  • 1.3.12 Integration SAP Policy Management provides you with comprehensive functions for data exchange with other (SAP or external) systems.

NoteThe application components listed below are not part of SAP Policy Management. These are independent applications, and data is exchanged with theseapplications using interfaces. SAP Policy Management communicates directly and indirectly with a number of other components. The most important of thesecomponents are listed below.

The following sections contain information about the main systems that interface with SAP Policy Management:Integration with Business Partner FS-BPIntegration with Collections and Disbursements FS-CDIntegration with Claims Management FS-CMIntegration with Incentive & Commission Management FS-ICMIntegration with Portfolio Assignment PFOIntegration with Reinsurance FS-RIIntegration with Organizational ManagementConnection of Product Engine

PrerequisitesDefine the settings for the interfaces to these components in Customizing under Policy Management Integration .

1.1 Tools 1.1.1 Analyze Policy Business Object The system helps ABAP developers to program read access for the data of the Policy business object. You need read access for the data of SAP PolicyManagement (FS-PM), for instance, to implement services. These services could include OData Services to support mobile scenarios or A2A Services tosupport integration scenarios. You can use the Analyze Policy Business Object report to analyze the Policy business object for the implementation of a specific service and to determine themethods with which certain FS-PM data can be read. This report does not determine any methods for changing FS-PM data.

PrerequisitesPolicies exist in the system. This is necessary since the report uses concrete data to analyze the Policy business object.

    Procedure

Analyze Policy Business Object1. To call this report, on the SAP Easy Access screen choose Policy Management Tools Analyze Policy Business Object .2. Enter data as required.

You have the following options:On the Policy Search with Business Partner and Contract Search with Business Partner tag pages, you can enter a business partner and searchfor polices or contracts with which the business partner has a relationship. This lets you read the data fields of policies or contracts of a certainbusiness partner role, for instance that of the policyholder. On the Policy Details tab page, you can enter a policy and read the data fields of all the entities of the policy, for instance of the coverages or thepremium. The report only takes account of entities of those lines of business that are part of the standard delivery. In the Contracts group box, youcan choose whether you wish to read the data of all of the contracts of this policy or only the data of a specific contract of this policy. If you only wish toread the data of certain contract, enter the contract number.

    3. Execute the report. The Technical Data screen is displayed, where you receive information about the call of the FS-PM interface, for instance, the length of time for a call inmicroseconds and the number of data records read (for instance 7 policies for a business partner role or 3 contracts for a policy).

NoteOnly those lines are displayed for which at least one data record was found. To display all of the lines, remove the filter in the No. of Records column.

    4. On the Technical Data screen, select one or more lines and choose Detail .The Field Data screen is displayed, where you receive detailed information about the fields of the selected data records, such as the field name andinformation as to whether the field value is not initial (for instance, in the case of an integer field when the value does not equal 0, or in the case of acharacter fields when the value does not equal a space).

NoteOnly those lines are displayed for which the Field Value Not Initial checkbox is selected. To display all of the lines, remove the filter in the Field Value

    5. To display a data element in the ABAP Dictionary on the Field Data screen, choose the appropriate technical name in the Data Element column. You can display the documentation of the data element, for example. You do so by choosing Goto Documentation Display in the menu.

Generate Source TextTo generate the source text for this report with which the data records of the selected entities can be read at runtime, proceed as follows:

    1. First create a function module in the Function Builder .2. To call this report, on the SAP Easy Access screen choose Policy Management Tools Analyze Policy Business Object .3. Execute this report as described above and select one or more lines on the Technical Data or Field Data screens.4. Choose Generate Source Text .5. In the Generate Source Text dialog window, select the function module that you created and confirm your entry.

The source text is generated and displayed in the Function Builder .

    1.2 Accounting Component

UseYou can use the accounting component to manage liquid and non-liquid transactions. The accounting component is the central anchor point for collecting postingdata in SAP Policy Management and as the source platform it supports the following functions:Manual postingsProcessing loss reserves (collection and transfer to general ledger)Input for background processing and mass runsSupplying interfaces in the SAP system landscapeThe system saves the accounting data in the accounting component tables.

Implementation ConsiderationsYou define the settings for this component in Customizing for Policy Management under Accounting Component .

