Since 1995, FIREFREEZE is involved in providing high quality services to the industrial installation. Our company can provide complete range of fire protection system and Fire alarm system & gas detection system.
Our partnership with many leading manufacture of the world enables us to utilize scientific and technical skills of leaders in the field.
FIREFREEZE has engineering team, installation team, financial resource and expertise to handle the turnkey project.
FIREFREEZE have HCIS approval to work on industrial mega project along with vendor approval with Saudi Aramco, Sabic, Saudi Electricity Company (SEC), Saudi Telecom Company (STC), Ministry of Health (MOH), Ministry of interior (MOI) and saline water conversion corporation (SWCC), EPCC and Local civil defence authorities. We are approved supplier to many global EPC contractors working in Saudi Arabia.

testing, servicing and maintenance program which ensure the safety of working people in oil fields, petrochemical plants, electrical companies, desalination plants, industrial installations, airports, militaries, civil defense, hospitals, schools, university, offices, building and other location throughout the region. Most of our projects are industrial project with EPC contractor.
SAFETY
The company operates a safety policy in compliance with internal set objectives of recognized standard. Safety consultants are retained to advise on all safety matters related to company activities. We work with international consultant for certifying the design and drawing.
Safety awareness is highlighted for all projects and risk assessment is prepared to recognized standards to control hazards.
The safety policies followed are aimed at working together with clients to achieve the objective of zero safety related incidents.

WHEREAS : The Parties have agreed to discuss possible collaboration on programs relating to:

AND WHERAS: The Parties wish to exchange information which may be of a proprietary or a confidential nature for thepurpose of such possible collaborationNOW THEREFORE IT IS AGREED AS FOLLOWS THAT:
1. The Receiving Party shall hold in confidence all confidentialinformation relating to such possible collaboration disclosed toit by the Disclosing Party, which: (a) is marked as confidentialat the time of disclosure; or (b) is not in a form that can bereadily marked (e.g. verbal disclosures) but is verballyidentified as confidential at the time of disclosure, and isdesignated as confidential by the Disclaimer in writingto the Recipient’s primary representative within thirty days ofdisclosure. “Confidential Information” means all information inrespect of either parties’ business and finances including,without prejudice to the generality thereof, any ideas, businessmethods, finances, prices, products, specifications supplierlists, business, financial, marketing, development, manpoweror new product development plans, customer lists or details,computer systems and software, Intellectual property or othermatters connected with the parties’ products or serviceand information concerning relationships with actual orpotential customers and the needs and requirements of suchpersons.2. The Receiving Party undertakes to apply to all ConfidentialInformation disclosed in accordance with the provisions of thisagreement the same degree of care with which it treats andprotects its own proprietary information against publicdisclosure. All such information and idea shall not be disclosedto any third party without the written consent of the DisclosingParty. Where such consent is granted disclosure shall only bemade to another party where such party accepts similarobligations of confidence to those contained in thisAgreement or where such a party is a government orgovernment agency and agrees to treat such information asconfidential and proprietary information.Notwithstanding the foregoing, either party may disclose
confidential information to subsidiary, affiliate and parentcompanies, both direct and indirect, provided such companiesagree to comply with the provision of this Agreement.3. The Receiving Party undertakes to restricts its use ofConfidential Information to work performed in conjunctionwith the Disclosing Party related to such possible
c. disclosed to the Receiving Party without restriction by a thirdparty having the full right to disclose, ord. independently developed by an employee of the Receivingparty to whom no disclosure of Confidential Information hasbeen made, or e. specially required by a government body orcourt of law to be disclosed, provided that (i) prior to suchrequired disclosure, the receiving Party shall give the DisclosingParty reasonable notice of such required disclosure (to theextent permitted by the law) and shall cooperate with theDisclosing Party in any action taken by the Disclosing Party toprotest against and/or limit such disclosure and (ii) suchdisclosure shall be limited to the specific disclosurerequirements.6. This agreement shall only apply to information disclosedduring the (12 month) period commencing on the EffectiveDate (“Disclosure Period”). Any Agreementto extend the Disclosure Period shall be written in form. [selectappropriate one of [I ]or [ii] and delete the other: [i] Theconfidentiality obligations under this agreement shall continueuntil such time as the Confidential Informationbecomes part of the public domain through no act or omissionof the Receiving Party. [ii] The obligation here to relating toconfidentiality and use of information and ideas shall continuefrom the effective date until [3 years ] after the End of theagreed Disclosed Period.]7. The Receiving Party shall not assign or transfer any of itsrights or obligations hereunder without the prior writtenconsent of the Disclosing Party.8. All Confidential Information disclosed hereunder shallremain the property of the Disclosing Party. Nothing in thisAgreement shall deemed to grant a license directly or byimplication under any registered design, patent, copyright,trade secret or patent application.
9. After the end of the Disclosure Period, the Receiving Partyundertakes, upon written demand, to return to the DisclosingParty all documents & materials (and any copies ) containing,reflecting, incorporating, or based on the Disclosing Party’sConfidential Information from its computer systems to theextent possible; and/or certify in writing to the Disclosing party
collaboration and to ensure that dissemination of ConfidentialInformation within its own organization is on a strict “need toknow” basis.4. Each Party acknowledges that any breach by it of itsobligations under this Agreement would inevitably causesubstantial and irreparable damage to the otherparty , and that money damages would be an Inadequateremedy there for. Accordingly, each Party acknowledges andagrees that the other party will be entitled, in addition to anyother available remedies, to an injunction, specificperformance, and/or other equitable relief to prevent theviolation of such obligations.5. The obligations of Confidentiality in this Agreement shall notapply to those sections of confidential Information which are:a. in or passed into the public domain other than by breach ofthis Agreement or b. Known to the Receiving party prior todisclosure by the Disclosing party, or
that it has complied with the requirements of this clause,provided that the Receiving Party may retain documents andmaterials containing, reflecting incorporating, or based on theDisclosing Party’s Confidential Information to the extentrequired by law or any applicable governmental or regulatoryauthority, and to extent reasonable to permit the ReceivingParty to keep evidence that it has performed its obligationsunder this Agreement.10. This Agreement constitutes the Entire understandingbetween the Parties related to the protection of ConfidentialInformation disclosed hereunder and supersedes all prior andcollateral communications, reports and understandingbetween the parties hereto relating to ConfidentialInformation. It shall come into effect on [date] (“EffectiveDate”).11. The Agreement will be governed by and interpreted inaccordance with the Laws of [England And Wales] and will besubject to the jurisdiction of the Courtsof [England And Wales].

