1. Requisition /Quotation Module

This module can be used for applications such as storing the purchase requisition, customer inquiry and quotation information and keeping track of these documents, generating quotations according to requisition records, creating and keeping track of requisition- or quotation-related orders, including presales operations and thus monitoring these records in the programme, specifying the best purchase quotation available for the requisition.

2. Records

2.1 Customer Inquiries

This section can be used for recording the information related to the inquiries/requisitions received from customers, retrieving and monitoring the previously inserted records, and for modifying and deleting such documents.

2.1.1 Header Information

Requisition Number When you enter a new requisition record, the programme will automatically insert in this field the requisition number in a succeeding order following the

last record. The one-character alphanumeric serial number can be inserted in this field when the “Serial Number Maintenance” parameter is selected in the Customer Inquiry Parameters menu. The programme will then trace the customer inquiry numbers individually according to the defined serial number. When you define the serial number, the first available number in the series will be inserted in the Requisition Number field. You should use the <Tab> key to accept this number if you wish to insert a new record. If, however, you wish to monitor a previously inserted record, then you should enter the number of the record you wish to view.

Current Account Code In this field you should enter the code of the customer who requisitions the purchase, as defined in the current account records.

Date In this field you should enter the date indicated on the requisition form. The programme will automatically insert the current date in this field.

Delivery Date This is the field where you should enter the date when the requested items will be delivered to the customer.

Requested Delivery Date In this field you should enter the date of delivery as requested by the customer.

Type In this field you can indicate whether the recorded requisition is received from your country or abroad. The field is for information purposes.

Include VAT If you will enter the unit price in the requisition record, in this field you should indicate whether or not the VAT is included in the price.

Extra Fields If the “Extra Fields” parameter is selected in the Customer Inquiries Parameters menu and the relevant header fields are defined in the parameters, then when you enter the current account code the programme will automatically display these headers and allow you to enter explanations as necessary. These fields are optional and may be left blank. You can save the explanations you enter in these fields and view them later whenever necessary.

Inventory Code In this section you should enter the items requisitioned by customers. When you enter an inventory item in the Item Information section, the programme will insert in the next field the description of this inventory code as it is defined in the Inventory Master Records.

Warehouse Code This field will be queried in companies that select the “Local Warehouse Usage” parameter in the Inventory Parameter Records menu. The Warehouse Code queried here is the local warehouse code (defined in the Inventory Module/Local Warehouse Operations/ Local Warehouse Definition section) of the relevant inventory record. Companies that use the Local Warehouse application may not leave this Warehouse Code field blank.

Quantity In this field you should enter the quantity requested by the customer.

Price In this field you should enter the unit price of the requested inventory item.

Total In this section, the programme will multiply the inventory quantity that you enter with the inventory item’s unit price and calculate the gross amount and insert this values in this field. Users are not allowed to modify the information in this field. The value in this field can be modified only when the inventory quantity or the unit price information are updated. The gift item discount, line discount, general discount or extra cost information are not queried in Customer Inquiries Records. The reason is that the price information is usually not entered at the stage of requisition. The Conversion Value, Price Unit, Delivery Date, Second Quantity, Reference Code, Extra Field, Extra Explanation, FX. Info and Project Code are queried in the Item Information section depending on the selected Customer Inquiries parameters.

2.1.3 Totals

The inserted customer inquiry information will be saved when you press this button. If you have selected the Print option, the Design Query window will open when you press this button. In this window you can process the printing by either entering the Design Name which you have defined for the requisition records or selecting the relevant design in the lookup. For detailed information about the fields in this page, please see Invoice/Sales Invoice/Totals. To delete a previously inserted Customer Inquiry record, you should go to the Header Information section, enter the requisition number and either press the Delete Record button or the F7 key.