FeaturesSupplying the FI interfaceAdditional account assignmentThe additional account assignment is determined every time a settlement is created. You can define additional account assignments for the document line items. The structure for the additional account assignment in SAP Policy Management corresponds to the additional account assignment in FS-CD. This means that asystem include is available for the entity for document line items. SAP Policy Management fills the additional account assignments. A BAdI is available forimplementing custom characteristics for additional account assignments. You can perform customer-specific additional account assignment for cash flow and non-cash flow documents, without modification. The additional accountassignment in the standard system only represents the default implementation of a BAdI call. When the system saves documents, it executes additional accountassignment. An exception is when offsetting documents are created due to the reactivation of an older contract or policy status, as part of a retroactive change forexample. In this case, the system also applies the additional account assignment of the original document to the offsetting document; the system does notdetermine the additional account assignment again for the offsetting document. The system also creates an additional account assignment for manual postings, which the user enters in the Manual Posting business process.

1.3 Correspondence in SAP Policy Management The written communication between insurers and their business partners is a central aspect of the insurer's business processes. This is referred to ascorrespondence in SAP Policy Management. Correspondence can take the form of a letter, fax, or e-mail.SAP Policy Management supports insurers with the creation of their correspondence. Within the business processes, a processor can schedule, edit, releasecorrespondence, and also trigger its printing. The system can then forward the data to an external output management system that connects with the appropriatetarget media, such as a department printer or mail server. The key focus of correspondence in SAP Policy Management is the correspondence that is automatically created on the occurrence of defined events throughoutthe contract lifetime. You can use the Customizing settings to adapt the functions to your own particular requirements. The following figure illustrates the processflow of correspondence creation in SAP Policy Management:

Overview of Correspondence Creation in SAP Policy Management

Schedule CorrespondenceBy scheduling correspondence, you determine which correspondence type is to be created at which event. The system automatically schedules correspondenceaccording to the settings defined in Customizing. The processor can also schedule correspondence manually in a business process.

Edit CorrespondenceThe processor can edit correspondence scheduled in a business process. For instance, he or she can change the settings for the dispatch method orcorrespondence recipient, or edit the document. For automatically scheduled correspondence, the processor can override the Customizing settings.

Release CorrespondenceWhen scheduled correspondence is released, the system determines the correspondence recipient, dispatch method, and key data of the policy, and thencreates a correspondence request in the correspondence container for each correspondence recipient determined. The correspondence container is a temporarystorage place for the data and control parameters for creating scheduled correspondence to be output.

Display Correspondence HistoryIn the correspondence history, the processor can display all the correspondence requests for a policy, to gain an overview of their respective processing statuses.

Trigger CorrespondenceCorrespondence printing must be triggered so that the correspondence requests can actually create a physical object. Correspondence printing determines thedata of the correspondence request in the correspondence container and triggers the print program. This formats the data for correspondence output and forwards iteither directly to the printer spooler or to an external output management system that connects with the appropriate target media, such as a department printer ormail server.

  • SAP Policy Management supports insurers with all the typical requirements associated with the creation of correspondence related to insurance contracts.Insurers can adapt SAP Policy Management to their own particular needs through the Customizing options.

Correspondence Throughout Contract LifetimeInsurance contracts go through various phases in the course of their lifetime, and these different phases require the creation of different types of correspondence, for instance:

On the signing of an insurance contract, the insurer sends the policyholder a policy, together with the contractual conditions, additional consumer information, and a premium payment request. On a change of the insurance contract, for instance a premium adjustment, the insurer sends the policyholder a change option letter. On cancellation of the insurance contract, the insurer sends the policyholder a notice of cancellation explaining the reason for notice or a confirmation ofcancellation.

Correspondence RecipientThe correspondence recipient may vary. The insurer sends correspondence not only to the policyholder but also to other business partners, such as theinsurance agent. If the policyholder has appointed an insurance agent with the management and support of his or her insurance contracts, the insurer has to senda copy of certain correspondence types to the agent as well.

Dispatch MethodThe dispatch method may also vary. Some types of correspondence, such as the insurance policy, must be sent by mail, whereas others, such as a request tosubmit certain documents, can be sent by e-mail.

1.3.2 Schedule Correspondence You can request the system to automatically schedule most of the correspondence. You can also schedule correspondence manually in specific cases.

Automatically Schedule CorrespondenceThe system automatically schedules correspondence at defined events. You determine in Customizing what correspondence type the system schedules for whatevents, for instance an insurance policy on conclusion of new business.

Manually Schedule CorrespondenceYou can also schedule correspondence manually to create correspondence for an insurance contract in addition to the automatically scheduled correspondence, for instance in the case of a user-defined letter as an individual response to a customer inquiry.