Project Management Process
FIREFREEZE will assign a single point of contact for all major projects and use modern Project Management processes and tools to execute a project which will include but not be limited to the use of “PRIMA VERA” to record the sequence of works and the time frame for completion along with all project milestones. This will be reviewed against a baseline, up-dated and submitted on a regular basis (Frequency to be project specific) during the project execution period as part of the Progress Report. The Progress Report will detail all other project information from procurement and delivery activities, design & document submittal, Technical Query (TQ’s) progress, Installation & Commissioning progress, Commercial and Contractual information and any other information deemed necessary to the scope of works.
FIREFREEZE employ a robust QEHS (Quality, Environment, Health and Safety) system that also controls and houses all other Project Management processes, procedures, forms and documents necessary for completing a successful and well documented project.

1. INTRODUCTION This Project Quality Plan defines the Quality Management System that shall be used to control the activities involved in FIREFREEZE.
The activities included in this project are defined in the scope of work prepared and issued to FIREFREEZE by Client.
Purpose:
The purpose of this Project Quality Plan is to demonstrate the ability of the Company to provide scope of work / services for the project which meets the requirements of ISO 9001:2008 Quality Management Systems. In addition to this, the PQP documents the commitment of the Company in meeting the Client requirements and all applicable statutory and legislative requirements.
2. PROJECT QUALITY PLAN, ISSUE AND AMENDMENTS
Once a contract signed with FIREFREEZE All amendment to this Project Quality Plan shall be reviewed by the Project QA/QC Manager and shall be approved by the Project Manager and QHSE Department Manager (If necessary). The revision, updating and distribution will be the responsibility of the Project QA/QC Manager. He will be responsible for retrieving the obsolete copies of the PQP (if necessary).Revisions to the Project Quality Plan are carried out by section by section. In case of minor change requiring the revision of one or several pages of section of the Project Quality Plan only such page or pages shall be revised.Project QA/QC Manager revised this Project Quality Plan and he or his designate will do the issue control. The issue shall be subject to the review and approval by project QA/QC Manger, Project Manager and FIREFREEZE (as applicable).The same personnel as original issue or authorization by Project Manager shall subject all subsequent revisions to review and approval. The Project Quality Plan shall be subjected to review during the course of the project by Project QA/QC Manager or his designate to ensure that any developments or improvements in the FIREFREEZEIntegrated Management Systems are accurately reflected in this document.
Distribution:
The original PQP/Master Copy shall be retained with Project QA/QC Manager. Approved copies shall be distributed to the following:
Others as directed by Project Manager (list retained with project QA/QC Manager)
The distribution shall be “Controlled” and shall be recorded. All controlled copies shall be identified with a blue color stamp “CONTROLLED COPY” “No. ……”.
All amendments shall be issued to the approved copyholders and it is the responsibility of the copyholder to replace the old one with the amendments. All old documents shall be destroyed.The project Quality Plan is the property of FIREFREEZE and shall not be reproduced or transmitted to any third party without the written approval of FIREFREEZE QHSE Manager.
Amendment record: This section will show the revisions done on this document with the reason for change. The objective is to trace the document history. It is the project quality In-charge responsibility to update these details.When changes will be made in any part of manual, the revision number will be incremented. The revised areas will be identified with blue color and italic text. Internally this document will be issued and revisions will be communicated through document Form. Internally this document will be issued to the relevant managers and they will communicate this to the relevant staffs. Any printout without original “CONTROLLED COPY” stamp will be treated as invalid.
TERMS AND DEFINITIONS: The Quality Management and related terms used in this Quality Plan are defined below. Wherever possible, reliance is placed on ISO 9000:2005 Quality Management Systems - Fundamentals and Vocabulary, and if a term is defined therein, the definition is quoted, with explanatory notes as relevant. Supplier Appraisal:Assessment of supplier’s capability of controlling quality carried out before placing orders.
Certification: The authoritative act of documenting compliance with requirements. The requirements can relate to personnel, processes, products, organizations and services.
Compliance: An indication or judgment that the product or service meets the requirements of the relevant specification or regulation; also the state of meeting the requirements.
Customer:Recipient of a product provided by the supplier.
1. In a contractual situation, the customer is called the “COMPANY”.
2. The customer may be, for example, the ultimate consumer, user, beneficiary or purchaser.3. The customer can be either external or internal to the organization.
Corrective Action:Action taken to eliminate the causes of an existing nonconformity, defect or other undesirable situation in order to prevent recurrence.
Documentation:Any recorded or pictorial information describing, defining, procedures or results.
Defect:Non-fulfillment of an intended usage requirement or reasonable.
Design Control: The verification that design criteria comply with specified requirements; that design data and methods are valid for the range of application; and that the completed design satisfies the design criteria.
Design Review:A documented, comprehensive and systematic examination of a design to evaluate its capability to fulfill the requirements for quality identify problems, if any and propose the development of solutions.
Work will be held until the inspection or test has been satisfactorily completed.
Improvement:Actions taken by FIREFREEZE to increase the effectiveness and efficiency of activities and processes in order to provide added benefits to both FIREFREEZE and its Sub-contractors.
