Membership Directories/Rosters

• Cannot have members’ personal information online

• Safety mechanism • Protects members’ personal information

• Email should NOT be used as a means to distribute the roster to the chapter

• Directory/roster CAN be printed or saved to CD, jump/flash/thumb drives

• Do not post logos, symbols or copyrighted materials owned by third parties in any posting that is in any way linked to or associated with Delta, without the third party property owner’s approval.

Promoting Sorority Events

• Chapters and regions may promote public Delta programs on social media sites provided that the president of the chapter or director of the region has approved such.

• All information on the chapter social media account must be reviewed and approved by the chapter president.– Create a social media plan for chapter events– Develop a whitelist of other social media

pages whose content can be shared on the fly

Promoting Sorority Events

• May individual sorors share an event created by a chapter or region on Facebook?

– Yes, you may share content posted via a chapter’s/region’s Facebook page and/or re-tweet content tweeted by a chapter/region.

• Use the ‘Share’ link on Facebook so that the origin of the information is clear.

Promoting Sorority Events

• Only National Officers or staff at National Headquarters may advertise national events (such as National Conventions or Delta Days at the Nation’s Capital). – Facebook pages promoting national events

might appear official, but may not be authorized. When in doubt, ask.

Promoting Sorority Events

• Is it okay to change your profile picture to an event flyer?– Yes, if the chapter president/regional director

has has approved this as part of a coordinated marketing effort.

– Does this apply to a national event?• No. It’s unlikely that individual sorors will

be asked by the National President to make such a change. However, if she does ask, please comply.

Tagging Photos of Adults

• Before tagging or identifying adults in photographs or videos, seek approval of the person to be tagged or identified.

• It is a good idea to change your personal Facebook settings to allow you to review tags before they appear on your timeline (via http://www.facebook.com/settings)

Using Photographs/Video of Youth

• Chapters must obtain authorization from parents to photograph and/or record youth and to use the photograph and/or video for chapter-related activities, including posting on a social media site that discusses chapter activities.

• Parental authorization should be very explicit.– Consent to post photos to the “chapter website” does

not automatically grant consent to post to “social media”

• Consult the Risk Management Manual, Regional Risk Management Committee or the National Program Planning & Development Committee for further guidance on using photographs and/or video of youth.

Identifying Youth in Photos

• Youth should not be tagged or identified in photos on chapter websites or social media – This includes identifying information such as

the youth’s name, school, church, and/or town of residence

– See APPENDIX 23 of the Risk Management Manual