Prerequisite for Manual SchedulingYou have defined which correspondence types can be manually scheduled in which business processes and for which product module groups in Customizing forPolicy Management under Correspondence Management Correspondence Control Manually Schedule Correspondence . You can manually schedulecorrespondence in all business processes apart from Central Access and Resetting.

Procedure1. To manually schedule correspondence, choose Edit Correspondence in a business process.2. Add a document.3. Choose a correspondence type.4. Confirm your entry.

1.3.10 Customizing of Correspondence In SAP Policy Management, you have to adapt the correspondence settings to your own customer-specific requirements. A range of activities are available for thispurpose in Customizing for Policy Management under Correspondence Management .

More InformationFor more information, see Customizing for Policy Management under Correspondence Management Edit Basic Settings for General Correspondence andthe documentation of the relevant Customizing activity.

1.3.10.1 Define Correspondence Types In Customizing, you define the various correspondence types your require, such as Policy , Refusal Letter , and Information Letter . In the correspondencetype, you determine the data that is stored in the correspondence container on creation of correspondence. For each correspondence type, you determine a range of process-related characteristics, such as whether correspondence of this type can be scheduled morethan once or whether attachments can be manually added to it. You also define the content of each correspondence type and the structure of the content. In thestandard system, the content is provided by PDF-based print forms. However, you can also integrate products of other manufacturers.

    Procedure

Define New Correspondence TypesFor each new correspondence type that you want to define, you must first define a form class, an application form, and an output form, such as a PDF-basedform.

NoteIn SAP Policy Management, in transaction SFP you will find sample correspondence for which the appropriate correspondence types, application forms, andform classes are available. The application forms are available in PDF format. If you define your own correspondence types, you can use this samplecorrespondence as examples.

    1. To determine the hierarchy of context data in the new correspondence type, in Customizing for Policy Management choose CorrespondenceManagement Edit Basic Settings for General Correspondence and then choose Define Form Classes in the documentation.Alternatively, you can call transaction EFCS .

    2. To determine the technical process flow for the print output in the SAP system, in Customizing for Policy Management choose CorrespondenceManagement Edit Basic Settings for General Correspondence and then choose Define Application Forms in the documentation.Alternatively, you can call transaction EFRM .

    3. To define a PDF-based form for the print or dispatch of the new correspondence type, call the transaction SFP . Define the content and layout for the PDF-based form and assign the PDF-based form an application form.

    4. To define the new correspondence type, in Customizing for Policy Management choose Correspondence Management Edit Basic Settings forGeneral Correspondence , and then choose Define Correspondence Types in the documentation.

    5. To assign the new correspondence type a form class, in Customizing for Policy Management choose Correspondence Management Edit BasicSettings for General Correspondence , and then choose Define Standard Form Classes for Correspondence in the documentation.

    6. To assign the new correspondence type an application form, in Customizing for Policy Management choose Correspondence Management EditBasic Settings for General Correspondence , and then choose Define Application Forms for Correspondence in the documentation.

    7. To determine FS-PM-specific characteristics for the new correspondence type, in Customizing for Policy Management choose CorrespondenceManagement Correspondence Modules Set FS-PM-specific Correspondence Types .

Define Dispatch ControlTo define the dispatch control for correspondence, perform one of the following options in Customizing for Policy Management :

To define a dispatch method (for example letter, fax, or e-mail) for each correspondence type, choose Correspondence Management CorrespondenceModules Set FS-PM-Specific Correspondence Types .To define a dispatch method for each correspondence type and role, choose in Customizing for Policy Management Correspondence Management Correspondence Control Define Sample Settings for Each Correspondence Type and Role . Define a dispatch method for each correspondence type,

role key (such as policyholder or premium payer), representative category (such as guardian or correspondence recipient), and scope (such as generalauthority or inquiry authority).

NoteIn the standard system, the dispatch method is the one that is determined in the Customizing activity Set FS-PM-Specific Correspondence Types . Howeverthis dispatch method is overridden if another method is defined in the Customizing activity Define Sample Settings for Each Correspondence Type and Role .

Define Correspondence RecipientTo define role-dependent recipients of original and recipients of copy of correspondence, in Customizing for Policy Management choose CorrespondenceManagement Correspondence Control Define Sample Settings for Each Correspondence Type and Role .

