Preliminary instructions

Thank you for your trust in Routing Reparto.

Routing Reparto works with two Excel templates: Customers and Vehicles. On the first one you enter your clients’ addresses and on the second your vehicles’ addresses (drivers).

If you don’t have the Excel templates you will find the instructions on how to download them in this manual. Remember that in the trial you can only use 2 vehicles and plan for only 25 customers.

We recommend you to first use the vehicles and customers Excel templates without modifying them. Once the workings are understood then we recommend you to make a test with your own data.

The Excel templates of the trial only have the basic functionalities. Learn everything you

could do by clicking here, or enter Routing Reparto’s webpage. Adding more functionalities to the templates doesn’t have any extra cost.

We also remind you that in the trial you can only test the Planning module. The Tracking module is not

available in the trial version. You can get more information in the webpage of Routing Reparto. If you are

interested in accessing the tracking module to control your vehicles in real time, track your routes in real

time and access historical reports, please contact us (routingreparto@ngeografics.com).

Routing Reparto plans and optimizes your routes. It organizes your customers to visit considering various factors like, for example, the customer’s Schedule, the working time of

the employee, the duration of the trip, etc. Everything made to minimize your daily trips and optimize your workday.

By planning and optimizing your routes with Routing Reparto you will get 3 big advantages:

• Saving time, in the route planning and organizing de customers to visit with the available drivers.

• Save in transport costs, you can reduce up to 15% of the mileage and delivery time.

Click on Add Customers to upload the Customers Template.

If you don’t have the customers or vehicles template you can download them from the pull-down menú at the upper right part in the support section. + info on page 25

It opens the window to select the CUSTOMERS excel file. You should look

for it on the location were you donwloaded it, select it and click accept.

The column geocod quality indicates wether or not the locations were correctly located on the map (the legend on the footer indicates the quality of the geolocation.) If the result shows a purple or red geocod quality the program allows fixing the addresses on the spot and once the changes are made sabe the Excel template with the corrected addresses (export Excel button) If there are results with a black geocod quality or the majority of them are purple or red we suggest using the coordinates ¿How I look for the coordinates? – page 32

View on map allows you to see the customers located on their addresses on the map

Click on UPLOAD VEHICLES

It opens the window to select the vehicles file. You should look for it on

the location were you saved it, select it and click accept.

Planning loaded. Read the grey windows to learn how: - View the route on the map - Save the planned route in GPS format, Excel and for a new planning. - Other options The windows will pop-up when ending a planning with Routing Reparto.

Click to see results as a route, map, report and statistics Please, in the statistics area check that no customer has been left out of the route. It is important to check it out by the end of every planning.

How to fill out the Excel templates with my data?

Indicate the coordinates of the addresses. The field is NOT mandatory if the complete address is entered

Time spent by the vehicle (driver) visiting the client. Format: 00:00:00

You can notice that this information is also available in the Excel templates when you place the cursor on the title of each column.

For the CUSTOMERS Excel file:

*Street, number, city, PostalCode, Province y Country are fields not mandatory to fill out if you enter the coordinates. They only need to be filled out if the coordinates are not entered. *Coord X/Y: If you got the complete address you can leave the field empty.

¿How to fill out the Excel templates with my data?

For the VEHICLES Excel file: Entity: ID: Name: Return base:

Is the code we assign to the vehicle, it can be the code you already have assigned in yor database. Different vehicles cannot have the same ID

Name of the vehicle or the driver.

This option is used to indicate if: - The vehicle returs to the same initial base at the end of the route

(indicate “Y”) - The vehicle goes a different place of initial base, for example, if

the driver goes home (indicate “Y” + add new columns to the Excel)

If it’s your case please contact us in order to receive the new Excel template which contains this option. - The vehicle ends the route in the last customer (indicate “N”).

Workday of the employee

Maximum driving time that a driver can drive a vehicle without pausing. This cell is useful in case the trip is in long distances. If that isn’t your case leave the cell with the value 00:00::00 Format: 00:00:00

That’s the driver’s time off. For example, if he has only 1 hour off, in the column Start/End Meal we indicate that he can take it from 13:00 to 15:00 and in the column Duration we indicate 1h. Routing Reparto’s program chooses between 13:00 and 15:00 the best time to take time off. Therefore, if two customers are very close, Routing Reparto will take it into account and plan the time off once the visits are made to those customers. Format: 00:00:00

Parameters to indicate the costs from the vehicle. This fields are NOT mandatory, you can fill them out or leave the default values. Km cost: 0,7 Hour Cost: 20 Overtime Cost: 0 Fixed Cost: 0

Write the address The address will appear on the map with a table that informs of the coordinates x and y.

Tutorial Videos: How to use Routing Reparto with my data

The tutorial videos STEP 1, STEP 2 and STEP 3 are useful to learn how to use Routing Reparto with your own data. You will notice that in the videos some fields will appear that you don’t have on your

template, this doesn’t present any problema for the correct use of Routing Reparto.

If you fill out the templates with your data and you have any doubt or it doesn’t work, send us the template with some of your data and we will check for the error.