2.2 Customer Quotations

The inventory requisitions received from customers will first be recorded in the Customer Inquiries section. The Customer Quotations can be used for recording the price offers given to customers upon their requests, monitoring, modifying or deleting the previously inserted offer records. The Customer Quotations section is used in the same way as the Customer Inquiries section. For detailed information, please see Requisition/Customer Inquiries.

The Customer Quotations records can be created in this section or in the Quotation of Purchase Requisition operation, which will be discussed later in this document as well. In this section you can monitor or modify the quotation records, which you created with this operation. To be able to do so, you should enter the Requisition Number in the Header Information window.

Requisition Number The Requisition Number will be queried on row basis when you enter the quotation records. The purpose of this field is to generate quotations in terms of rows for the requisition records, which were previously inserted. If no information is displayed when you enter the Inventory Code, then press the Inquiry No lookup in the Customer Quotations Item Information section,

the reason is that no requisition records have been previously inserted for the current account related to the requisition record you are processing. When you select the requisition record, for which you wish to generate a quotation, in the lookup, the Quantity and Price information that is recorded in the inquiry record for the selected inventory will be displayed. You will be allowed to modify this information. After selecting the inquiry, for which you wish to generate a quotation, in the Requisition Number lookup, in the Requisition Control Field you can view in which sequence in the inventory item’s requisition record it is inserted. The prices defined for inventories bear high importance in the requisition records. The free gift discount and line discount information are therefore queried as parameters in the Item Information section (as in the Invoice Module). The amounts in the Total page are calculated according to the values indicated en the Item Information section. For the details of the fields in this section please see Invoice/Sales Invoice/Totals.

2.3 Purchase Requisitions

In this section you can enter the requisitions, which you will send to the supplier companies for the goods that you company requires, and modify or delete these records.

The Purchase Requisition records can be inserted in terms of all users, groups or a single user. In other words, you can define the user or users who need the goods you requisition. To give an example, let us assume that you wish to renew the computers of the sales staff. In this case, you should select the

Group option in the User Selection field in the User Information section and enter the Group Code, which you have defined for the Sales Department users in the User Records Module in the Group Code field. Thus, when you prepare the report related to your requisition records, you will be able to identify that this requisition was made for the users in the sales department. In the Item Information, you specify the Inventory Codes as defined in the Inventory Master Records and the quantities in which these inventories are requisitioned. When entering the Item Information, if you define the price for these inventories, then you will be able to monitor the gross amount, VAT amount and Final Total in the Totals page. 2.4 Purchase Quotations

In this section you can insert the Purchase Requisitions in the programme, and once these requisitions are sent to the supplier company, you can insert the received quotations or monitor the previously inserted quotations, modify or delete them. You can process the Purchase Requisition Records either in this section or in the Quotation of Purchase Requisition operation, which will be discussed later in this document. The usage of the Purchase Quotation records is the same as the Purchase Requisition records. For detailed information please see Quotation/Purchase Requisition.

All of the parameters in the Requisition/Quotation Module are the same as those in the Invoice Module. For detailed information about Requisition/Quotation Parameters please see Invoice/Purchase Invoice Parameters and Invoice/Sales Invoice Parameters.

3. Operations

3.1 Quotation of & Customer Inquiry

3.1.1 Initial Query

This operation can be used for preparing Quotations for the previously inserted Customer Inquiry records. You can use the Pre Query page to define filters for the inquiry records for which the quotation will be prepared. The functions of the fields in this section are described below.

Requisition No In this section you can specify for which inquiry records the quotation will be prepared. You can either manually enter the inquiry number or select the relevant inquiry number in the lookup. The lookup will list only the inquiry records that are inserted in the Customer Inquiry section. You can leave this field blank. If you do so, the programme will list all of the recorded inquiries in the Data Show page.

Requisition Date If you will prepare quotations only for the inquiry records that are inserted on a certain date, then you should enter the relevant date in this field. In this case, the Data Show page will list only the inquiry records that are recorded on the indicated date and you will be able to prepare the quotation only for such records.

