Donna Woodford, 1 st Vice President/ Events Chair plus your Chapter Advisory Board (CAB) worked very hard preparing this event (plus all the other events held in 2019). The Give Back Sew for Under 12 table was overflowing with giſts for kids. What a talented group we have with very generous hearts. The CAB reviewed the choices of charies recommended by the aendees and a total of 14 large bags filled were divided up between the Scosh Rite Children’s Clinic, Desert Sky Community School, Tucson Medical Children’s Cancer Center and the Fire Department’s Toys for Tots. Results for the CAB 2020 Elecon held at the Annual Meeng were: Millie Burgheimer, President/Community Service Chair; Donna Woodford, 1 st Vice President/Events Chair; Linda Wankel, 2 nd Vice President/Retail Liaison/ Neighborhood Group Coordinator; Grace Arino, Treasurer; and Carol Green, Secretary. Appointed posions for 2020 are Kathryn Wald, Membership Chair; Pam Hill, Web Master; and Maude Medlin-Brown, Newsleer Editor. These wonderful ladies devote their me and energy helping make our ASG Chapter the best! I am honored to be President again for 2020. The Treasurer’s Report given by Grace Arino at the Holiday Luncheon/Annual Meeng covered the amount of money the Chapter has in it’s account. We are proud to be one of the more solvent Chapters in ASG! One of the rules for a Chapter, per ASG by-laws, is to have a minimum of six months operang funds. Each fall our CAB puts together a budget for the next year and it must be submied to ASG Headquarters. Our CAB and the Treasurer work very hard to connue to be a financially healthy Chapter, but also to keeping our event costs as low as possible (see arcle on page 9). In fact, we underwrote part of the cost of lunch for each member who aended the Holiday Luncheon/Annual Meeng. Donna Woodford has been busy working hard to make this year a fun and evenul one. It started in January with Philo Bell teaching Beginning Beading. Demo Day/11 th Annual Fashion Show are being held in March at Quail Creek (see details on pages 6 & 7). President’s Message

It’s hard to believe it is 2020! 2019 was a fantastic year for our ASG

Chapter: Marsha McClintock, Serger Day, the Annual Sewing Retreat, lots of demos & sew days at Neighborhood Groups (NG) and the best event, our Holiday Luncheon/Annual Meeting.

I love the history of the Mountain Oyster Club (the Holiday Luncheon venue), especially the 100 plus year old building it is housed in. Special thought went into planning this event, it takes almost a year to find a place to hold a large group like ours. Plus trying to keep the costs low and still have a good meal. We had 82 members sign up, but the final count went up to 97 at the last minute. A new record from past years! Donna Woodford, 1st Vice President/Events Chair plus your Chapter Advisory Board (CAB) worked very hard preparing this event (plus all the other events held in 2019). The Give Back Sew for Under 12 table was overflowing with gifts for kids. What a talented group we have with very generous hearts. The CAB reviewed the choices of charities recommended by the attendees and a total of 14 large bags filled were divided up between the Scottish Rite Children’s Clinic, Desert Sky Community School, Tucson Medical Children’s Cancer Center and the Fire Department’s Toys for Tots.

Membership Chair; Pam Hill, Web Master; and Maude Medlin-Brown, Newsletter Editor. These wonderful ladies devote their time and energy helping make our ASG Chapter the best! I am honored to be President again for 2020.

The Treasurer’s Report given by Grace Arino at the Holiday Luncheon/Annual Meeting covered the amount of money the Chapter has in it’s account. The American Sewing Guild, Inc. (ASG) is a non-profit education based organization, founded in 1978. ASG is comprised of 136+ chapters with over 1,000 community & special interest groups within the chapter umbrella. ASG’s 20,000+ members promote the mission to “advance sewing as an art & life skill” by providing a network of education & support for sewing enthusiasts of all

skill levels . sister! Sylvia will stay on as Leader of the Green Valley Embroidery Group.

Expressing appreciation for the Chapter NG’s is never enough! They are what make our Chapter so great! I want to give a special thanks to the leaders/co-leaders: Eastside Day Group – Ann Williams and Carol Green; Midtown Evening Group – Kathy Douglas and Sara Rumbaugh; Green Valley/Sahuarita Group – Katie Templeton and Roberta Cushman; Westside Group – Ann Dyer and Andrea Finney; Northwest Group – Joy Lautenschlaeger and Dianne Huston; Northwest Embroidery Group – Patti Lane and Doreen Friedman-Paret; and Green Valley Embroidery Group – Sylvia Brown and Phyllis Viola. Keep up the great job in 2020!