Inspection:An activity such as measuring, examining, testing or gauging one or more characteristics of an entity and comparing the results with specified requirements in order to establish whether conformity is achieved for each characteristic.
Non-conformity:Non-fulfillment of a specific requirement. The definition covers the departure or absence of one or more quality characteristics (including dependability characteristics), or quality system elements form specified requirements.
Procedure:A specified way to perform an activity. In many cases, procedures are documented (e.g. quality system procedures). When a procedure is documented, the term “written procedure” or “documented procedure” is frequently used.
Product:Result of activities or processes.
1. A product may include service, hardware, processed materials, software or a combination thereof.
2. A product can be tangible (e.g. assemblies or processed materials) or intangible (e.g. Knowledge of concepts) or a combination thereof.
3. A product can be either intended (e.g. offering to customers) or unintended (e.g. Pollutant or unwanted effects.)
Quality:The totality of features and characteristics of a product or service that leads to customer satisfaction. In other words, “degree to which a set of inherent characteristics fulfill requirements”.
Quality Policy:The overall intentions and direction of an organization with regard to quality, as formally expressed by top management.
Quality Management:All activities of the overall management function that determine the quality policy, objectives and responsibilities, and implement them by means such as quality planning, quality control, quality assurance and quality improvement with FIREFREEZE. In simple “coordinated activities to direct and control an organization with regard to quality”.
Quality System:FIREFREEZE organizational structure, procedures, processes and resources needed to implement quality management.
Quality Assurance:All the planned and systematic activities implemented within FIREFREEZE quality system, and demonstrated as needed, to provide adequate confidence that an entity will fulfill requirements of quality.
Quality Control: FIREFREEZE employs operational techniques and activities that are used so that its operations and services conform to the quality requirements as laid down in Company’s documents.
Quality Plan: A document setting out the specific quality practices resources and sequence of activities relevant to a particular product, service, contract or product.
Quality Audit:A systematic and independent examination to determine whether quality activities and related results comply with planned arrangements and whether these arrangements are implemented effectively and are suitable to achieve objectives.
Repair:Action taken on a non-conforming product so that it will fulfill the intended usage requirements although it may not conform to the originally specified requirements.
Repair is one type of disposition of a non-conforming product. Repair includes remedial action taken to restore, for usage, a once conforming but now non-conforming product.
Review:An independent assessment undertaken by an individual or group for the area under review.
Rework:Action taken on a non-conforming product so that it will fulfill the original requirement. Rework is one type of disposition of a non-conforming product.
Safety-related:Pertaining to those items of plant, the satisfactory performance of that is important to the prevention of consequences of such accidents.
Specification:The document that prescribes in detail the requirements with which the product or service has to comply.
Standard:A document approved by a generally recognized body that results from the process of formulating and applying rules for an orderly approach to a specific activity.
Service:The result generated, by activities at the interface between the supplier and the customer and by supplier internal activities, to meet customer needs. Personnel or equipment may represent the supplier or the customer at the interface. Customer activities at the interface with the supplier may be essential to the service delivery. Delivery or use of tangible product may form part of the service delivery. A service may be linked with the manufacture and supply of tangible product.
Service Delivery: Those supplier activities necessary to provide the service.
Supplier:Any individual or organization that furnishes items or services to a procurement document. An all-inclusive term that may be used in place of any of the following: Vendor, Seller, Contractor, Fabricator, Consultant and Sub-tier levels.
Test:The determination or verification of the capability of an item to meet specified requirements by subjecting the item to a set of physical, chemical, environmental or operating conditions.
Witness Point:The inspection (notified in advance) will be witnessed by inspection of QC staff. Work may proceed even if the QC personnel have not witnessed the test.
4. PROJECT QUALITY MANAGEMENT SYSTEM 4.1 General Requirements Before starting the project execution, FIREFREEZE shall identify all processes involved in the project. FIREFREEZE shall identify the sequence and interaction of these processes, resources required, information required to support the execution, monitor and measure and analyze these processes, etc. FIREFREEZE submit its Project Quality Plans to COMPANY Representative for review and approval prior to the scheduled start date of the procurement, construction and pre-commissioning phases as specified in the Work Schedule provided in Schedule. Moreover, the Quality System described in the Quality Plan demonstrates that FIREFREEZE has a planned and systematic approach for obtaining and maintaining quality. It shows that personnel have the necessary training to perform their work and definitions for quality and quality related activities are reflected in the documented system and represent FIREFREEZE interpretation to suit its own objectives. Prior to commencement of any activity, FIREFREEZE shall designate one qualified personnel as Project Quality Assurance/Quality Control Manager/Engineer who from his other responsibilities shall be responsible for Implementation and Monitoring of project quality Management System.4.2 Documentation Requirements The hierarchy of the quality management system to be applied for this project mainly consists of three main levels of documents, which are described below:4.2.1 GeneralThe project quality plan documentation is structure in the order of precedence
4.2.2 Project quality plan 4.2.2.1Project quality plan Level 1Project Quality Plan (PQP) which states the overall quality management systems project specification and in which the project quality policy has been published. PQP is supported by a comprehensive series of Integrated Management System Standard Operating Procedure (SOP) that define in detail, the standard approach that shall be adopted. Wherever necessary, project specific procedures shall be prepared as supplement or otherwise developed and defined operational quality activities contains in the existing procedures.
The Project QA/QC Manger or his designate in consultation with the Project Manager shall review and update the PQP, as necessary, to ensure that it matches with the scope of work. Any such modifications shall be agreed by Project Manager and approved by QHSE Department Manager (as appropriate) prior to submission for FIREFREEZE Approval.A list of the following is attached at the end of this PQP:
Audit Schedule. Processes. Inspection and Test Plan- Project Specific. Standard Operating Procedures – Project Specific. Method of Statement / Work Instructions- Project Specific.
