QuarkXPress Basics

The History of QuarkXPress

QuarkXPress is a print publishing application produced by Quark, Inc. Quark, thecompany, gets its name from the subatomic particle that is the building block for all

matter. QuarkXPress, the program, made its debut in 1987 as a direct competitor toAdobe’s PageMaker (the dominant desktop publishing application of the day).

Before the advent of QuarkXPress, type had to be set on expensive typesettingmachines. With QuarkXPress came the ability to set professional-looking typographyand layouts on the desktop computer. According to Quark, there are more than threemillion QuarkXPress users worldwide.

What Can You Create With QuarkXPress?

Working with QuarkXPress, the sky—or your imagination—is the limit. You can createnewsletters, magazines, posters, flyers, business cards, letterhead, certificates,brochures—anything. You can import myriad picture formats. When you have

completed your document, you can “collect” it into a folder with key componentssuch as the layout, images and fonts. And you can export your documents in aPortable Document Format (PDF).

Projects, Layout and Collaboration

QuarkXPress is built around the concept of projects and layouts. You start by creatinga project and add layouts to the project as needed. As an example, you could betasked with creating a newsletter for both print production and for posting on theInternet. Here’s how you could use QuarkXPress to get the job done: First, you couldcreate a new project called “Newsletter.” Inside the project, you would have twolayouts. First, you might create a layout named “Print.” You would complete thelayout using the print layout tools found in QuarkXPress such as master pages and

style sheets. After the layout is complete, you could duplicate the print layout andconvert it into a Web layout; both complex steps could be performed at the sametime. Once the layout is a Web layout, you could use the program’s robust Web toolsto create HTML pages, image maps and hyperlinks.

You can work on your own projects in QuarkXPress or collaborate with teammembers over a network. QuarkXPress enables multiple users to collaborate on asingle layout. You can divide pages into “composition zones” and share parts of apage over a network to different users. Thus, using composition zones you candistribute different portions of a layout to different users so that they cansimultaneously work on a single layout.

Keep in mind that you can create as many QuarkXPress projects on your computer as

you need, each with multiple layouts. However, layouts cannot contain projects.

1. Start QuarkXPress.

Note: TheQuarkXPresssoftware doesnot come withthis book.

ensure yourdata files havebeendownloadedand installed onyour computer(see page vi).

Upon starting QuarkXPress 8, projects do not automatically open, nor is therea new project waiting for you to work with (much like you would see uponstarting a word processor like Microsoft Word).

At this point, your screen should look similar to the picture below. Dependingon how the last user left the software, there may or may not be severalpalettes cluttering your screen. You will learn how to work with palettes soon.For now, you can close any palettes open on your screen (you will be guidedthrough that process next).

2. Close open palettes.

go to the Window menu and, from the middle of themenu, remove the check mark from each of the palettenames as necessary (you may find that only a few of

the palettes are currently open on your screen),beginning with Tools and ending with PSD Import

When finished hiding all of the palettes, your applicationwindow should pretty much be empty except for theQuarkXPress menu.

A few of the many palettes available in QuarkXPress. You will be working with

these palettes throughout the lessons in this book.

3. Open a QuarkXPress project from the data files folder.

choose File > Open

navigate to the QuarkXPress8_DataFiles folder

Note: As mentioned on the previous page, you should have already

installed your data files. See page vi for more information.

Generally speaking, the closer you are to a QuarkXPress layout, the more accuratewhat you see on the screen will be. The further away you are from the layout, thefaster you’ll be able to scroll, the more of the layout that you’ll be able to see, but theless accurate things really are. There are many ways to zoom closer and farther away

from your layout including menu commands, keyboard shortcuts and fields whereyou can type a specific view percentage.

Student Activity: Change Views

1. Change the layout’s view to Fit in Window.

choose View > Fit in Window

The page changes size and centers in the application window. The larger yourapplication window, the larger the display size.

2. Use Thumbnail view.

choose View > Thumbnails

You are now far away from your page. I think you’ll agree that this view is justa bit too small for your day-to-day work.

choose View > 50%

Now you’re a little closer to the layout.

