You must have completed a departmental review before submission to the IACUC and the Office of Research Integrity (ORI). The following process was adopted by the IACUC 8/12/13. This presentation will walk you through the submission process.

• ACAP developers and the ORI recommend you use Internet Explorer when using ACAP.

• Some bugs have been much more likely to occur with other browsers.

• We also recommend you always click buttons instead of hitting the “Enter” key.

• Again, some bugs seem more frequent if you hit the “Enter” key

Choose “Start a New Animal Application” to begin your new study.

Now choose “Start New Application or File a Continuation

• Fill out your information. Remember ACAP is dynamic, and your answers in the beginning of the application affect what questions you are asked in later sections.

• Many items in ACAP can be entered by clicking on a box, but some responses require more information.

After you have clicked on the “Click to View/Edit” button, a pop up window will allow you to enter text. Provide enough detail to fully answer each question. When finished, Click “Accept Changes”.

• If you are receiving a grant, enter as much information as possible. This will help the ORI process your study. Then choose “Save”. ACAP is designed to link with RAMSES, the grant administration system.

• Once you have finished the “General Information” page, you will automatically go to the “Addendum Checklist”. Check all items that apply to your study, then choose “Save” at the bottom of the page.

• Remember, ACAP is dynamic, and your answers in the beginning of the application affect what questions you are asked in later sections.

• After you finish the “Addendum Checklist”, you will automatically go to the “Item List”. On the “Item List”, note that some items have a check mark (like “General Information”) while other items do not have a check (like “Personnel”). Checks indicate you have completed that section. You will need to click each item and fill out the information until all items are checked. Click “Personnel” now.

• There are currently no personnel list on this protocol. Click as indicated to add researchers.

• After you enter the researcher’s last name, you should see them listed below. If you are looking for a researcher at UNCG who is NOT listed below, verify you have the correct spelling.

• If you still can’t find your researcher, contact Isaac Mailleue in the ORI at 336.256.1482 or at [email protected]; DO NOT manually enter information for UNCG researchers.

• Each person on the project may have multiple roles, especially the PI. Select all “Roles” and “Techniques” for each person.

• Note: your research will be delayed if your staff have not completed all required training.

• You MUST have a laboratory contact listed on your protocol. ACAP will develop bugs in your submission if no laboratory contact is listed.

• Note: the PI can have the laboratory contact role in addition to their other roles.

• Note: follow the instructions to add more than one role to a person

• You are able to start and stop entering application data at any time. • Select “Save & Exit” to log off ACAP

• When you want to continue entering application data, log back on to ACAP, then click on the study title.

• Send this document (on paper or as an electronic file) to a departmental reviewer for comments• This allows the version seen by the IACUC to be the most complete

version.

• Your departmental reviewer should provide a scientific review of your new protocol.

• Once your departmental review is completed, please make the changes suggested.

• Verify your protocol has had a departmental review with the ORI, then submit it on ACAP.

• Return to the “Item List” then click “Submit”.

• Once you have chosen to submit your protocol, ACAP will ask you to certify that you agree to UNCG’s policies.

• Take note! You will NOT be able to make further changes after you submit.

• If further changes are required by the IACUC, the ORI can change the submission status of your protocol, allowing you to make those changes.

• A day or so after you have submitted a protocol you should receive an email explaining that you can use an electronic certification for your protocol.

• A link and instructions are also provided to guide you through the certification process.

• Congratulations! You have submitted your research to ACAP!

• The ORI staff will work to ensure your protocol is moved to the appropriate channels.

• Please contact Isaac Mailleue at the ORI at 336-256-1482 with any questions or assistance you may require.

• Continue to check in to ACAP for updates.