4.2.2.2IMS Company procedures (Level2)Standard Operating Procedure (SOP) which describes the responsibilities and methods to be followed for carrying out various activities and task in adequate manner. These procedures define how the requirements of applicable clauses of ISO 9001:2008 are applied to the services. These are confidential and their circulation is restricted to internal use without authorization. 4.2.2.3 Work instructions (Level 3)Work Instructions (WI) for the execution of specific activities on the project form level 3 of the IMS. It includes drawings, Welding Procedures, Construction method statements. The preparation and control of above-mentioned documents shall be included in project requirements as appropriate.4.2.3 Control of DocumentsFIREFREEZE has an established maintained procedure for control of all documentation relating to the Project Quality Plan.
All essential documents affecting quality shall be reviewed for adequacy and approved for release by project QA/QC Manager.FIREFREEZE shall make the applicable issues of such documents based on the contractual freeze date available at all functional areas, inspection and test points where they apply so they are readily accessible to the personnel concerned.
The issue, control and recall of all engineering documents, is under the jurisdiction of the project QA/QC Manager. Inspection and Test Plans and other related instructions (ITP & IC) shall be issued by the project QA/QC Manager.Test Reports shall be prepared and issued by Discipline Quality Control personnel. The system of documentation and data control shall ensure that essential drawings, technical requirements, contract change information, inspection instructions, specifications or any other document required by Quality Management, are available at the time and place of the operation.Approved IMS documents (latest issue) – Forms, etc. shall be distributed by the QHSE Department Manager to all locations, where required, for the effective functioning of the Quality Management System.
All changes to these documents shall be implemented in writing and processed in a manner that ensures prompt action at the specified locations. Changes to documents shall receive the same authorizations as the original documents. Records shall be
maintained for changes as they are made. Provision shall be made to promptly remove obsolete documents from all points of issue and activity locations.
4.2.4 Control of recordsRecords are generated and maintained in order to demonstrate achievements of the required quality of the products and effective operation of the documented Quality System.The records to be generated during a process are defined in the Quality plan, Process Document and Work Instructions. The records are stored and maintained in a way, which would prevent damage, deterioration or loss and are readily retrievable. Identification, collection, indexing, filling, maintenance and retention are carried out by authorized persons, as per relevant Process Document and Work Instruction.
Method of retentionThe records are identified date-wise, customer- wise, supplier/client –wise, component code-wise as the case may be.Every effort will be made by FIREFREEZE to cultivate joint working relationships with Client, to enable an open and free exchange of information, in order to ensure that the project is completed safely, on time, within budget, to the required quality and in conformity with all applicable statutory/Legislative requirements, commitment to achieve client satisfaction.5.4 Planning5.4.1 Quality Objectives The quality objectives for the project are as follows:

5.4.2 Quality Management System Planning In order to achieve the project quality policy, the commitment of policy statement is translated in terms of SMART (Specific, Measurable, Achievable, Relevant and Time Framed) or SWOT (Strength, weakness, opportunity, threat) Project Quality Objectives for each functional activities and are communicated to the relevant personnel to continuously monitor and periodically measure the achievement. It is ensured that the defined objectives are in the service and other business requirements. These objectives reflect the following principles;
Improve service quality by comparing the service quality of projects and maintain a better completion time compared to our competitors.
Identify and implement improvements within the quality management system by utilizing the systems and through involvement of the employees.
Reduce the wastage of raw materials and other resources. Maintain the Integrity of the project quality system.
5.5 Responsibility, Authority This section of the Quality Plan sets forth the organizational arrangement employed by FIREFREEZE in providing support services and in executing projects they undertake. It also defines the organizational relationship, responsibility, authority and lines of communication of the Quality Management function.In providing effective management of projects and support services, FIREFREEZEassures optimum use of manpower, technological and financial resources utilizing expertise from a variety of disciplines to meet the requirements of their customers. Such expertise is developed in engineering and construction techniques.To this end, FIREFREEZE has an obligation to ensure that the final product i.e. “result of activities or processes meets its fitness for purpose” and has been carried out in accordance with the Job Specification and is consistent with design requirements. The overall organization for the project shall be in accordance with the organization chart attached to this Project Quality Plan.
FIREFREEZE Site organization consists of the following: Project Manager Construction Managers Project QA/QC Manager QA/QC Supervisor Procurement /Material Engineer Project Engineers Planning and scheduling Engineer QC Inspectors for various disciplines Document Controllers
The mobilization of key personnel shall be as per approved mobilization plan. As a general principle, only trained, qualified and experienced personnel shall be assigned to the work.The Project QA/QC Manger shall has close liaison with Project Manager concerning day to day project execution matters and QHSE Department Manager with reference to QA/QC and HSE related problems that require FIREFREEZE Management resolution. All project QA/QC personnel shall be made available for interview with FIREFREEZE, ifrequired, prior to assignment ensuring they meet the Client requirements. 5.5.1 Responsibility and Authority The organization of the Company has been defined and is illustrated in Appendix of this project quality plan.The responsibilities, authorities of personnel and their communication have been defined and documented in order to facilities effective quality management system. The duties, responsibilities of the key personnel are as follows: Project Manager Project Manager has the overall authority and responsibility for all aspects of the Project.His responsibilities include but are not limited to the following:
Representation of towards Company for all matters relating to the Contract. Overall management of the project activities and control of the related personnel. Approval of the Project Master Schedule and control of its fulfillment. Implementation of any step that may be required to prevent or minimize delays
budget over-running, conditions adverse to quality objectives. Submittal of progress reports to the Client. Coordination and supervision of activities of the subcontractors.
Maintenance and coordination of contacts with the local authorities for all matters related to the work execution.