1.3.10.2 Automatically Schedule Correspondence The system can automatically schedule correspondence. The following options are available:

Date-Driven CorrespondenceWith date control, the system can schedule correspondence on the basis of a specific date, such as a premium adjustment. For the contract-relevant update of a policy, the system determines the pending dates. Some dates implement a change to the policy and schedulecorrespondence. Other dates only schedule correspondence (correspondence dates). These are processed in the correspondence run.Once a date is reached, the time model function is called, during the processing of which the scheduling of correspondence can be triggered.Dialog-Driven CorrespondenceWith dialog control, the system can schedule correspondence in dialog mode on the basis of a specific processing activity, such as a specific businessprocess or business transaction (for instance, create duplicate policy). Once the business transaction is complete, the system schedules correspondence.

The system uses the BAdI /PM0/ABP_CORGCPLAN_BADI to determine which correspondence types are scheduled and when. In the standard delivery, theBAdI evaluates the Customizing activity Automatically Schedule Correspondence .

Procedure1. In Customizing for Policy Management , choose Correspondence Management Correspondence Control Automatically Schedule Correspondence

.2. Determine when each type of correspondence is to be scheduled.

You can determine for each process or date, and at which event, the system automatically schedules the specified correspondence type. Only certainevents are available, depending on the business process.

  • For the scheduling event Complete Business Transaction , note the following with regard to the scheduling of correspondence:The system only executes scheduling for certain business transactions once the processor has performed the calculation.

Data Origin EventWhen you trigger printing of correspondence, the system determines the correspondence data, and to do so, it has to access a certain dataset. The datasetrequired is determined by the correspondence type. For instance, a policy letter requires the dataset that applies on release of the New Business businessprocess. A letter about the increase of a policy loan requires the dataset that applies on completion of the Increase Policy Loan business transaction. To determine the correct dataset, the correspondence component has a data origin event that specifies which dataset is used for correspondence. You define thedata origin event for each correspondence type in Customizing for Policy Management under Correspondence Management Correspondence Control Automatically Schedule Correspondence . The following data origin events are available:

    Start of ReleaseAfter PositioningBTrans Conclusion

For correspondence types that can be scheduled by a time model function, you cannot determine the data origin event. The dataset at the event of the time modelfunction is used.

NoteWhen you display correspondence in preview mode, the system does not consider the data origin event defined in Customizing. Instead, it displays thecurrent dataset at the time of the document preview.

1.3.11 Enhancement to Correspondence Customer-specific requirements may call for the enhancement of the standard SAP Policy Management system with additional functions and the definition of acustomer-specific logic. There are various ways of enhancing the correspondence component in SAP Policy Management, for instance by using BAdIs orcustomer-specific interface classes.

Enhancement Using BAdIsThe following table shows which customer-specific adjustments you can make for the correspondence, and where you can find the relevant BAdIs:

Enhancement or Adjustment of DialogsYou can enhance or adapt the correspondence dialogs in SAP Policy Management. To do this, you have the following options:

    Constraint classes:Enhanceability of nodesC View

Constraint ClassesUsing the constraint classes, you can hide or show the following areas for the correspondence standard dialogs at runtime.

In the Edit Correspondence dialog mode, you can hide the correspondence control. In the Document Settings dialog mode, you can hide the following areas:

The header informationThe Dispatch tabThe Text Module tabThe Free Variable tabThe Attachments tab

In the Copy Data dialog mode, you can hide the following areas:The header informationThe copy data

In the Correspondence History Overview dialog mode, you can hide the correspondence history.

Enhanceability of NodesIn addition, you can enhance particular user interfaces with customer-specific areas: To do this, you have to enhance an existing model node with your own area inthe subcontroller model of the dialog. You should note that you can only enhance model nodes that are indicated as Enhanceable . You are not permitted tochange existing model nodes. You also have to take into consideration that the space in the subscreen container is limited. You may find you have to hide othermodel nodes in order to display your own area.

C ViewCorrespondence provides a C view for the Correspondence History Overview dialog mode, which you can use to enhance the Correspondence HistoryOverview with your own fields.

Enhancement with Customer-Specific Interface ClassesIn addition to an adjustment using BAdIs, you can adjust correspondence by defining a customer-specific print class, archive class, controller class, broker classand text adapter class in Customizing. For more information, see Customizing for Policy Management under Correspondence Management Edit TechnicalSettings for FS-PM Correspondence .

More InformationFor more information about the scheduling events, see Automatically Schedule Correspondence .

1.3.12 Integration The central task of correspondence in SAP Policy Management is to determine the data content (correspondence type, correspondence recipient, dispatchmethod, and key data of the policy) and to forward this to the print program for formatting. For the subsequent creation and output of documents, SAP PolicyManagement uses the Correspondence Tool and Print Workbench application components of the SAP ERP Central Component correspondence component. The correspondence tool provides consistent process flows in the creation process of correspondence and consistent results.

