1. SAP – DocuSign® Signer Guide

This guide provides information about how to electronically sign a document using the DocuSign®

Service. Electronic signing provides a quick, easy and secure method for you to receive, sign and

return documents from a sender without the need for appearing in person or sending

documents back and forth. For more information, please visit the DocuSign® Support Portal

(www.docusign.com).

We advise you to save the final DocuSigned Contract always in combination with the DocuSign Summary on your local drive or contract management system.

2. Receiving an Email Notification

This process begins when you receive an email requesting that you electronically sign a document.

The email is sent by DocuSign® ([email protected]) on behalf of SAP and has a message from

the sender and a link to open an electronic envelope with the document.

After opening your email, click Review Documents to access the documents. A new web

browser window opens and connects to the secure DocuSign® Online Signing Service website.

3. Signing the Document

Click the button on the top right side of the screen and the first page of the document

opens. After reviewing the whole document, click the Sign Here tag to add your

signature.

If this is your first signing experience with DocuSign, you will then be asked to Adopt Your Signature when you click a Sign Here tag. Verify that your name and initials are correct. If not, change them as needed. To adopt a signature, you have 4 options:

Click Adopt and Sign to accept the default signature and initials and go to the next step.

Click Change Style, and select a different preformatted script provided by DocuSign.

Click Draw: Draw your signature/initials using a mouse or your finger on a touchscreen

It is also possible to upload a Scanned or Photographed Signature. However, this option

is only limited to signers who have a DocuSign® account. (See instructions in section 6.)

After you complete adding information to all required tags in the document, click the button on the right bottom side of the screen. A pop up window appears indicating you are done signing and you can sign up for a free DocuSign® account and save the document in your

account. You are also able to upload your personalized signature if you opt to create a signer account.

When all the documents in the envelope are completed, you will receive an email confirming that all parties have completed signing the document, attached with a completed PDF copy of the document plus a summary indicating the Certificate of Completion, Record Tracking and Signer Events.

4. Other Options

After reviewing the document, by clicking the OTHER ACTIONS button on the top right corner of

the screen, you also have several other options to perform on the document:

4.1 Finish later

This option allows you to sign at a later point in time if you are not ready to sign the document. You

can return to the document later by using the link in the email notification. If you have a signer

account setup, you would also find your envelopes within DocuSign®.

4.2 Print, Sign, Scan and Upload

This option allows you to sign on paper if you don’t want to sign electronically.

a. By clicking Print & Sign, a new pop up window will open asking you to choose whether you

want to return the signed documents by Upload or Fax.

b. Select one of the two options and then click on Continue. The next window opens.

c. Click on the DOWLOAD button to download the document and save it on your local drive. Then print, sign, and scan the document back into DocuSign when you are ready. Click on RETURN DOCUMENT when you are ready. The next window opens.

d. Finally, click on UPLOAD A FILE and FINISH.

4.3 Assign to Someone Else

This option allows you to send this document to another person to sign.

a. Click Assign to Someone Else, a new pop up window will open. Enter the new signer’s

name and email address as well as a message to the envelope creator explaining why you

want to change signing responsibility.

Note: If you downloaded the document but would like the upload it to DocuSign at a later point of time, you can reopen the document by clicking on “Review Document” in the email notification in your inbox.

b. There will be a new window appearing stating that the signing responsibility has

been changed and you will be added as a CC recipient of the envelope. Click on

Exit.

c. The new signer will then receive an Email notification indicating that the envelope

was reassigned to him by you.

d. The envelope creator receives an Email notification stating that the signer has been

changed. The newly assigned signer signs the document as usual, and you will also

receive a copy when all parties have completed signing.

4.4 Decline to Sign

This option allows you to void the document and make it inaccessible to other signers, or request

changes to the document by contacting the sender directly with your request.

Note: We strongly recommend you to contact the sender prior to voiding a document, as it is

causing the whole transaction to be closed and will result in delaying the transaction due to

cancellation of all prior signing steps.

Note: If you want to re-assign your signing responsibility, please use the option provided within

DocuSign and click on the button “Assign to Someone Else” under “Other Actions”. You should not

forward your email notification or let someone else have access to your email inbox to sign the

contract. The consequence is that another person could sign with your credentials without this

change being visible in the DocuSigned contract / summary.

a. Click on Decline to Sign, a pop up window will open.

b. Click on Continue to void the document; click on Finish Later to request changes; click

Cancel to go back to the document.

5. Download or Print All Documents

If you want to download or print all documents in the envelope:

Click icon to print all documents.

Click icon to download all documents in one combined PDF or separate PDFs.

6. Upload a Scanned or Photographed Signature (Only for Signers who have a DocuSign® license or a Signer account)

a. On DocuSign Homepage, click on “Edit” button on your DocuSign ID card.

b. This will take you to the “Manage Identity” screen. Click “Edit”.

c. The “Manage Signatures’’ page will open. You can add a new signature or edit the existing

signature. Click “Edit”.

d. On the top of the next screen, you have the option to “upload” a scanned signature. Click

the “Upload” button.

e. You will then see a yellow square is highlighted around the signature box. Click “Browse”

button to select the scanned or photographed image file of your signature.

f. After a few seconds, your scanned or photographed signature will appear within the

signature box. And another yellow square will be highlighted round the initials box. Click “Browse” button to select the scanned or photographed image file of your initials. When finished, click “Adopt” button to adopt the scanned or photographed images as your DocuSign signature.

g. You will be then directed back to a screen that shows your new signature and initials.

Click “Done” to complete the signature set up process.