3.1.2 Data Show

The Data Show page will list the inquiry records that match the filters defined in the Pre Query. If no filters are defined, the section will display all of the inquiry records that are stored in the programme. The records in this page will be displayed in red; this is to say that quotation records will be created for all of the listed records if you do not modify the list. If, among these records, there are any, which you do not want to include in the quotation, then you should double click on the entry, which you wish to exclude and change them into black. If the list includes more records than you need and you wish to create quotations for only few of the listed, then you can press the “Ø” button, change all of the entries to black and then select the records that you want to process. The list also includes the inventory details of the inquiry records. This is to say that you will be able to prepare quotation records only for those that you select among the inventory items in the inquiry record.

3.1.3 Document to be Created

After specifying the inquiry records for which you will prepare quotations, you will be required to specify some further information in the Data Show page.

Start Quotation Number When creating the quotation records, the programme calculates subtotals according to current account codes related to the selected inquiries. In other words, if there are records that are linked to different Current Account Codes in the inquiries you selected, the programme will create a different quotation record for every current account, thus assign a different number to every quotation record. In this section you will define the starting number of the quotation records. The programme will automatically insert the number after the last used. Users are allowed to modify this number if desired.

Quotation Date The date of the quotation records should be indicated in this field. Regardless of the dates of the inquiries you selected, the programme will consider the date in this field for the quotations. Thus, if for any customer you have selected inquiries that bear different dates, when creating the quotation record the programme will collect these under one date and prepare only one quotation record.

OK After entering the information in the Start Quotation Number, Quotation Number and Quotation Date fields in the Document to be Created page, you should press the OK button. When the operation is completed, a report will be opened and list the numbers, dates and current account codes of the quotations that are prepared by the programme. You can run the necessary checks on this report.

You can also prepare several quotation records for one inquiry record. In the Customer Quotations section you can retrieve and monitor, modify or delete the quotations that you have prepared in this section. To retrieve these quotations you should enter the record number in the relevant field.

3.2 Ordering of Customer Inquiry

The Pre Query and Data Show pages of the Ordering of Customer Inquiry menu are used in the same way as those of the Quotation of & Customer Inquiry. For detailed information please see Quotation of Purchase Requisition.

3.2.1 Document to be Created

This operation can be used for preparing Customer Orders in relation to the previously inserted Inquiry records. The Customer Orders for the inquiry records you select in the Data Show page will be prepared according to the filters you define in the Initial Query page. To do this, however, there are some definitions that you should enter in the Document to be Created page.

Start Order Number As in the Quotation of & Customer Inquiry operation, you can create several records also in this operation. In this section you should define the number of the first order record. The programme will automatically insert the number of the following orders in subsequent sequence. You cannot define a previously used number as the Start Order Number.

Order Date

The date of the Customer Order, which will be created, record should be indicated in this field. Regardless of the dates of the inquiry records, the orders will be created with the date indicated in this field.

Order Current Account Code This field is not used in the Ordering of Customer Inquiry operation. The current account code for which the order is processed cannot be different from the current account code indicated in the inquiry.

Project Code This field will be active when the “Enable Project Code System” parameter is selected in the Company/Branch Parameter Records section of the System Utilities Module. In this field you should enter the Project Code related to the order that will be created. The field cannot be left blank if active.

Payment Code If there is a payment plan defined in the Payment Plan Records section of the Current Account Module, you can enter the relevant payment code in this field.

OK After entering the information in the above-described fields and pressing the OK button, the programme will create the Customer Orders starting with the defined Order Number. When the operation is completed, the programme will display a report, which lists the order numbers, current account codes and dates of the prepared records. You can monitor the prepared records in this report. You can also prepare several Customer Orders for one inquiry record. The Customer Orders, which are prepared in the Ordering of Customer Inquiry operation, can be deleted in the Invoice Module. To do so, you should simply go to the Customer Orders section, enter the number of the order that you wish to delete and press the Delete Record button.