1.4 Integration with Business Partner FS-BP

UseThis is the central component for providing business partner data to other components. Business partner data can only be changed in this component itself. Thebusiness partner component can manage business partner data for SAP Policy Management, such as:

Business partner nameDate of birthAddressesBank detailsPayment cards (such as a credit card)

CautionYou create and edit participant roles (such as the policyholder or person insured with a particular contract) in SAP Policy Management.

NoteThe SAP component is called SAP Business Partner for Financial Services (FS-BP).

ActivitiesYou access Customizing for the integration of FS-BP by choosing Policy Management Integration Business Partner FS-BP .

1.5 Integration with Claims Management FS-CM

UseWhen a loss event occurs in the Claims Management component ( SAP Claims Management, FS-CM), a claim is created manually or automatically.FS-CM is part of SAP ERP.For more information, seeSAPLibrary under SAPERP SAPERP Central Component SAPERP Enhancement Packages Industries inSAPERP SAPfor Insurance Claims Management.

ActivitiesMake the Customizing settings under Policy Management Integration Claims Management FS-CM.

1.5.1 Claims In a claim you process the payment requests made to the insurance company by a policyholder, an insured, or a claimant.Depending on the insurance area or line of insurance, the term claim has a different meaning:

P&C insurance: a lossLife insurance: a claim for a benefit.

FS-PM differentiates between scheduled and unscheduled claims.Scheduled claimsThese claims can be determined in advance on the basis of the known expiration. Examples of such events are the defined maturity in endowmentinsurance or the scheduled transition to an annuity phase after the end of the deferment period. They are a unique feature of the line of Life insurance andtheir creation is triggered by a time model function of FS-PM. However, the actual claims are created in background processing in FS-CM.Unscheduled claimsUnscheduled claims can occur in all lines of insurance. They occur randomly and are the result of an external event that is not planned. Examples of suchevents in the line of P&C are an accident or a burglary. Examples in the line of Life insurance are death, the onset of occupational disability, marriage, orthe customer's request for (partial) surrender of an insurance. These claims are created manually in FS-CM.

A claim can be subdivided into different subclaims in FS-CM. The most important attributes of a claim are the incident type and the cause (cause of loss). Theincident type determines which incident led to creation of the claim (such as death in the line of Life insurance or bicycle theft in the line of P&C insurance). Youcan restrict the incident type even further by a cause of loss. When a claim is created in FS-CM, basic data of the associated FS-PM policy and the associated FS-PM contract is transferred to FS-CM by an interface of FS-PM. This data is stored in FS-CM in the policy snapshot. The contents of this policy snapshot can be updated as required during the course of claims processingsimply by reading the data again. The claim handler in FS-CM can also change the policy snapshot. In the line of Life insurance, acknowledgement of benefits inFS-CM leads to a change of the underlying insurance contract in FS-PM. This contract change takes place as part of contract reengineering.

  • 1.5.2 Overview of Benefit Cases/Claims In FS-PM, the overview of Benefit Cases/Claims shows basic information from FS-CM about claims on the policy that is currently being displayed or processedin FS-PM.To display this overview, choose Benefit Cases/Claims in the navigation tree. If you want to get more information about a benefit case/claim, select a benefitcase/claim and then choose Benefit System . This takes you to display of this claim in FS-CM.

    1.5.3 Contract Locks

UseYou can use this function to write-protect contracts. This is particularly relevant for benefit processing. You can set contract locks in FS-CM and in FS-PM.During benefit processing, you are no longer able to change the contract for which you are creating a benefit case or claim. Therefore the system locks contractsdependent on benefit processing. You can lock a contract to prevent it from being processed at all, or you can lock it to prevent non-scheduled changes, butpermit collection and updating .

IntegrationSAP Policy Management provides this function to the operational systems, such as the benefit or claims management component. The operational systemstrigger SAP Policy Management to lock contracts .

    FeaturesSet locks

You set locks only at contract level. The locks are valid for this contract and all subordinate levels. You can only set a lock if the contract is not otherwise locked. There are two lock options:

Locks at business process levelChangeResetReversalUniversal Change

A lock on all updates, and mass processing, and all business processes apart from the Inquiry business processRemove locksOnly the component that has set the locks can remove them. You can define the method the system is to use to identify which component is responsible for whichlock. For each lock reason, you can define business transactions that can still be used in the Change business process despite the contract being locked. You make these settings in Customizing under Policy Management In-Force Business Management Basis Business Processes Definition of Facts

    Define Lock Reasons. Check locks

The system checks and provides information about which users have set which locks. When the system locks a contract, it first checks whether the contract is already locked:

Contract lockLogical lock: You cannot process a second application for a contract if there is still an open application for it.Transient lock: This lock is set for the duration of the business process.

