Houston Alumnae Panhellenic Association

In 1929, the Houston Alumnae Panhellenic Association was organized

and became affiliated with the National Panhellenic Conference. Every year, HAPA sponsors Recruitment Roundtable and Recruitment Registration in order to encourage participation in the Sorority

Recruitment process, to educate prospective members, and to answer questions regarding the women’s fraternity system.

General Information

• Houston Alumnae Panhellenic Association (HAPA) will help provide you with general sorority information and will notify Houston Alumnae groups of your intent to participate in membership recruitment. THIS DOES NOT REGISTER YOU WITH YOUR COLLEGE PANHELLENIC.

By May 1, 2015, register on-line at www.houston-panhellenic.org. If you miss this deadline or fail to register with HAPA, it does NOT mean that you will not be able to participate in recruitment. It does mean that you may have difficulty finding alumnae members at home in the summer and available to write your reference and get it to the school in time for their deadline. The HAPA deadline is the same whether your school has fall or spring recruitment. The sorority members use the summer time to get organized and ready for recruitment.

• Campus Panhellenic Association When you register with your campus panhellenic (this is

required), they will send you information about what you can expect during the recruitment process on their campus. Campus registration dates vary, so check their website or call to find out the deadline at your university/college. The information you will receive usually has dress guidelines and photo examples. Wear clothes that you feel good in, along with comfortable shoes. You will be standing and walking a lot.

• Recruitment In order to go through the recruitment process, you may need a reference (a form

with your personal information that is requested by each sorority chapter on your campus) written by a RIF (Recruitment Information Form, for identification purposes) writer (an alumna member). Some sororities may use the term “sponsor” instead of “writer”. (. Each sponsor will obtain the reference form for her sorority.

The recruitment process typically includes three or four events. These events are intended for you and the sorority membership to meet and for you to learn more about sorority life and their sorority in particular. Since recruitment is a mutual selection process and each sorority is unique, don’t pre-judge one sorority by a stereotype given to you for the whole group. The period of recruitment varies, but usually lasts for several days. If you would like to join a sorority, it is best to go through the recruitment process your first year in college, since recruitment classes are limited in size.

• Sorority Membership…It’s for life!

All sororities were created with the desire for friendship, leadership, achievement and philanthropy, in their pursuit of higher education. Among the many benefits are: they offer you a home away from home, help make the university/college smaller by providing an easy way to connect with others, and give you an opportunity to develop leadership skills. This also provides a lifetime of friendship through alumnae associations throughout the country and abroad where you can make new friends as you move to different locations. Alumnae groups are among the most noted organizations that support community non-profit organizations. Sorority membership offers benefits for a lifetime which are too numerous to mention.

• Scholarship Every sorority wishes to maintain a high chapter grade point average, therefore,

each must consider a woman's ability to adhere to its scholastic standards. There is hope that each student recruited will place importance upon the completion of her education and that she remains involved with the sorority for the full four years.

• GPA Requirement Although some universities/colleges publish a GPA requirement of 2.5 for

admittance, many sororities require a 3.0 to be considered for membership.

• Compatibility Sororities are based upon friendship, congeniality and mutual ideals. The ability to get along with others and the enjoyment of being with people of diverse personalities are desirable qualities.

• Interest in Involvement Those who are group-oriented and who enjoy working with people are

more likely to contribute to sorority operations and to benefit from membership. The potential member’s list of high school activities need not be long if there is an indication that she has truly participated in some, rather than being merely a "joiner" in many activities. It’s the quality of involvement over the number of activities that counts the most.

• Financial Responsibility Membership dues finance each sorority. Women participating in the

membership recruitment process should be aware of the cost of sorority membership and be willing to accept this financial obligation.

• Cost of membership Expenses for sorority membership include pledge fees, initiation fees,

building fees, and dues. To secure accurate information regarding the expenses for sorority membership on your campus, go to their website and search for “Greek Life.” A list of Panhellenic links begins on page 12 of this booklet. Review the material on the university/college website or contact the Panhellenic Council on the campus you are attending to find out specific costs for sorority membership at that particular campus. Fees will vary by sorority. This information changes from year to year and the Panhellenic office at each campus has the up-to-date information regarding these costs, and will be your most reliable source for this information.

