Symptom

This note describes the function of transaction FAGL_ACTIVATE_OP, taking various scenarios into account. You must also read the report documentation.

Other Terms

FAGL_ACTIVATE_OP, clearing specific to ledger groups, FAGL_SWITCH_TO_OPEN_ITEM, open item management

Reason and Prerequisites

This is a consulting note.

Solution

The activation date

The activation date is either the current date or the period end of a posting period, if it is in the past. If you enter a date in the past, which does not correspond to the period end, this is corrected automatically by the system. This date determines how the existing items are processed. Items that were posted before the activation date are basically cleared during activation. Items that were posted after the activation date appear as open items after the activation. If you want to see all existing items as open items, the activation date must be earlier than the earliest posting date of all items. Note that the system sets the activation date automatically to the period end if the date is in the past. Different fiscal year variants

If the activation date is in the past, the system checks whether the activation date is identical to the period end of the respective fiscal year variants. If the periods do not have the same end date in different ledgers, the activation terminates. The reason for this is that the balance on the account must be zero on the activation date. Example: Current date: 13.10.2009 Activation date: 31.03.2009 Ledger L1, period 3, period end March 31. Ledger L2, period 2, period end June 30. In ledger L2, the balance cannot be determined on March 31. The system compares the information from the totals record tables with the data from the line items. The balance in the totals record tables is saved for each period, however. If you were to compare the balances of all items posted up to March 31 in ledger L2 with the totals record table, the numbers would not be the same. The foreign currency valuation

The foreign currency valuation does not work on accounts with ledger group-specific OI management. Background information: The functionality was originally developed for provisions, which are not valuated. Activation after migration

If a migration was carried out in your system, the activation of accounts can only be created with a date that is NOT older than the migration date. This is because items that were posted before the migration date were not migrated to General Ledger Accounting (new), and this means that no general ledger view is available. As a result, an activation cannot be carried out with a date before the migration date.

The activation

l Step 1: The balance on the activation day is posted to the transfer posting account. The document is provided with the account assignment, which you can enter in the initial screen. The account assignment can also be empty, if the fields are not required entry fields. The account then has a balance of zero.

l Step 2: The system performs transfer postings in the account, so that not only the account has a zero balance, but the balance is also set to zero for each account assignment. These transfer postings are performed between the real account assignments and the account assinments of the transfer posting document.

l Step 3: The open item management is activated and all existing items are cleared. The document number of the transfer posting document is used as the clearing document.

l Step 4: If the "Return Posting" indicator is selected, then the balance posted in step 1 is posted back. This results in a new open item.

Scenario 1

¡ Classic general ledger

Only the business area is available as an account assignment element on the initial screen. All postings are performed per company code and currency. If balances are available in five currencies, then five documents are written. Make sure that Note 1696473 is implemented in your system.

Scenario 2

¡ New general ledger

¡ Activation of the normal open item management

¡ No ledger group-specific postings exist.

All account assignments of the new general ledger are available. In order to be able to activate the normal open item management, the balances of the account must be the same in every ledger. This applies in any case where there are no ledger group-specific postings. During the zero balance setting per account assignment, the system still performs transfer postings per ledger group. This is not critical, as the postings look the same in all ledger groups. These transfer postings are then cleared, and the clearing cannot be reset. Scenario 3

¡ New general ledger

¡ Activation of the normal open item management

¡ Ledger group-specific postings exist.

This scenario is no longer supported as of Support Package 6, as amounts of the various ledgers previously cleared (to ensure the balance of every ledger is equal) can no longer be posted back to a specific ledger after the activation of open item management. The reason is that ledger (group)-specific postings are not permitted in the case of active open item management. However, this is technically possible with restrictions. Contact SAP Consulting if you want to do so. Scenario 4

¡ New general ledger

¡ Activation of the ledger group-specific OI management

¡ Account is line item managed

Ledger group-specific postings that occurred before the activation date are cleared (in the respective ledger group), and postings that were made after the activation date appear as open items (also in the respective ledger group).

Scenario 5

¡ New general ledger

¡ Activation of the ledger group-specific OI management

¡ Account is already OI managed.

Page 3: Openitem Managed

In this case, no ledger group-specific postings can exist, because the system allows the normal OI management for postings in all ledgers only (ledger group SPACE). The system changes only all items to ledger group-specific OI management.