ActivitiesIf you decide during benefit processing that the contract should remain unchanged, then you can manually set a lock in the benefits component. You can removecontract locks in benefit processing. If you do not remove this lock manually, the system automatically removes it at the latest when the benefit is acknowledged. In FS-CM you can find more information about contract locks in Processing of Locks in theSAPLibrary under SAPERP SAPERPCentral Component SAPERPEnhancement Packages IndustriesinSAPERP SAPforInsurance Claims Management.

1.5.4 Basic Settings for Integration with Claims Management If you want to integrate FS-PM with FS-CM, you must make some basic settings in FS-CM and FS-PM.Settings in FS-PMChoose the Customizing activity Policy Management Integration Process Primary Settings for Interfaces to External Systems .With the Claims Management interface, specify the logical destination of your FS-CM system. For more information, see the documentation for this Customizingactivity.Settings in FS-CMFS-CM must access data of FS-PM to be able to create and manage claims. In the Regular ExpressionContract Range field, you use a regular expression to specify the assignment between the contract number of FS-PM and a defined policy managementsystem. The regular expression entered here must match the number range interval defined in FS-PM for the contract numbers in FS-PM. You define thesenumber range intervals for contract numbers in Customizing for FS-PM under Policy Management General Settings Number Ranges In-ForceBusiness Management Define Number Range Intervals for Contracts .Define RFC Target SystemsIn this Customizing activity you define which target system is to be called with each Remote Function Call (RFC). Here you enter the logical destination ofFS-PM.

For more information, see the documentation Interface to Policy System in SAP Library under SAP ERP SAP ERP Central Component SAP ERPEnhancement Packages Industries in SAP ERP SAP for Insurance Claims Management .Customer-Specific AdjustmentsAdjustments in FS-PM

You can use Business Add-Ins (BAdIs) in FS-PM to adjust the interface between FS-PM and FS-CM to suit your own requirements. In Customizing, for PolicyManagement , choose Integration Claims Management FS-CM Business Add-Ins (BAdIs) .Under Enhancements for RFC Function Modules (Entry and Exit BAdIs) , you can find various Entry and Exit BAdIs . They influence the function modules thatperform the data transfer between FS-PM and FS-CM. These BAdIs are processed every time a function module is called and exited.

ExampleCustomers can use the BAdI: Data Determination for Contract Snapshot to modify function module /PM0/ABT_CM_GET_CONTRACT_DATA. FS-CM usesthis function module to determine and update the policy snapshot.

Adjustments in FS-CMIt is also possible to make customer-specific adjustments in FS-CM. Here, the data structures imported from FS-PM are assigned to those of FS-CM (mapping). You can adjust this mapping in FS-CM by using the Service Mapping Tool (SMT) and the BAdIs of FS-CM. For more information about adjustments in FS-CM,see the documentation Mapping of Interface to Policy System in SAP Library under SAP ERP SAP ERP Central Component SAP ERP EnhancementPackages Industries in SAP ERP SAP for Insurance Claims Management .NoteWith joint use of Policy Management (FS-PM), Claims Management (FS-CM) and Reinsurance (FS-RI), SAP recommends communication between the systemsat Coverage Level and not at subcoverage level.

1.6 Integration with Collections and Disbursements FS-CD

PurposeSAP Collections and Disbursements for Insurance (FS-CD) has the task of collecting premiums for current policies, and of disbursing benefits . All the paymentflow must be posted to separate current accounts for each customer so that SAP Policy Management can be informed about the payment status of a policy at anytime.Notification about incoming payments is particularly important with contract elements where the customer is able to determine the amount and timing of premiumpayments. This information is needed to calculate the insurance benefit. You can use SAP Collections and Disbursements for Insurance to perform all collection and disbursement tasks across different lines of business. These tasksinclude open item accounting, payment processing, incoming payment processing, correspondence, and dunning. You can also map broker accounting andcoinsurance business .

NoteFor information about resetting scheduled changes in FS-CD, see SAP Note 1238964 .