The above task will be achieved by coordinating activities of the Project Personnel. Project QA/QC ManagerThe Project QA/QC Manager directs activities of the Project Quality Organization, reporting to QHSE Department Manager.His responsibilities include but are not limited to:
Preparation, review, updating and distribution of the Project Quality Plan. Issue of Project Quality Control Procedures, Inspection and Test Plans and Forms. Review of Quality documentations issued by FIREFREEZE. Assignment of Quality related tasks within the framework of the project. Review of Inspection Reports and Non-conformance Reports, if any. Evaluation of Suppliers/Sub-contractor’s Quality systems. Verification, by means of a planned Audit schedule that Sub-contractors are
implementing the established Quality Program. Verification by means of a planned Audit schedule that the requirements set in the
Quality Plan is met. Coordination and supervision of activities related to the collation of the “Project
Record Books”. Determine and inform to the Project Manager the principal causes of quality loses. Determine with the Project Manager where improvements are required and where
necessary, recommending corrective action. Managing Quality Control functions for the Project including planning of Quality
Control inspections and preparation of reports controlling corrective actions Assign Quality Control personnel to various areas of activity. Monitor inspections
progress; review Inspector’s reports and documentation. Upon completion of the work, ensure that all requirements have been met and the required Quality records have been collated and filed.
Monitor on day-to-day basis, and review the deviations reported, if any, with the approved quality plans(s).
Following a suitably start and approved procedure for the formal control of deviation/waivers from the project specification.
Review and approve as necessary, quality related procedures such as: - Welding procedure specifications & welding procedure qualifications.- Welder qualifications NDT procedures. - Heat Treatment Procedures Cleaning and Pressure Testing Procedures.
- Preservation Procedures. Monitor the content and consistency of subordinate’s daily inspection activities. Preparation and submission of “Two Week look Ahead Schedule” for both
construction and procurement phases as per “Client” requirements. Preparation and submission of “Monthly Management Review Reports” on monthly
basis as per the requirements of “Client”. Establishing Inspection and Test Plan for procurement, construction and
commissioning phases as required by ‘Client. Procurement and Project Inspection, witnessing, & monitoring in accordance with
the approved inspection and test plan. Note: Supervisor and discipline inspectors support the Project QA/QC Manager. Construction ManagersThe Construction Manager controls and coordinates all Work activities carried out in the construction site. His responsibilities include but are not limited to:
Establishment and implementation of work procedures for the execution of work. Review detailed construction schedule, including redefinition of priorities, where
necessary. Control and coordination of the work entrusted to Sub-contractors. Planning and scheduling of the work force and equipment. Review of the materials delivery schedule. Preparation of data required for compilation of the Work Progress Report. Preparation of the change order proposals. Assistance to the Project Manager in discussions with Company (Client)
QA/QC SupervisorThe duties and responsibilities of QA/QC Supervisor. QUALITY
Prepare Inspection and Test Plans, Inspection Check-Lists, Work Instruction etc., in accordance with project requirements.
Prepare / review of quality Procedures for special process such as welding, NDE concreting, refectory, RTR pipe–work etc.
Implement and monitor Quality procedures, monitor, and control and supervise inspection activities.
To prepare and submit “Two Week look Ahead Schedule” of all inspections and activities for both construction and procurement phases as per the requirements of “Client”.
To highlight all the QA/QC concerns and issues during the “Weekly Project Progress Meetings”.
To make sure the distribution of only control documents (Quality records, Procedures, Instruction and IFC drawings) within the quality department and at site.
Co-ordinate with construction group, Company representative and / or third party inspection agency to perform stage inspection in line with the approved Inspection & Test Plans, Inspection Check-list etc.
Monitoring the implementation of Receiving Inspection, Identification and Traceability of all materials for the project.
Monitoring the use of proper calibration instruments at proper location for delivering inspection activities.
Control of Non-conformance and corrective as well as preventive action. Identify the activities where improvement can be done.
Procurement / Materials Engineer The Materials Engineer reports to the Project Manager. His responsibilities include but are not limited to:
Receiving inspection and record keeping of all material-both ‘free issue’ from Company and FIREFREEZE supplied material and purchased material.
Reporting of non-conformances, the monitoring of careful segregation of quarantined material and rectification of defects and clearance of materials from quarantine.
Assuring the traceability of uniquely identified critical materials while materials are in storage.
The monitoring and recording of the condition and state of preservation of materials at store until released for processing and /or construction.
With the assistance of Construction personnel, perform maintenance of equipment and materials at store as per approved procedures.
Procurement Quality Control Supervisor He shall report to Project QA Manager. His responsibilities include but are not limited to:
Review of requisitions dossier for compliance with contract requirements and submit to Company for review.
Preparation of inspection assignment packages. Review of sub-vendors quality procedures. Establish agenda for pre-inspection meeting.
Ensure inspection assignment packages are correctly distributed. Scheduling and coordination of source inspection Assist Vendor inspectors in all aspects of their work to ensure that all project
requirements are fulfilled and that all inspections required are carried out and correctly recorded.
Drawing and Document Controller The Drawings and Document Controller assists Project Manager and Project QA/QC Manager for all the information concerning the Project Documents.His responsibilities include but are not limited to:
Promote the formal management of the information system. Record and manage incoming and outgoing Technical documents. Distribute documents in a “Controlled” manner.
Discipline QA/QC Inspectors (civil, mechanical, HVAC, Painting, communication, electrical, instrumentation, etc.)The Quality Control Inspectors for various disciplines report to Project QA/QC Engineer.His responsibilities include but are not limited to:
Ensure compliance with the requirements of the contract scope of work, technical specifications and contract quality plan insofar as it applies to: - Civil construction job
(Excavation, backfilling, concreting, asphalting etc.)- Structural work - Piping installation - Instrumentation work - Electrical work- Painting work- Welding work
Assisting the Procurement/ Material Coordinator in the task of overseeing final dimension checking.