3.3 Ordering of Customer Quotations

This operation can be used for creating Customer Orders for the previously recorded quotations.

3.3.1 Pre Inquiry

You can use the fields in the Initial Query page of this section to define filters for the quotations that you wish to list Data Show page. The functions of the fields in this section are described below.

Requisition Number If you will create a customer order in relation with a previously prepared quotation, then you should enter the number of the requisition for which the customer order in this field. If you do not enter any values in this field, the programme will not be able to trace whether or not the orders are related to a recorded requisition.

Requisition Date If you will prepare a customer order for a requisition that is inserted on a certain date, then you should enter the relevant date in this field. The field can also be left blank.

Quotation Number If you will prepare a customer order for only one requisition record, then you should enter the number of the requisition in this field. The field can also be left blank.

Quotation Date If you will prepare a customer order for a quotation that is inserted on a certain date, then you should enter the relevant date in this field. The field can also be left blank.

Quotation Current Account Code You should use this field if you will prepare an order record linked to the recorded quotations for only one customer. When you enter the relevant current account code in this field, the programme will only list the quotations that are recorded for this current account. You can leave this field blank.

If you do not enter any information in any of the fields in the Pre Query window, the Data Show page will list all of the quotation records according to the relevant inventory items. In this list you can select the records you wish to process. After doing so, in the Document to be Created page you should define the starting number and the start date for the orders, which you wish to record and press the OK button. You can monitor or modify these customer order records in the Customer Orders section of the Invoice Module. These recorded orders can be deleted, again, in the Invoice Module.

3.4 Quotation of Purchase Requisition

The Pre Query and Data Show pages of the Ordering of Purchase Requisition menu are used in the same way as those of the Ordering of Customer Quotations. For detailed information please see Ordering of Customer Quotations.

3.4.1 Document to be Created

This operation can be used for creating quotation records for the previously inserted purchase requisitions. The requisition records that match the filters defined in the Initial Query window will be listed in the Data Show page. In the Data Show page you should select the requisitions for which you will create quotation records. There are differences between the Quotation of Purchase Requisition operations and the Quotation of & Customer Inquiry operations. When creating orders for customer inquiries, the requisition current account code

should be the same as the current account code indicated in the requisition. However, when creating the Purchase Requisitions, the programme will consider the current account information defined in the Document to be Created page, without regarding the current accounts defined in the requisition record. For example, let us assume that the requisition recorded for current account code 001 is selected in the Data Show page. If current account codes 002 and 003 are defined in the Document to be Created page, then the programme will create 2 quotation records for the indicated requisition; namely one for current account code 002 and one for current account code 003.

3.5 Ordering of Purchase Requisition

This operation is used for creating Supplier Orders for Purchase Requisition records.

The Order Current Account Code queried in the Document to be Created page should be used for specifying the supplier to which the demands of the company will be directed. When Supplier Orders are created the programme considers the Order Current Account Code indicated in the operation and not the Current Account code indicated in the requisition record. This field can therefore not be left blank.

The orders created in this section can be monitored in the Supplier Orders section of the Invoice Module. These records can be deleted again in the Supplier Orders section. To do so, you should enter the number of the supplier order that you want to delete and press the Delete Record button when the record is displayed on the screen.

The Pre Query and Data Show pages of the Ordering of Purchase Requisition menu are used in the same way as those of the Ordering of Customer Inquiry. For detailed information please see Ordering of Customer Quotations.

3.6 Ordering of Purchase Quotations

This operation is used for creating Supplier Orders for Purchase Quotations records.

The orders created in this section can be monitored in the Supplier Orders section of the Invoice Module. These records can be deleted again in the Supplier Orders section. To do so, you should enter the number of the supplier order that you want to delete and press the Delete Record button when the record is displayed on the screen.

The Pre Query and Data Show pages of the Ordering of Purchase Quotations menu are used in the same way as those of the Ordering of Customer Quotations. For detailed information please see Ordering of Customer Quotations.