• It’s a Mutual Decision National Panhellenic Conference (NPC) sororities are private, social

organizations. These collegiate groups have the right to invite those recruits into their membership that they consider to be the best all-around fit for their organization. The privilege of choice is mutual for both the sorority and the recruit. It is best not to make up your mind about joining any sorority before you have met its active collegiate members. Remember that you are not joining a "name" but choosing a closely-knit group in which you expect to make lasting friendships in college and alumna life. Also, remember that individual sororities differ from campus to campus and there are girls in every sorority with whom you would develop lasting friendships. Enter recruitment with an open mind. Go to all of the first round parties you are invited to attend, and give each group a chance.

At preferential signing at the end of the membership recruitment events, you are encouraged to list more than one sorority in order to maximize your chances for sorority membership. Please understand that when you receive your invitation for membership, it could be that your second or third choice is the one that has offered you membership.

Reference Packet References are not required to participate in Recruitment at all schools, but

they are preferred at many and are therefore an advantage to the participant.

Suggestions for Getting Organized – BEGIN NOW

• Make a list of all of the sororities at the universities/colleges you are considering. A list of Texas colleges and some out-of-state schools with their Panhellenic link is provided on pages 12, 13, and 14.

• Begin asking the women you know if they are sorority members. For each sorority on your campus, you will need a reference and one or two letters of support if required (see Recruitment Requirements page 11).An alumna member should be in good standing with her sorority when authoring a RIF or Letter of Support. She will use the form provided by her sorority. Others are asked to write a letter of support for you. Talk to friends who have gone through recruitment and find out who wrote their reference and contact them if you cannot find a personal friend to sponsor you for each sorority. If you exhaust your resources, contact the appropriate HAPA Recruitment Committee member (see page 2). She will contact a member of that alumnae group to help you. If you do not know the person writing your reference, she may ask you to hand deliver the information so that she can talk with you for a few minutes to be able to write it more personally. Write your sponsor’s name and address on a stamped envelope, so that each “letter of support” writer can mail it to the reference writer. Also, provide the sponsor’s phone number should they need to contact her.

• All information is sent in together to each sorority by the reference writer. Let each reference writer know whether you have letters of support being sent to her. The following information is given to the reference writer: photos, social resume copies, high school transcript, ACT or SAT test scores.

• Prepare your social resume (see page 9 for the format you should follow). • Prepare a large envelope for each sorority. Make a note of how many copies of the resume and

transcript are needed for each group and the types of pictures requested (see page 11). Assemble the envelopes accordingly and check off items as completed.

• As soon as you have everything together, give it to your sponsor for each sorority. While “thank you” notes are always appreciated, HAPA and NPC discourage gifts of any size to your sponsor.

• Register with HAPA between March 1 and May 1 and with your university/college panhellenic before their deadline.

• The suggested number of resumes, transcripts and photos was submitted by the Houston Alumnae Reference Chairman for each sorority and may be more than is required by many universities.

Pictures

• The pictures are used so that the girls will recognize you when you arrive at the party, not to judge you. Make sure that it represents you well. All sororities will accept 4” x 6” photos, even if stated otherwise on the requirements provided on page 11.

• The photos do not need to be taken by a professional. The picture should be clear enough to be scanned. It is best not to include anyone else, including a pet, in your picture.

• On the back of the pictures list: your name, name of your high school, the university you will or currently attend, your hometown city, and classification for next year (Freshman, Sophomore etc). Creating labels to stick on the back of the picture with this information is preferred and makes the process easier to complete.

• Present your scholastic and extra-curricular activities and honors in a clear and concise way. • List your sorority legacy information. Each sorority has its own definition of a “legacy.” It is

generally defined as a daughter or sister of an initiated member. Some sororities also recognize a granddaughter, stepdaughter or stepsister. Sororities try to extend every courtesy to legacies and try to get to know them, but sororities cannot guarantee invitations or membership to them. At times, there are more legacies entering recruitment than a college chapter has membership openings. Legacies must meet the same qualification standards that non-legacies meet, but if you are a legacy to any sorority, you should list them on your resume.

• DO NOT put your social security number on any documents. Mark it out on transcripts.

Transcript

• A copy of your school issued transcript is all that you need for those groups requiring a transcript. • Sign the transcript if you are 18; have a parent sign it if you are younger than 18. • If the transcript does not include your SAT and/or ACT scores, then include copies of those as well.

