Qualifications:    Job Summary: The Payroll Coordinator reports to the Director of Human Resources and Payroll and is responsible for coordinating thepreparation and processing of the District’s biweekly payroll.    Excellent benefits, including vacation and paid leave time.       Qualifications and experience:

High school diploma or general education degree (GED), and a minimum of one year related experience and/ortraining.  Associate’s degree or CPP preferred.  

Michigan public school and B-Plus software experience desired.•Demonstrated Excel proficiency. •

    Description:    PRIMARY PURPOSE: To coordinate the preparation and processing of the District’s biweekly payroll, including processing timesheets,deductions, attendance, report generation, payroll reconciliation, preparation and filing of quarterly tax reports, W2preparation and distribution.    DUTIES AND RESPONSIBILITIES: 

Process all payroll jobs, verifying accuracy of output and preparing necessary changes.  •Review timekeeping system records to verify accuracy of time and attendance.•Responsible for systems administration of the District’s automated timekeeping system.  Maintain the existingdatabase security.

Process all deductions for tax shelter annuities and direct deposit.  Complete any necessary reports, forms andspreadsheets related to these deductions.

Upload benefit payroll deductions and additional compensation from 3rd party vendor annually or as needed.•Calculate, process, and input all employee garnishments, federal and state levies, and court-ordered deductionsrequired by law for each payroll.

Prepare all cash transfers for payroll funding as well as check requests for all payroll related liabilities forprocessing by the accounting department.

Prepare all payroll tax forms for payment of federal, state and city taxes, request funds through the accountingdepartment, and direct timely deposits of these tax liabilities.

Process biweekly retirement reports including research through the Payroll system, request funds through theaccounting department for payment of the District’s payroll retirement obligation and various tax-deferredpurchases.  Reconcile and correct retirement reporting errors as needed in the state retirement system on a per-payroll basis.

Provide MESC with monthly and quarterly statistics.  Prepare monthly statistics reports to Jolts and Department ofLabor.  Prepare monthly new hire report.

Prepare student report to determine retirement and FICA eligibility.•Supply District staff with various lists and labels on an as-needed basis through computer programs.•Assist employees, departmental secretaries, tax shelter annuity representatives, bank personnel, and unionrepresentatives with payroll related questions.

Prepare audit schedules for the District’s annual financial audit.  •Prepare quarterly tax returns.•Prepare and distribute W-2s to all District employees on an annual basis.•Reconcile each payroll for use in preparation of quarterly and annual tax returns.  Reconcile all payroll relatedliabilities.

Coordinate the reconciliation process of each payroll, working in conjunction with the payroll records secretary todocument corrective transactions.  Process interface for automated time and attendance systems.  Process allcorrections as needed.

Enter tax, retirement and direct deposit screens into HRIS (BPlus) system.•Monitor and determine student status.•Provide copies of payroll information for yearly audit.•Answer incoming Human Resources and Payroll telephone calls.•Retrieve information from microfiche as needed.•Investigate and resolve payroll discrepancies.•Participate in semi-monthly Personnel and Payroll meetings.•Perform other duties as assigned.•
