3.8 Scheduling Documents

Scheduling is a process which allows you to run an object automatically at specified times. When you schedule an object, you choose a recurrence pattern and specify additional parameters to define exactly when and how often the object has to run.

Prerequisites

Ensure that you have met the following prerequisites:

● You have schedule rights for the SAP Lumira document.● You have exported the documents based on Universe Query Panel data source from Lumira desktop to

SAP BI Platform.

Context

SAP Lumira, server for BI Platform supports scheduling of Lumira documents that are based on following data sources:

● .unx on Query Panel Extension (QPE)● SAP Business Warehouse● Excel, CSV and text

When scheduling Lumira documents based on Excel, CSV and text data sources, you should place the.xls/.csv/.txt file at a shared location and use UNC path while creating conection to source file.

Note● Scheduling a document for prompts in Universe is not supported in the SAP Lumira, server for BI

platform.

Procedure

1. Log on to BI Launch pad.2. Browse to the folder where the document is saved.3. Right-click on the document and choose Schedule.

○ If you want to view the latest instance of the object, navigate to the document history and view the latest instance.

○ If you want to view the last saved document, right-click on the document and choose View.4. Choose the most suitable Recurrence pattern.

You can select Daily or Weekly for example.

The system creates a scheduled instance and runs it according to the schedule information you specified. You can view the scheduled instance on the history page for SAP Lumira documents.

8. You can check the status of the document by choosing the status link for the document.

○ The default destination for the document is Default Enterprise Location. Adaptive Job Server retrieves the processed document from the Output FRS and delivers it to the specified destination.

○ The scheduling service locates a processing server based on the maximum connections value configured on each processing server.

NoteAfter you schedule the Universe based document, and check for the schedule instance, you can see that the chart in infographic is not updated in the schedule instance.

The following are the two ways to obtain the updated data in infographics:○ You need to manually refresh the data.○ You need to select the Refresh on Open option in the SAP Lumira Desktop before publishing the

document to SAP Lumira, server for teams.

3.9 Exporting a Story to Portable Document Format (PDF)

Converting stories to PDF helps you to send files to consultants, business partners, and clients. PDF files are used by companies to make sure that no changes are made to the original document.

Prerequisites

Make sure that you have met the following prerequisites:

● You have been granted the Export as File right.

Procedure

3.10 Purging Lumira documents while saving it to SAP Lumira, server for BI Platform

Purging Lumira documents while saving them allows you to save documents without any sensitive data in they contain. Purging is useful if Lumira documents connect to data sources that have row-level security. Purging data while saving is supported only for the following data sources:

● Universes

NoteOnly UNX is supported

● SAP BW Offline● SAP HANA Offline

Note● If you have purged a document while saving it, the system automatically refreshes it when it is opened

in Lumira server for BI Platform..● Lumira documents that connect to SAP HANA in online mode do not contain any data while saving.

They therefore do not require purging.

If you have purged a Lumira document while saving in Lumira desktop for example, the system automatically refreshes when you open the document in SAP Lumira, server for BI Platform. Once the refresh has been performed, the system loads the data into the Lumira document. .

Advantage

Prevent sharing of confidential or restricted data with unauthorized users. As a report designer for example, the data that you need in Lumira document is test data which makes no sense to business users. You would therefore like to save the document without data to SAP Lumira, server for BI Platform as a template. Business

3.10.1 Purging and Saving Lumira documents

Prerequisites

You have required rights to save a document.

Procedure

1. Log on to BI Launch pad.2. Browse to the folder where the document is saved.3. Right click on the document and choose View.

The document opens. If this document is already purged while saving in Lumira desktop, the system automatically refreshes it. Once refreshed, the system loads the data into the Lumira document, and you can perform one of the following activities:

4. Choose the Save without Data option to purge all the data sets from the document.5. Choose the Save As option and perform the following:

a. Enter a name for the documentb. Add a description (optional).c. Choose the Save without Data option to purge all the data sets from the document.

NoteSave Without Dataoption is displayed for data sources in Lumira document that contain row-level security.

d. Navigate to BOE directory and choose Save As to save the document to a selected directory.

3.10.2 Scheduling Purged Lumira Documents

You can schedule the purged Lumira documents like other Lumira documents. However, you cannot purge an instance of a document. Therefore, instances can never be refreshed while opening a document.

You can view the scheduled instance on the History page for SAP Lumira documents.

NoteSave without Data and Save is disabled for an instance. However, if you want to Save As an instance of a document, then you need to perform the following:

3.11 Configuring OpenDocument Functionality

With OpenDocument functionality, you can generate direct links for opening Lumira documents and specific content within them. After creating a hyperlink with open document functionality, you can share it with other users. Users who access these hyperlinks can open the documents and content within them if they have the relevant authorizations.

Advantages

● Provide end users with hyperlinks to a document via e-mail or by other means.● Embed hyperlinks from one document to another.

3.11.1 Parameters used for creating an OpenDocument URL

Basic URL syntax

The basic syntax for an OpenDocument URL is as follows:

Sample Code

http://<servername>:<port>/BOE/OpenDocument/opendoc/openDocument.jsp ?<parameter1>&<parameter2>&... &<parameterN>

Serialized sessions

Table 1:

Syntax Description Value

serSes Specifies a valid serialized Enterprise session.

A serialized string representing the current Enterprise session.

serSes contains a serialized session of the current user session. This can be entered into an OpenDocument URL to allow users to access files without being prompted for credentials. Creating a serialized sessions does not use up an additional license. Serialized sessions expire if the original user's session times out or logs off.

3.12 Configuring Bookmark

SAP Lumira, server for BI Platform provides you with an option to make changes to the stories in a Lumira document in the story viewer and to store them as Bookmark. This Bookmark is available in the document once created. When you open a document in Lumira story viewer, you can filter data based on your requirement by applying filters. You can then save this state of the document as a Bookmark.

NoteBookmark consists of all the stories in the document and filters applied to the story by the users.

For example, you have a document which provides information on the populations of various cities around the world. You want to share this information with your colleagues located in various cities. They are only interested in viewing information related to their city particular city however. You can share this document with your colleagues, and they can filter the cities that interest them and save them as Bookmark. This helps your colleague to avoid creating multiple copies of the document or stories. It also allows them to switch between different Bookmark and to explore the data that is of interest to them.

You can create two kinds of Bookmarks:

● Personal Bookmark: This Bookmark is only visible to the user who created it.● Global Bookmark: This Bookmark is visible to all users who can access the document.

3.12.1 Creating a Bookmark

Context

Saving a Bookmark allows you to save any filter that you have applied to the story, without creating a copy of a document.

Gender-Neutral LanguageAs far as possible, SAP documentation is gender neutral. Depending on the context, the reader is addressed directly with "you", or a gender-neutral noun (such as "sales person" or "working days") is used. If when referring to members of both sexes, however, the third-person singular cannot be avoided or a gender-neutral noun does not exist, SAP reserves the right to use the masculine form of the noun and pronoun. This is to ensure that the documentation remains comprehensible.