Reference Form

• Each sorority has their own form and it is obtained by your sponsor (alumna member who will author your reference). Only one form per sorority is needed.

• Your reference writer is responsible for submitting it to her Reference Chairman by May 1. If there is not one for her group, she will mail it to her chapter at your university.

• If you are undecided by the end of April regarding which university you will attend, have your reference writer put a “Post It” note on the reference form listing the schools you are considering. Notify her immediately upon your decision, and she will ensure your reference is sent to the correct university.

• If your reference has already been sent to one university and you change your mind about attending that university, you will need to create a new packet for the new university, as it is not likely she will be able to get the first one back.

Letters of Support Go to www.houston-panhellenic.org for a sample. • Letters of support are optional and in addition to the reference written by your reference writer. • They should be written by an alumna member who knows you personally and not just your parents.

She needs to say personal things about you that would not necessarily be included on your reference form. Provide your social resume so that she can describe your achievements.

• No more than two or three Letters of Support should be sent to your sponsor to include in your packet.

Social Networks

• During the recruitment process, no sorority member will ever contact you through Facebook or Twitter and ask to be your friend.

• Most forms of social networking (i.e. Facebook, Twitter) are accessible to others, including sorority members. You should “clean up” your accounts NOW. Be mindful of your security settings, accepting friends, and sharing personal information and private photos online. This type of information will be accessible to sorority members during the entire recruitment process!

Houston Alumnae Panhellenic Foundation

Scholarship Opportunities

Over the past 27 years, HAPF has awarded more than $677,300 in scholarships to 454 sorority women attending both Texas and out-of-state universities and colleges. HAPF strives through its scholarships to help these young women excel academically and learn leadership skills. Many of the past winners are not only representatives and role models in their sororities, they also are active contributors to numerous on-campus organizations. At the same time they often work part-time to offset the cost of their educations. The range of scholarships to be awarded is between $2,000 and $4,000. In 2014:

• $48,000 was awarded to deserving sorority members. • Out of 29 applications, there were 21 winners. • Twelve sororities were represented. • Nine Texas universities were represented. • Three out-of-state universities were represented. • Seven of these recipients were repeat winners.

Scholarships are awarded annually at the HAPF May luncheon.

Foundation Scholarship?

TO QUALIFY, APPLICANTS MUST BE … 1. Active member of a sorority belonging to the National Panhellenic Conference (NPC) at time of application. You must also be an active member of your (undergraduate) collegiate sorority chapter the following semester.

2. Permanent resident of Harris County Applicant must meet both requirements, as stated below: A) Applicant graduated from a high school located in Harris County. B) Applicant's current permanent/home address is a residence in Harris County. (Parents current permanent residence is in Harris County.) (Official High School Transcript required)

3. Full-time undergraduate student in accordance with the applicant's university (enrolled in 12 hours or more) at any accredited U.S. college or university at time of application. You must also be a full-time undergraduate student the following semester. (Official College Transcript required)

HOW CAN I GET MORE INFORMATION ON THE RECRUITMENT PROCESS?

A wealth of information is available on the National Panhellenic Conference’s website

located at www.npcwomen.org. On the Parent Information page, in the left-hand

column, is a link to the FAQs page. NPC answers the most common questions parents

or guardians might have.

HOW DOES MY DAUGHTER REGISTER FOR THE RECRUITMENT PROCESS?

Houston Alumnae Panhellenic Association(HAPA)requires that all registrations for participation

in the recruitment process be completed ONLINE. Login to the HAPA website at

www.houston-panhellenic.org and register as soon as possible. Registrations should be

updated if any of your daughter’s information changes. Your daughter must ALSO register

with her college or university’s Panhellenic Association.

THE IMPACT OF SORORITY LIFE

During college, an NPC sorority offers your daughter personal and professional support

within a smaller group of friends in the larger university environment. With this support,

her individual personal and leadership development is fostered through attending

seminars, as well as holding officer and committee positions within the chapter.

Membership in an NPC sorority enhances your daughter’s academic achievement by

providing several forms of support to assist her, from study resources to quiet study

areas. She also is encouraged to participate in community service through philanthropic

activities, setting a pattern of lifetime service to others.

After her undergraduate years are completed, she will have developed lifelong

friendships, as well as continued personal and professional support through alumnae

activities and networking programs.