Reporting both verbally and in writing any non-conformance discovered. Reporting daily a descriptive of each day’s work. Conduct weekly QA/QC Toolbox meeting. Conduct of inspection as per FIREFREEZE ITPS & SAICs etc. Shall report/coordinate with personnel for witnessing all inspections and acceptance
of the work items.
5.5.2 Internal communication FIREFREEZE has an established internal communication system. The communication within the Company takes place in various formats, such as internal internet facilities, memos, letters, internal meeting with concerned personnel, non-conformance reports and management review meetings to ensure effectiveness on the quality management system.The Project Manager conducts a meeting once in month at the project site along with concerned site personnel to ensure effective implementation of quality system processes/procedures. The conclusion of the meeting or action required to be taken is recorded and distributed accordingly by the site Secretary. 5.6 Management Review
A Management Committee, that comprises the senior executives of FIREFREEZE shall monitor and review project specific quality systems and continued effectiveness of FIREFREEZE QMS.The Project QA/QC Manager, who shall be responsible for setting the agenda and recording of minutes, shall convene the meeting at approximately six months intervals.These management reviews are additional to the findings of internal audits conducted to ensure continued adherence to the system.The Management Review shall:
Ensure that management quality policy objectives, assignments, delegations and methods are achieving the required results.
Reveal defects or irregularities in any of the elements examined. Indicate possible improvements. Check on the effectiveness of Management at all levels. Uncover potential danger spots to eliminate waste or loss. Examine the complaints received from customers/end users. Verify that corrective action procedures are effective.
FIREFREEZE shall ensure that Senior Management Reviews are scheduled event included in the quality audit schedule approved by Company Representative.
FIREFREEZE shall inform the Company Representative in writing of the results and recommended actions of Management reviews within two (2) weeks after the scheduled review date. Changes to the Quality System that result from Management Reviews shall be incorporated in the project Quality Plans, with the approval of Company Representative.
6. RESOURCES MANAGEMENT 6.1 Provision of Resources Resources are identified primarily through quality planning stages, also it is identified during as and when needs arise. Based on the quality planning & needs, resources are provided.Main aim of this exercise is to have adequate resources:
To implement and maintain the quality management systems. To continually improve the quality management system effectiveness. To ensure customer satisfaction through consistent achievement of customer
requirements.FIREFREEZE shall be responsible for maintaining up-to-date procedures for his area of management.FIREFREEZE identifies the requirements of resources including competent/trained personnel, equipment, machine, and software, with regards to meeting the project quality plan requirements.6.2 Human Resources 6.2.1 General Job Description is defined for each position in the organization, which will be independently handling the activities; which affect the product or service quality and hence contributes to customer satisfaction. The profile shall include the minimum academic qualification, training undergone, skill, industrial experience, certification, etc. required for the position. This job description forms the basic input for the recruitment. It is ensured that the competence of all potential recruits is complying with those defined in these job descriptions.6.2.2 Competence, awareness and training All new employees are given an induction training (to an extent necessary as per their responsibilities) to familiarize the organization, its business operations, Established QMS, etc. Quality documents relevant to one’s job are issued to the employees, whenever required. New employees are assigned to an existing employee for “on-job” training, if found required. The performance of all employees is reviewed by the reporting superior, at least once in a year; to identify the training need required for the employee. The identified training is reviewed and feasible trainings are provided in co-ordination with external agencies, wherever required.
Upon completion of the training, the effectiveness of the training is evaluated through one or more of the following methods:
Based on the quality of material presented in the classroom. Certificates of completion for externally provided training. Measuring process outcomes before and after training. Performance monitoring and reviews of new hires.
The Project Manager shall be responsible for assessing the training needs of personnel assigned to the project team. Any training needs shall be arranged in conjunction with the HR & A Manager. HR & A Manager or his coordinator shall arrange for updating the training records in employees personnel file.

6.3 Infrastructure Infrastructure for the project is maintained as required and as appropriate to the location and operations. The management has planned, implemented, provided and shall periodically review the infrastructure needs.
Office Facilities. Facilities associated with Office. Equipment’s & machinery — Hardware & Software. Support Services — Transportation, Communication, etc.
The adequacy of such infrastructure is reviewed during the Management Review Meeting and any additional requirements are identified and made available.6.4 Work Environment Work Environment is maintained as per the requirements and as appropriate to the operations. Department Managers are responsible to identify these requirements and provide the same. Most significant areas are:

7. PRODUCT REALIZATION 7.1 Planning of Product Realization All the product & services requirements are determined as per Client needs and guidelines. For existing/new product & services proper quality planning are done.Once a contract is signed, it is turned over to the Project Team. The flow of information both at the Home Office and to/from the Field Site shall be established. This process is further detailed by description of the following functional groups responsible for the process:

7.2 Customer Related Processes7.2.1 Determination of Requirements Related of the Product/Service Service requirements are identified based on the following:
Stated requirements specified by customer. Implied requirements not specified by customer but necessary for specified or
intended use. Statutory and regulatory requirements related to the service.
Activities such as inquiry receipt, estimation, providing the quotation/proposal, order receipt, handling order amendments, etc. are carried out by the Sales & marketing. 7.2.2 Review of Requirements Related of the Product/Service Prior to the submission of the quotation/proposal, acceptance of order/contract and acceptance of the amendments in accepted order/contract, a review of requirements of the product & service is conducted to ensure that:
Product & Services requirements are clearly defined. All the ambiguities and queries are resolved with the Client.
FIREFREEZE has the ability to meet the requirements Where documented requirements are not provided by the customer, the customer is consulted with the requirements proposed by FIREFREEZE and customer approval is obtained for such requirements. In case of changes to the requirement, concerned documents are amended and circulated to the personnel involved in the product & service provision and support activities.