3. Change the view via the View Percent Field.

double-click the number you see in the View Percent Field (the View

Percent Field is located in the lower, left of your window where you shouldsee the number 50%)

type 227 and press [return]

Now you’re “up close and personal” to the page.

Note: You are about to use keyboard shortcuts to change the view ofthe document. Keep in mind that this book is written for both Mac andPC users using Windows. The software is nearly the same for both, but

the keyboard commands can be different. The term [command] isused in this book as a neutral term for [ctrl] (PC) and [apple] (Mac);

[alt] is used as a neutral term for [alt] (PC) and [option] (Mac);

[return] is used as a neutral term for [enter] (PC) and [return] (Mac).

4. Use keyboard shortcuts to switch the layout view between Fit in Window andActual size.

press [command] [zero] on your keyboard to change the view to Fit inWindow

You can now see your entire page.

press [command] [1] to change the view to Actual size (100%)

Greeking

Depending on your monitor’s screen resolution, and your view percentage, you mayor may not be able to make out actual letters on the page. If you cannot make outthe letters, there isn’t anything wrong with your vision. It is assumed that at thisreduced view, you are not interested in reading the text in your project. This

assumption is called greeking.

Good assumption or not, it is not recommended thatyou attempt to read and/or edit text at reduced views such as Fit in Window. As faras I’m concerned, there are two types of print publishers, those who have glasses—and those who will. Working with text while in a reduced view will hasten your journey into the “have glasses” club.

Student Activity: Enable Text Greeking

1. Enable greeking.

Windows users, choose Edit > Preferences;Mac users, choose QuarkXPress > Preferences

The Preferences dialog box appears. There are many categories.

select the Print Layout, General category

from the Display area in the upper right ofthe dialog box, select Greek Text Below(put a check in the box)

click OK

2. View the “greeked” text.

choose View > 50%

At this reduced view, you should notice that the letter shapes disappear andinstead, you see gray bars—greeking. If you can still see letter shapes insteadof gray bars, try zooming out a bit more by changing your View Percentage tosomething like 30%.

From this point forward, I’ll leave it up to you if you prefer to see letter shapes(greeking off) are gray bars (greeking on). Just keep in mind that you candisable Greeking (it’s disabled by default), by deselecting Greek Text Belowas you learned in the step above.

Multiple Projects

You can open as many projects as you can stand. While that’s nice, you can onlywork in one project at a time, so it’s a good idea to keep the number of projects opento a reasonable level. If you do open multiple projects, you can easily switch betweenthem (the Window menu offers one method). In addition to switching between open

projects, you can split the QuarkXPress application window into panels so you canview them all at one time.

Student Activity: View Multiple Projects Windows

1. Open a second project using a keyboard shortcut.

Two projects are currently open: flyer1 and flyer2.

2. Tile your projects.

5. Maximize the layout window and, if necessary, change your view to Fit inWindow.

6. Split the layout window horizontally.

choose Window > Split Window > Horizontal

The layout window is split into two. You can use this nifty feature to work inone part of the layout while reading another. Notice that you have two sets ofscroll bars that would allow you to scroll both windows independently.

7. Remove the window split.

choose Window > Split Window > Remove All

Note: You will find additional tools for splitting your window views atthe bottom of the layout window. For instance, there is a Split Viewbutton in the lower right of the window. And there is a Split WindowHorizontal and Split View Vertical.

8. Close the project without saving it.

New Projects

When creating new QuarkXPress projects, you need to make a host of decisionsregarding the look of your layout. Prior to making those decisions in the New Projectdialog box, it’s a good idea to meet with your designer so that you understand suchthings about the layout as size, margins, number of columns and more. While you

can modify the look and feel of your layout at any time down the road, it is easier ifyou know the projects specifications and requirements before creating the newproject.

Application Preferences

There are two occasions when you can set preferences in QuarkXPress: with aproject open or with QuarkXPress running but no projects open. The difference?  Ifyou change many of the project’s preferences while in a file, the settings youestablish affect only that project. If you change preferences with all projects closed,as is the case now, the change affects all future projects.

Student Activity: Check Measurements1. Change the horizontal and vertical measurement systems to points.

