Providers of all levels of care and services need to remember that per our

on-line VBH-PA Provider Manual, Section IV: Participating Provider

Responsibilities, Reporting Adverse/Critical Incidents, “Notification to VBH-PA that an adverse/critical incident has taken place must be done

telephonically or by facsimile to a Service Manager or other VBH-PA staff as

soon as reasonably possible, but ideally within 24 hours. Written supplemental

notes or a copy of clinical records may be requested. Please use the VBH-PA

Critical Incident Log to report all occurrences.” This Provider Manual provision is incorporated by reference into your Facility or Practitioner

Agreement, rendering a failure to report a possible basis for sanctions under

the Agreement.

It should also be noted that it is a requirement of the Pennsylvania

Department of Public Welfare (DPW), HealthChoices Behavioral Health

Program, Program Standards and Requirements, that VBH-PA have a written

Quality Management Plan that addresses the quality of the provider network,

including the reporting of adverse/critical incidents. And further, that VBH-PA maintain procedures for response, reporting and monitoring of significant

member incidents for trend and case analysis, and that VBH-PA make incident

records and reports immediately available to DPW upon request.

VBH-PA is hoping to heighten provider awareness of the requirement to

timely report adverse/critical incidents and to enlist your cooperation in doing

so. Should you have any questions regarding this requirement, please contact

your Provider Field Coordinator by calling our toll-free Provider Line at 1-877-615-8503. Your voluntary compliance with this reporting requirement is very

Guest Account Users of CareConnect or ServiceConnect Password Reset Change

Please note that if you are a user of CareConnect or ServiceConnect with a guest account, the password reset process has changed. The ValueOptions Security Department has implemented a new policy on the password reset. Instead of contacting staff at the Value Behavioral Health of Pennsylvania Trafford Service Center, you must call the ValueOptions Technology Call Center (TCC) at 1-800-947-4108. You will have to wait to speak to an analyst, so please listen to the entire message. Provide the analyst with your User ID (D4XXXXXX) then ask them to reset your password. Staff can call the TCC Mon – Fri (7:00 a.m. – 9:00 p.m.).

If the account has been deactivated after 90+ days of inactivity, please contact James Friend at [email protected] or Al Mondragon at [email protected]. They will need to submit a new eSAR to get the staff person reactivated. If you are unsure if you have a guest account, the easiest way to tell is that your email address does not end with “@valueoptions.com”.

Electronic Submissions of CCASBE-LD Evaluations For your convenience, electronic submission of CCASBE-LD evaluations is available online. Please click the link below for details.

Mobile Therapy Best Practice Guideline The VBH-PA Clinical Advisory Committee recommends that the best practice guideline for Mobile Therapy (MT) involves no more than three hours of therapy provided per day. For situations where it is clinically indicated that additional hours of MT (in one day) is warranted, the CAFS Coordinator should be made aware of the situation. Periodically, VBH-PA will monitor adherence to this best practice guideline by conducting provider chart audits for this service.

Summer Therapeutic Activities Programs (STAP) Please consider summer plans when completing current evaluations for children.

If a child is currently receiving BHRS and has a current evaluation that recommends STAP, there may be no need for either an additional ISPT or a new evaluation specifically recommending STAP. STAP providers will maintain a staff ratio that will meet all of the members’ needs with no additional TSS. It will, therefore, be a rare occurrence that a TSS staff member will be authorized for attendance at STAP. Providers are required to obtain a letter of support from the county for whose children you plan to provide services. Service Descriptions will require approval from VBH-PA and OMHSAS. Mail complete packets for STAP (Evaluation, Evaluation Cover Sheet, ISPT Sign-In Sheet, Treatment Plan, Plan of Care, and Family Choice Form) for authorization to:

Value Behavioral Health of PA, Inc. (VBH-PA) 520 Pleasant Valley Road Trafford, PA 15085 Attention: Christina Bowman

Providers who are considering providing a Summer Therapeutic Activities Program in 2013 are required to submit a VBH-PA application for STAP. The STAP Summer Therapeutic Activities Program Application is on the VBH-PA website at: http://www.vbh-pa.com/provider/info/pr/STAP_Application.pdf. Applications, County letters of support and Service Descriptions for STAP are due to VBH-PA by March 30, 2013, Attention: Kimberly Kerr. Please be advised that all STAP program descriptions shall adhere to the Performance Standards for STAP Providers issued by Value Behavioral Health and all regulatory bulletins set forth by the Office of Mental Health & Substance Abuse Service. These standards and regulations must be reflected in both the STAP service description and your STAP program implementation. If you have any questions about STAP, please email or call Kimberly Kerr at: [email protected] or (724) 744-6554.