Service order, Contracts7.2.3 Customer Communication Customer communications are practiced in the following modes:
Requisitions, Client enquiries, tenders, orders/contracts and amendments are handled as per process description.
Meetings, Discussions, etc. during visits by staff at the customer premises. Through identifying customer feedback (complaint, appreciation, satisfactory job
completion, etc.) Suitable records of such communications are maintained. 7.2.3.1Technical requirements All technical requirements forming part of the contract shall be identified, reviewed, confirmed as acceptable or for further negotiation and record. These shall include as applicable:
Work scope. Technical standards or specifications to be followed. Space, loading and environmental requirements. Company supplied product/services/information of any type, e.g. Standard drawings
or details, standard specifications, materials, equipment, etc. Use of methods of analysis specified by Company. Regulatory requirements.
7.2.3.2Project program – Delivery schedules Key dates for delivery of documents, drawings, and material/equipment shall be reviewed, confirmed as acceptable or for further negotiation, and record.7.3 Design and Development FIREFREEZE Quality Management System shall ensure that design and development is a controlled function. Procedures shall be established and implemented that assure activities are performed effectively and efficiently.FIREFREEZE ensures that design decisions are made by authorized qualified agencies that are in possession of or have access to the pertinent design criteria, contractual requirements, codes, regulations, standards and guidelines.Essential design considerations, calculations and decisions are precisely, clearly and completely documented in design documents, such as design calculation sheets, specifications, drawings, computer programs, documented quality procedures and instructions, those are free of ambiguities and conflicting requirements and conform to all governing standards and system procedures for such documents. Design documents and the design concepts and requirements expressed therein, are subjected to review and approval by qualified personnel, other than those who did the
original design, with clearly designated responsibility and authority to do so, prior to release for purchasing, fabrication or construction.Design approvals are based on one or more of the following:
Evidence of related experience. Independent review of analysis and calculations involved in design concepts and
decisions. Other appropriate and adequate objective evidence that the design criteria. And documentation requirements have been satisfied.
FIREFREEZE engineering department shall also review independently essential aspects of the design by third parties.Design documents shall identify those items of the design that are crucial to its safe and proper functioning and specify the quality standards to which these items shall be produced. Deletions, additions and changes to design documents, subsequent to approval for release shall be identified and documented.Deviations from the requirements of design and contract documents, including designated quality standards, shall be subject to the same authorizations as the requirements involved.Incomplete, ambiguous, or conflicting requirements shall be resolved by those responsible for generation and approval of the requirements.In order to control and verify the design of products to meet the criteria as cited above, FIREFREEZE shall implement and operate design controls.7.4 Purchasing Supply of raw material, fabrications, services and finished items shall be processed from acceptable suppliers.To the extent practical, FIREFREEZE will procure its equipment and material from Company approved sources as per “SABIC”, attachment IV. Company shall approve alternative sources for material identified in Company’s Regulated Vendors Lists (RVL) prior to placing of purchase orders. Other sources for material selected by purchasing function shall be evaluated and approved by project QA/QC Manager prior to placing them on the acceptable supplier/sub-contractors list. Material, for which inspection requirements are specified on Company Form 175, shall be evaluated as specified in Schedule.The extent of control over purchasing includes quality surveys and monitoring at the supplier’s premises as required.Material Requisition and/or Purchase Orders shall be reviewed and endorsed by the Project QA/QC Manager to the extent required to ensure that all pertinent drawings, specifications and complete information relative to the item(s) procured are listed and that the sources of supply have all the data required to supply goods of an acceptable
quality. All purchase orders and associated reference data shall be available for review by Company when requested. Project QA/QC Manager shall review all procurement documents prior to release to Company to assure that the appropriate quality levels are designated for materials or services purchased.Project QA/QC Manager shall evaluate all purchased items where any of the following conditions apply.Inspection of quality characteristics cannot be verified during subsequent processing or would require destructive testing Inspection is necessary to verity that specific processes, tests or inspections required by the supplier were adequately accomplished Inspection at any other point would destroy or require the replacement of costly packaging materials Amendments to the purchase orders (PO) shall be processed in the same way as the original with reference made to the original PO. 7.5 Production and Services Provision7.5.1 Control of Production and Services Provision FIREFREEZE shall carryout the project under controlled conditions with known information of project. The work instruction or construction method of statement will be constituted of the project quality plan.7.5.2 Validation of Processes for Production and Services Provision Validation of processes shall demonstration the ability to achieve planned results and such special processes will be perform by qualified personnel either using documented procedures or under continues monitoring. 7.5.3 Identification and Traceability FIREFREEZE shall establish and maintain systems that:
Identify each item (lot, component or part) to the applicable drawing, specification or other technical document, from receipt through fabrication and construction.
Assign to each item a unique identification. This will distinguish those items that are otherwise identical, but have been produced in separate batches. Record this identification on all process, inspection and test records where traceability is specified.
Ensure alloy steels, stainless steel or non-ferrous alloys in contact with service fluids are tested for Positive Material Identification.
FIREFREEZE Traceability System shall operate from the specification of the material through its manufacture to its inclusion as finished product in a facility, pipeline or platform.FIREFREEZE Traceability requirements shall be kept to the minimum consistent with the safe and efficient operation of the installation concerned, and shall only be applied when failure of the equipment or material could result in a hazard to persons or the environment, or a significant loss of production output.