3.7 Open/Close/Approve Requisition

This operation is used for opening the Purchase and Customer Inquiry records that you create in the programme, closing the previously opened records, accepting such records or cancelling (undoing) the accept operations.

With the fields in this section you can define filters for the records which you will open, close, accept or undo the accept operations.

Requisition Type Only the Purchase and Customer Inquiry records will be listed when you press the Get Requisition button. Thus, you must select in this field the record types, which you will process.

Requisition Interval If you wish to list the requisition records that fall within a certain number range, you should enter the relevant values in this field.

Date Interval If you wish to list the requisition records that fall between certain dates, you should enter the relevant dates in this field.

Current Account Code Interval If you wish to create quotations for the inquiry records that are entered for certain current accounts only, then you should enter the applicable current account code range in this field.

Allow Line-based Operations When you press the Get Requisition button without selecting this option, the requisition records that match the defined filters will be listed without the inventory code details. In this case you will not be able to process open, close or accept operations on basis of the items in any requisition record. If,

however, you select the option, the list will include the inventory details and allow you to process the operations for the inventory items as necessary.

Open This field should be selected in order to be able to open the previously closed requisition records. The open records can be monitored in the relevant menus, hence modified or deleted.

Close This field should be selected in order to be able to close open requisition records. The Close operation can be processed for records, which will not be used, but should neither be deleted. When you retrieve a closed customer inquiry record in the Customer Inquiry section, for instance, the programme will display the warning message “Inquiry/Quotation is Closed.” Hence, you will be able to view the inquiry record but will not be able to process modifications. Additionally, the inquiry record will not be listed in the quotations and ordering operations.

Bring Requisition This operation is used for listing the requisition records that match the defined filters. When the records are listed, you can select the relevant records that you will process.

Accept This field should be selected in order to be able to reaccept the records for which the accept state has been previously removed. When records are first created, they are created with the Accept state, thus can be processed in quotation and ordering operations.

Undo This field should be selected in order to be able to remove (undo) the accept state of the requisition records. Records, which do not have the Accept state, can be modified and deleted. However, these records cannot be processed in quotation and ordering operations. Such records will not be listed in the data Show page of quotation and ordering operations.

3.8 Open/Close/ Approve Quotations

In these fields you can open, close, accept the quotation records or undo the related accept operations.

Not Ordered Quotations will be Processed

When you select this field and press the Get requisition button, the programme will list the records for which orders have not been yet created. The other fields in this section are used in the same way as those in the Open/Close/Approve Requisition section. For detailed information please see Open/Close/Approve Requisition.

3.9 Number Control

The Number Control section enables users who launch the Requisition and Quotation application to enter the starting numbers. Current users of this module can use this section to modify the available numbers without changing the numbers already in use.

3.10 Serial Arrangement

When the “Serial Number Maintenance” parameter is selected in the Requisition/Quotation Parameters section, the requisition and quotation records can be tracked on specific serial characters. This operation specifies on documents bases, the series that will be used for the requisition/quotation documents. Thus, the serial character defined in this section will be automatically inserted in the related documents by the programme.

4. Reports

4.1 Requisition Inquiry Summary

This report will list the recorded Purchase Requisition and Customer Inquiry records without inventory details. The report will include the Requisition Number, Requisition Date, Requisition Name, Delivery Date, Gross Total, Line Discount Total, Gift Item Discount Total, General Discount 1-2-3 Totals, Cost-1 and Cost-2 Totals, Net Total, VAT Total and Final Total list titles; but since the Discount and Extra Cost information are not required in the requisition records, these fields will display 0 value. For detailed information about the fields in the Filter, Sort, Scaling and Printer Options pages and general information on how to use the report, please see Introduction/Standard Reports.

