10 Accounting + Business Show

1. Each single booth at the Accountingand Business Show will have a boothspace rental of $1,429 per booth. Boothspace rental will cost $1,275 for thosewho register and pay the balance beforeMay 11, 2017, for the Accounting andBusiness Show. Discount rates formultiple booths are as outlined under“Booth Costs” on the application. Prioritybooths are an additional $90 per booth(refer to the floor plan).

2. Payment in the amount of 50 percentor full payment must accompany theapplication/contract. Booth space rentalfees are nonrefundable. The balancemust be paid by Aug. 10, 2017, for theAccounting and Business Show.Exhibitors will not be allowed access tothe exhibit hall until all fees are paid infull.

3. Exhibitors are required to have anattendant at their exhibit at all timesduring show hours.

4. Move-in time for the Accounting andBusiness Show is Tuesday, Sept. 26,2017, from 10 a.m. - 7 p.m. and move-out time is Thursday, Sept. 28, 2017,from 1 - 6 p.m.

5. This agreement includes a one-timelist of show attendees. Additional listsmay be purchased for a 10 percentdiscount from normal rates uponapproval.

6. This agreement is for exhibit spaceonly; course materials are not included.Exhibitors may attend the program onlyif they formally register as a participantby paying the registration fee in additionto the exhibit fee.

7. FICPA management reserves the rightto approve the character of any exhibit,any goods therein and the attendantadvertising and sales promotion and toprohibit anything which in its judgmentbecause of noise or other objectionablefeatures may detract from the show ingeneral.

8. All sound equipment must beregulated so it does not disturbneighboring exhibits. The FICPA reservesthe right to determine at what pointsound constitutes interference withothers and must be discontinued. Due toregulations by the music industryregarding music at public meetings,conventions and shows, exhibitors maynot play music during the trade show,either live or recorded.

9. Exhibitors will not be permitted toassign, sublet or share with others anypart of the space allotted to them.

10. FICPA management reserves theright to require any exhibitor to move hisexhibit to another location if it is in thebest interest of the show.

11. In accordance with Florida StatutesSection 212.18(3)(b)3, the FICPAauthorizes exhibitors to make retail salesof tangible personal property or servicesubject to sales tax. The exhibitor shallbe solely responsible for any local, stateor federal tax liability resulting from thiscontract or other tax implication arisingfrom activities while an exhibitor at theAccounting and Business Show.

12. No exhibitor is to begin dismantlingprior to the close of the show. Anyexhibitor dismantling prior to the closeof the show will forfeit his company’sright to exhibit at future meetings of theFICPA.

13. Advertising materials cannot bedistributed outside of the exhibitor’sbooth.

14. Booths must be kept clean. The floorand display areas of the booth must beclear of debris. Exhibitors will be liablefor any extra clean-up costs incurred dueto displays, food machines and othermeans.

15. The use of promotions, premiums,lotteries or giveaway contests must beapproved by FICPA management. Suchapproval may be granted or withheldwith or without cause at the discretion ofFICPA management.

16. Hospitality suites can be opened onlyafter the closing of the exhibit hall.

17. Use of electrical current is confinedto lighting or the operation of suchequipment that is harmless, noiselessand does not release undesirable odors.

18. All contractors hired by the exhibitor,other than those official suppliers listedin the exhibitor’s kit, must submit proofof liability insurance to the FICPA and tothe service company. Outsidecontractors must have a badge to gainaccess to the exhibit hall. Outsidecontractors or their employees who arenot on the pre-registration badge listmust pick up their badges at theexhibitor check-in. A letter ofauthorization or other proof of affiliationwith the exhibitor’s company must beshown in order to receive a badge.

19. Objectionable practices by exhibitorsor official suppliers should be reportedimmediately and not after the show iscompleted.

20. No children under 16 years of agewill be allowed in the exhibit area at anytime.

21. It is agreed that the FICPA and thehost facilities shall not be liable for anydamage to, or destruction of, any exhibitfrom any cause or for the theft ordisappearance of any exhibit or anyproperty contained in or about the exhibitbooth area.

22. The exhibitor agrees to indemnifyand hold harmless the FICPA and thehost facilities or their employees or theirrepresentatives against any and allliabilities for damage, injury or loss to allpersons and any and all claims arisingout of acts or omissions of exhibitors,their employees or their representatives.

23. The FICPA will not be heldresponsible or liable for charges ordamages for any failure of performancedue to acts of nature, labor disputes,shortage of materials, governmentalauthority, or other circumstances beyondreasonable control of either party.

24. Insurance, if desired by theexhibitors, must be obtained at their ownexpense.

25. Exhibitors will not offereducational/training or other programswithin the show facility simultaneous toFICPA show-related programs.

26. The FICPA is not responsible formonitoring the proximity of competitors’booths. Please check our Web site atwww.ficpa.org for a list, to date, ofsecured booths.

Booth Construction27. All electrical work and electricalwiring must be approved and installed inaccordance with regulations establishedby the officials of the Fire Marshall’sOffice.

28. No construction will be allowed at thesides or above the booth, which mayobscure the view of any adjacent booths.

29. All materials used for decoratingmust be flameproof.

30. Construction and signs that areabove 8 feet in height are to be approvedby FICPA management.

31. All applicable city, county and statecodes and ordinances must be compliedwith, as well as those of the hostfacilities.

32. Nothing shall be posted on, tacked,nailed or otherwise affixed to columns,walls, floors or other parts of thebuildings, furniture or equipment.

33. In order to meet the 5:30 p.m. setupdeadline, FICPA management reservesthe right to order labor to set up anyexhibit for the Accounting and BusinessShow that is not in the process of beingerected by 7 p.m. on Tuesday, Sept. 26,2017. The cost for this labor will be paidby the exhibitor. No exhibitor may set uptheir booth on Wednesday, Sept. 27,2017, for the Accounting and BusinessShow ®.

Booth Assignment34. Booths will be assigned on Oct. 12,2016, to contracted exhibitors based onthe priority system. All other booths areassigned on a first-come, first-servedbasis pending payment.

Interpretation of Rules36. The interpretation of all rules andregulations is the responsibility of theFICPA Executive Committee or theirdesignated representative. All decisionsof said group or representatives are final.