7.5.4 Customer property FIREFREEZE shall establish and maintain procedures for the verification, storage and maintenance of Company or FIREFREEZE supplied product such as equipment and material, information and data supplied by the customer, which shall be incorporated into the work. Product realization.FIREFREEZE procedure shall set out details of verification to be carried out on receipt of any Company supplied items. It might require the QC Inspector, in consultation with leaders of any other disciplines involved, to determine the extent of verification requiredin order to satisfy the project requirements, so far as this is possible, as to the suitability/accuracy, and so on, of the Company supplied items.7.5.5 Preservation of product Handling, storage, preservation and delivery A system shall be maintained for the handling, storage and shipping, including cleaning, packing and preservation of all items through the entire manufacturing and construction process. Precautions shall be taken to protect material from abuse, misuse, damage, deterioration and unauthorized use.Items subject to deterioration or corrosion due to environment shall be cleaned and preserved to fully protect at all times. The responsible inspector in the particular discipline shall monitor handling and marking of parts during construction/installation.Unsatisfactory conditions shall be brought to the attention of the project QA/QC Manager for resolution.Suspected items shall be placed on “Hold” and transferred to a restricted storage area until acceptability is established or other disposition arranged.Restricted storage areas shall be made available for the isolation and protection of accepted raw material, semi-finished parts and finished parts pending use or shipment.FIREFREEZE shall develop and maintain procedures for handling, storage and preservation of all material and equipment.For critical, sensitive, perishable or high-value items, specific written procedures shall be used. Handling tools and equipment shall be provided and controlled as necessary to ensure safe and adequate handling.Where preservation and/or packaging are disturbed, it shall be restored to its original condition unless other appropriate and acceptable storage arrangements have been made.To prevent deterioration, items in stock shall be inspected periodically for condition or shelf life expiry.Data concerning, handling storage and preservation shall be included on the Monthly Material Procurement Status Report as specified in Schedule.
7.6 Control of monitoring and measuring devices All Inspection, measuring and test equipment and devices used to determine
conformance to FIREFREEZE specification, including that used for welding, nondestructive testing, dimensional control, pressure testing, coating thickness, shall be controlled, calibrated and maintained with an established written calibration and maintenance schedule.Equipment/instrument shall be calibrated and certified by approved facilities having standards traceable to “National Standard”. Where no National Standard exists the basis employed for calibration shall be documented. Records shall be evaluated periodically to ascertain adequacy of inspection intervals presently in use. The system shall be designed to ensure all measurement resources have the capability of making measurements within limits designated as appropriate to these requirements. It shall provide in the prevention of inaccuracy by prompt detection of deficiencies and timely action for their correction.All measuring and test equipment and devices having an effect on quality shall bear a tag, sticker or other suitable marking, indicating status. The validity of previous inspection and test results when measuring and test equipment are found be out of calibration shall be assessed and documented. The standards and masters shall be made available for verification by Company.Equipment and devices used for measuring, testing and inspection shall require an initial inspection for accuracy, or shall be proven prior to release for use on production.The system shall provide for a pre-planned calibration frequency chart showing all applicable test and inspection equipment, calibration frequency and status. In no case shall equipment/instrument calibration cycles exceed six (6) months per Schedule. 8. MEASUREMENT, ANALYSIS AND IMPROVEMENT 8.1 General FIREFREEZE has established and implemented the required processes of the quality system to demonstrate conformity of the product/project and to continually improve the effectiveness of the quality management system.8.2Monitoring and measurement 8.2.1 Customer satisfaction FIREFREEZE attaches critical importance to satisfy the client’s requirements. The method for obtaining information relating to the client’s satisfaction is either by conforming appreciation letter, awards / repeated order from the client or meeting with the client’s personnel before and/or after completion of the project as appropriate.8.2.2 Internal Audits Third Party Client Approved Lead Auditor as appropriate shall establish, document and implement a plan for audits that shall objectively evaluate the effectiveness and adequacy of the functions, systems and procedures as referenced in this Project Quality Plan.
The audit plan shall define: The functions, systems and procedures to be audited. Schedule of audits. Method of reporting findings and recommendations and corrective and preventive
actions. The means for having corrective actions agreed upon an implemented.
FIREFREEZE shall submit a quality audit schedule to Company for review and approval within 30 calendar days from effective date of the Contract. Audits shall be carried out at fifteen percent (15%) and sixty percent (60%) of completion stage for design, procurement and construction WORK phases. This schedule is a part of the Project Quality.Audits shall include an evaluation of:
Activities, processes, work areas, items and services being produced. Quality practices, systems, procedures and instructions.
Certification documents and records.Audits shall be performed in accordance with documented procedures and checklists that identify essential characteristics.Personnel performing audits shall not have direct responsibility for the areas being audited. The minimum requirements of the auditor shall be as per Client requirements.Management responsible for the area audited shall review, agree and correct deficiencies revealed in the audit reports. All actions taken to correct deficiencies shall be re-audited to verify compliance and a close out report issued.FIREFREEZE shall submit to Company a copy of each audit report within two (2) weeks of its completion. 8.2.3 Monitoring and measurement of processes8.2.3.1 Inspection and inspection schedule A 2-week look ahead schedule for procurement, construction and pre-commissioning phases including current week Inspection Schedule shall be submitted every week to the Company to schedule their inspection activities. 8.2.3.2 Inspection and test plan – Guidelines to prepare ITP FIREFREEZE shall use Client typical Inspection Plans (ITP) that indicates the QC activities necessary to verify that the work has been carried out in compliance with the technical and quality requirements set out in the Contract.The approved and relevant inspection Checklist (ICs) shall be utilized for the project.Process Description will briefly describe the process e.g. welding, coating, etc.
Quality Control requirements. Brief description of the inspection or test, that verifies compliance with specified requirements notification requirements, for Request for Inspection (RFI). 24 hr., 48 hr., etc.Responsibilities - identifies the personnel responsible for each item. Applicable procedures. Identify the specific procedure used for this particular quality control activity. Acceptance Criteria will be the acceptance criteria specified in the Technical Specification for the QC activity undertaken. This can be a value or specific reference to a national, Company or Contractor standard. Verifying Document will be the document that is produced as objective evidence that the component or equipment or test has been inspected in accordance with and complies with the specified requirements (e.g. checklist, test report, etc) .
