POLICY GUIDELINES

AIMS has been providing part financial assistance to member institutions for taking up various activities. Accordingly, a policy framework for sanction of part financial assistance to member institutions for conducting various events has been laid-down with the idea of encouraging greater participation by member institutions in the activities of AIMS.

A

Financial Assistance will be given by AIMS to its member institutions for conducting following types of workshops /seminars/ FDPs / conferences, in physical mode:

• International level• National level• Regional level• Faculty Development Programme • Regional Round Table of Deans / Directors of

Management Institutions (combined with Executive Board Meeting wherever feasible).

• Any other special activities like seminars / workshops, etc.

Guidelines for submission of Proposals by Member Institutions:

i. Institutions are required to submit the proposals at least one month in advance of the date of conduct of the Seminar / Workshop / FDP to enable the AIMS Secretariat to process and put up the proposal in the next Management Committee / Executive Board Meetings. The institutions are required to submit the following to the AIMS Secretariat while seeking financial assistance.

a. Proposal giving details of objectives of the event.b. Target Groupc. Names of the Resource Personsd. Programme Schedulee. Budget indicating Income/Expenditure and shortfall, if anyf. Amount of assistance requested

POLICY GUIDELINES CONTINUEDTaking into account the financial resources position of AIMS, the following assistance is provided as reimbursement of expenses:

ii. After completion of the programme, the assisted member institutionwould be required to submit a two/three pages of write-up of the programme with issues discussed and suggestions/recommendations that emerged during the discussion along with two/three photographs for release of the financial assistance, information of the Board, uploading on AIMS website, and for inclusion in the Annual Report.

iii. In the case of Case Writing workshops, 5/6 cases should be submitted to the Secretariat by the host institution.

Criteria for Sanction of Financial Assistance by AIMS

• Status and capability of the member institution to host the workshop / seminar / FDP would be a major criterion for sanction.

• There should be a minimum gap of three calendar years between two programmes by the same institute for which grant of assistance is requested (exception for Regional Conferences, Round Tables and Board Meetings).

• International Conference should have the evidence of participation of representatives of at least five / six countries: similarly, National Conference should have at least five / six states of the country and Regional Conference that of at least three / four states of the region.

• In the case of International programmes, the conference should have a minimum of 10 paid delegates with three International resource persons.

• Preference will be given to those institutions which are participating in ATMA.• A Member can be considered for financial assistance one year after joining

AIMS membership.

Criteria Continued

• In all the cases where financial assistance is provided by AIMS, the Regional Vice President should coordinate with the organizing institution and either the RVP or a member of the Executive Board of that Region should be invited to the event by the host institution.

• The Regional Vice President/the Board Member, who attends the event, should endorse the report on the proceedings of the event submitted by the host before releasing the payment.

• The AIMS logo and AIMS association should be appropriately displayed in the brochure, background banner, invitation, welcome flexi, etc.

REIMBURSEMENT OF EXPENSES (PART) FOR EACH TYPE OF PHYSICAL EVENT

All the programmes should be conducted with the involvement of respective Regional Vice-President or any Board Member of the Region.