4.2 Quotation Summary

4.6 Order Related Requisition Report

This report will list the recorded Purchase Requisition and Customer Inquiry records together with their related Orders. The report will include the Inventory Code, Inventory Description, Requisite Name, Requisition Number, Requisition Date, Current Account Code, Current Account Description, Order Number, Order Date, Requisition Quantity, Requisition Amount, Order Quantity, Order Amount, Onhand Quantity and Onhand Amount list titles.

This report will list the recorded Purchase Quotation and Customer Quotation records together with their related Orders. For detailed information about the fields in the Filter, Sort, Scaling and Printer Options pages and general information on how to use the report, please see Introduction/Standard Reports. The report will include the Inventory Code, Inventory Description, Requisite Name, Requisition Number, Requisition Date, Current Account Code, Current Account Description, Order Number, Order Date, Quotation Quantity, Quotation Amount, Order Quantity, Order Amount, Onhand Quantity and Onhand Amount list titles.

4.8 Purchase Quotation Evaluation Report

In cases where there are several quotations in response to a requisition, this report can be used to identify the optimal quotation. To do this, the programme is designed to evaluate every quotation according to its total and furthermore assess the inventories in the quotations according to the items, thus generate the result in one report. Any quotation that will be evaluated ought to have a Purchase Requisition related record. Quotations that do not have a Purchase Requisition related record will not be considered in this report.

When you process this report, the first window will be the Purchase Requisition Selection window that queries which quotations linked to which requisitions should be first evaluated. In this window you should define the filters related to the requisition record and press the OK button. Then, a new window will open and query the quotations. If you press the “OK” button without defining any filters, you will be able to move to the next queries.

In the Purchase Quotation Evaluation Report page you can define filters for the quotations that should be included in the evaluation. When you define the filters as required, the programme will evaluate the quotations with the below-described method and display the sorted list. Only the net prices information is considered in the evaluation of the quotation records. Let us use an example to explain how the information is sorted in the report. If we assume that you received quotations from four different suppliers for you requisition and these are as listed below.

In this example, only Supplier-2 has not given a quotation for Inv.-1. When evaluating the quotations, first the lowest price given will be calculated for every inventory, then this price will be subtracted from the other prices given for the same inventory item. If no price is indicated for the inventory item, then the programme will insert a maximum price in the relevant field in order to enable that the price for this item is not evaluated as the optimal price. Since, in this example, Supplier-2 has not indicated a quote for Inv.-1, 230.000.000 will be inserted in this field. The lowest price offered for Inv.-1 is 1.000.000 TL. This amount will be subtracted from all of the amounts in the related line and calculate 0 as the result. The same operation will be calculated for every inventory.

In the case that the 0 result is not found in any of the columns, the smallest value in the related column will be subtracted from the values in the column to get the 0 result. In this example, 0 could not be calculated for Supplier-3.

Thus the lowest quotation given by this current account (1.500.000 TL) will be used in the evaluation. The below-shown table will be created in this case.

The Purchase Quotation Evaluation Report will evaluate the received quotations in two ways. The quotations you received will be evaluated according to the suppliers in the first page of the report and according to the inventory items in the second page. In the evaluation on current account basis, the column that has the maximum number of zero (0) values will be evaluated as the optimal quotation. If, however, there are several current accounts that fall in this group, the programme will consider the column total and sort accordingly. In this example, the quotations that have the maximum number of zeros by columns are Supplier-1 and Supplier-4. But since it is Supplier-1 who gave the lowest quote in total, this current account will be evaluated in the first place. In this case, the sorted list, which will be shown in the first page of the report.

The evaluation according to inventory items will be based on the rows. This is to say that the Purchase Quotations that have the value 0 (zero) in the inventory rows will be listed. If there are several current accounts that fall in this group, the programme will sort the list according to the quotation numbers. In this case, the sorted list, which will be shown in the second page of the report.

Only the cells that display 0 value will be considered in the evaluation based on inventory items, whereas a quotation should be related to inventories in the requisition in order to be displayed in the first page.