Windows users, choose Edit > Preferences;Mac users, choose QuarkXPress > Preferences

select Default Print Layout, Measurements

if necessary, select Inches from the Horizontal drop-down menu

if necessary, select Inches from the Vertical drop-down menu

click OK

Since you set this preference with no projects open, it doesn’t appear that youhave done anything. But you have just ensured that new projects you createwill use inches as the measurements systems. Existing projects will not beaffected.

Speaking of inches, what’s the preferred unit of measurement among printersand desktop publishers? Answer: points and picas. Why? Because points andpicas allow for a more precise layout. But since many new print publishers arenot yet comfortable working with points or picas, the lessons in this book willonly use the inch measurement system.

Student Activity: Create a New Project

1. Explore the New project dialog box.

choose File > New > Project

The New Project dialog box opens.

if necessary, select Single Layout Mode

ensure the Layout Type is Print

from the Page Size drop-down menu, select Legal

Notice that the values in the Width and Height fields change to 8.5 and 14.The Page Size is also known as the trim. As it stands now, the trim size of thislayout would be 8.5 x 14 inches.

Next you will specify the page Margins Guides. Margins Guides will appear asnon-printing blue lines on your layout. They will serve as the buffer betweenthe trim (the extreme edges of the layout) and the working area remainingwithin the page area.

2. Change the page margins.

change the Top Margin Guide to 1 (1 inch)

press [tab] to move to the Bottom Margin Guide area

change the Bottom margin 1

change the Left margin to 1

3. Select and deselect the check boxes.

click the Facing Pages check box

click the Automatic Text Box check box

You will either put in or remove a check in the boxes. A check means the

option is active or “turned on.” It’s like saying: “Yes, I want this.” 

4. Change the page specifications.

select Letter from the Page, Size drop-down menu

confirm that the Orientation is set to Portrait

confirm that Columns is set to 1

The Gutter Width is not important now, but can’t be blank or zero.

if necessary, remove the check marks from both Facing Pages andAutomatic Text Box

change all four of the margin guides to .5 (one-half inch)

click OK

5. Change the layout’s view to Fit in Window (you learned how to change viewson page 5).

Margin Guides

1. Change the layout’s orientation.

choose Layout > Layout Properties

The Layout Properties dialog box appears. You can change the page Size,Width, Height and Orientation, and select Facing Pages. But also notice thatoptions for changing your page margins are NOT available. You’ll have to gosomeplace else to change those.

change the Orientation to Landscape

click OK

Your layout should now be flipped on its side.

2. Change the layout’s view to Fit in Window.

3. Change the layout’s Margin Guides.

choose Page > Display > A-Master A

The master page appears (one of several that you can have). While in MasterPage view, you can change those pesky margins.

choose Page > Master Guides & Grids

The Master Guides & Grids dialog box appears.

change the Top Margin Guide to 2 and then click the Link symbol to theright of the Top Margin Guide field

The Bottom Margin should automatically switch to 2 to match what you typedin the Top Margin Guide field.

change the Left Margin Guide to 2 and then click theLink symbol to the right of the Top Main Guide field

The Right Margin should automatically switch to 2.

click OK

choose Page > Display > Layout

The layout should now have very large margins.

As long as you keep the [alt] key depressed, you will be scrolling around yourpage. This is the best way to move around your layout, especially when yourpage view is very large.

Palette Sets

You have already learned that many palettes are available in QuarkXPress. Thepalettes can be opened, closed, resized and positioned to suit your needs. You cansave the sizes and positions of palettes on your screen as a custom palette set. Afteryou save the palette set, you can access it at any time via the Palette sets submenu

(Window menu).

1. Show just the Tools and Style Sheets palettes.

Text and Picture Content

Text goes into text boxes; pictures go into picture boxes. Sounds like a simpleconcept. And it is.

You draw text boxes on your layout using the Text Content Tool on the Tools palette.When you have finished drawing the text box, it will contain a blinking insertionpoint—indicating that you can either type text into the box or get it from a wordprocessor. Similarly, you draw picture boxes using the Picture Content Tool on theTools palette. While picture boxes cannot contain text, you can import myriad pictureformats into any picture box. A complete list of acceptable picture formats can befound on page 54.