Master DataIf you add a new partner to an insurance object in FS-CD (for example an additional premium payer or a new policyholder), the master data of this new partner isalways created immediately (with the current date) in FS-CD.The validity date can differ from the creation date. The validity date is set according to the following rules:

Each new insurance object-partner relationship is valid immediately (with the current date). With every change to an insurance object-partner relationship that exists in FS-CD, the system sets the validity date dependent on the effective date of theprocessing in FS-PM:

If the FS-PM effective date is later than the current date, the system sets the validity date with the effective date.If the FS-PM effective date is earlier than or the same as the current date, the system sets the validity date with the current date.

FS-CD locks are immediately valid (with current date). The validity date can also be influenced by the Customizing settings .

1.6.1 Processing of Down Payments in New Business

UseWhen completing a policy, the applicant can pay the first premium, or a down payment, directly to the agent. The payment can be made in cash, as a check, oras a copy or confirmation of a bank transfer. This down payment that you enter in the application is deducted from the amount to be paid for the first insurancepremium. If the down payment amount exceeds the first premium payment, the system offsets the excess amount with the subsequent premium payments.SAP Policy Management still creates premium receivables for the full premium payment amount, as well as a down payment request (or, in the case ofdistribution, several down payment requests). The premium is offset against the down payment in SAP Insurance Collections and Disbursements (FS-CD).In the New Business business process, you can enter a down payment with the appropriate details and save it with the application, or save it with the contractafter releasing the policy. It is assumed that the purpose of down payments by the policyholders is to render the policy and its contracts effective by paying the first premium. Therefore, ifthe down payment applies to more than one contract or premium payer, it is distributed across multiple contracts and/or premium payers. The system triggers a refund if you reject the application.

PrerequisitesIn Customizing for SAP for Insurance , under Collections & Disbursements , you have defined incoming payment processing (such as note to payeeinterpretation) and activated the classification key (prepared enhancement). In Customizing for SAP Policy Management , you have defined the settings for account determination for down payments.

Process Flow1. You create an application in the New Business process and enter the following details on the down payment:

    1. Payer2. Amount3. Down payment reference

This reference assigns a down payment to a policy and its contracts. The default value for the field is the external order number. However, you canenter your own reference. The system transfers this reference to FS-CD along with the debit position.

    4. Date of down payment2. You can check whether FS-CD has already posted the down payment for a customer and whether a down payment reference exists.

If you execute this function, the system calls up the selection screen for payment assignment in FS-CD (transaction FPCPL). You can use the existingdetails on the down payment to search for an incoming payment that has not yet been posted. For more information about payment lot processing in FS-CD , see the documentation for this component under Payments Postprocess ClarificationCases .

    3. You release the application. During release, the system creates a document with one or more line items for the specified down payment.4. The system transfers the information to FS-CD . FS-CD posts it to the insurance relationship as a down payment request (using the down payment

reference in the Classification Key field of the document header). The data for the down payment is also available in the correspondence interface.

    5. Depending on the way in which the down payment was made (cash, check or bank transfer), you can automatically or manually assign the incomingpayment to the posted down payment requests in FS-CD upon payment receipt. The system then converts the down payment request into a down payment. For more information about these FS-CD functions, see the SAP Library for Collections/Disbursements under SAP Insurance Collections/Disbursements (FS-CD) Business Transactions Payments Incoming and Outgoing Payment Processing .

    6. When you accept or reject a contract, in-force business management in SAP Policy Management creates a work item for the processor, with references tothe down payment.

CautionIf you reject the application, and a down payment has already been posted in FS-CD , you must refund this amount manually. SAP PolicyManagement does not trigger the refund automatically.

  • 7. You can use the automatic clearing run or manual account processing to offset the premium receivables in FS-CD against the down payment.

Information About Distribution of the Down Payment AmountThe premium receivable is used to clear the actual payment.

In the case of multiple contracts and/or multiple premium payers, the system distributes the down payment in master data model 1 to the contracts andpremium payers.Standard distribution: The system determines the percentage share of each contract in the overall premium receivable for the policy. The down payment isdistributed on the basis of the determined percentages. With master data model 2, the down payment is not distributed to the contracts. The system only has to distribute the down payment to a maximum of twopremium payers. If multiple premium payers participate in a contract, the system distributes the share of the down payment attributable to the contract according to thedistribution for premium receivables.Distribution of down payments to premium payers always follows the specifications from the distribution of the premium receivables and cannot bechanged.

