantors

If registered with Tarion as a sole proprietor, you will be taken to the Personal Net Worth Statement page.

If logged in as an individual guarantor, you will also be taken directly to this page. While personal net worth

data is not mandatory to submit a renewal, providing it will allow Tarion to process your renewal in a timelier

manner.

Note: Information entered into the Personal Net Worth Statement should be Assets and Liabilities owned

personally. If assets or liabilities are shared, please enter only your portion of the net worth. As an

example, if you and your spouse share equal ownership of a home worth $500,000, your portion is

$250,000. This is the amount which should be entered on the Personal Net Worth Statement. Supporting

documentation must be provided to prove value and ownership of the assets entered. For Business

interests, only finalized financial statements will be accepted.

i. Enter the addresses of your Personal Residence and additional Canadian Real Estate along with

the personal portion of the value. This value may be from an MPAC assessment, Tax Bill, Title

Transfer, Insurance of Bank Appraisal (click 'plus' sign to add more Canadian Real Estate)

ii. Add up all individual cash assets and investments, enter your portion in the cash and investments

fields. (Note: Supporting documentation for each cash and investment asset in the form of bank/investment

statements or screen shots should be provided and be no older than 6 months or 1 year in the case of annual

investment statements. These statements should contain your name and the value entered on the personal

net worth statement)

iii. BuilderLink will calculate the total assets

b. Liabilities

i. Enter the value of the mortgage remaining on your principal residence and any Canadian Real

Estate (numeric values only)

ii. Add up all individual credit card debt, lines of credit and loans and enter in the corresponding

fields (numeric values only)

Note: Supporting documentation for each liability in the form of statements or print screens should be

provided and be no older than 6 months. These statements should contain your name and the value entered

on the personal net worth statement. The amount entered in the Line of Credit and Loans fields should be the

amounts owing, not the available credit. (i.e. if you have a Line of Credit for $200,000.00 and have used

$100,000.00, enter 100,000.00 in the line of credit field). Do not include vehicle loans (personal or

recreational) on the personal net worth screen

iii. BuilderLink will calculate the total liabilities

c. Business Interests

The Business Interest section is intended for use if you are a shareholder in companies other than the

one registered with Tarion. In order to accept corporate assets, a finalized financial statement must be

provided

i. Enter the name of the company for which you are a Shareholder

ii. Enter the percentage ownership of the business Interest (Ownership can be up to two decimal places)

iii. Enter the TOTAL shareholder’s equity as it is found on the Balance Sheet of the Financial

Statements (Numerical values only - Tarion will allocate your portion upon submission)

iv. Enter the TOTAL Loans Due To/From Shareholders as it is found on the Balance Sheet of the

Financial Statements (numeric values only - Tarion will allocate your portion upon submission). Loans

due to/from Shareholder may not be present in all financial statements. If present, “Loans due TO

Shareholder” is found in the Liabilities section and should be entered into the field as a positive

number. “Loans due FROM Shareholder” is found in the Assets section and should be entered

into the field as a negative number. If you have more than one Business Interest, please click the

‘Add Another Business Interest’ link to proceed with additional statements

v. BuilderLink will calculate your total business interests

d. Total Personal Net Worth

i. BuilderLink will calculate the personal net worth based on the following calculation: (Total

Assets - Total Liabilities) +/- Total Business Interests

ii. Upload all supporting documentation for the Personal Net Worth (see page 2 for document upload

instructions)

Freehold Construction

If you DO NOT intend to build or sell any freehold homes during this renewal, please check the box and proceed to Next Step. (Note: If you begin entering Freehold Construction Plans then check the box, all entered construction plans will be

deleted)

a. If you plan on building and selling freehold homes during your renewal period, select the Home Type you

intend to build/sell from the drop-down list

b. Select the Ownership Type of the homes you intend to build/sell from the drop-down list (Note: if you as the

Vendor/Builder own the land you are going to build on, select Freehold APS, if you are building on land owned by the

homeowner, select Freehold Contract)

c. Enter the average selling price of the home(s), including all upgrades but excluding HST (numeric values

only)

d. Enter the number of units you intend to build/sell during the renewal period

e. Enter the city in which you intend to build/sell (autofill feature allows you to select the city from a list by typing the

first few letters of the city name, municipality will automatically populate based on the city selected)

