OnlinEnroll is a tool which allows you to directly access and update your employee information via the internet. Using OnlinEnroll employee self-service, you can review and/or update your demographic information, dependents, and benefit elections.

• You can access OnlinEnroll from any computer with an internet connection

• Our secure (https) site uses the latest technology to ensure that the information entered is secure and adheres to UnitedHealthcare and industry security standards.

Logging In

1. Launch an internet browser such as Internet Explorer and make sure any pop-up blockers are turned off.

2. Carefully review http://www.employeebenefits.ri.gov/enrollment/ and make sure you have everything you need.

3. To access OnlinEnroll, enter the information below then click Login

User Name: First initial of your first name, your full last name (no hyphens, apostrophes, spaces or titles), last four digits of your SSN

(Example: if your name is Chuck Smith and your last four is 4120, you would use "csmith4120")

Password: First five digits of your SSN

(Example: if your first five is 12678, you would use "12678")

Company: Rhode Island

(not case sensitive, but space between "Rhode" and "Island" is required)

Change Password

Please provide your security questions and answers as well as update your password. When finished select Save & Continue.

Please note your password must be:

• Password must be a minimum of 8 characters.

• Password must contain at least one numeric digit.

• Password must contain at least one special character.

• Password must contain at least one UPPERCASE letter.

Please read your Welcome Page, and you must click & read the Employee Usage Agreement and Legal Agreement before you can select Continue.

Demographics & Dependents

You will have an opportunity to review, add, or update your information on this page. Please note that the grayed-out fields are considered “review only” fields. Please contact your HR office if any changes are needed to the “review only” fields. You can also download the Change of Address/Information form from the Forms Library and upload the document for Administrator review later on the Upload Documents screen.

Please note you must enter an email address, home phone and marital status prior to continuing.

You will have an opportunity to review, add, or update your spouse or child information on the next few pages. Please ensure that all dependents that you would like to cover across any benefit (Medical, Dental and Vision) are entered within these pages. To add a spouse or child, click “Add Dependent”. The Add Spouse/ Add Child screen will open for you to enter their demographic information (required data is marked with a red indicator).

Please note that when you add a spouse/child, you must also submit supporting documentation evidencing the relationship. The dependent addition is then pended for administrator review of the supporting documentation. When approved, you will receive an email instructing you to return to OnlinEnroll to add the approved dependent to your plans.

Click Save & Continue. If you have multiple children, select “Add Another Child” adding them one at a time and click “Save & Continue” once all are added. When adding a child, please select only “Natural Child” or, if your child is over 26 and handicapped, “Disabled Child”. If selecting “Disabled Child” for a handicapped dependent over age 26, please also enter a “Yes” in the Disabled child field. Please note that foster children, grandchildren, and children of domestic partners are not eligible for coverage unless the employee has adopted them or the coverage is court-ordered.

If you do not have a spouse or child, click Continue to proceed to the next page.

Plan Elections

Follow the steps below to enroll in your benefit plans. If you do not wish to enroll and would prefer to decline the benefit, select “Waive this benefit”. To receive the waiver opt-out payment from the State you must provide evidence of other qualifying coverage. Please note that the following are available for additional information to assist you in choosing your benefits.

• Compare Plan – Click the Compare Plan box under each plan to open up a side by side comparison of the plans offered to you

• Additional Tools o Learn about your health benefits – This houses links to the plan summaries o Forms Library – This houses links to additional benefit information and forms

Selecting a PCP

Once you make your Medical Plan election, you will be prompted to select a PCP. Please follow the instructions on the page as noted.

• To view the UnitedHealthcare provider directory go to welcometouhc.com.

• You will need to either enter your preferred PCP’s 14-digit physician identification number from the welcometouhc.com website or select the auto-allocate box to have the PCP selected for you by UHC. Please refer to the UHC Navigate FAQ located in the Forms Library if you need additional information on how to select a PCP or you can follow the directions below. Also, make sure you have any browser pop-up blockers turned off.

Please indicate the primary care physician’s Medical Group & ID number (with no spaces) in the OnlinEnroll site. If you are an existing patient, please click the existing patient box.

Navigation

Please be sure to use only the navigational buttons provided within the tool. Do not use your browser’s back button. You can navigate into previous pages using these three options:

1. The slide out menu bar will allow you to move back to any page that you have previously visited

2. To revisit your plan elections, you may click on the “From Your Pocket” drop down menu.

Upload Documents

After completing all of your plan elections, you will come to the Upload Documents page. Please attach supporting documentation evidencing the relationship to expedite approval of any dependents or coverages (for example, birth certificate, marriage certificate). To upload a document, click “Browse” to find the document on your computer, then click “Upload”. Once you are finished uploading all the necessary documents, click “Save & Continue”. The supported formats are: txt, pdf, rtf, ppt, pptx, xls, xlsx, doc, docx, with an Upload limit of 4096 KB per file.

Completing the Enrollment Process

After completing all of your plan elections, you will come to the Confirmation Statement. Please review all your elections for accuracy. Your dependents will be listed in the Dependent Information section. Please confirm your dependents are enrolled in your plans by viewing the Future Enrollment Summary.

Please be sure to keep a copy of the confirmation statement for your records by clicking on the PDF button to download save and print.

(HOME PAGE NAVIGATION & MAKING QUALIFYING EVENT CHANGES)

To begin a Qualifying Event (i.e. Marriage, Newborn, Divorce, etc.) click on the “Initiate Qualifying Events” button found on the Home Page. Then select the Qualifying Event that applies to you, enter the date of the event, and click “Save”. The system will now walk you through your personalized experience. Please note the following in regard to Qualifying Events:

• To initiate a Qualifying Event, click on the “Initiate Qualifying Events” button found on the Home Page.

• Please ensure the dependent relationship type is updated when processing a Qualifying Event, as this determines eligibility e.g. If processing a Divorce qualifying event you must change your spouse relationship type from spouse to ex-spouse. This will ensure that the system will terminate the spouse’s benefits and generate the notification for COBRA.

• During a Qualifying Event, you will have the opportunity to upload the appropriate supporting documents (i.e. marriage certificate, birth certificate, etc.) for your HR Administrator approval. Please be sure to upload your document in the upload document page.