NoteYou can replace the distribution algorithm with your own implementation. To do this, assign the class you have defined to the business component for down payment distribution in Customizing for SAP Policy Management(under Policy Management In-Force Business Management Basis Business Components Define Business Components ). You canmake the assignment for a specific line of business, product, or country.

ResultThe system has distributed the down payment to the contracts and premium payers according to the distribution algorithm, and posted a document in theaccounting component. If you accept the application, the data on the down payment is available for further processing in the correspondence interface.

    1.6.2 Third-Party Collections

UseThe Third-Party Collections component allows you to link more than one policy to an employer. This allows you to perform common collections or accounting in theCollections/Disbursements system. The Third-Party Collection business object is used for administrative purposes and for master data creation.

Implementation ConsiderationsYou define the settings for this component in Customizing for Policy Management under Third-Party Collections Management .

ConstraintsNo history management is possible for third-party collection agreement. No future changes are possible for third-party collection agreement. No transfer posting of the broker object is possible if the third-party collector is changed.

    1.6.3 Broker Collections

UseYou can use the Broker Collections collection type to map the following constellation in Policy Management (FS-PM) :

ScenarioIf a broker concludes a policy and collects the payments, the insurer settles the premium receivables directly with the broker. The broker then collects thepremium receivables from the premium payer specified in the policy. This saves work for the insurer, who only deals with one business partner to processpayables and receivables. You can map this constellation in FS-PM . The underlying functions for broker collections correspond to third-party collections. However, the broker objects to beused must be created beforehand in Collections/Disbursements FS-CD .

IntegrationTo create the accounts and insurance objects for broker collections, you either use the manual function in FS-CD , or have them created automatically byCommission Management .

  • NoteDuring creation, the system does not check whether the selected broker can collect for the policy.

PrerequisitesThe broker contract has been created in FS-CD .All Customizing settings for broker collections in FS-CD have been made (IMG path: SAP Insurance Collections/Disbursements BrokerCollections ).

FeaturesFor every combination of contract (in FS-PM ) and premium payer, you can decide whether collections are to take place using a broker. You can use searchhelp to select the broker, which displays the appropriate broker objects in FS-CD .FS-PM defines the combination of broker and related insurance object in FS-CD in the insurance object relationship Contract Premium Payer . The default

values for the time intervals Responsible From and Open Items From use the effective date of the business process for the lower limit and the maximum date(12/31/2999) for the upper limit.

ActivitiesIn the New Business , Change and Universal Change business processes, you can now select collection type Broker Collections for a premium payer anddefine the data required to perform broker collections in FS-CD (broker partner number, broker insurance object). You can select the broker and broker insurance object directly from FS-CD , using a search help connection. When the application is released, FS-PM assigns the broker data to the insurance object relationship of the premium payer in FS-CD .

See alsoYou can find more information about broker collections in FS-CD in the documentation for Collections/Disbursements , under SAP for Insurance SAP forInsurance Collections/Disbursements (FS-CD) Broker Collections .

    1.6.4 Manage Collections/Disbursements Locks

UseYou can use this function to edit collections/disbursements locks in the following business processes (BP):

    New BusinessUniversal ChangeChangeInquiry

IntegrationIf you edit collections/disbursements locks and release the application, the system transfers this data to SAP FSCD.The function communicates with the following systems:

FS-BP to determine partner dataFS-CD to determine FS-CD locks

PrerequisitesYou have assigned the FS-CD lock reasons to the lock categories. You have also stored further processing actions such as creating, changing, or deleting. You make the required settings in Customizing for Policy Management under Integration Collections/Disbursements FS-CD FS-CD Locks FS-CDLock Reason to Lock Category.

1.9.1 qRFC Interface with Operational Systems SAP Policy Management (FS-PM) has a qRFC-enabled interface with the following operational systems:

SAP Collections and Disbursements (FS-CD)SAP Incentive and Commission Management for Insurance (FS-ICM)Portfolio Assignment (ICM-PFO)SAP Reinsurance Management (FS-RI)

To ensure that FS-PM communicates correctly with these operational systems in a production environment, the data must be transferred asynchronously usingqRFC technology. The operational systems require special qRFC-enabled function modules as interfaces. If an error occurs during communication between FS-PM and one of the operational systems (in other words, the operational system cannot process the data), the qRFC-enabled data interface creates an exception. The system displays the calls as errors in the outbound queue of the FS-PM system. An error log is also created in the operational system. You can analyze theerror situation on the basis of this log.For more information, see the keyword Queued Remote Function Call (qRFC) in the documentation of SAP NetWeaver under http://help.sap.com/nw .