IMPORTANT: If you plan to build/sell more than one home type, ownership type or in more than one city, you will

need to fill out a separate Freehold Construction Plan. (i.e. If you plan to build 35 detached Freehold APS homes in

Toronto as well as 2 detached Freehold Contract homes in Brampton you will need to create two separate Freehold

Construction Plans. Select the ‘Add another Freehold Construction Plan’ link to enter additional construction plans)

Condominium Construction

If you DO NOT intend to build or sell any condominium units during this renewal, please check the box and proceed to Next Step. (Note: If you begin entering Condominium Construction Plans then check the box, all entered construction plans

will be deleted. CE’s previously approved by Tarion will remain)

a. Condominium project profiles (CE’s) that have been previously approved by Tarion, but have no units

linked will be displayed. Proposed units will automatically be added to your Construction Plans for this

renewal period. You can change the number of units proposed for the project. You must also add an

estimated average selling price per unit. (Note: Previously approved Vacant Land and Common Element CE’s will

not be displayed since the units are treated as freehold for security and enrolment purposes)

b. To submit new condominium construction plans, select the click to Add New Condominium Construction

Plan section. (Note: Mandatory information will be marked with a red asterisk. Providing the most complete

condominium project profile will avoid delays in processing)

c. Select the Condominium Category you intend to market, build and/or sell from the drop-down list (if

unsure of the type of project, a brief description is provided upon selection)

d. Select the Type of Condominium Corporation you intend to market build and/sell from the drop-down

list. (Note: Vacant Land Condominium and Common Elements Condominium will only be available if you have

chosen Condo Type A in the previous step. A proposed phased number is mandatory if Standard-Phased type is

chosen)

e. Select the Home Type from the drop-down list

f. If acting as a Vendor only for the proposed condominium project, select the Registered Builder from the

drop-down list. (Note: If intended builder is not registered, leave this section blank and contact Licensing and

Underwriting)

g. Enter name and firm of Legal Representation, Declarant Information (if different from the vendor/builder)

and the Field Review Consultant Information

h. Enter Project Address and Legal Description (Note: City is mandatory. ‘Find as you type’ feature allows you to

select the city from a list by typing the first few letters of the city name. Municipality will automatically populate based

on the city selected)

i. Enter the Project Profile (Note: Number of units and Average Selling Price/Unit are mandatory. Use the calendar

widget to populate the Est. Marketing Date, Date Permit Issued, Est. Construction Start Date and Estimated Closing

Date fields)

j. Click Continue to Condo Construction Details and fill in the applicable fields

IMPORTANT: If you must sign out of Builderlink prior to submission, the un-submitted condominium project will be

displayed upon returning, click the Edit link to continue adding information. To delete a project, you have not yet

submitted to Tarion, click the Remove link

Summary

1. Fee Calculation and Summary BuilderLink will calculate your total renewal fee, including Fast-Track fees

and Late Renewal Surcharges and will display it on the summary page

a. Registrant information will be displayed, including any changes to the contact information during the

renewal process. (Note: Changes that require Licensing and Underwriting review will also be displayed - this

includes changes to Primary Contact, Registration or Operating Name, Changes to the PDOG relationship or

Percentage Ownership. If further changes are required for any requested change, click the ‘Edit’ link. By clicking

Edit, you will be taken to screen for the change you selected. When required changes are submitted you will be re-

directed to the summary page and the renewal fee will be re-calculated)

2. Pay Renewal Fees

a. Click ‘Print Summary’ – print two (2) copies and keep one for your records

b. Click Pay Fees

If paying by Cheque:

Select option from drop-down list (submit copy of summary to Tarion with cheque).

Click Continue - renewal submitted. Submission confirmation displayed

If paying by Electronic Funds Transfer (EFT):

Select option from drop-down list. Click Continue - renewal submitted

Select account to use for payment from drop-down list and click ‘Submit EFT Payment

Request’. Note: EFT option can only be used if an active EFT Agreement exists. If no active

EFT Agreement exists, you may notify your Payment Administrator by clicking ‘Email

Administrator’ who will be able to create an EFT Agreement

EFT Payment Request confirmation will be displayed, click Done to return to home page

If paying by Credit Card (Note: can only be done at time of submission, you cannot go back and

pay by credit card if you have already submitted)

Select option from drop-down list

Enter credit card details in redirected window, email confirmation will be sent for the credit card

payment