Special to me is all the community work our Chapter does. In addition to the amazing Give Back Sew for Under 12 (which brought tears to many eyes), Grace Arino, Treasurer, organized a day to make small bags for Go With the Flow. The volunteers made 401 bags in November. Other things made for charity were bags for Sister Jose’s, more than 110 bibs made for the St. Andrew’s Clinic in

Nogales, dog beds, pillow cases for kids, and many more items not listed here. Every year the Neighborhood Group Calendar lists meetings dedicated to sewing for different local charities. The items/charity selected is decided by each of the NG members and they are so generous with their time/materials. Thanks to all our Chapter members for giving so much back to our community!

As stated at the Holiday Luncheon/Annual Meeting, 2020 will be the last year most of the CAB can serve. So on pages 11 and 12 is all the information regarding the different CAB positions. I strongly urge all of you to read this information and consider volunteering to serve on the CAB in 2021. Yes, I know this seems to be early to ask, but the year will fly by fast! Hopefully some members will be curious and come to one or more CAB meeting(s) to see how it functions. The CAB wants to be able to share the information required to do the job with any volunteers over several months. It is up to the membership to make sure our Chapter continues strong after 2020, so please volunteer now for 2021!

We are starting out 2020 with a focus on our Neighborhood Groups. Thanks to the wonderful

leaders and co-leaders of each group we offer a variety of projects and experiences. Remember, as ASG members, you may attend any of our Neighborhood Groups. Be sure to check the Neighborhood Group Calendar often to find a project that interests you!

I would like to remind you of a few simple courtesy guidelines to remember while attending Neighborhood Groups:

As with all our Neighborhood Group activities, you may • always participate in the activity by RSVPing to the Neighborhood Group leader or co-leader so that enough supplies will be available for you.

If you see an unfamiliar face, PLEASE smile and • encourage them! Sometimes we have visitors attending and you are the first contact they make with the Tucson ASG Chapter, so it’s important they feel at ease. It’s always difficult to be the newcomer in a group and we want to make sure everyone feels welcomed.

While in a class or demo, please ask the presenter • prior to taking a video of the class/demo or taking photos. The presenter will let you know when it is

convenient to snap your photos. It can be distracting to stand in the way snapping photos while instructions are being given.

If you would like to attend a Neighborhood Group • meeting, but do not want to join in the activity, remember you are always encouraged to bring your machine and your own project to sew quietly while enjoying the company of members. We do ask that you take a sewing spot near the back of the classroom so those participating in the class can hear the instructions. You may have to occasionally stop sewing if your machine is drowning out the speaker.

All, please be respectful of the instructor by not talking • over the instructions.

Please take advantage this year of the great projects available at the different NG and lets have a fun year of sewing, learning and of course, friendship. The Neighborhood Group is the heart and soul of the Tucson ASG Chapter!

Neighborhood Group Calendar

We have many members who are sensitive to smells such as perfume, cologne or even scented lotion . Please be considerate and refrain from wearing perfume, cologne or scented lotion during meetings. They do smell wonderful to many of us, but to those members who are sensitive, they are quite debilitating and often mean days or weeks of recovery . Thank you

Remember: ALL members are welcome to attend ANY Neighborhood Group meeting or UFO Day. This is a great way to meet other ASG members!

Our much anticipated Demo Day/11th Fashion Show is just around the corner. We have a wonderful day planned and hope you can attend.

What an exciting program we have put together! This year we invited every Neighborhood Group (NG) to give a presentation or to help out that day. Such a great response from our NGs! I don’t know why we didn’t think of doing this sooner.

Here is a brief synopsis of what to look forward to:

Eastside Day – Hosting/check-in/organizing NG Show & • Share tables.

Midtown Evening – Camouflage Quilt; fits a backpack • and is good for service members, bikers & hikers.

Each year at Demo Day a special area is set aside for the different Neighborhood Groups (NG) to display

projects they have completed during the past year.

Many of the NGs display samples of projects for the upcoming months with information regarding dates, who to contact, etc. This always helps generate interest in upcoming NG meetings.

Everyone enjoys seeing the creativity of our ASG members and getting new ideas!