Student Activity: Draw and Use a Text Box

1. Change your view to Actual Size.

2. Ensure the Tools palette is showing. (Window menu)

3. Use Tool Tips to learn about each tool.

move your mouse pointer over any tool on the Tools palette

When you point to (hover above) a tool, a message appears next tothe tool telling you the name of the tool—a Tool Tip.

4. Draw a text box.

select the Text Content Tool 

position your pointer anywhere on the layout and draw a square orrectangle on the page (drag your mouse to draw)

5. Type text content into the text box.

with the Text Content Tool selected, click inside the text box you drew

You should be see a blinking insertion point in the text box you drew (youcan’t type text into a text box unless the Content tool and text box areselected).

As you type your name, the blinking insertion pointwill move to the right, just like you would expect to

see in any word processor. You will work more withtext and text boxes later.

6. Delete the text box with a keyboard shortcut.

press [command] [k]

Pressing [command] [k] is the fastest, most efficient way to delete anyselected item. An easy way to remember this keyboard shortcut is to associatethe letter “k” with “kill.” When you press [command] [k], you’ll “kill” theselected object.

4. Change the pictures’ crop.

with the Picture Content Tool  still selected, move your mousepointer to the center of the image

5. Preview the cropped image.

Customize a Tool

The easiest way to customize a tool on the toolbar is by double-clicking the tool. Ifyoudouble-click an editable tool, such as the Zoom tool, you’ll get a dialog box. Some ofthe tools can’t be modified. If you double-click a tool that can’t be modified, you

hear an alert beep.

Student Activity: Customize the Zoom Tool

1. Change your view to 75%.

2. Use the Zoom tool.

4. Use the customized Zoom tool.

select the Zoom tool (if necessary)

point anywhere on your layout and click a few times

Notice the zoom percent when you click. You should be moving closer by 50%

with each click.

5. Zoom out with the Zoom tool.

press [alt] and click on the layout

Notice that with the [alt] key depressed, the + (plus) on the Zoom toolchanges to a - (minus) and you zoom out.

6. Reset defaults.

The Zero Point

The largest project (width and height) you can create in QuarkXPress is 48 by 48inches. That’s really nice—but how do you expect to print a page that big? If you arelike most people, your printer is not capable of printing pages larger than legal ortabloid size.

To print a larger page, you can take advantage of two things: the ability to tile yourpages when you print, and the zero point area of the page rulers that lies at theintersection of the horizontal and vertical rulers.

If you choose File > Print and select the Pages category, you’ll see the tilingoptions near the center of the dialog box. When you choose Automatic tiling,QuarkXPress prints your large project as tiles with an overlap and prints as manytiles (pages) as necessary until the entire project has printed. When you chooseManual tiling, QuarkXPress prints only one page. The part of the project that printsdepends on the zero point.

You can control the zero point by dragging the zero point area to the part of thepage you want to print. When you print with Manual tiling, the single sheet of paper

that prints contains anything below and to the right of the zero point.

Student Activity: Change the Zero Point

1. Drag the Zero Point Area around the page to change the zero point.

Observe the two rulers (the vertical ruler is at the left; the horizontal ruler isabove the page). You should be able to see that the zero point, based onwhere the two zeros intersect, has been changed.

2. Spend a minute or two moving the zero point to different locations.

Notice how the rulers change to match the position of the zero point you

placed on your page.

3. Restore the zero point to its original location.

click one time in the Zero Point area

Notice that zero for both rulers is located in its default position—the upper leftof the trim.

4. Move the zero point again, this time drag it to the middle of your page.

5. Explore the tiling options.

choose File > Print

The Print Layout dialog box appears.

select the Pages category

from the Page Tiling drop-down menu, select Automatic

With this option selected, QuarkXPress would print your layout using as manysheets of paper as necessary, regardless of the zero point. The larger theOverlap value, the more paper it will take to print the layout.

With this option selected, QuarkXPress will print just one sheet of paper basedentirely on the position of your zero point, from the zero point down. Noticethe preview in the upper right of the dialog box. The preview is an excellentindication of which part of the page would print.

6. Save and close the project.