Please coordinate with your NG Leader if you have some special project you would like have displayed at Demo Day or have ideas for your NG table display.

The Chapter Advisory Board (CAB) and the Program/Events Chair begin planning at least 12 months before

an event, and each event includes the following elements:

Speaker• . We secure a speaker, the cost for speakers ranges from $1,000 to $2,000. We must also pay for their travel expenses including airfare or mileage, extra baggage fees or shipping expenses, lodging, meals and transportation around town.

Annual events• . Demo Day, the Annual Sewing Retreat, and the Holiday Luncheon are three of the yearly events we plan. Even though a speaker is not paid, we still have the following costs:

Facility.• We secure a location, facilities average $1,000 to $1,500 for all-day rental, excluding the cost of food and services. (During the holiday season it is necessary to reserve the facility at least a year in advance.) Even churches charge for the use of their facilities. Many factors must be considered in finding a suitable location.

Food. Options:•

VERY FEW facilities will allow a group to bring in 1. its own food. Almost all facilities require you to purchase food from their menu and pay a 20 percent gratuity on top of the cost of the food. Coffee service can be as much as $5 per person, and lunch averages about $18-$30 per person plus 8.1% tax.

If we have chosen a location that allows outside 2. food, a caterer is hired to do all the work. The average catering fee is $20-$25 per person plus tax and tip.

If a member volunteers to purchase the food, a 3. menu is created. Food and drink is purchased the week of the event at an average cost of $10 per person. OR for a small group, food is ordered to be delivered from a near-by restaurant. Average cost per person is $10-$15 per person plus tax, delivery and tip.

Extras.• Availability of tables, chairs, podiums, audio-visual equipment, sufficient electrical capacity for hands-on seminars, etc. – these cost extra too!

Miscellaneous.• Other potential miscellaneous costs may include: door prizes, publicity, printing (handouts and/or books), etc.

Our goal is to present the best possible programs to our membership in pleasant centrally located facilities, and at the lowest possible cost per member. In establishing the price for any event, we budget the costs for speaker, travel, meeting facility, food, and miscellaneous items, then divide the total by the expected number of attendees. We never plan on a profit and always worry about a deficit. Hopefully this helps to explain an issue that many of our members have asked about: “Why do events cost so much?”

Please note: The 2019 Marsha McClintock event was a deficit for the Chapter. The Holiday Luncheon/Annual Meeting was subsidized by the Chapter to keep the cost down for members and guests. Also Demo Day is being subsidized $8 each for all attending members to help keep it affordable!

Tucson Chapter Advisory Board Duties

In preparation for the Chapter Advisory Board (CAB) 2021 Election the following information is being provided for

our Chapter members. On this page and continued on page 11 is an explanation of the CAB and it’s duties.

I know it is early to start talking about the 2021 Election, but most of the CAB positions will need to be filled. The 2020 elected CAB wants to have any interested members attend CAB meetings to experience what happens monthly at these meetings. This will help a member decide if they wish to run for a position. Also it gives them a chance to get some experience of how each CAB position functions.

Serving on the CAB is FUN! Please consider volunteering for a position to help to keep our Chapter active with lots of interesting programs and educational opportunities.

What is the CAB? The CAB manages the affairs and business of the Chapter. Reviews/approves projected annual budget submitted by the President and Treasurer. Appoints a Contact Person for each Chapter sponsored program/event. Holds meetings at times and places agreed by the CAB and publicizes the meetings to the Chapter membership.

Our CAB meetings are presently held the third Thursday of most months at the Ward 2 Offices, 7575 East Speedway, Tucson, AZ.

Why is it important to have a CAB?The American Sewing Guild (ASG) Standing Rules requires the Tucson Chapter to have an elected CAB and to hold CAB meetings to retain our Chapter Charter.

Where does the Chapter get CAB members? The CAB members are active Tucson ASG Guild members who volunteer their time to serve in either an elected position or an appointed position.

Every year an election is held for the CAB members at the Annual Meeting. Each officer is elected for a one year term beginning January 1st and ending December 31st. A valid election requires that at least 15% of the total Chapter Membership must vote. After the elected CAB meets in January, the appointed positions are approved.

What are the positions/responsibilities?The elected positions are summarized below:

President – official representative of the Chapter. The • President signs all contracts on behalf of the Chapter, conducts all CAB meetings and the Annual Meeting, keeps membership informed of all Chapter events, sends to ASG headquarters all required reports, works

with the Treasurer to prepare an annual budget, and works with the Newsletter Editor to prepare the newsletter. Initiates appointment of Nomination Committee members for annual election process, oversees performance and productivity of all CAB members.

First Vice President – assumes the duties of president, • if the elected President is unable to function in that role. This position will also incur responsibilities defined from one of the CAB chair duties listed below that are within the capabilities of the person holding this position.

Second Vice President – assumes the duties of • president, if the elected President and elected 1st VP are unable to function in that role. This position will also incur responsibilities defined from one of the CAB chair duties listed below that are within the capabilities of the person holding this position.

Secretary – records minutes of the CAB meeting and • distributes information to all CAB members and others as necessary; records ballot tallies for annual election process; may oversee name tag ordering process for members, CAB positions and other needs.

Treasurer – responsible for the fiscal operations of the • Chapter; provides CAB and ASG with monthly/quarterly reports as required; works with President to prepare an annual projected budget; presents a financial report at the Annual Meeting; processes Program Expense and Summary Reports for Chapter events.

The appointed positions are summarized below:

Membership – maintains current membership • information in conjunction with ASG, distributes welcome packets to new members; staffs membership table at Chapter-wide functions; provides Neighborhood Group (NG) Leaders with membership applications/information, coordinates with Publicity and Retail Liaison to distribute ASG membership forms and Chapter information to retailers; creates and distributes an annual Chapter directory when required. Oversees NG activities and assists NG Leaders in the absence of a NG Coordinator.

Programs/Events – plans at least two (2) programs/• events per year (such as fashion shows, contests, charity events, tours, nationally recognized sewing instructor presentations and Annual Demo Day); organizes reception/registration/display tables for

events, ensures required supplies are available for use (easels, signs, chalkboards, markers, banners, extension cords, tape, microphone, etc.); stores/maintains Chapter assets and equipment; if unable to store all assets, documents storage location done by others who volunteer to do this. (Note: Tucson Chapter rents a storage room for their supplies.)

Publicity – creates and distributes event information • to retailers, public places, newspapers, local community events and local media stations; coordinates with the Program/Event Chair, Newsletter Editor, Retail Liaison and NG leaders as necessary.

Retail Liaison – solicits advertisement revenue from • area retailers to support costs of Chapter newsletter; periodically visits retailers to renew ad and discount agreements; assists Publicity in keeping retailers informed about Chapter events and supplied with Chapter event literature; and aids Membership Chair in keeping retailers supplied with current ASG membership forms.

Neighborhood Group Coordinator – functions as • liaison between CAB and Chapter NG Leaders to keep everyone current; meets periodically with NG leaders to plan programs and share ideas; and ensures the NG Leaders provide required NG information about their meetings to the appropriate CAB member(s) as needed [i.e. for the Newsletter and web site].

Newsletter Editor – responsible for all aspects of the • newsletter: editing, publishing, ensuring newsletter complies with ASG and Postal regulations and mailing. Ensures required copies go to members, area retailers, other Chapters, ASG officials, and other persons as required, and distributing extra copies to Membership Chair and NG leaders.

Web manager – Works with professional contracted • web designer to keep information on Chapter web site current. Augments web site with photos and page designs within the limits of the web manager’s abilities. Point of contact for all web information postings [i.e. NG Calendar, current newsletter, forms for events, etc.].

Community Services Coordinator – Promote • community service sewing projects within the NGs to support our community and other needs as appropriate. Understand the needs of various charitable organizations in our Southern Arizona

communities and how we can assist them. Communicate requirements from community agencies for various sewing projects, such as size, materials to use and specific needs. Be a point of contact to distribute CAB appropriated funding to NGs to assist in community service efforts. Help with the distribution of finished projects. Gather community service hours contributed by individuals in each NG and report this information to the national ASG.

URGENT: One of the most challenging and important appointed position is that of Newsletter Editor. Maude Medlin-Brown will be resigning effective January 2021 as our Editor and she needs time to work with a new Editor before that date. Please, any one with computer experience contact Maude at [email protected] about taking over this position! Our Chapter relies on the Cactus Needle News to get out the information regarding events and the NG Calendar. It is also one of the ASG Standing Rules that a newsletter is released quarterly.
